Thanks for your help- I was offered a job after my first state interview! I’d like to share my timeline as a reference to others. Applied 8/5, applications closed 8/14, was offered an interview on 9/7, interviewed on 9/15, received an offer on 9/25. I unfortunately was not able to accept the position due to extenuating circumstances that arose right before the offer, but was expected to start mid-October. Process moved faster than I anticipated! I hope to pursue another opportunity when the time is right. Good luck and good skill to everyone applying!
Thanks for all your vital and key advice! The job posted in August. I followed your steps. I will be starting the new job this month! Excited for the opportunity and looking forward to starting soon.
@@emilioquintero6973 they provide a form that you take to a place listed on their website that provides the live scan for the background check that is free. I tried going to a local Liberty Tax but they didn’t provide it so I went to a another place that accepted the form and did the live scan. It did take a couple months to wait for a response.
Hello. I wanted to say thank you for your videos. I am so glad I found them. I will give my timeline for others. I applied 12/2023. I interviewed at the end of February 2024. I start my job with the State May 1. I don’t think I would have had the confidence to do it without you sharing your knowledge. Thank you!!!!
Thanks for validating the usefulness of my video content ToniP! In general, my hope is that your recommendation will inspire others to seek employment with the State of California too. In your particular case, I'm so glad to have played a part in you starting your career with the State of California. In no small feat. You should be proud of yourself! I'm proud of you!! :-) FYI: For all others, the State needs more good people! ;-)
Would you mind sharting the department you started with and in what classifcation? It's very helpful for others so they know that they can do it too! ;-)
Thanks so much for your insight and information. I've used your strategies to get hired with the State of California. I really appreciate the videos you've made and are continuing to make.
TrayVon Green, glad to hear I was of assistance. I am aware lots of folks have been assisted by my videos and gotten jobs with the State! Thanks for taking the time and leaving a comment testifying to that fact!! Have a great day and good luck with your career with the State of California!!! Coach Kent - out! ;-)
Coach! - Can I call you Coach? :) I just want to thank you for putting this content out. I am two years into the process of applying for state jobs coming off of 20 years in the private sector. It has been a journey! I was stuck in the "tentative offer" zone for what I felt was an unreasonably long time and began seeking answers on my own. I came across your channel, watched this video, and took you up on your offer for one-on-one coaching via email. You were so considerate with your time and got back to me with energy and encouragement, which is exactly what I needed. I finally received my formal offer (just about a week after our conversation), and I'm just so excited. Thank you for this content! I wish I had found your channel sooner, I'm positive it wouldn't have taken me quite this long to finally be hired if I'd seen some of these videos before now. Thank you for your time and willingness to share your knowledge and experience!
Hi Kent, I want to thank you for all your thoughtful advice towards the hiring process with the State of California. I accepted a job on 10/17/24, and have been organizing the necessary paperwork and physical exam to get a start date. The close date for the job was 7/9/24, and I was interviewed later in July. As I mentioned, I was contacted 10/17 with the offer. A week or more went by before I was contacted again. They reached out with some required documents which I promptly returned, and today, 11/19, I'm still ironing out some details in order to get a start date. I hope to have this finished by the end of the week. I'm not allowed to discuss the questions I was asked, but I felt well versed in the process after watching your videos, and things did not come as a big surprise once the interview started. I rehearsed my how I would speak to my skills and generally wanted to sound confident about my abilities during the interview, and it paid off in this instance. I'll take it, ha! Thanks again! Tony
@@tonygSDWR , Glad I played a part in your career start at State of California! If you don't mind, what classification and department apply? Thanks in advance!
Good evening glad I came across your channel. I applied 12/12/23 and received a request for interview date 1-17-24 currently a contractor with department of state since 2017. This is my second time applying since I’ve been there it’s a direct hire posting. I’m really trying to be a career employee with the state department.
Thank you very much for these helpful videos, especially this one because I am currently in that process of waiting to hear back and was wondering the same question.
Brandy Vang, glad I could help fill in a gap for you. That's precisely what I intended when deciding to make this video! Mission accomplished! Good luck with your job acquisition!! Coach Kent - out! ;-)
Some departments can take 2-3 months from applying, interviewing, job offer, start date. (I.e., CDCR and DHCS takes at minimum 2 months for this process due to shortage of HR staff)
The Hiring Manager is much more in control of the application to offer timeline than HR. IMHO and having been a Hiring Manager in the process. It's also not dependent on a department-wide basis. Much more dependent on a Hiring Manager by Hiring Manager basis. Lastly, this is the first I've heard of an HR shortage at any department. Care to expound? ;-)
I am currently employed by CDCR and it takes our HR department an extremely long time to process/review hiring packets. They always inform us that they are understaffed and backed up etc. Though, I did just get a conditional offer from DHCS and plan to receive a start date in November. I applied in July, interviewed in August, got conditional offer in September, but am currently waiting for the final offer. Spoke with the chief there and he mentioned the same thing about HR being understaffed and that there may be a few weeks of no communication but he told me not to worry and to reach out to him if i had any questions regarding the position. @@calistatejobcoach
Hello Kent,, I wanted to say how pleased I am to find your videos! I am in the process of watching all of them but also wanted to find out a bit about your one on one coaching.
Top candidates write the best SOQs and then Ace the interviews. Watch the applicable videos on this channel and ask for 1-on-1 coaching if you feel would help. Hope this helps! ;-)
Strangely, I applied to my first state of CA job January 9th right before it closed. Didn’t get called for an interview until the end of March! Unfortunately couldn’t schedule the interview due to travel for my current job.
Hey brother. I work for the state I'm a correctional officer. My girlfriend unfortunately had to leave her profession of hairstylist do to not having benefits and the economy slowing down. She is currently trying to get a job with the state. I shared you videos with her thanks and God bless 🙌 🙏
Thanks for the feedback and God bless you too! FYI: You should purchase 1 hour of my 1-on-1 coaching for your girlfriend. This would drastically improve her efficiency in pursuing a career with the State of California. Email me (kentdills@yahoo.com) for details. ;-)
Thank you for creating and providing some key information for folks looking to work for the state. Is there any way to get a better idea of what the starting pay rate would be for a particular job?
c mattison, If you're coming in from the "outside" (i.e., getting your first job with the State), then you're almost 100% certain to start at the bottom of the pay range for the classification. The pay ranges are posting on all job advertisements. Hope this helps! Coach Kent - out! ;-)
@@calistatejobcoach would that also hold true for sworn investigator positions? I’d be coming in with 20yrs experience in sworn law enforcement for a major city.
@@cmattison8779 , I'm not an HR professional (inside or outside the State of California) but you bring up a good point. On researching the Class Specification for "Investigator", I found the following: 1. The Investigator is a deep class with alternate ranges. 2. The 3 alternate ranges found in the State of California Civil Service Pay Scale are: A. $5,191.00 - $6,364.00 B. $5,916.00 - $7,605.00 C. $6,818.00 - $9,428.00 Almost all open job postings list an HR contact. I'd discuss this with the HR contact listed for at least one of the jobs. If through your 20 year experience you qualify for an alternate range (example C starting at $6,818 versus A starting at $5,191), that would apply to all other Investigator openings as the qualifications would be the same. Hope this helps and good luck with seeking a job with the State of California. We need good people!! Coach Kent - out! ;-)
Thank you coach! your videos have been extremely helpful. Do you know how they determine the salary they offer? there seems to be a range for most positions. Thanks again!
Krissia Pena, If a person is new to working at the State of California, in the vast majority of cases, a person starts at the bottom end of the pay range for the classification that applies to a job posting. Each job posting states the applicable classification and the applicable pay range. After hired, a person would step through the pay range (from bottom to top) over a 5 year progression. This does not include any additional Cost of Living increased which would be additive. Hope this helps! Coach Kent - out! ;-)
Your videos are such great help!! I just had my interview yesterday for caltrans and used some of your techniques and felt the interview went very well! The time frame does count even in the caltrans division as well, correct? I’m hoping to hear something soon I hope. If someone did not get the job will the state send a notification letting them know? Again such great videos and thank you for getting this information out there.
I have been binging your videos. They are so informative and straight to the point. I had 2 interviews with the state last week and applied everything I learned from you in your interview tips videos. I was contacted via email this morning for my reference list. Is this a good sign? Or could this mean I am a backup to someone else that got the conditional offer? Thank you for all of your helpful content!
The Hiring Managers usually only call references for their "Top 3" interviewees. So, if you were asked for your reference list, that could/should be a good thing. ;-)
@calistatejobcoach I've applied for a job with the State of California and received an interview. At the end of the interview I was asked for references. It's been a week and half since the interview ( the interview panel said it would take a week or two to get back to me about a decision) and at least one of my references hasn't been contacted. Should I assume I didn't get the position? Thanks
@@sarahspeaks205 That's a hard one since the timing is so close. You just might get a job offer; maybe not though. That's why I counsel all my coaching clients to keep appling and interviewing until they get a job offer. You just never know and it's best not to waste time waiting for an offer that may never come. Hope this makes sense! :-)
Thank you very much for this series! These have helped me a lot. I applied to 4 jobs and my references were checked for all the 4. However, I haven't heard anything back from them yet and it has been more than 2 weeks. Should I reach out to the recruiter or just move on ?
Quick answer is...move on. The good news is you're on the right track. This means you were probably in the "top 3" on all four jobs - which is rare. Keep applying and interviewing until you get an acceptable offer! Excellent job so far! ;-)
Hey Kent, I love hearing your storyline about your experience workings for the state. I'm at the situation where I was offered a state position, but the agency had sadly informed me that they had to freeze my application due to our governor decision from my understanding. They told me that I got the job, but had to reapply again under limited terms instead of permanente list. And go through the whole process again. From your experience, does this situation happen often?
Aspeed20, Thanks for the positive feedback and the question. In my experience, the scenario you describe doesn't happen often. In fact, it's rare. Having said that, you're going to have to decide if you want the job or not. You'll have to consider: 1. If the Limited Term (usually 1 or 2 years) and/or 2. Hours (sometimes 1,500 hours per year versus full-time) would work for you. 3. Did you get a good feeling you'd fit in on the team during the interview. 4. Etc. Lots to brainstorm. It sounds like you could benefit from a 30 minute 1-on-1 coaching session. If you think so too, send me an email (kentdills@yahoo.com) for the details. Coach Kent - out! ;-)
Hello, coach Kent! I came across your videos a week back while preparing for a program tech interview. I was excited to hear about utilizing the STAR method when answering questions as my previous leadership roles taught us this same technique. I had my interview this past Friday and am currently in the waiting phase to hear back. In your experience, if a candidate was interviewed and not selected, will the hiring manager still reach ou to inform, or would you recommend I reach out after a couple weeks? Thank you again for your time and dedication to helping others. Have a great day!
Thanks for the feedback. To your question, my experience is that - if not selected - you won't hear back from the Hiring Manager whether or not you follow-up with them. They're just too busy. That's just the way it is. Keep applying and interviewing until you get a firm/unconditional job offer! Hope this helps. Coach Kent - out! ;-)
@@calistatejobcoachHello again coach Kent! I’m pleased to say that this past Monday I received a call from the hiring manager, extending a conditional offer! Woohoo and thank you as I followed your tips. I have a follow up question, are references now called at this point or would that have already been completed prior to the conditional offer? Additionally, I haven’t received the background packet just yet. I’ve heard this can also take a few weeks, should I be regularly following up or just wait it out? Thank you again for all the support!
@@michaelrios258 , Congrats on the offer. References should have been checked before extending the offer. Won't hurt to reach out/follow up on the background checks. Hope this helps! ;-)
Very informative. I am going to try out applying for job from Cal. One question: "Are candidates with H1B considered if US person is not a requirement from the JD?"
I'm appreciating these videos so much! I just recently started applying for IT associate position jobs with the state! Do they email people who applied who didn't get the job that the job has closed and they chose someone else?
Hi your videos are really help full . I watched all the videos and it helped me alot in my interview. I got my refrence check . What will be the next process.
It could be you were the "Top 1" and you would soon be getting a conditional job offer. Or, it could be you were in the "Top 3" but someone else is the "Top 1" and, in this case you would only get a job offer if the Top 1 (or 2) person turn the job down. Hopefully you're the "Top 1"! Hope this helps!
Hi Kent, I just applied with the state this past Sunday and your videos have been very helpful. I was wondering what your thoughts are on contacting HR to follow up on an application? Is that a common practice? Will it affect my chances of being offered an interview?
First, following-up with the HR contact won't hurt your chances of being invited to interview. Second, that said, following-up is rarely fruitful/effective. You sometimes don't even get a response. But, if you do get a response, it'll be something generic to the effect of "The Hiring Manager will reachout themselves or through an intermediary when and if they are ready to invite you to interview". Basically, no value added. I didn't waste my time on follow-ups. I just kept applying to more jobs, going on more interviews, until I got an acceptable offer. Hope this helps! Kent
Thanks for all your advice! I recently had two interviews and followed your steps. I believe I did a good job with the interviews. I just wanted to ask, during the last interview they asked me additional questions which where not on the list of the interview questions. To be more clear, on the question list there were 6 questions but with the additional ones it felt like they asked me up to 15 questions and based on my responses they asked me more and detailed stuff. Do you think it's a good sign? Thank you so much!
It's usually hard to say whether "off script" questions are good or not. Based on your description though, I'd say the additional questions and your answers were good. Sign of real "engagement" in the discussion. Good luck! ;-)
Thank you for this valuable information. I really found your interview video to be extremely valuable. I did an interview about a week ago. I found out that they are contacting my previous employers. Is this a good sign? Thank you 😊
Yes, it’s a good sign. At least you’re in the “top 3” candidates. At best, you’re the top candidate and about to receive an offer. Lastly, appreciate the appreciation and you’re welcome. Good luck.
@@calistatejobcoach Thank you! I think after watching your video on interviewing 5-10 times and practicing the first and most important question, helped big time. Thank you again and God bless. 😎😁
I think I applied for about 15-20 jobs since December 2023 and received one formal rejection via email from EDD. I have a few apps that say active and the rest are submitted. I’ve had to take one timed test from the DOJ but I’ll try for another six months then just going to try city or county.
I have a question about my application for the landscaping OP2 position at Caltrans. It has been five months since my interview, which involved three interviewers. A few weeks later, a supervisor called to inform me that I was selected as one of the candidates. After that, it took two more months for me to be send to complete a drug test. Not sure if that score matters I pass with 75%. Now I’m unsure which department received my documents and drug test results for the final offer. It's been a week since I took the drug test, and I'm still waiting for an official offer or start date. How much longer could this process take for this offer. Is this time normal 5 months so far. It’s becoming quite stressful, as I am eager to work for Caltrans.
@@calistatejobcoach weird Rigth! About 2 weeks ago they send me to drug test. I guess they are working on it. But yet I think is too much. However the hiring manager told me that first they have to give priority to the people working for Caltrans asking for transferíng. I really hope they just give me the opportunity to work for them. ✌️ About 6 weeks they told me that I was next on the list, 30 days later they send me to the drug test. This about 2 wees ago. I called yesterday Friday and they said to wait.
Hi Kent. Thank you for your time doing these videos! You really helped me. I received a tentative job offer 4 weeks ago. I checked in with Hiring manager 2 weeks ago. She said she's waiting to hear back from HR. Should I be concerned? Once a tentative offer is made, is it pretty much a done deal? Thank you.
In my experience, I've never seen a tentative offer rescinded. Not sure why it's taking this HR department so long to firm the offer up. Which department is this by the way?
Caroline Hanna, I always tried to have my interviews setup within 1 week of my job postings closing. But, the reality is that with most postings, - and this is current data I'm hearing from multiple coaching clients - is taking an average of 2 weeks to hear back on interview invites. 1 week is very fast; 3 weeks is on the slow side. These are averages. I am hearing of extremely slow invite times of 4 to 5 weeks after posting close though too. Hope this helps! Thanks for the positive feedback. :-)
Thank you for your videos. I seen your videos a little too late. I got an interview but I was so nervous, it didn’t turn out as I expected. I really like the job duties and the department aligned with what I’m doing. Do you think the hiring manager would call me back if they had an opening and I apply again?
@@ladietena I have heard of that happening but it's a passive way of job hunting. Better to do active search on CalCareers 2 or 3 times a week for the department you're targeting. Hope that makes sense. :-)
It's usually the Hiring Manager - or someone in his or her unit - that is doing the reference checks not HR. But the reference checks are usually happening simultaneous with HR checking the minimum qualifications (AKA, running the MQ's). Hope this answers the question!
Thank you so much for this wonderful video. First of all, I am deaf by the way, and I speak (American Sign Language) I recently had two job interviews in the State of California with an ASL interpreter. I still have not received any news from them, and it has been almost two weeks. I sometimes feel discouraged because I'm not sure if they're going to offer me a job or not. I've been putting a lot of effort in my heart lately, and I hope they're willing to open the door for me to hire me as a deaf person. 🤞
Monet James, thanks much for the posiive feedback. Much appreciated. FYI: The State of California can use more ASL interpreters. We were so short of ASL skills during my career, that we had to contract out for ASL interpreters. Good luck in your job pursuit. 2 weeks isn't a long time to hear back after interviews. Originally applied for the job mid-April 2024 interview late May 2024, received my contingent offer Mid July 2024 pending a background check I was supposed to receive an email for that process it's been almost 3 weeks, and I still have done the background check. Frustrating I am currently unemployed and really need a job and I would definitely prefer to work for the state. I called and left a message and sent an email to the hiring manager it has been 3 days with no response
Sorry things are taking so long for your process to work. It's too bad the applicable Hiring Manager isn't doing a better job of keeping you updated. You should continue to apply and interview for jobs with other departments while this is going on. Good luck!
Thank you for your videos!! Very helpful - Have a question for you, if you apply for a job and your qualifications are accepted by HR - Does this mean they will contact you for an interview? I received an email that my resume is being reviewed by HR and I haven't heard anything yet it will be a week tomorrow.
Lots of folks who apply for jobs with the State of California are deemed to be qualified for the jobs/positions. In my experience, I would receive between 50 and 100 applications for my opening. But, I would only select the top 6 or 8 folks for interviews. The Hiring Manager decides who gets interviewed not HR. So, you might get invited but not necessarily. I hope this makes sense and is helpful. Good luck in your job search!! ;-)

Hello, love your videos!! I have a serious question, if I were offered a limited term position would it be disrespectful to decline? I am only interested in a permanent full time position.
mimi j, thanks so much for the great appreciation! To answer your question - no, it would not be disrespectful to decline the offer for the limited term position. That said, you might consider accepting the limited term position for the following reasons: 1. Some limited term positions actually get changed into permanent, full-time positions. You might ask the Hiring Manager (probably the person who made you the limited term offer) if this might be the case. And, 2. Accepting the limited term offer would get your "foot in the door" with the State and start you towards a good retirement, health care benefits, etc. You could always continue applying for permanent, full-time positions during the limited term timeframe. How long is the limited term timeframe? Sometimes they last as long as a full year or two? Hope this helps. Reply back to continue this conversation and I'd be happy to continue this "brainstorming" of possibilities and oppportunities. Coach Kent - out! ;-)
Thank you for the video, I'm currently in the application process and have recieved a few contact lettters. Does that help my chances? Or do they just send those out to whoever completes the exam? Thank you for the advice.
They send contact letters to all exam passers! Ignore them and target your applications to jobs that fit your knowledge, skills, education, and experience. Hope this helps!
Coach Kent, thank you for the tips and videos. Is the reference check a part of the interview? Where does the reference check process means in terms of getting the job? Or is that the MQ part you mentioned in this video? Thank you!
Reference checks are not typically a part of the interview although you'll be asked to bring a list of 3 references to the interview. My experience has been that the references will not be called until after all the interviews are done and only for those folks chosen to be in the "top 3" of interviewees. The reference checks are not a part of the MQs either. HR does that and the Hiring Manager is the one who does the reference check. I hope this is clear. Good luck on your job hunting! Coach Kent - out! ;-)
Hi Kent, Your videos helped a lot in the application and interview process. I had applied for a role and got a call the very next day of my application. I had attended the interview 10 days back. They got my references prior to the interview. They got my transcripts as well as soon as the interview was done. I haven’t got any update from them since the interview. I felt like I did well and fairly confident. Should I follow up with them? Is this timeline normal to hear back from them? Do you think I have a chance? Thank you!
You do have a chance and could still hear back. That said, you need to keep applying and interviewing for other openings until you get an offer. Too often much time is wasted waiting on a particular job; hoping we'll get it, only to find we didn't. Don't fall into this trap. Keep interviewing and applying. :-)
Thank you for your response, Kent! I noticed that the same position(with same Job ID) was posted and the filing date was extended for one more week. What would that mean? Does that mean I am not considered anymore?
@@nivedhithasanthanakrishnan3072 , you ARE still going to be considered. They just got less applications than hoped for and extended the posting a week to - hopefully- get some more applications.
Hi Kent, I noticed you haven't posted in about a year so I'm not sure if you're going to see this comment or not but I do have a question. What is the process for HR when they are confirming that you meet the minimum qualifications? Does that mean they're just going through your references or I'm just curious to know what that process looks like.
Hello, I really love these videos. I have been interviewing for state positions and hope to land an offer soon. I’ve had two interviews in the past month but haven’t heard back from either yet. Should I send follow-up emails?
sagewisdom09, In my experience and IMHO follow-up emails have ZERO IMPACT on the hiring process. Your time would be much better spent applying for more jobs, and going on more interviews. @@calistatejobcoach I got a preliminary offer! I’m waiting for them to contact my references, verify my education, and do a background check. Hopefully I’ll hear back and get a firm offer soon.
@@calistatejobcoach It’s already been close to 2 weeks. Is that a bad sign? Somebody told me many state organizations are behind on things right now so I should be patient.
Thanks for the info. Any thoughts on some follow-up questions: 1) First time going through the CA hiring process. I got a contingent offer with a conflict of interest requirement; how long does it typically take for the attorneys to undergo and approve this background check? 2) Somewhat related to the first question - while I am interested in the offer, I still think I have a chance for my top job choice (I’ve been informed there has been a hiring delay). Is it acceptable to ask for an extension to see if the other offer pans out? Also, I’ve heard some stories that the timeline from application to background check to actually walking in the door and starting can be 6-8 months. If that is the case, is it typical/acceptable protocol to accept multiple contingency offers and keep applying for jobs to manage the timeline uncertainty? Any advice appreciated.
J.T. Smith, IMHO answers to your questions above as follows: 1) First time I've ever heard about attorneys getting involved in background checks relate to conflict of interest. I would think they could do this "due diligence" in a week. Two at the most. But, when attorneys are involved, it could take longer. 2) You could ask for extensions but if the hiring department has good 2nd and 3rd place candidates, you might just lose the job. You could always accept the job (since it is apparently good enough that you're interested), and then accept another offer from your top choice later (say a month or two). This happens often in the State. You'd just have to do a little explaining with both the new and old Supervisors. Note: You WOULD NOT mention this possiblity until AFTER you had accepted the offer from the top choice. I hope this makes sense. If you need more discussion, I'm available for 1-on-1 coaching. Best and out, Coach Kent! ;-)
Hi . Your video's helped alot to understand whole process. I have a quick question . Can you tell me the processes between conditional offer to unconditional firm offer and the time frame.
In my experience as a Hiring Manager, the time between conditional and unconditional offer is 5 work days. In between, the Hiring Manager (at least when it was me) was calling the references and the HR department is checking that all Minimum Qualifications for the specific classification are met. If takes longer than 5 work days, it's usually the Minimum Qualifications validation that's taking longer than average/expected. Hope this helps!
I applied for job on and it closed on December 28th 2023 and I got interviewed for the position on January 25th 2024. As of today March 11th HR told me that position is still not filled. But it hasn’t been reposted. Do you what’s going on? Do departments do second interviews? I never got rejected.
Some departments do have a preference for 2nd interviews. Unfortunately, most people who've been dropped from consideration after the 1st interview are never officially informed about that. Not sure what the "issue" is in this specific instance as I don't work there and have no insight other than the general comment made here and in my videos. Keep applying and interviewing though. Never hang your hat on one particular opportunity! Good luck. ;-)
When you work from home with the State of California, do they monitor your productivity time on laptop/computer. For example, can they see how long you’ve been away from your computer or been inactive?
I don't know the answer to this question; but, I'm sure there are legal and/or HR implications involved. Since I'm not an attorney or an HR professional, I defer to those folks for the answer. Maybe someone like that can and will weigh in here. Thanks for the question though! ;-)
How long would u say it takes to hear back about an interview from submission of application? It has been 9 business days since I submitted my application a day before priority app deadline for a job in which I was speaking about with the search committee thru cal state university. The status switched from “under consideration” to “under review” about last Friday. The faculty chair via email encouraged me to apply and were impressed by my credentials. Should I check in with this faculty member? Just checking in if I should stay hopeful or just move forward. Appreciate your help!!
Thank u for appeasing my anxieties. I will wait perhaps until the 2 week mark (next Monday) to do a gentle follow up. Do u have any recommendations as to how I could follow up to the faculty?
Not sure what you mean by waivers; but, the Employment Contact Letter is an auto-generated letter by departments who are looking to fill specific positions. For example, the Department of General Services has an open position (scenario for this example only - not real) for a "Contract Analyst" at the Associate Govermental Program Analyst classification level. Auto-generated Employment Contact Letters would be sent out to all prospective State employees who've taken the Associate Governmental Program Analyst exam AND who've indicated they are interested in working in the location (probably Sacramento County) specified in the related Job Posting. In other words, lots of folks will be getting that Employment Contact Letter. Hope this helps! ;-)
On the Contact Letter I read…”If you are not interested in this position, there is is no need to respond to this Employment Contact letter. You will not be charged a waiver and your name will remain active…” then it goes on indicating waivers are the same as declining a job offer. You are allowed up to 3 for each eligibility.
It definitely means you're on their "short list" of top two or three candidates. It could mean that you are the top candidate. It good news regardless. Best of luck to you Shawn!! ;-)
Great channel! I am a former state employee looking to rejoin California state service as a past state employee. Would Calhr and state hiring managers hold my past state service and leaving for the private tech sector only to get laid off a year later against me for wanting to rejoin the state?
I have personal experience with a State colleague who left State service and came back after about 1 year; it was not held against her. She came back, did well, and got a promotion too. Hope this helps! ;-)
I’m including strong letters of recommendation in my electronic packet. Should I continue to do this or does it matter? They are really great letters.😃
To be blunt but honest, the letters of recommendation don't really matter. Save yourself the time and focus on submitting good applications, Statements of Qualifications (when required), and Resumes (only if mandatory). ;-)
I got a 90% on the OA exam. I rank #2, but there are 4000 applicants at that rank and an additional 2000 at rank #1. When do you think I might be getting offers in the mail? I limited myself to Sacramento. I could apply for specific positions, but I remember the state used to mail out lots of offers for any and all qualified job openings.
Kevin Mohr, please go watch my videos on taking exams and applying for jobs. It will clear up some misconceptions you have. For example, the State doesn't mail out job offers based on you passing exams. You will get invitations to apply for jobs based on passing exams though. You will still need to apply for the jobs. I highly recommend not waiting to get invitations to apply though. It's much more direct and efficient to search for jobs (in your case OA jobs) on CalCareers and then apply for those jobs. Watch my Search Tactics and Search Strategies and Submitting Application videos if needed. Lastly, don't worry about how many folks rank with and above you on your exam results. As long as you're in the Top 3 ranks (you're in the 2nd rank for OAs), then you're what's called "reachable" and eligible to be hired. You'll still need to apply, interview, and get offered but you'd be what's called a "legal hire". Hope this helps! Email me at kentdills@yahoo.com if you want 1-on-1 coaching. It could help you! Coach Kent - out! ;-)
Actually, they could call references even before the interviews. In this case, they'd check the references for all 6, 8, or 10 people they're planning on interviewing. That said, many departments only check the references for the "top 3" folks they determined were the best interviewees. In this case, they'd start calling the references immediately after all interviews were completed. Usually takes a week or two to get this step completed. Hope this helps! Coach Kent - out! ;-)
What would it mean if I received a message and report from HR with the title "Notice of passed final exam" ... I received a score of 95 and it notes my list life is 12 (which I assume is letting me know I will be on the eligibility list for 12 months?) I'm just wondering where in the process that might leave me. Does it mean I am eligible but likely didn't get this job at this time? Does it mean that I should reach out to the hiring manager? Any info or insight would be so helpful. I have been so hopeful throughout this process and really appreciate these videos. Thank you!
Hi Kent, I applied for an Attorney III position approximately three months ago based on my self-assessment exam. I was not called back for an interview. Fast forward to today, an Attorney I position opened up for the same department. Is it worth applying again, this time for the Attorney I position? Also, do you recommend applying for multiple positions with different state agencies at the same time, or is that frowned upon by HRs in selecting applicants?
If you're trying to get an Attorney job/career with the State of California, you should be applying for every classification/job (Attorney I, II, or III) that you meet the Minimum Qualifications for with every department that has open positions. Unless you have some moral or ethical reason that you want to bypass/overlook some departments. Unless you do this, you'll be needlessly leaving opportunities on the table. HR doesn't care how many positions you apply for. I'm pretty sure they don't track that and the "back office" system used doesn't support such tracking. As far as I'm aware. Hope this helps! Reachout (kentdills@yahoo.com) if you'd like some consulting on how to best position your application and do your best on interviews! ;-)
I got a call yesterday regarding a reference check, will the hiring manager contact all my references I listed? Will they also contact my current/ previous managers? Thank you!
Hey coach? I was looking through the comments but didn't see what I was looking for. After I apply for a job, do I email the hiring manager that's listed on the job application as a follow-up?
Hey Kent! I had an interview last Friday. Today, Monday, they called to confirm my references. They are going to reach out to my references. What do you think that means? Or the next step? Thank you in advance!
In my experience, it means you are - at least - in the "top 3" candidates, or - more probable - the top candidate. Usually takes a day or two to get the reference checks completed. This could mean you might be receiving a conditional or "soft" offer later today (Tuesday) or tomorrow (Wednesday). Good luck and please come back here and give an update when able! ;-)
@@calistatejobcoach hi Kent! Just receive a call from the state, they gave me a tentative offer! Woop woop! If everything goes well with MQ, HR will contact me next week! ❤️❤️
Hi Kent, thanks for your informative videos! I interviewed for two positions the same week and I received a job offer that I accepted weeks ago from one and now I received another one! However the first one gave me a salary up front. This second one is tentative based on my answer and they will go thru the final offer if I’d say yes? I’m conflicted. Should I ask for a salary for the second one? Both jobs have benefits I love but I’m sure salary will be the same. Advice?
Yes, confirm the salary up front. It will probably be the same as you stated but the Hiring Manager can absolutely confirm this with someone in HR before the offer is firmed up (or final). Otherwise, how can you or anyone accept job offers when the pay is unknown? Hope this helps and good luck!
Hi Coach, I have a question: I received a "Contact Letter." I did whatever I was supposed to do, but nothing happened, and I still received the "Contact Letter" for different agencies. What am I supposed to do? Should I wait? In my case, it takes too long. I am considering changing my mind. 🤔
@@cristianoleite28 I recommend ignorinf all contact letters. They are passive ways of looking for jobs with the State of California. Better is to do active searches on CalCareers website. Watch my videos on searches on this channel.
Hi coach! Your videos have been so helpful with the application process to state jobs. I am confused as to what the contact letter is about. I seem to get these for the jobs I already submitted. But confused as to what they are meaning by them saying I have to apply, when I already did, and completed the test required for those positions. Along with sending in the required soq, resume and application. What does this mean with the contact letter?
From my understanding, Contact Letters are the department‘s way of notifying potential candidates that a job is open. If you have List Eligibility and are within the required radius for the job, you’ll receive a letter (even if you’ve applied). It’s basically a mass announcement that a new job is open to receive applications. Also, some jobs I’ve come across say to re-apply if previously applied due to system error, or they say if you have applied previously then there is no need to reapply. So, you have to double-check the job listing. But, contact letters are announcements that you get since you’re on the eligibility list. You may be ahead an apply before the letter gets out. Also, the letters are for the entire job classification yet for different departments or teams. So make sure you read them carefully as to not miss out of potential jobs :)
I had multiple job interviews and was rank 1 on exams. Unfortunately, after requesting reference they never contact me after May 2023, after ending interview they would always say you’ll received an email from us this specific date but didn't at all .😢 Any advice Thank you!
My advice is this: 1. In my experience, interviewees seldom receive emails after interviews UNLESS they are the Top 1 person. Then they'll receive a phone call or an email. 2. Best advice is to just keep applying and interviewing. At some point you should get an offer! PRESS ON. Don't give up! ;-)
Almost certainly it means you were ranked in the "Top 3" of the folks that were asked to interview. It could mean that you were the Top 1 and will be receiving an offer.
Hello coach Kent, I just applied for an education director position at cal state university. I reached out to some faculty beforehand and got in contact with a faculty committee member who encouraged me to apply, said they were really impressed by my credentials, and spoke with me via email about the job and center a bit. Currently my app is “under review” it has been about 7 business days since I’ve applied. Do you think it’s likely I could get an interview ?
Thanks coach Kent! I’m a recent grad from grad school moving back home to CA from Boston. Need all the help I can get making this transition. I’ll tune in your videos
I'm going to have to do a short video on this topic. I've answered it at least 10 times on different video comments. That said, here goes: 1. It's a good sign. Means you're probably in the "Top 3" and have a 50/50 chance of getting an offer. 2. Could/should here of offer within 1 to 3 weeks. Best of luck to you! Coach Kent - out!
Hello Coach, I got my interview with CalTrans on 10/24/23 and they asked me for my references while I got an email for an interview. What would that mean?
While it's standard operating procedure to ask for the list of references for some departments/units before the interview; that's just to complete the applicant's file at that point. They almost never call to check the references until after all interviews are over and they have determined who their "top 3" interviewees are. Hope this helps! ;-)
Hey! I was wondering how many applications you would usually get for student assistant positions compared to regular job postings? (I got two interviews this week and it’s making me really nervous because one of them said they will test my math and programming skills)
They vary depending on departments, at my old dept, they received like 5 applicants only per advertisement. I dont think a lot of students know about student assistance positions so some depts don’t get a huge volume of applicants.
I had an interview, got the conditional job offer, received a potential mq withhold, sent in a statement of qualfiications, then received the background check paperwork as well as the i9. About how long after the background check will I receive the official job offer?
My bf had an interview with cdcr in Sacramento on may 8th 2024 and still haven’t heard back at all whether or not got the job. Will they reach out even if you didn’t get the job?
No. You’ll probably never hear back if they’re not interested. That’s just the way it is in the vast majority of cases. Tell your bf to keep applying and interviewing.
I received an invitation to take an online hiring test today. It was to be completed in 75 minutes. I was having issues with my desktop, so I had to finish the test on my phone since I had already started. Well, I lost that time and was a second away from answering the last question when I was cut off. It said the session had ended, and all answers would be submitted. I couldn't see a score or any further info. I don't think you mentioned the hiring test in your steps. I am kicking myself and worried I won't even get a chance to interview. Should I contact someone at the email provided or let it go and hope for the best? I want to make sure those answers were in fact submitted. I think that last question was all I missed.
Thank you for great info question I applied for California lottery district sales rep. I received a contact email I already took the exam I sent my DL and HS diploma what else do I do?
I applied for a position and recently heard from my current supervisor that a manager reached out to her to do a reference check. At what point in the timeline do you do reference checks, and is this typically good news?
Typically good. I only did the reference checks for the "Top 3" folks after all the interviews were done. Best of luck to you! Keep applying and interviewing until you get an offer though! ;-)
@@calistatejobcoach do they call who you put as reference or do they call your job ? What happen if your current job try make you look not good enough fo hiring just to keep you at current job ?

Good afternoon, Coach. Thank you so much for sharing this information. I had an interview about two weeks ago and I’m still waiting for a response. Would you say a month would be fair to receive a response? I also contacted the HR person assigned to the job post and she hasn’t responded.
@@sheonasingh2203 Hello. No, I didn’t hear from them. Recently, I had another interview for a different agency and they were great with communication. Unfortunately, I didn’t get the position but their HR was great.
Hey Ken, the position that I applied for says AGPA with CDSS Homeless and housing division but the job post also says shall consider SSA. What does that mean? AGPA pays more than SSA. Would it be up to the state to decide which one they think the candidate fits the best? Thank you !
It means they'll accept a very sharp SSA who outperforms the AGPAs interviewing for the same job. If an AGPA is the top interviewee however; then they'll hire the AGPA. The requirements for AGPA and SSA are laid out in the classification requirements. You can determine for yourself if you're qualified or not. That said, once you are made an offer (either at the AGPA or SSA level as applicable), the departmental HR folks will be asked to confirm that you DO IN FACT meet the requirements. Sort of like a "sanity check" if you will. FYI: This is what I refer to as "running the MQs" in my videos and book. Hope this helps! ;-)
Hi coach i got an email saying Interviews for this recruitment will not be conducted. And asking for my references right away. Im applying in one of the state hospitals. What does this means?
@@makigonzales6016 , Because the email wasn't very detailed (IMHO); we are left to infer it's meaning. In your case, I'm hoping it meant that the Hiring Manager has determined who they want to make an offer to from the applicants based on the applications alone. Give this, they'll still have to checkout the references and ask their HR department to make sure that the Minimum Qualifications for the classification are met. This ensures appointment into the classification is legal (AKA, a legal hire is made). Hope this helps!
Hi Coach Kent I have watched your videos, not sure if I missed this part , I appreciate your feedback , q. I received a tentative offer today, which I accepted via Email, references were contacted , I also have an interview scheduled for the same Dept, but different unit , do I still go to the second inyerview ?
The answer to this question is as follows: 1. I can't answer this question for you. You're going to have to decide based on your own set of criteria. 2. For example, are you happy with the job, the department, and the Hiring Manager you accepted the tentative offer from? 3. Will the tentative offer you be firmed up in a reasonable amount of time? If the Hiring Manager has given you a reasonable expected start date, then you should be pretty comfortable assuming the offer will be firmed up before the start date. 4. Is the other interview with a more "preferred" department and/or a more "preferred" working title or classifcation? And/or at a higher rate of pay? 5. Going on interviews after accepting a tentative offer is totally OK and doesn't violate any policies, procedures, or cultural State norms. 6. If you decide you're happy with the tentative offer, you should cancel the other interview ASAP to give the other Hiring Manager a good chance to replace your interview with another viable one. Hope this helps you think through this important decision! Best of luck and congrats on landing the tentative offer. Not a small accomplishment!! ;-)

Hi Kent,
I want to thank you for all your thoughtful advice towards the hiring process with the State of California.
@@calistatejobcoach

c mattison, If you're coming in from the "outside" (i.e., getting your first job with the State), then you're almost 100% certain to start at the bottom of the pay range for the classification.
On researching the Class Specification for "Investigator", I found the following:
1. The Investigator is a deep class with alternate ranges.
2. The 3 alternate ranges found in the State of California Civil Service Pay Scale are:
A. $5,191.00 - $6,364.00
B. $5,916.00 - $7,605.00
C. $6,818.00 - $9,428.00
Almost all open job postings list an HR contact.

Coach Kent - out! ;-)

Excellent job so far! ;-)
@@calistatejobcoach Thank you very much for the kind and inspiring words!

You'll have to consider:
1. If the Limited Term (usually 1 or 2 years) and/or

@Cali State Job Coach Thank you for your feedback and wisdom on my question.
Coach Kent - out! ;-)

Additionally, I haven’t received the background packet just yet. I’ve heard this can also take a few weeks, should I be regularly following up or just wait it out?

One question:
"Are candidates with H1B considered if US person is not a requirement from the JD?"
I'm appreciating these videos so much! I just recently started applying for IT associate position jobs with the state! Do they email people who applied who didn't get the job that the job has closed and they chose someone else?
Rarely. Usually (99% of time) not. I'm not saying that's right - but that's the way it is! Hope this helps. ;-)
Hi your videos are really help full . I watched all the videos and it helped me alot in my interview. I got my refrence check . What will be the next process.
It could be you were the "Top 1" and you would soon be getting a conditional job offer. @@harmeetkaur721 Follow-up with Hiring Manager via phone or email. ;-)
Good luck! ;-)

Thank you so much for this great video coach! What would you estimate the average time from close date to getting called in for an interview?
Caroline Hanna, I always tried to have my interviews setup within 1 week of my job postings closing. But, the reality is that with most postings, - and this is current data I'm hearing from multiple coaching clients - is taking an average of 2 weeks to hear back on interview invites. 1 week is very fast; 3 weeks is on the slow side.
That said, you might consider accepting the limited term position for the following reasons:
1. Some limited term positions actually get changed into permanent, full-time positions. You might ask the Hiring Manager (probably the person who made you the limited term offer) if this might be the case. And,
2. Accepting the limited term offer would get your "foot in the door" with the State and start you towards a good retirement, health care benefits, etc. You could always continue applying for permanent, full-time positions during the limited term timeframe.
How long is the limited term timeframe? Sometimes they last as long as a full year or two?

Your videos helped a lot in the application and interview process.

You do have a chance and could still hear back. That said, you need to keep applying and interviewing for other openings until you get an offer. Too often much time is wasted waiting on a particular job; hoping we'll get it, only to find we didn't. Don't fall into this trap. Keep interviewing and applying. :-)

Thanks for the info. Any thoughts on some follow-up questions:
1) First time going through the CA hiring process.
J.T. Smith, IMHO answers to your questions above as follows:
1) First time I've ever heard about attorneys getting involved in background checks relate to conflict of interest.

Thanks for the question though! ;-)

Do you any videos explaining the Employment Contact Letter, and Waivers (3)
Oh…I got it…I believe the waivers are if you submit an application, invited for an interview, are offered a position, and you decline the offer???
quick question for you if caltrans is checking references on you does that generally mean they have chosen you
It definitely means you're on their "short list" of top two or three candidates.
After interview, when do they call the references? Thanks.
Coach Kent - out! ;-)

In my experience, it means you are - at least - in the "top 3" candidates, or - more probable - the top candidate. Usually takes a day or two to get the reference checks completed. This could mean you might be receiving a conditional or "soft" offer later today (Tuesday) or tomorrow (Wednesday). Good luck and please come back here and give an update when able! ;-)
@@calistatejobcoach keeping my fingers crossed!! Thank you Kent! Once I hear back, I’ll update here! ❤️ your videos has been really helpful!
Hello. How long does it take on average to hear from the hiring manager after the interview, in case you were selected as a first choice to proceed?
Usually, on average, between a few days to a couple weeks. Plus or minus. ;-)
Unfortunately, after requesting reference they never contact me after May 2023, after ending interview they would always say you’ll received an email from us this specific date but didn't at all .😢
Any advice
Thank you!
My advice is this:
1. In my experience, interviewees seldom receive emails after interviews UNLESS they are the Top 1 person. Then they'll receive a phone call or an email. 2. Best advice is to just keep applying and interviewing. At some point you should get an offer! PRESS ON. Don't give up! ;-)
Thank you, I had one asking for reference. I’m happy that I’m one of the candidate they considered. Will keep you posted!
Would you recommend to send a cold email to the hiring manager after the application?
@@KidWonderBazaar Nope. No value added. :-)
If you interviewed on a Monday and they are checking references two days later is that a good sign you might be getting an offer?
Almost certainly it means you were ranked in the "Top 3" of the folks that were asked to interview. It could mean that you were the Top 1 and will be receiving an offer.
Hello coach Kent, I just applied for an education director position at cal state university. I reached out to some faculty beforehand and got in contact with a faculty committee member who encouraged me to apply, said they were really impressed by my credentials, and spoke with me via email about the job and center a bit. Currently my app is “under review” it has been about 7 business days since I’ve applied. Do you think it’s likely I could get an interview ?
I also applied a day before the priority application deadline Oct.27 (when priority apps closed and positing is open til filled) . Thank u

Thanks coach Kent! I’m a recent grad from grad school moving back home to CA from Boston. Need all the help I can get making this transition. I’ll tune in your videos
When they call your references is that a good sign? If so, how long after that do they normally offer you the job? Thank you.
@@calistatejobcoach thank you so much! Yes, a short video would be great! Thanks again , Coach!
Hopefully within a week. Two at the most. Sorry, the State works these processes in a frustratingly slow pace. Congrats and good luck though! ;-)
@@calistatejobcoach thank you. Appreciate it
My bf had an interview with cdcr in Sacramento on may 8th 2024 and still haven’t heard back at all whether or not got the job.

Then you probably weren't selected to make an offer to. Keep applying for other openings! Good luck!! Coach Kent - out! ;-)
@@calistatejobcoach Thank you 🙏
What department do you think is one of the easiest to get into? I applied to Calstrs a few times.
I think it's easier to get into Dept. of Transportation (AKA, CalTrans), Dept. of Corrections and Rehabilitation, and Employment Development Division (AKA, EDD) because they are the largest and have more job opening. ;-)
Oh okay, I think I’ll apply then to CDCR my friend works there- thanks!! 🙂
Good afternoon, Coach. Thank you so much for sharing this information. I had an interview about two weeks ago and I’m still waiting for a response. Would you say a month would be fair to receive a response? I also contacted the HR person assigned to the job post and she hasn’t responded.
I am in the same boat. Did you ever heard back from the state after your interview? If so, how long did it take from the date of your interview.
Hope this helps! ;-)
@calistatejobcoach896 Thank you so much for this info!! Will complete the process for one on one coaching soon!!
Hi coach
i got an email saying Interviews for this recruitment will not be conducted.
The answer to this question is as follows:
Not a small accomplishment!! ;-)

Then pre employment documents will be sent to me and I have 30 days to complete and decide on a start date .
I don’t want to seem like I’m not grateful or look unprofessional in any way .
Is this the norm for State ? And is the position actually mine ?
Thank you , your videos helped me in a huge way navigating Cal Careers is sometimes overwhelming with all the contact letters .
@@monaparker191 , So I would say the TJO related job is yours assuming you pass the background check like the majority of folks do. Given that though, you still might want to interview for the second job (which you have an interview already scheduled for) since it could mean a $500 to $1000 per month positive pay difference. Do the interview, see if you get an offer, and take it if it happens. Lots of current State of California workers have done the same thing and it's not unprofessional or unethical in any way. ;-)

If they’ve made you the conditional/soft/tentative offer, then the Hiring Manager is probably just waiting on his/her HR department to confirm your Minimum Qualifications. It might be taking longer to do that than expected. Go ahead and reach out to the Hiring Manager and see if you can get an update! Won’t hurt anything! Good luck! hey kent - some jobs have a state a requirement of of 6 semester credits of an accredited college. how many classes is that?
Anisa M, 6 semester hours is normally equated with 2 courses of 3 semester hours each. Not to be confusing, but some folks went to schools that operated on the quarter system. So, on the quarter system, this normally equates to 2 courses of 4.5 quarter hours each. In other words, 6 semester hours equals 9 quarter hours. Hope this helps! ;-)
