      Hi Satish, since Lotus Notes works with POP3, you could configure the account with Outlook, then you could export the data to a PST file. After having the PST, you could import it to any account that is configured (as IMAP) in Outlook.

    Great video! From content to filming, etc... Really easy to follow. Do you have a video where you simply use the pst file to setup exchange (not necessarily going through notepad, username, led, etc...). It's just one email one pst file. How does that work?

      Hi Abdul, if you have a pst file, you can configure the new mailbox in Outlook and then open the pst file from Outook. Then you can easily move the folders or/and emails from the pst file to the new account. This video can give you some idea of what I am talking about:

    Thank you Sir Carlos for this video. I have a question that is when we should delete these migration batch file if i do not want to keep any single email before pointing DNS to another server.

      My suggestion is to delete the migration batch after updating/changing the MX record. Once the MX record is pointing to MS 365 and verify that the migration moved all your emails and folders, then you can delete the migration batch and delete your mailbox from the old server. Hope it helps.

    Thank you! Do I also need to make changes on my IMAP server (email routing from local to remote, or other MX entries?) I am moving my email hosting from my IMAP server and want it all hosted on 365

      If your DNSs are managed by your hosting (for example in cPanel), you will need to change the routing from local to remote. This will be done when you update the MX record. Hope it answer your question. Thank you.

    Awesome guide! Quick questions, my old email is using a POP3/SMTP(HostGator) and wanted to migrate it to MS365 Business Basic, will this step still be applicable?

      Hi Lex, it will migrate only the emails that are saved on the server. When using POP3, only Inbox emails can be saved on the server if you selected the option to save or leave a copy of the messages on the server. The other option is to export/import to s pst file using Outlook.

    Thank you Carlos. In the video, you mentioned on password for each mail user in the migration csv file . Just to confirm ,these passwords need to get from original mail users or there's a way of getting this encrypted password from a mail system? Please advise . Thanks

      Hi Vincent, those are the email passwords that every users uses to access their old mailbox. If the users don't remember their passwords, you may need to reset them within the admin email panel or you could ask the admin provider to reset them. Most of the cases, it is not possible to get the encrypted passwords from the mail system. Hope it respond to your question. Thank you.

      Here is the format that you need to use for your csv file:
      EmailAddress,UserName,Password
      user1@yourdomain.com,user1@yourdomain.com,password1
      user2@yourdomain.com, user2@yourdomain.com, password2
      If the admin is one the accounts, you can add it in another line.

      This tool connect MS 365 server with your previous email server using IMAP. It will move the emails that are stored in the server. It does not matter if you were using POP to connect to the server with your email app, however in this case, the emails that were stored in the server are probably only the emails in your inbox. If your previous email server is not IMAP enabled or can't connect via IMAP, then the migration tool won't work. Hope it respond to your question. Thank you.

    Hi Carlos, thank you for sharing such an informative and instructive video!😆😆😆 When you were creating the txt file for uploading for the migration, you added the same EmailAddress as you did for UserName. I assume you did this because you wanted to keep the exact same email address (which is basically what everybody wants to do) and only change the server. So, before you did this, you must have created the same email address as your old one in your Microsoft 365 admin center. My questions are:
    1. when I 'm trying to create this email address, will the system deny it because the same one already exists? If it will, is there some way I can bypass it?
    2. after I connect my domain to my Microsoft 365 tenant, I can only migrate old emails before or after redirecting MX? Or should I ask, does redirecting MX affect migrating old emails?
    I apologize if you've answered the same questions under other comments, and thank you for your time!😃

      Hi Patrick, thank you for your comment! The txt file allow you to migrate from a different email address (the sourse) than the one you create in MS 365. As you said, most of the people want to keep the same email address, and that is why I typed the same email address twice in the txt file.
      1. You need to create the target email address (in MS 365) before initiating the migration. You should not find any issues to create the your email account in MS 365 unless it already exists in MS 365. MS 365 does check if your email address exist somewhere else (with a different provider or email service).
      2. You can migrate your old emails before or after updating the MX record. The migration process in MS 365 keeps running every 24 hours after it get completed. It means that you can update the MX record after the migration is complete, and any new email that was received in the old server before updating the MX record, will be synced at least the next 24 hours.
      Changing the MX record does not affect the migration process.

    Hi Carlos, my company is very small and just few staffs. Currently, we have used free g suite account to keep our emails for a decade. Our domain is kept in Hosting Speed. Can we follow above video to migrate all our old emails from G suite (but not Google workspace) to Microsoft 365? After the migration, can we read these old emails from our mobile? Thanks!

    MultiFactor Authentication enabled. Thank you for this video. If security defaults are enabled in the newer 365 portal, that will enable Multi-Factor Authentication in Azure AD. Will this layer of security cause issues with the migration? Should I temporarily disable MFA until the migration is completed?

      Hi Scott, if security defaults are enabled, it automatically enable MFA for all user in your tenant.
      MFA should not affect or cause issues with the migration to MS 365. You don't need to disable MFA to complete the migration. Hope it helps.

    Thank you for the video. What about the MX records so your migration gets any new emails, keeping you existing owned domain name. Can you please explain the migration of the MX record, please?

      Hi Thomas, the MS 365 migration tool keeps syncing every 24 hours after all the emails have been migrated. It means that you can start the migration before changing the MX. You can wait until everything has been migrated and then update the MX. You can keep the tool running for 24 to 48 hours (after updating the MX) and it will sync any new email that was not migrated before updating the MX. Hope it helps.

      Hi Dan, when migrating to a shared mailbox you treat it like a regular mailbox. You just enter the shared mailbox email address. I mean the first column is for the shared mailbox email address, the second one is for the email address where you are migrating from, and the third column is for the password of the email address that you are migrating from.     Should I first add the domain to MS 365 and then make the migration? The other possibility is to make a PST file, and import this to the ready 365 Exchange mail, correct? With this migration like in this video, could it work, if I have changed the MX-Record for the domain already, or should I only add the domain with the txt-record, but not yet changed the mx records?

      Hi, you can add the domain, verify it with the TXT and do the migration even before changing the MX record. You can also do the migration via pst file. I particularly prefer the migration tool.
      The migration can also be done after changing the MX record.

    I have a question: we have 5 emails linked to our domain. We would like to create only one user and display all the 5 emails within the same user account (they will be handled by the same person). Could you advise whether this is possible?

      This can be achieved by using shared mailboxes within MS 365. You could have one regular mailbox and four shared mailboxes. The user will be able to access the 4 shared mailboxes when using Outlook Online or Outlook desktop. Her is a video that explain the idea of a shared mailbox. ruclips.net/video/AycynDf4uFc/видео.html

    Hi Carlos! Are e-mails on source IMAP server deleted on migrated mailboxes? If so when does it occur (after the migration, after some sort of accepting migration batch?). Is it safe to migrate emails with M365 migration tool without backup? Also do you recomend any tool to backup IMAP server mailboxes (other than manual backup with outlook)?

      Hi Damian, not a problem!
      It is safe to migrate emails with this tool. Emails are not deleted or modified in the source. They will remain in the IMAP server until you deleted them. I suggest manual back with Outlook (exporting to a pst file).

      Hello Sheyan, before starting the migration, you should have created the email accounts (users) in MS 365 admin center. You will need to setup MS 365 with your domain name and purchase the necessary licenses. Then when the migration stars, the migrated emails will go to the new email accounts in MS 365. Does it respond to your question? BTW, the migration can take place while the new accounts are active and users can access and use their new email accounts during the migration. Thank you!!!

    I did exactly as you said and it worked just fine. But after some time new mail wasn't coming into the new mail boxes and also received a no such user mail after I tried to test the new mail boxes by sending a mail from an external account.

      1. Check the MX record. It has to be MS 365 MX record
      2. Make sure the email account has a valid MS 365 license

      I suggest to start/launch the migration at the moment that you update the MX record, however, with this migration tool, you can start the migration and wait until it is complete or for the best time for your users. Then, after changing the MX record, leave the migration running for additional 24 hours. The tool keep re-syncing every 24 hours and and it will assure that all emails will be migrated.       Haven't you got any error message in the migration tool? Is it still running or in progress? The tool should provide the status of the migration and will tell you when it is complete. The migration could take several days sometimes, however, you will see the progress and the email history will be showing in your new MS 365 mailbox. Thank you for your comment.

      You can access the Exchange admin center > recipients > migration. Then you need to click on 3 small dots (migration endpoints) on the menu. There you can add and edit the IMAP server. Hope it helps.

    Hello carlos thanks fro the insightful video, so i have some questions, I'm trying to move all my companies email accounts from siteground permanently to microsoft outlook but the issue is we haave a lot of staffs whose email has been created wth our current webmails, also most of the staffs email accounts has been linked with microsft outlook personally, so i have some questions to ask as regards this:
    1) Will i have to follow this same method for moving every emails again from siteground to office 365
    2) I'm i creating a new email address again for each staff just to migrate again.

      1. If the accounts are configured as IMAP, then all folders and emails should be in the mailbox and you can do the migration (from siteground to MS 365) as indicated in the video.
      2. yes, you will replicate every email account in MS 365 before starting the migration.
      Once the migration has started, then you can modify the MX record.

    Thank you so much it worked perfectly. I have a question. If the migration has been successful. If I delete the migration batches do I lose the emails I have migrated? Microsoft Outlook keeps on sending me the migration batch status report everyday whilst i have already received all the emails.

      Hi Tatenda, the migration batch keeps running every 24 hours and sync any emails in case you haven't updated the MX record yet. If the MX record is already pointing to MS 365, then you can delete the migration batch and no emails are deleted anywhere. Thank you!

      Hi Joey, it depends on the service and/or the actual calendar and contacts are stored. For example, if the source is Google Workspace, the same migration tool that is described in this video has an option to migrate from Google Workspace to MS 365. You would need to select "migrate from Google Workspace" instead of "migrate from an IMAP server". This option migrate calendar and contacts that are stored in the Google server.
      Now, if the source is another server (another IMAP server), then migration of calendar and contacts will have to be manual. You will need to check if the source offers a tool to export the data to a csv file for example. Then, you could use MS Outlook to import the data once you have the new MS 365 up and running.
      If your contacts and calendars are not in the source server, but locally stored in your local computer, for example in the ost/pst file in Outlook, then a manual migration is required as well. In this case, you could export to a pst file (using Outlook) and then import the pst file after setting up your MS 365 account in Outlook.

      Hi Gaurav, I haven't found a limit on the number of users that you can include in your csv file, however Microsoft recommend to split in batches if the number of users it to big, but they refer to thousand of users.       Hi Ibidun, yes, you can migrate from Google Workspace to MS 365 with this tool as well. The video shows the IMAP Migration which only migrate emails. If you are interested in migrating contacts and calendars as well, you will find another option with the same tool that will allow you to do this. The setup is a little be more complicate, but it works as well and includes not just emails, but also contacts and calendars.

      Hi Ayoun, all target users should exist in MS 365. If you are migrating to user1@domainA.com, then user1@domain!.com should exist in MS 365 admin center. You will be able to create any user @domainA.com after adding and veirfiying the domain (by only adding the TXT record). The MX record could still point to the previous server at this point.     Hi Carlos, I keep getting an Authentication error even though I am sure the emails and password are correct. I have also had this issue using BitTitan- I believe this is due to the new 2 Factor Authentication which Microsoft recently have put in place. Do you know how to correct this?

      Hi Anna, 2 factor authentication in MS 365 should not affect the migration to MS 365. The issue should be on the source side (where you are migrating from). What email service you are migrating from? Does it support IMAP? Does the source server have SSL? What server name are you using?
      Please make sure the source server support IMAP, check the SSL, and make sure you can access the webmail with the password that you are using to migrate. Please be aware that you need to use the email password in the source server.

      GoDaddy has different type of email service.
      If the account with GoDaddy is IMAP enabled, then you can migrate with this tool with no issues.
      If the GoDaddy account is with MS 365, then you may find some issues since the tool uses Basic Authentication and MS 365 has disabled this kind of authentication. If it is the case, you could still migrate your emails by exporting/importing to a pst file.

    Hola buen día, tengo una duda respecto a la migración, si tengo 50 usuarios y solo quiero migrar 10 y luego los demás, al momento de hacer esa migración no tendré problema con los otros 40 usuarios?
    Y si en el proceso de migración me marca un error de que no puede conectar al servidor de correo IMAP, sabrá a que se debe este error?

      Hola Jesus, no hay problema, puedes hacer la migracion de 10 primero y luego los otros 40.
      Si no puede conectar con el servidor de correo, te sugiero que te asegures que el nombre del servidor esta correcto y tambien si el servidos acepta la conexion via SSL. Si no la acepta, puedes intentar conectar la migracion sin SSL.

      If you have a pst file, you can configure your MS 365 email account in Outlook and open the pst file, then you can move your email folders from the pst file to your account in Outlook. It will sync and upload your emails to MS 365. A different alternative is to import the pst file to Outlook (once your MS 365 account is configured in Outlook).     I have just completed a migration and so far one user's emails have not migrated. Is it possible that this user's data was local only? How would we check and/or move local data onto the Exchange server please?

      Hi Catherine, you can check if the data is on the old server by accessing it via webmail. If you see it via webmail, the migration tool should be able to migrate.
      Was this user using POP3 instead of IMAP? This could be the reason why the data was only local.

      Hola Diego, si estan migrando hacia MS 365, entonces la herramienta que describe el video es la ideal para esta migracion. Si la migracion no es hacia MS 365, entonces depende del sercivio. Por ejemplo, si la migracion es hacia Google Workspace, Google tiene su propia herramienta de migracion. Si es hacia otro sericio que funciona con IMAP, entonces pudieras usar IMAPSYNC. Saludos.

      Well, it is just for the migration. Once completed, you can use "Exchange" with your MS 365 account.
      I you were using POP until now, then you will need to export/import via a pst file to complete the migration.
