    Great video! I was unaware there was a migration tool. I am assuming that prior to doing this migration from IMAP to Office365 the DNS records have already been changed and your IMAP email account is now being routed to Microsoft Exchange servers??

      You can actually start the migration before updating the MX record. The migration tool can keep running for several days and will resync any new email every 24 hours. Thank you for your comment!

    Thank you Carlos - Simple, Succinct explanation. Appreciate the video. Question, If you are moving a few dozen accounts or let us say 150 accounts from IMAP server to Office 365. can you use IMAP admin account instead of individual passwords for each account? Do you a tutorial for that ?

      No that I know. you have to know and use every email password to migrate to MS 365, however, it could be done if the migration is from Google Workspace. Thank you.

      The migration of calendars and contacts will depend on where the data is stored. If you are migrating just a few accounts, you could try export/import to a pst file using Outlook. Thank you!

      Thank you for your comment. Are you talking about having your email service working on two different email servers at the same time? It is technically possible but its configuration is more complicated and depend on the other service. You can google "Hybrid email setup" or "email split delivery".

      The tenant to tenant migration is something that I have in my list. The mechanism that I know require Powershell scripts.
      When using the IMAP migration tool you can start the migration and update the MX record at any time, even after the migration is complete. The migration tool continues running and syncing every 24 hours. It will allow you sync any missing email in the first pass.

    Great video and very easy to follow thank you! I'm just unsure about how to move just the one email account to Exchange Online without affecting the other business accounts. Is .pst the best method or do I have no option but to add all the business accounts to Exchange? Thank you

      Technically it is possible to configure what is called split delivery or hybrid configuration (some email accounts on one service and others on another email service), however, it require a more complex configuration and it is not always possible depending on the providers. I particularly don't recommend it. My suggestion is moving all your email accounts. Thank you.

    Awesome guide, Carlos! Quick questions, our email is using a POP3/SMTP(HostGator) and wanted to migrate it to MS365 Business Basic, will this step still be applicable? Or is there an additional step ? I will have to look into how to check for IMAP

      Hi Lex, if you setup (with pop3) your device to leave a copy on the server, you should be able to migrate the emails that are on the server, however, the server should support impa to use the migration tool. Hope it helps. Thank you

    Thanks for the video. What about the MX record? When should we change the MX record so that emails will flow to the new email server?

      You can update the MX record when starting the migration. Your email service will be active even when the migration is still in progress. You can also update the MX record when the migration status is synced. The migration will keep syncing every 24 hours in case you have missed any email during the initial migration.     If you are using a hosting company for your website and emails, but then later started using MS Business 365 and added the MS records to the DNS ( I think that's correct phrase ), does that pull all historical emails across to MS Exchange Online ?

      No, for the historical data, you need to migrate them by following the steps that are described in this video. The DNS records works for the domain verification (with MS) and to change the email flow from your old email provider to your MS 365 mailbox. Hope it helps, thanks.

      @@itwithcarlos Excellent that makes sense. So I can't cancel my email hosting. Exchange doesn't actually host emails, it only looks at the email host using DNS records. So if I change email hosts, I would need to migrate emails from the existing email host to Exchange, disconnect DNS records from that existing email host, set up with new email host and add the MS DNS records to the new host.

    Thank you for the helpful tutorial! One question though, how to chose the recipient? Or must the CSV file with the user be identical to the exchange user to which I want to migrate to? Thank you!

      Hi Fabian, the recipient is defined in the CSV file. The recipient can be different from the email where you are migrating from. The CSV file contains the recipient and also the source email address. Hope it respond to your question.

    Hi Carlos. Thanks for the helpful video. We are trying to migrate our emails from an IMAP server into Office 365 with a Family Microsoft subscription for Home. I belive your videos focus on Microsoft 365 for Business. However, do you know whether the Family Microsoft subscription for Home has a) the admin role, which you have said is needed for email migration and b) the microsoft exchange centre, either the classic one or the modern one, which we would need for email migration? Thank you

    Carlos, I may have missed or not understood something but when you created the csv list in Notepad, how did the users information automatically populate there? The email address, username, and password? Where did that pull or come from in order to show in the notepad?

      You have to type them yourself. The passwords are the email passwords on the server you are migrating from. Hope it respond to your question.

    Thanks for the video Carlos but from what i gather based on the learn.microsoft is that "Contacts, calendar items, and tasks can't be migrated with IMAP; a user can manually migrate them." Is there a way to migrate these with the built-in migration tool and not using a third party tool?

      That is correct, the IMAP migration tool does not migrate contacts and calendars. It is because the IMAP protocol only syncs emails. If you use Outlook desktop, you can export your contacts and calendar to a PSP file, then you can import the PST file after you configure the migrated account in a new Outlook profile.

      @@MoonV29 No, it is not possible anymore. It used to be possible until the Basic authentication was removed from MS 365 last year. If you are thinking about migrating emails to preserve them when you want o remove the license, then you can consider the use of Shared Mailboxes. You can convert a regular mailbox to a shared mailbox and remove the license. Shared mailboxes are free. Thanks

    Just to be clear (and apologies in advance if I missed that part) what you are referring here to is to migrate tenant-to-tenant M365 email, perfect example on a mergers & acquisitions scenario or perhaps a company re-branding situation NOT for on-prem Exchange email to M365 correct?

      Thank you for your comment. In the video I migrate from a non-Microsoft server (IMAP) to Microsoft 365. The same tool also has an option to migrate from tenant to tenant which is perfect for mergers or also spin-off. There is another options to migrate from Exchange on premise to Exchange Online (MS 365).

    I have 3 Microsoft PC with 365 Mail. The look and feel of MAIL for each PC are different. Is there a way to export mail options from one PC and read it in the other 2 PCs to get uniform look.

      Hi Abdul, I don't have it.
      There are multiple reasons why the migration can failed, sometimes because attachment are too large, other because you have folders with uncommon characters, etc. In any case, the migration will stop if it find many errors. In this case, you could manually resume it and eventually the migration could finish. Of course, there will be some emails that could not be transferred (the one the produced the errors).
      You will need to look at the migration logs to understand what the problem/errors are about.

      For contacts and calendar, you can export them to a PST file from Outlook. Then, you can import the PST file to Outlook once your configure the new MS 356 account in a new Outlook profile. Thank you!

      If you are switching from Google Workspace to MS 365, you will need to purchase as many licenses as users you have in GW. The migration tool that you saw in this video is part of your MS 365 Admin panel. Hope this respond to your question. Thank you.

    i have a domain from hostinger and there IS a conf

      Are you changing your DNS or just the MX record for your domain? I suggest updating the MX record, TXT and cName. If you already did the change, make sure the A record is the one you had with Hostinger.

    Hi Carlos, on the Add user mailboxes section; did you click on “Download a CSV with headers only” first in order for that header information to appear in Notepad when you launched Notepad?

      You have to create the csv file yourself. You can actually copy the first line from here:
      EmailAddress,UserName,Password
      You have to add the following lines with every email address that you want to migrate.

      Just in case, the header of the csv files is:
      EmailAddress,UserName,Password
      EmailAddress is the email address in MS 365
      UserName is the email address in the sourse (most of the time the same email address in MS 365)
      Password: the password of the old mailbox (not the one in MS 365)

      Hi, thanks for your comment. If you are migrating from one MS 365 to another MS 365, you could create the mailboxes in the new MS 365 tenant using the default domain (onmicrosoft.com), then do the email migration and then move the domain and rename the mailboxes with the original email addresses. Hope it make sense. I have done it before when migrating from MS 365 with GoDaddy to MS 365 with Microsoft. Thank you!

This exactly the reason I searched out your video. Presently I am paying for two versions of MS 365. GoDaddy told me MS has to do the migration, but you have shown a better way.     Hello, i need your assistance. i haven been trying of the weeks to migrate my company from G suite to office 365 but i keep facing a challenge with the Json file creation which is hindering my progress. This is the error i get "Service account key creation is disabled
    The organization policy constraint 'iam.disableServiceAccountKeyCreation' is enforced on your organization" Can you please assist me on how to get around this please?.

      Hi Killian, the option to migrate from Google to MS 365 could be tricky. You have to make sure that the only Google Account that you are logged in in your browser is the Google Admin account. You probably are using the automated option, correct? When I find problems with it, I use the manual option which is a little bit more complicated but I think you have more control over the process.
      If you only need to migrate the emails (no calendar or contacts), then you can try the IMAP migration, however, you need to prepare every account (Less secure apps, login challenge and IMAP enabled).

    Imap migration getting failed so I tried Google worksoace migration feature in this migration JSON file didn't getting downloaded If you have on this it will be really helpful

      Without having any idea of the error you are getting when doing the IMAP migration, I can guess some issues. I suggest to watch this video and check if you are missing any of the points in the vide:

      For the GW Migration option within the Exchange Online admin panel you have two options, one is "automatic" where you have do some "little steps", however, they may failed for example if you another Google account already open in the same browser. This could cause the whole failure of the process. It has happen to me several times and if frustrating when you have different Google accounts working in the same browser session. The other option is a kind of "manual" where you have to manually create the JSON file and also have to manually authorize the different apps to connect to. If the automatic option didn't work, I suggest to follow the manual steps where you have more control over the process.

      @@itwithcarlos I am trying to move my company's email to exchange online from an IMAP host. I am testing things out before I move everyone over. I migrated myself "thanks to your video" but can not email anyone within my domain. Will I need to remove my account from the IMAP host to fix this Or do I need to migrate my entry company over to Exchange to be able to email them again? Side note I can email outside my domain just fine.

      @@allenissuperman check you domain's MX record, where is it pointing to? You don't need to delete your accounts from the IMAP server.

      @@itwithcarlos thank you! That was it. I checked my domain and saw the red x and a message telling me how to add the MX settings. It even gave me the link to the company hosting our domain.
      I’m going to switch my company from the basic business 365 to business premium instead of buying a bunch of exchange licenses. I want to take advantage of all the cyber security and management features.

      Hi Sheraaz, it depends where you are migrating from and also where the contacts are saved/stored. If the contacts and calendars are in Outlook for example, a option is to export the data to a pst file for every user (within Outlook), then you will configure the new MS 365 account for every user in Outlook (in a new Outlook profile) and you will import the data from the pst file. It will end syncing with MS 365 (Exchange Online). Hope it make sense. Thank you!

    Hi if email box of user is 175GB? how many time it would take to migrate?

      If the storage is 175 GB, you may not be able to migrate it since the storage limit is 50 GB with MS 365 Business (Basic, STD or Premium). You could have 100 GB storage limit if you purchase Exchange Online Plan2 license, but still 175 GB is over the quota.

      Sorry for my delayed response. I have two comments about it. I know that MS has a service/feature where you can put the pst files somewhere and request then request the migration to MS 365. I have never use it :(
      The other comment is about the source of the migration. This tools migrate from any IMAP server to MS 365. I mean, you don't need to have an Exchange server to migrate from.

    Hi, I have started syncing 5 email boxes, but the migration tool stopped syncing after about 10 minutes. It stays at 25% synced since yesterday and doesn't sync emails anymore. I have stopped and started again 1 of the boxes, but no change. Do you have any idea why? Thanks in advance.

      Hi Ivan, there are many reasons why the migration doesn't work well or at all.
      If you didn't get an error message, then I suggest not stopping the migration. Leave it running until you get an error.
      Some of the reasons why the migration doesn't work are for example: too many large attachments, folders with uncommon characters, etc.
      If you get an error and the migration stops, then you can try to resuming the migration and sometimes it will continue and get completed. I have had cases where I have resumed the migration several times and it get completed. In these cases, there might be some items that are not migrated (the one causing issues).

    Hello Carlos, can i run the batches multiple times and the system will sync only the emails that have been added or changed? For example, i am preparing for an email migration of 5 users. Most of the users have about 3-4 GB mailboxes. I am going to run the batch 1 time to get all of the email data over to 365, but then once i change the MX record from my old email provider to 365, i will need to run the batch again to copy any emails that have been received since the original batch was run. Will this work?

      Hi Eddie, yes you can run the batch several times and it will sync only new items, but also you can let it run even after the migration is complete and the process will run every 24 hours automatically and sync any new items. Hope it helps.

      I suggest you to look at the migration logs. This tool does not restriction on the amount of data that need to be migrated. I have migrated multiple accounts with over 40 GB of data. I haven't used third-party tools to migrate to MS 365. Thank you.

      Hi Sabtool, I guess you are referring to an on premise Exchange server. I do not have much experience with Exchange on premise, However, the migration tool that is described in this video, also provide the options to migrate from other Exchange servers. The method will depend on the Exchange version and the number of users.

    We have a problem with data migration from the imap server, it does not transfer all messages, on each of the transferred accounts, the migration stopped at about 2gb, regardless of the size of the mailbox. Can you help with that?

      There are multiple reasons why the migration can fail. It could be due to large attachments, folders with uncommon characters, etc. The migration will stop after a number of errors is reached, and many times you can manually resume it until it get completed.

      sorry for my delayed response. The migration could shows some errors some times and it could because of different reasons, like large attachments, characters (in folders and file names) that are not allowed by MS, etc.

    What are the chances you have a video detailing how to migrate FROM Godaddy exchange. They make getting off their platform nearly imposable and I do not want to be at their mercy. I know there are steps to doing this but I've not found anyone who explains this process very well. Thoughts?

      For that specific case, I suggest exporting your email history to a pst file (using Outlook desktop), then you will be able import the pst file once you have set up the new email service.

    Great tutorial 👌 I've got one question: if users were using POP3 instead of IMAP, does that mean that the emails downloaded with POP3 won't be migrated? If so, will updating POP3 to IMAP on their email clients sync those emails back to the server and will the migration work then?

      The migration tool only migrate the emails that are stored in the server. When using POP3, you have the option (when the account was configured) to keep a copy (only email in the Inbox) in the server. If it was not the case, there are no emails in the server. In this case, the tool won't migrate anything.

      In this type of migration (IMAP), you need all users' passwords. If you are migrating from another Exchange server (on-premises) you may no need the passwords. If you are migrating from Google Workspace, you only need the admin password (in Google) if you use the migration option from "Google Workspace".
