Think of the back burner as a queue and the main burner as the thing that's going through the queue as you complete it.

I'm going to try something new and create a public journal of sorts that details how I'm pushing my skills and learning. 1% Rule log for this video: - I wanted the reel-to-reel to spin continuously and never skip due to a jump cut. So I had to film the video twice and alternate angles anytime I didn't cover up a cut with B-roll - Combined two different creative LUTs to achieve more retro looking skin tones. In the past I've always just tried to choose one. I also experimented with masked/feathered color grading layers on the sides that have the "faded film" slider pushed up, which did an ok job of simulating a bit of haze without making the middle section look too faded. - Got a bit better at EQ'ing the dialogue - though I did screw up with the mic positioning on the wide shot, which is why it's a bit echo-y when I lean forward. What is the 1% Rule? Essentially, it's the idea that you should aim to get 1% better with each piece of work you do, instead of pressuring yourself to create "perfect" work. Over time, these 1% improvements add up as long as you're consistent. I can't recommend enough to go as granular as you can when listing out tasks. I've tried it and found my efficiency and productivity went through the roof.

Method to choose the important: After reading GTD and The power of simplicity: Choose 3 main projects (personal and work, 3 un total) - First thing for me: Rutins that mantain your body and mind ready to work. - Second: Your next step in your on of projects (important). - Third: An urgent task (not important) The MOST IMPORTANT TASK should be just 3 things to accomplish during the day (next steps+ urgents). Something that works so well for me and can be added to all these systems. If something pops into your head you want to procrastinate on, write it down in a todoist list called "rewards". Use that to motivate you by using the pomodoro method and do a "reward" during your 5 min break. For me this is often amazon shopping or getting a cup of tea or snack or chatting with someone. This works by using your dopamine response to motivate you, and create strong habits. Reducing alcohol use has also has increased motivation and helped manage habitual behaviours which are especially sticky in our home environment, I've found.
I'm so glad you are making these videos, for the past few weeks I have been so anxious and unproductive and you really motivate me to stick to my schedule again.

Separating deadlines from "intention to work on something" has been super important for me! I've tried all the apps, and I keep ending up back at Things 3 for exactly this reason. I can have lists categorized more "classically" (Work/School/Personal/etc.), with hard deadlines on each item/project. But, I can also add times to actually work on those items.
You guys keep improving every aspect of the overall quality of these videos (which was already incredibly high) and that's just amazing, keep up the great work!

Love the Martin-Kitchen System! It just works so much! And if you think of all 4 of the lists as actual stoves, you'll eventually have to address them (as martin was alluding to) otherwise they'll burn and the food (in this case the project/task) will be ruined
Thomas peaked with this one. Not that his later ones are sub-standard, there's just something about the tips, the systems, the script and the visuals that just basically gels so well together. Hello Thomas. I want to start off by saying that I'm a huge fan! I've been watching your videos for some time now and you've helped me learn so much about productivity. I didn't even know there was a school of thought about productivity science until I came across your channel. Request: Can you do a video about managing cognitive load while working from home. I have a strong processing speed and I find myself getting super tired (i.e., mentally exhausted by the end of the day). I'm an instructional designer, and this is a new role for me. It involves so much from visual and graphic design, to planning course material with subject matter experts, and more. I'm finding myself getting distracted, taking more frequent breaks just to get through some of the monotony. What can I do to manage my cognitive load during the working day so that I can be better at my role?
I had an idea to try out, based on Martin''s kitchen system Oven: Scheduled school meetings Front Burner: Actual tasks to be done like homework, I might categorize them in time blocks Back Burner: Small organization tasks (eg organize my projects folder better) which are needed Creative cooking: Personal ideas, watching educational / self-improvement videos (helpful BUT I should really NOT SPEND ALL DAY DOING ONLY THIS) Vitamins: Health habits (brushing my teeth, fixing the absolute mess that is my sleeping schedule, going for a walk / exercising) which must be done at a certain time (like, well, vitamins)
This is my personalized scheduling system which I have tried to perfect over the last year, and which has worked great for me so far. I have a special note on my phone named "Plan" where I write down my daily routines and list the order of sub-actions that go into them along with how long each sub-action lasts (on average) and how long the whole thing lasts. Beneath them (or in between) I list the activities I normally do or some specific ones that I plan just for the occasion. I then mark the activities which I do today and write an estimate on how long it'll take, or just a limit if I am unsure of my evaluation. I might add an additional deadline if needed. At the bottom of the list, I write exactly how much time I have left this day before sleep and the exact time of the last update. Next to it, I write down how much time it'll take to complete the activities I've already listed and derive from that the amount of unscheduled time I have and usually aim towards having around one and a half to two hours for the unexpected emergencies, spontaneity, and improvisation. Underneath this list, I have a list "Reminder" for important things that need to stand out, but for which I am unsure when I'll have time to complete. And underneath that one is a little pesky one which keeps growing beyond control. I titled it "The things I know I need to do" for activities and habits which I know I should incorporate but haven't done so yet for a variety of reasons. I hope anyone who has read this far found some use in it, or may even have some suggestions. Have a productive and peaceful day!
@@stevejohnson6908 I keep a list of advices people have given me or which I have read/heard through self-help. Based on them I know more-or-less what to focus on (improvement, flow, responsibilities). I also keep track of opportunities and possibilities of daily situations which influence my approach to different situations. The practice that has helped me better understand what is important and what is not is a Sentence Completion practice from the book "Six Pillars of Self Esteem" by Nathaniel Branden, which I think is a must-read for every person who wants to improve themselves. Sorry it took me a while, I got taken away while thinking about the people and books that influenced my priorities the two times I tried to reply earlier.

Great video. The kitchen analogy didn't work for me so I've modified it slightly. Daily Vitamins - Tasks - Important - My Day - It's really helped as my daily tasks (vitamins) was making my lists too long The art of a good system is finding a balance between too many categories and lists that are too long. If the kitchen analogy doesn't work maybe build a system based on something that interests you. For example if it was exercise you could have warm up, main event and cool down.
Really helpful video. Thx Tom. Special mention that to do list apps with scheduled time, as Martin mentioned, tend to be rescheduled frequently as some tasks took longer than expected time, something urgent cropped up,etc., making alot of overdue tasks for today, hence not very helpful.

I like the new Martin system. I want to propose using labels instead of projects for Vitamins, Back Burner, Front Burner, and Oven. That way, I can easily apply it to my existing projects and assign labels to it that are in my favorites.
I've been liking the flexibility to time box while working from home. As a teacher, my day is pretty scheduled for me. But at home, I make appointments for livestreaming and have the ability to schedule the rest of it: correcting, lesson planning, breaks, and my personal life.
I get the idea that the dreaded task has to go first, but for me it fuels my procrastination. If I have to do that task first and I procrastinate on that one... well, the rest isn't going to happen either. But if I start with an un-fun but simple task, I feel proud of myself and to justify that feeling continuing I start the big dreaded task, than the rest. This usually works best for me
I really like the kitchen system (though I would prefer different analogies). That would have been really useful for me when I started college and had no sense of the duration of each task. Great video, as always!
Great work on this video, your new series/idea sounds interesting as well. Being quite productivity focused I have implemented a system very smilier to the one you describe using Todoist, a calendar and some form of daily list (usually a written list or time blocking). However, I always end up being stuck with 2 problems, first one is planning and running a plan for big projects with lots of small sub-projects/tasks. Second, is when there is some disruption of of some kind that takes me out of my usual routine or straight up motivation is low and I end up getting massively behind. With both issues I become a total wreck when trying to face up to getting myself re-organised so I typically end up getting easy stuff done like tidying up my email, files, desk etc. As a result I find it even more difficult to get caught up and the cycle goes on. Some videos on these sorts of issues, or if you could point me towards existing content that would be great.

That was awesome! I agree with you. A lot of people are waiting for motivation to start working, but we don't really need to be motivated to follow a plan. However, when I AM motivated, I leverage that time to develop the vision for my projects or make plans. I use checklists for every day in my work - I know exactly what I need to accomplish each day of the week to keep a pulse on my personal and professional life. And then I just follow the lists. Martin's Kitchen System sounds very interesting too.
Thomas, it worked out well for few days going by Eat That Frog method you described at 4:06. Nowadays once I execute my toughest "thing of the day" I find myself taking relaxed approach to other things on the list and not doing them effectively at times. Can you relate?
Yes it's totally true. We kinda exhaust our energy in that one single task and then there's no motivation/energy/willpower left for anything else. Instead I reccomend you to start with the smallest task as possible and work your way upwards. That way you can achieve much more and will also be exponentially beneficial.

Im not sure if youve already addressed this but id really appreciate if you would talk about how WHY doing something greatly affects HOW important something actually is and therefore arranges WHAT we prioritize and ultimately affects WHICH tasks actually get done.
It's definitely a struggle working for yourself to make sure you are getting the things done that are important. It's easy to spend way too much time on things that really won't make a difference in your business. I love the methods you suggested. I have my own hybrid of this. I write my daily to-dos on a piece of paper that I crumple up and throw away at the end of the day. It's funny how good crumpling up that paper makes you feel! Thanks as always for the great content. I love reading your 1% journals too! Keep up the good work!

The best way too look at time for planning for the day is to look at it as how much time I want to give to a task or list of tasks since I would be doing it at home I would allocate brakes too instead of how long this task will take me. So for me if I have a list of common things like being a influencer. I scheduled to look at emails post content get content ready for rendering and editing do you re-search for work so I want to spend about 45 minutes to an hour on that stuff and I allocated a few five minute breaks for distractions, because this distractions help my brain to clear out excess thoughts and allow me to get a clear perspective. Definitely for creative items like making a video would definitely take longer I would allocate four hours to that maybe six with brakes. Maybe break the video down in two days instead of one.

I like to block out sections and then have my tasks be granularly laid out for me so I totally understand what you mean!

I'm finding myself getting distracted, taking more frequent breaks just to get through some of the monotony. What can I do to manage my cognitive load during the working day so that I can be better at my role?
I had an idea to try out, based on Martin''s kitchen system
Oven: Scheduled school meetings
Front Burner: Actual tasks to be done like homework, I might categorize them in time blocks
Back Burner: Small organization tasks (eg organize my projects folder better) which are needed
Creative cooking: Personal ideas, watching educational / self-improvement videos (helpful BUT I should really NOT SPEND ALL DAY DOING ONLY THIS)
Vitamins: Health habits (brushing my teeth, fixing the absolute mess that is my sleeping schedule, going for a walk / exercising) which must be done at a certain time (like, well, vitamins)

This is my personalized scheduling system which I have tried to perfect over the last year, and which has worked great for me so far.
I have a special note on my phone named "Plan" where I write down my daily routines and list the order of sub-actions that go into them along with how long each sub-action lasts (on average) and how long the whole thing lasts.
Beneath them (or in between) I list the activities I normally do or some specific ones that I plan just for the occasion. I then mark the activities which I do today and write an estimate on how long it'll take, or just a limit if I am unsure of my evaluation.
I might add an additional deadline if needed. At the bottom of the list, I write exactly how much time I have left this day before sleep and the exact time of the last update. Next to it, I write down how much time it'll take to complete the activities I've already listed and derive from that the amount of unscheduled time I have and usually aim towards having around one and a half to two hours for the unexpected emergencies, spontaneity, and improvisation.
Underneath this list, I have a list "Reminder" for important things that need to stand out, but for which I am unsure when I'll have time to complete. And underneath that one is a little pesky one which keeps growing beyond control. I titled it "The things I know I need to do" for activities and habits which I know I should incorporate but haven't done so yet for a variety of reasons.
I hope anyone who has read this far found some use in it, or may even have some suggestions.

I see that a to-do list is important but how do you actually come up with the list of things that are important?
@@stevejohnson6908 I keep a list of advices people have given me or which I have read/heard through self-help. Based on them I know more-or-less what to focus on (improvement, flow, responsibilities). I also keep track of opportunities and possibilities of daily situations which influence my approach to different situations.
The practice that has helped me better understand what is important and what is not is a Sentence Completion practice from the book "Six Pillars of Self Esteem" by Nathaniel Branden, which I think is a must-read for every person who wants to improve themselves.
Sorry it took me a while, I got taken away while thinking about the people and books that influenced my priorities the two times I tried to reply earlier.

The art of a good system is finding a balance between too many categories and lists that are too long.
If the kitchen analogy doesn't work maybe build a system based on something that interests you. For example if it was exercise you could have warm up, main event and cool down.

Really helpful video. Thx Tom. Special mention that to do list apps with scheduled time, as Martin mentioned, tend to be rescheduled frequently as some tasks took longer than expected time, something urgent cropped up,etc., making alot of overdue tasks for today, hence not very helpful.

I like the new Martin system. I want to propose using labels instead of projects for Vitamins, Back Burner, Front Burner, and Oven. That way, I can easily apply it to my existing projects and assign labels to it that are in my favorites.
I've been liking the flexibility to time box while working from home. As a teacher, my day is pretty scheduled for me. But at home, I make appointments for livestreaming and have the ability to schedule the rest of it: correcting, lesson planning, breaks, and my personal life.
Can't wait to meet Derek one of these days. Sounds like a fun guy.
I get the idea that the dreaded task has to go first, but for me it fuels my procrastination. If I have to do that task first and I procrastinate on that one... well, the rest isn't going to happen either. But if I start with an un-fun but simple task, I feel proud of myself and to justify that feeling continuing I start the big dreaded task, than the rest. This usually works best for me

Great work on this video, your new series/idea sounds interesting as well. Being quite productivity focused I have implemented a system very smilier to the one you describe using Todoist, a calendar and some form of daily list (usually a written list or time blocking). However, I always end up being stuck with 2 problems, first one is planning and running a plan for big projects with lots of small sub-projects/tasks. Second, is when there is some disruption of of some kind that takes me out of my usual routine or straight up motivation is low and I end up getting massively behind. With both issues I become a total wreck when trying to face up to getting myself re-organised so I typically end up getting easy stuff done like tidying up my email, files, desk etc. As a result I find it even more difficult to get caught up and the cycle goes on. Some videos on these sorts of issues, or if you could point me towards existing content that would be great.
Absolutely relatable, cycles of being unproductive can be incredibly hard to overcome. Keep crushing it man!

That was awesome! I agree with you. A lot of people are waiting for motivation to start working, but we don't really need to be motivated to follow a plan. However, when I AM motivated, I leverage that time to develop the vision for my projects or make plans. I use checklists for every day in my work - I know exactly what I need to accomplish each day of the week to keep a pulse on my personal and professional life. And then I just follow the lists. Martin's Kitchen System sounds very interesting too.
Starting an internship on Monday at a company I'm really excited about. But working remotely so this is super helpful ❤️

Thomas, it worked out well for few days going by Eat That Frog method you described at 4:06. Nowadays once I execute my toughest "thing of the day" I find myself taking relaxed approach to other things on the list and not doing them effectively at times. Can you relate?
Yes it's totally true. We kinda exhaust our energy in that one single task and then there's no motivation/energy/willpower left for anything else. Instead I reccomend you to start with the smallest task as possible and work your way upwards. That way you can achieve much more and will also be exponentially beneficial.

It's definitely a struggle working for yourself to make sure you are getting the things done that are important. It's easy to spend way too much time on things that really won't make a difference in your business. I love the methods you suggested. I have my own hybrid of this. I write my daily to-dos on a piece of paper that I crumple up and throw away at the end of the day. It's funny how good crumpling up that paper makes you feel! Thanks as always for the great content. The best way too look at time for planning for the day is to look at it as how much time I want to give to a task or list of tasks since I would be doing it at home I would allocate brakes too instead of how long this task will take me. So for me if I have a list of common things like being a influencer. I scheduled to look at emails post content get content ready for rendering and editing do you re-search for work so I want to spend about 45 minutes to an hour on that stuff and I allocated a few five minute breaks for distractions, because this distractions help my brain to clear out excess thoughts and allow me to get a clear perspective. Definitely for creative items like making a video would definitely take longer I would allocate four hours to that maybe six with brakes. Maybe break the video down in two days instead of one.
