    Nice job, Leila. You have a great way of explaining things, especially in your delivery and the use of graphics. I was finally able to archive some old emails and stop Outlook from telling me that my mailbox is full. I feel like Outlook has turned into my mom telling me to clean up my room! 🙂

    what if you have one drive and you have documents synced and backed up on onedrive? will your outlook archive file be capable of being read on another computer that also has that same onedrive synced?

    Great Video! We tried the archive feature on her Windows machine and tried to archive everything before 2017, but received an error on two of her folders. "Error while archiving folder "NCAA" in store" then it shows her 365 email address

    Dear Leila, nowadays storage spaces are not so expensive as they were before. However, Microsoft spoils its good application (Outlook) by depriving users of the option to choose freely the location for data file (OST). Its always uses system disk, which is not good for storing information. All work arounds that I see on youtube that are designed to change the data file location by some tricks do not work. I mean, any trick on my PC is stuck at some step whereas it does not in the youtube "lesson".
    Do you have any advice concerning this problem?

    Thanks for the info. Although I had quite a bit of information on this topic, your video had a lot more than what I knew.
    Just one query: Can you help me with saving the settings so that I am able to import those settings if I happen to reinstall my office. I am sure this will also help me to save the different rules that I set for automatic mail transfer to different folders.

    Thanks for the tut.
    I did a manual archiving 'older than 1 May 2022'.
    What outlook did is duplicating the emails from my account to the archive folder. I was looking to move not copy, so the size reduce in the server.
    any further tips.

    Great video (as always). Sadly, I didn't find the answer to the question I seek. I want to be able to select ONE email and then "delete all" emails from that one user WITHOUT making a permanent rule. I can't find this. Nor can I find the "sweep" option. Is this possible? Thanks!

    I have moved my emails in outlook to a new data folder that's on my personal pc. The problem is that on my phone using gmail to access my email account still all emails are there!! How can I do please to do the same as on my pc so i can reduce the used space of my emails?

    Outlook is just making me vomiting: in 2021 no possibilities to colour the folders, old archaic way of structure... its not smart ! it’s middle age and designed by people who doesn’t really work with it...

    In the tiny little dialog box, the first column shows only the top-level folder names, and I couldn't widen it to show full paths. (Apparently Microsoft hasn't noticed that our desktop screens are no longer 640x800 pixels.) HOW TO SCROLL SIDEWAYS: Widen the leftmost column. This will will push the other columns out of view, but will cause the horizontal scroll bar to appear, and you can then widen it further to see the full folder paths and other columns.

      Got to empty the deleted items folder, otherwise they will count towards your storage quota.

    Leila -- another great video. Much appreciated -- Merci! Can you help me address my overflowing Hotmail (Microsoft Cloud Free Outlook Online) mailbox? It oddly says I am out of space; but the cleanup tool says I have only used 13.5 GB of 15 total space but i am out of space because my mailbox is over 5GB. Is it possible to move just a few folders i have to my PC? Can I use Windows 10 Mail to this?

    Thank you for the video. This is great information. However, all of these options create local PST files on 1 pc. How can an archive be setup between a laptop and a desktop, that use the exact same email accounts through Outlook ?

    I use one google mail across multiple computers. I wanna use outlook 365 desktop. But i dont wanna create separate pst file for every system. rather i need to create one pst file on my local server which will be shared across those computers. How can I do this??

    Does the 'Personal Folder' creation option allow you to view the emails in a readable format offline once you have moved them? You weren't clear on this issue.
    This is what I want to do, download all emails to my computer in their original folders and read them offline!

    After archiving to a local .pst file, I noticed that all of the emails in the .pst file are also sitting in the "recover items recently deleted from this folder" in the cloud (outlook exchange server). it's like it copied the emails to the .pst archive locally and then deleted them. Has anybody else seen this? I can easily just purge all the recoverble items or wait 30 days and the system witl do it for me. So the archiving works great, but I just thought it was peculiar that all the items are sitting there. They don't even take up space becasue it looks like items in this state don't reduce your storage quota. Just to clarify, the deleted folder is empty. It is the recoverable items that is full of the same items that were archived.

    I have followed the very clear and easy to understand instructions for Auto Archiving and the files have all appeared in the Archive folder duplicating the hierarchy that I already had which is great BUT, the when I try to open the file to see the emails themselves, the folders are empty and all the original emails are still in their original locations! What am I doing wrong? Help please.

    [EDITED] I prefer Personal Folders, rather than Manual Archiving, because I want all the emails on a topic in one place, not split up by dates. See my other comment for how to preserve the subfolder structure. QUESTIN: After creating a Personal Folder, can I set up AutoArchiving for each Personal Folder or subfolder, to have newer emails archived there? Or create a rule to do the same? Or does AutoArchive just move things to an Archive .pst file?

    Very interesting, but the problem (just to speak) is that I use MAC. Microsoft Outlook for mac does not support *pst files, so I have to do the things manually, which might not be big deal, just takes time. So, what is PST? is like the equivalent of *cvs in excel? I guess PST is just for windows environment, right? Also, Outlook for Windows has lot lots more features than the mac version.
    I‘ve been using MS Outlook just because it gives some things like all an administration tool for SIGNATURES where I can save images as logos and also design my signatures through HTML tables on an easier way than Apple Mail.
    Other reason is the facility to “Save as Template” of Outlook. In Mail, there is not so explicit option but we can do something the works as templates, not big deal. Any draft we can send under “Send again” or “Redirect”.
    Also, Outlook allows me to get more options to encrypt a message than Apple Mail. I believe. So, until now, I don‘t know with which one I am going to remain longer. But great video, makes me see all that windows version has that is very different for the mac.

    Please HELP! When searching my inbox, I am able to start typing the first name and my Global Address Book pulls in the options for the last name. So if I search for Gary, it'll suggest Gary Thompson or Gary Jordan and I can select which Gary I want. This is needed because we have so many Gary's and I can't remember all of the last names until I see it. When searching my archive folders, I can search Gary, but there are no suggestions for last name - I must know it or it'll pull ALL Gary emails which is not useful. I think it has something to do with the Global Address Book not being tied to my archive folders -- How do I remedy this?

    My work outlook deletes old emails every 6 months. Archiving/autosaving may help keep some important emails in certain categories . But since all our desktops are virtual/on the cloud, Microsoft better support virtual archiving.

    UNDOCUMENTED TIMESAVING TIP: After you create a Personal Folder, you can drag an existing Inbox folder down to it. This will also move all its subfolders, too. So you won't have to laboriously create the subfolders and move their contents manually (which in some cases, such as Newsletters filed in countless subfolders, would be a forbidding project). But make a copy of your .pst file first. I've only quickly tested. And before dragging, minimize any other top-level folders; otherwise, dragging it past them could take a really long time. Outlook might ask you to confirm you want to make this move; I simply answered Yes.

    Hello Leila,
    Great tips and techniques and love the fluency in your videos, easy to understand for no-brainers like me related to Outlook software.
    I have a problem with the data sizes.
    Normally I try to achieve my mails depends on yearly as in each year folder.
    For example, I have folders as 2015/ 2016 ... / 2021 separate named folders.
    So I can access it easily when I try to search something in my mailbox and also try to keep the data sizes as low as possible by not making a central backup (as I assumed that was the case until now as it seems to be linked to a single big data file)
    However, I formatted my pc and try to retrieve my folders one by one but I cannot see any subfiles inside of these folders that I create to backup. so it seems that it did a central backup which obviously seems as19 GB outlook folder is waiting to launch to be able to set free my subfiles which it did..
    So my question is how can I get rid of this enormous file size without deleting my created folders as named yearly?
    The individual yearly named files are useless unless I use the largest file named Outlook which is 19 GB.
    It would be great if I divide 19 GB piece by piece as it is dangerous if it gets corrupted and loses all my document.
    It happened unintentionally which is really annoying.
    Hope you can share a technique for that..

      19 GB is a lot but you could try to compact the PST file: support.microsoft.com/en-us/office/reduce-the-size-of-your-mailbox-and-outlook-data-files-pst-and-ost-e4c6a4f1-d39c-47dc-a4fa-abe96dc8c7ef

      I tried to compact the pst file however it just compacted to around 15GB.
      My main problem is; okay I can leave/forget dividing this 19 GB pst file, but from now on which steps should I use to avoid these enormous sizes and for a couple of years later, I can come back and choose whichever year is to be imported to my outlook which is around 600-700 MBs files sizes per each normally.
      For now, I can only use the year-based individual pst files (created manually by me) only if I also import the largest 19 GB pst file which seems it is linked to the other year-based pst files.
      Otherwise, it doesn't show up the emails inside of an empty folder year name (created by me).

      @@bdokertur666 I would think you need to archive or export your yearly emails to separate .pst back up files. Sounds to me like you just made su folders for each year under your Inbox. So actually the sun yearly folders are just still part of your inbox. You need to export these emails out of your inbox to separate .pst files on your hard drive.

    When I set a reminder it says "will not appear because the item is in a folder that doesn't support reminders" Can you please help? Thanks Rick PS: you can add more space to save outlook. I called Godaddy and paid extra for 50 gig.

    Thanks for the video. Can the backup be saved on a cloud storage and marked as "keep offline version"? Or is that also risking corruption like the network storage solutions you mentioned?

    Hi leila,
    I have a corporate laptop with usb blocked policy. I cannot connect external hard drive to backup my archive and i am running out of c drive space due to large local pst file. Any cloud or online platform to upload these data as onedrive also do not support pst files extension.
