New Microsoft Teams channel meeting invites?

  • Scheduling channel meetings used to be confusing. Invites may or may not have been sent to team members. But in new Teams a new option let's you choose if personal invites are sent, for each channel meeting invite. Let's try it!

    There’s one feature that you can make use of that allows team members to see the meeting without having to go into the Teams channel. If the team was created from a group, you can add the group calendar to your Outlook calendar view and then when the meeting iscreated in the channel, there will be a meeting notice show up in Outlook in the group. From there you can add it to your personal calendar or just join using the group calendar invite.

      I like this tip too, when there are a few teams that frequently schedule events and meetings.
      There are times when I want to send an invite to all team members to attend and I don’t want to depend on them adding it to their calendar for themselves. The new Personal invite option is ideal for this scenario.

    Bigger issue is that the meeting is still sent by the organiser, who has to attend the meeting (ie can’t decline it).
    There should be the ability to send the meeting from the channel.
    eg I organise a weekly channel meeting, then I decline one week because I’m away, it gets added back into my calendar automatically. If I try to cancel it, then it cancels it for everyone.

      You might want to try again and be sure you’re actually creating the meeting in a channel, as that feature is one of the primary reasons, outside of keeping the chats, recordings and files all within the channel, that I set up my meetings in the channel. If I’m going to be unavailable for a given meeting or instance of a meeting, I can decline on my personal calendar but the meeting can go forward. One way to be sure is to go to the Channel and use the Schedule meeting option in the upper right corner, instead of creating from the Calendar. That way you know the meeting will be in the Channel.       @@VeryVocalPro It’s definitely created in the channel. If I try to decline the meeting, it gets recreated within a few hours with a message “Exchange Online re-created a meeting that was missing from your calendar.”

      @@simonjohncasey I had a similar issue when I was canceling or declining meetings from my phone. It's wasn't specific to Channel meetings and it is not expected behavior. I spoke to my IT department about it, and I think they reset my calendar, basically deleting my account and added it back. I don't recall exactly what they did as it was some time back, but it is working as expected now. Since you mention Exchange, I assume you have an IT group that you could talk to as well. They may be able to help. Best of luck!

      A big problem is that guest team members cannot see the chat when the meeting is in the channel

    Our teams typically have a cast of thousands. How do I create a channel meeting that is only to a subset of the team? I’ve never used channel meetings because they seem to invite everyone. Or was that the point of this video? I’m confused.

      It’s not that confusing really. Most teams don’t have thousands of members. This new switch lets you choose whether or not to invite all team members to a channel meeting. It would not be suitable for your team’s of thousands.
