UPDATE*** Google no longer allows “less secure apps” You must first set up Two factor authentication on your Google account under security settings. Then go back to your google account and go to app passwords. Then generate a password. Then go to your Email settings on the printer settings like he is on the video and enter that password instead of your google account password.

This was IMMENSELY helpful. I was searching everywhere for these steps and finally got my scan to email function to work. Thank you. For anyone still having issues, make sure you watch the follow up video. There is an extra setting you have to change in your gmail account itself.
This almost worked for me except Google was still blocking the scans from going to the smtp server. What I had to do was in addition to these settings on the printer, I had to change a setting on my google account to "Allow Less Secure Apps". That did it. Compared to the Epson WF printer that I used to have, the canon UI and settings are very hard to figure out.
His video and your additional step did the trick! Took me few minutes to locate “Allow Less Secure Apps”, but i find it ... and now I’m scanning! Thanks for your helpful contribution!
That totally did the trick for me. I couldn't find it in my settings so i googled it and while logged in my Gmail account, it allowed me to set it. Thanks
yes! after following the steps in the video I was still getting "error". I had to turn off 2 factor auth. to be able to turn on "Allow Less secure apps". that absolutely solved the problem @@stacietran9771
I had the same issue, but it took me a long time to figure out where to go to change these settings. I'll post below for others who will have the same issues. (1) Go to www.myaccount.google.com and login your Gmail account you setup for scanning (2) Click “Security” to the far left, then scroll down the page to “Less secure app access” and turn “ON”

OMG, after hours of troubleshooting and googling, this did it. Port was still set to 25, so it was attempting TLS transmit on 25 rather than 587. YOU ARE MY PERSONAL HERO!

Glad it worked for you. May I ask if the email client you used to set up your PC initially was google? It wont work for me because i used MS Outlook email to set up laptop. So weird

I have spent numerous hours on the setup on this printer. I have setup many machines and printers and never had this much trouble. You have to be an IT professional to understand it all. After this video and the help of comments below on adding an app specific password, I was finally able to use the scan to email function. Google no longer allows you to use less secure apps if you utilize two step authentication. This was difficult! Thank you for this video! I dont know what Canon was thinking!

You sir are doing the whole world a favor by highlighting the port issue, for which I cannot find a reference to anywhere in my 700 pages of documentation. Maybe also a shout out to remembering to "turn on allow less secure apps" for gmail sign-on as well as that was an issue I found when I could finally communicate with my account. Hello. If for some reason your browser says something like cannot access remote ui or something similar instead I recommend making sure both devices are connected to the same wifi first and then going to Menu--> Management Settings--> User Management --> System Manager Information Settings--> System Manager ID and PIN, and you can set up those there. This happened to me and it resolved the issue :)

Setting up proper SMTP port actually works for other mail servers than Gmail. As long as you know port number of you email provider and check boxes according to this video - it will work for you. Good job, author!
This is perfect! seriously, Canon should pay you for this. I don't know why this printer setup is so ridiculously non-intuitive and forces you to hunt all over the internet for answers! It is, after all, supposed to be a HOME computer.

I was pulling out my hairs trying to do simple scanning and nearly gave up until I found your video and it worked. I have the Canon MF743-Cdw. Thank you for the step by step instructions! I've been trying to do this for a couple of years. The crazy thing is that, for me, it was the change that google made with their 2 step verification. As soon as I created an "app password" through my google account, it allowed my printer to see my google account and worked immediately. If anyone thinks this may be their problem too (and I bet it is), read U Fix It Garage's description for this video you are watching right now and it will walk you through. Finally, I can scan to my email!!

Today I found you on RUclips and what should I say.. IT FINALLY WORKS !!! Thank you for explaining so very well! I just would like to add one thing about GMAIL : It first didn't work and I was already disappointed, because I exactly followed your video, BUT I received a email from Googlemailthat a " not secure app was trying to login to my email account and they have blocked it.. WELL I just allowed access to that so called App which was obviously my printer and then it just worked PERFECTLY ! I can't leave without sharing my very very positive experience about your tutorial!

This video was great, but it did not work for me at first. I figured out that I had to also turn off the GMail 2 factor authentication and then change the setting for "Less Secure Apps" to "Allow". It's default setting is "off". Then it worked. Maybe this has changed in the 4 years since you've posted your original video.
It did change. I did a follow-up video that shows how to make 2 factor authentication work so you don't have to reduce security. It's linked in the description. Glad you got it working.

I agree - this was most helpful and Canon should pay him! I'm glad that I read the comments though as I do have 2-factor auth - so I needed to generate that password on my google account and set it in place of the gmail password for it to work properly. Maybe heyjacks can update the description with a quick caveat about 2-factor authentication settings.

OMG!! It worked! AFter pulling my hair for 4 hours i decided to hop on YT..I would have NEVER figured this out, it's super complicated. Thank you soooo much! Sending Kisses and Hugs from California...lol. BTW I have a ImageClass Model MF632cdw. I did have to change my restriction/privacy setting in my Google Account under App Restriction because it thought it was a malicious app trying to access my Google account, but after i allowed access to all apps....it worked like a charm!!
Forget these haters...i would cover up my IP address too..better safe than sorry....also helped me with my MSN account....appreciate you posting the walkthrough!!
I was worried because I was not setting up from a gmail. I was dreading setting this up because of all the feedback saying this was really difficult. I called my email provider and they were pretty clueless about the port number. They said 587 or 465 might work. Emphasis on the “might”. So I decided to try it. It worked perfectly the first time! Can’t thank you enough !!

Kudos! I have only done the setup with Port 587 and the other checkbox options. I am about to test. But, I wanted to thank you before even testing as I am pretty excited about the possibility the Scan To Email feature may actually work now. It has been years since I have done any email setups, and I was hitting the wall knowing I used to know all this stuff pretty well. Thank goodness for RUclips, and for folks like U Fix It Garage. I know I enjoy posting my own little RUclips How To videos for vintage Mustangs and Shelbys. It is nice to know others literally around the world have seen them and found the information useful. I can't imagine how my life might have been different if I had these tools available to me as a kid. No complaints, as things have gone well in my life. But kids under 18 will never know what it is like to go to a library only to find out the reference book you need to use has been checked out by someone else - as an example of how nice it is to have Wikipedia. Internet changed everything, and Google has placed a vast population on a much more even playing field when it comes to finding and access information.
THANK U, I would never ever have found out that how to set up Gmail account with my MF633Cdw! I always got just error message 1 or something similar. It seems to work well with MF633, too. Only the menus are a bit different looking than in your video on 733Cdw. I was losing my nerves to figure out all this, I finally learnt to use the 'scan to file tool' as well today. Sometimes I tried to surf Canon forums, but I never found any solution for 633Cdw. But well, now I'm happy and it's soon gonna be our first anniversary. With me and my new Canon, haha...

Canon really does not explain that an email address has to be used for setup sending from the printer. And it is really complicated for most people who don't know all the codes and where to look in the settings. This should be made simple in a setup screen! Thanks for the video. Also, note that gmail now requires a special password for such processes, and it needs to be set up in the Google account security by enabling 2 step verification first. Good luck. I hope I don't need this function because I just got tired trying to fix errors.

THANKS SO MUCH!!! Even for a non-sophisticated lawyer, this was super easy to do, and this was most useful now that we are under COVID-19 restrictions and had to do this all-by-myself. Had to figure out the "allow less secure apps" described below for not reading the comments first. By the way, this worked fine (with a few tweaks) on my Imageclass MF269dw as well. Hope you are doing great in this lockdown!
The video was clear, to the point, easy to follow and kept me from tossing the printer from a tall cliff. Two things I don't understand: 1. How did you find out how to perform these steps, and 2. Why does Canon have zero useful information in the operators manual?

I'll just go to the printer's touch panel and add my email address and everything will work as easy as setting up mail on an iPhone. Not the case! Your video tutorial led me right to that lil rascal. You're a champ! Fantastic, easy method and worked the first time. Seems to me that IF your "scan to email" is not setup, Canon should have a "walk through" menu where you fill in the blanks and it "remembers" the settings and puts the "send to" person in the address book.
Great video! This worked perfectly and I have the MF642CDW model. The setup and menus on these models are not intuitive an this saved a lot of hunting around. You definitely want to set up a new account if you are going to scan for email. Given that you have to ask Google (or likely other major email providers) to lower their authentication standards to accept outgoing mail, you don't want this on your main email account.
Thank you! I had set it up in the past and got it working fine. I just recently initialized settings to resolve some connectivity issues and for the life of me could not remember the SMTP port number update.
I was about to ask why bother putting a post-it note over a private IP address, but actually this video saved me. I've been sitting here for two hours trying to get this to work before I found this video and those silly port settings. So go ahead and proudly cover up that private IP address!

I'd also recommend setting up a separate email account (could be with Gmail, your Internet service provider, or your web hosting service) and entering that one in the scanner settings. That way your main email account won't get exposed to abuse or confusion, particularly if the scanner is shared, and all scans will go through a designated account.
Correct. It took me hald a day until I've found the reason why I could not set this up using the password of the mailbox. If I read your post earlier.. :)

You are to be commended for your clear and concise video! I used it on my recently purchased MF634CDW Canon Image Class printer and went without a hitch AFTER I changed my GOOGLE Gmail account setting under to Security to "less secure app'. Thank you very much!!
I bought mine two days ago and thats exactly for how long i was trying to set up the scan to email function.
I tried it by the original manual and several websites that explained - but none worked.

I just would like to add one thing about GMAIL : It first didn't work and I was already disappointed, because I exactly followed your video, BUT I received a email from Googlemailthat a " not secure app was trying to login to my email account and they have blocked it.. WELL I just allowed access to that so called App which was obviously my printer and then it just worked PERFECTLY !

Did you have to allow access to all low secure apps? Or did you find somewhere to add the printer as a safe app?

This video was great, but it did not work for me at first. I figured out that I had to also turn off the GMail 2 factor authentication and then change the setting for "Less Secure Apps" to "Allow". It's default setting is "off". Then it worked. Maybe this has changed in the 4 years since you've posted your original video.

I agree - this was most helpful and Canon should pay him! I'm glad that I read the comments though as I do have 2-factor auth - so I needed to generate that password on my google account and set it in place of the gmail password for it to work properly. Maybe heyjacks can update the description with a quick caveat about 2-factor authentication settings.

OMG!! It worked! AFter pulling my hair for 4 hours i decided to hop on YT..I would have NEVER figured this out, it's super complicated. Thank you soooo much! Sending Kisses and Hugs from California...lol. BTW I have a ImageClass Model MF632cdw. I did have to change my restriction/privacy setting in my Google Account under App Restriction because it thought it was a malicious app trying to access my Google account, but after i allowed access to all apps....it worked like a charm!!
Forget these haters...i would cover up my IP address too..better safe than sorry....also helped me with my MSN account....appreciate you posting the walkthrough!!

I was worried because I was not setting up from a gmail. I was dreading setting this up because of all the feedback saying this was really difficult. I called my email provider and they were pretty clueless about the port number. They said 587 or 465 might work. Emphasis on the “might”. So I decided to try it. It worked perfectly the first time! Can’t thank you enough !!

6 years ago this was correct and miraculously it's still a great advice today when I wanted to set up my i-SENSYS MF650C Series printer! Thanks so much and shame on Canon making it so troublesome...
It's just a local IP not public. You didn't need to cover it up.
Kudos! I have only done the setup with Port 587 and the other checkbox options. I am about to test. But, I wanted to thank you before even testing as I am pretty excited about the possibility the Scan To Email feature may actually work now. It has been years since I have done any email setups, and I was hitting the wall knowing I used to know all this stuff pretty well. Thank goodness for RUclips, and for folks like U Fix It Garage. I know I enjoy posting my own little RUclips How To videos for vintage Mustangs and Shelbys. It is nice to know others literally around the world have seen them and found the information useful. I can't imagine how my life might have been different if I had these tools available to me as a kid. No complaints, as things have gone well in my life. But kids under 18 will never know what it is like to go to a library only to find out the reference book you need to use has been checked out by someone else - as an example of how nice it is to have Wikipedia. Internet changed everything, and Google has placed a vast population on a much more even playing field when it comes to finding and access information.

THANK U, I would never ever have found out that how to set up Gmail account with my MF633Cdw! I always got just error message 1 or something similar. It seems to work well with MF633, too. Only the menus are a bit different looking than in your video on 733Cdw. I was losing my nerves to figure out all this, I finally learnt to use the 'scan to file tool' as well today. Sometimes I tried to surf Canon forums, but I never found any solution for 633Cdw. But well, now I'm happy and it's soon gonna be our first anniversary. With me and my new Canon, haha...

Canon really does not explain that an email address has to be used for setup sending from the printer. And it is really complicated for most people who don't know all the codes and where to look in the settings. This should be made simple in a setup screen! Thanks for the video. Also, note that gmail now requires a special password for such processes, and it needs to be set up in the Google account security by enabling 2 step verification first. Good luck. I hope I don't need this function because I just got tired trying to fix errors.
Yes canon is absolute garbage where half the features don’t even work.

THANKS SO MUCH!!! Even for a non-sophisticated lawyer, this was super easy to do, and this was most useful now that we are under COVID-19 restrictions and had to do this all-by-myself. Had to figure out the "allow less secure apps" described below for not reading the comments first. By the way, this worked fine (with a few tweaks) on my Imageclass MF269dw as well. Hope you are doing great in this lockdown!

The video was clear, to the point, easy to follow and kept me from tossing the printer from a tall cliff. Two things I don't understand: 1. How did you find out how to perform these steps, and 2. Why does Canon have zero useful information in the operators manual?

I have went at this so many times that I really hate to admit it. I thought, no problem! I'll just go to the printer's touch panel and add my email address and everything will work as easy as setting up mail on an iPhone. Not the case! Your video tutorial led me right to that lil rascal. Seems to me that IF your "scan to email" is not setup, Canon should have a "walk through" menu where you fill in the blanks and it "remembers" the settings and puts the "send to" person in the address book.
This was INCREDIBLY helpful. Google will likely require you to create an app-specific password for this device.

Great video! This worked perfectly and I have the MF642CDW model. The setup and menus on these models are not intuitive an this saved a lot of hunting around. You definitely want to set up a new account if you are going to scan for email. Given that you have to ask Google (or likely other major email providers) to lower their authentication standards to accept outgoing mail, you don't want this on your main email account.

Thank you! I had set it up in the past and got it working fine. I just recently initialized settings to resolve some connectivity issues and for the life of me could not remember the SMTP port number update.

I was about to ask why bother putting a post-it note over a private IP address, but actually this video saved me. I've been sitting here for two hours trying to get this to work before I found this video and those silly port settings. So go ahead and proudly cover up that private IP address!

Thanks, this was super helpful! I'd also recommend setting up a separate email account (could be with Gmail, your Internet service provider, or your web hosting service) and entering that one in the scanner settings. That way your main email account won't get exposed to abuse or confusion, particularly if the scanner is shared, and all scans will go through a designated account.
If you're running into issues still. You need to setup an "app password" in your Gmail and use that as your Gmail password in the printer setup.
Correct. It took me hald a day until I've found the reason why I could not set this up using the password of the mailbox. If I read your post earlier.. :)
