    Great tutorial, Teela! One suggestion that I found is to put all of your editable text on a separate layer in Illustrator so you can just hide it when you’re ready to export, instead of deleting each editable item. Then you can easily turn it on or off. :) Cheers!

      It's not a different way to make the PDF editable in Acrobat. It's just creating a new layer in illustrator instead of deleting everything to export.

    Girl, you are amazing! Thanks for this! I'm making an editable PDF for my computer challenged friend who wants to send "e-tickets" to her customers for sign parties that she hosts. She needs to be able to update date/time, theme, etc for each party. You've just made my life a million times easier!

    It had never occurred to me to get around the font limitations, just send the font with the pdf. You have no idea how much easier you made my job.

    This tutorial was very helpful; the limitations of these programs are not. Why are editable PDFs so backwards? Designing the template in Illustrator, then deleting the text fields just to recreate them in another program? Fonts that aren't embedded in the file, and require the recipient to download? These things are unrealistic and inefficient in a business setting where files are exchanged and edited internally and externally. I'm still looking for a proper way to design editable documents through the Adobe programs that makes sense for the recipient that has no design knowledge, without the hassle of finding typefaces they probably don't have.

      I am dealing with the same thing. Plus often I have to move around fields or change font sizes to fit the customer's wording better. This is not something they can do.

      I've been using Google Docs in my place of work ever since. They don't allow for the prettiest of documents, but it gets the job done, and at least they're easily editable.

      You can embed the font using Acorbat DC. The user doesn't have to have required typefaces. You could do this in one go using Indesign. Since Illustrator is vector based, designing things is easier than any other software. And there are so many stock vectors that could save you so much time.

      Sorry...so if you create/adjust the document in InDesign..then the customer can edit the font without having to find and download the font that you are using?

    Thanks for the video, Teela, I really appreciated it. I am currently pulling out my hair trying to figure out how to adjust the kerning of the font in an editable field in Adobe Acrobat. Have you ever done this? Is it even possible?

    Thank you for excellent tutorial! But I've got a problem. I've installed the DC version and there's no option in text color properties to choose a CMYK palette. The dialog window is different and only RGB colors are provided.

    how do you make the card to where a picture could be added by another person, like the photo card that you usually print at a photo lab kiosk. Can you do this in Acrobat too?

    Great tutorial. If I have 6 smaller files that I want to place all on one page , how do I do that? Do I need to add text boxes to all six individually or is there a way to duplicate them? Thank you

      when saving as PDF, make sure to check 'All Printers Mark' on the 'Marks & Bleed' tab

      en las opciones de tamaño de la fuente podés elegir "automatico". De esa forma el texto se va a ajustar al recuadro de texto y así se evitan problemas de reajuste o que se solapen los textos como pasa en el video. Espero que aunque sea tarde te sea de ayuda. Saludos desde Argentina!!!

    Thank you Teela! That helped me a lot for my Etsy shop either. But I have a question: I easily got to the step where we put a text box in Acrobat, but ONLY my preferable font does not appear in the Appearance. All the rest is there, but not Hoefler Text font that I've been using in Photoshop. It is downloaded in my computer, so I don't get why it cannot be seen in Acrobat? Do you have any idea about it? Thanks a lot!

    Thank you so much for this video Tella!! I love all your desktop wallpapers too. I am starting to get into make editable PDFs and I am having one issue. I've noticed that the customer once they have the PDF should be able to hit Command +E or Control + E and the text properties should open in Acrobat Reader. I can't seem to make my Pdf do that. (A message pops up *No Properties)
    They are able to change the text but thats it. I'm not sure what I am missing. How do you save the PDF once it is made in Adobe Acrobat? Is there a certain format I should be saving it as?

    Outstanding! I already have an Etsy site, but I need to expand my product offerings. Have been wondering how on earth to do this. Currently, I design everything, send the customers proofs, get approval, have everything printed. Would LOVE to have an “evergreen” product instead. I use Photoshop though. Other tutorials made it seem like you had to start in Ai. I can see now that you can start in photoshop and still get the same results in Adobe acrobat. Thanks so much.

    Hello Teela,
    Great Vid! Just wondering...I noticed a comment below about the customer (if you are selling templates of some sort for example) would still need to source the font that you used to create the document. This seems to be the issue a lot of people are having. The document will be editable, however, if the customer does not have the specific font you used, the would need to replace it themselves?
    Also...The other thing i noticed was, if you just save the file as a pdf, without rasterizing the background or flattening it...wouldn't anyone with illustrator be able to access all of your vectors within the file?

    I've got a question. The text fields are still editable outside Acrobat (like if you open the pdf in a web browser). However, the image placeholders import just doesn't open up "outside" Acrobat. They're not using the default open file dialog. So the import image only works in Acrobat. Is there a workaround with this?

    Hi Teela thank you so much for this tutorial. I do have a question though. Your invitation looks perfectly designed for the length of the names etc. Say someone who buys this invitation has two really long names that don't fit within the text box you've allowed. Are they able to change the font size to make their names fit? What will their editing capabilities be? Thank you!

      That was a good question. I noticed in the settings properties that she had the Scroll Long Text box enabled. So if user typed in more than the field could hold that it would scroll. Which is really not good as that works when viewing the PDF and you can scroll the box to see more but you when it comes to printing the hidden words won't show. I think what you do in that case is to "uncheck" that feature and that keeps the user from overflowing the field with words. I know that makes it tough for long names though. The creator needs to think ahead and look at worse case and make font so that it can accommodate longer name. The user needs to know that and make adjustments too. Like substitute & for and ...... I don't know if they can control font size or not... I'll have to check that as I need to make one of these.

    Thank you so much for this video! I've been trying to figure this out to sell some files. Side question though, how do I reduce the file size and still make it a quality printable? My files sizes are huge and not very compatible with home printers, or even online printers. Help!

      The size could be because of many things e.g embedded fonts, non flattened raster images and so on. To analyze the reason, open your file using Acrobat DC pro and go to save as the other -> optimized PDF and Audit Space Usage and see what is bulking the image. If it is font. Simply create a new document and copy paste the old one into blank new doc. if it is image then Downsample images in 300,150 dpi.

    Excellent video. Thank you so much. This saved me loads of time. One question: I created the original file in Adobe Illustrator, then when opened in Adobe Acrobat to create the editable PDF, the font that I used in Illustrator (Futura) is not in the drop down font menu in Acrobat. I can't figure out why, or how to add it. The font (Futura) is in the font folder in my computer. Any ideas?

      Hi, @@ruthalvarado33. Unfortunately, I never did figure this one out. Luckily, the client I was doing this project for was a friend, so I just let him know of a similar font that he could use in its place. If you ever figure this one out, please let me know. Best of luck to you.

    Thank you for the tutorial! I have one questions about editing files like this.
    I have a client that is a artist, and she wants her signature to be her logo and the date of when it was name beside it. So I need to have a editable file for her to change the date, but the image will be a photo of her work, so it needs to have a transparent background.
    If I am unable to do it this way and send it to them, what other ways can I do this?

    Thank you so much for this tutorial! I do have one question though. I cannot seem to break the line/move down in the box. Even with a large text box. It lets me do one line to the end of the field and that's it. I'm trying to do a large thank you card text area. I've tried both in DC and regular reader with the editable file. Any idea how to correct this? Should I do one box for every line?

      Right click the text box and select Properties. On the Options tab, select the Multi-Line box :)

    Thank you for the tutorial. I followed the instructions and when I opened the fie in acrobat reader, the font was not maintained. Am I missing a step? I chose the font and size in acrobat before I saved.

    thank you!! One question - when I enter preview to change the text, it changes the text in all of the boxes to the same text. Font and sizing are different per my settings, but all of the text boxes change to the same text. Help!

    I know this sounds completely silly, but I noticed on the section of the video where you open adobe acrobat and select "fill form" it takes you to a screen to select the file. I have followed along and have reached the "fill form" part, but when I click it asks me to choose a membership option. I am not sure if you stated this anywhere in the video, but did you choose a membership option (monthly or annual) or is my version of adobe messed up? :( Informative video, thank you.

      Nope, I just need to pay attention, you did mention you were using a 30-day free trial. I guess the version I have is beyond 30 days, thus it was asking for a membership option to continuing using the tools. Sorry about that.

    Hi thank you so much for the help! Would like to get someones advice. I created a editable pdf on adobe acrobat dc paid version for my etsy store everything works well except when i go to staples or Vistaprint and upload the pdf design to print all the editable fields are empty. I have been saving it as - File - Save as other- Reader Extended PDF- Enable more tools. and also tried file-save as Still when i upload the file any fillable info is not there. Does anyone know what im doing wrong?

    What happens if the text in the editable fields is much longer than the original. For example if you change scot to Bartholomew? Will the font line automatically resize to smaller point size?? Can your customers run out of room this way?

      +Cat Downey Unfortunately, Adobe Acrobat is the only way to create an editable PDF this way. You'll only get a flat one when saving as a pdf in PS or InDesign

    Hey Teela, thank you for this helpful tutorial! How does Reader handle text overflow? If the end user is using Reader and cannot edit the text size, what would happen if their information didn't fit in the boxes you set up?

      Kristy Good Hey Kristy, that's a great question! So sorry it wasn't covered in the video. If the text boxes are on the smaller side, when you initially create them in Acrobat, in the text box's setting, make sure under the 'options' tab that 'allow rich text formatting' is checked. Next, go to advanced > enable features in Adobe Reader. When the user opens the editable pdf in Reader, if they open the preferences panel (keyboard shortcut Cmnd + E or Ctrl + E) they'll be able to edit the size of the text (and also the font too which might not be a good thing).

    Thank you for this useful tutorial, Just one question: So the customer who receive the editable PDF have to get the PRO adobe reader to be able to edit the text and font right ? There is no way the user can edit it on free version of adobe reader right ?

      Nope, the user only needs the free reader version to edit. Only *you* will need the PRO version because you're the creator of the editable pdf.

    I see you have a bleed on you Illustrator document. Is there a way to show bleed or crop marks on Acrobat so when the customer receives it and takes it to be printed they know where to cut?

      +Judith Schwarz Hey Judith! Create the file using the purchased font - when the user opens it, they won't have the font available to them (it won't show up on the pdf the way you intend it to) until they purchase and install the font, then reopen the file. Included instructions on where they can purchase, make it clear that a font purchase is necessary for the file to appear correctly and that they'll have to purchase the font and install it before opening the file - basically same instructions as if the font were free with just being clear that the font isn't free :)

    Thanks for the tutorial! I was just wondering, how can you make certain parts of the PDF non-editable? For example - the "Save the Date" title or other graphics. When I create a document from Illustrator and create a form in Adobe, the "Save the Date" title is still able to be edited. I want to have certain titles locked so the customer cannot change the design.

      In Illustrator, you can convert your text to outlines (with it selected, type > create outlines) - this will make shapes out of your text so it will be truly uneditable :)

      Hi Teela, thanks so much for your reply! I have tried to outline the text, but if you "Edit PDF" in Adobe, you can't edit the text, but you can still move or delete the text as an "image." Is this because I'm using the Pro version of Adobe? How can I lock those parts so that they can't be moved or changed at all?

    Does the recipient also need to have Adobe Acrobat Pro installed to edit the card?

      Sam Foong nope! So sorry I missed mentioning that at the end - the end recipient only needs a free version of reader to open and edit what you've done in Acrobat :)

    with the fonts what if we use a font that is one you have to buy? do you recommend only using free fonts for the editable parts?

      There is a way to embed fonts into the PDF. After completing the document, click on tools>Print Production>Preflight>Click on the little wrench at the top>Search in the little search box for Embed>Choose Embed Fonts>Click on Fix at the bottom. Viola!

    HELP! So I followed the instructions in the video but now when I open the document in Reader I can type over the sample text but I can't change the font, color or size. Is there a way to enable this? What am I doing wrong? Thanks in advance for your help! Love the videos.

      Hey, you'll have to change the appearance tab for each form field - here's an article with further instruction, straight from Adobe: helpx.adobe.com/acrobat/using/pdf-form-field-properties.html (scroll to "Appearance tab for form field properties")

    I’m saving a file from Canva into my computer (pdf file) but when I try to upload into online labels website, it tells me that fonts are not embedded but when I check the file it says that they are....so can someone help me? Do they need to be embedded subset? What am I missing. Please help!

      You'll have to have the paid Acrobat version to make it editable - Reader is read/input text only 👍

      you'll have to have both invites on the same page before you bring them into Acrobat to define the text areas - here's a tut on how to put 2 on a single page using Illustrator: every-tuesday.com/print-multiple-layouts-one-page/

    Hi, I keep getting a colour behind the editable field. The transparency is showing with a clear/red diagonal but a colour always shows up. I don't want to use the Preferences as that will only work on my Mac. I've re-installed Acrobat CC and no change. Would you know why I keep getting a greyed box in each form field please?
