How To Create A Planner Task When A Microsoft Form Is Submitted

  • This Microsoft Power Automate tutorial will demonstrate how to create a task in Planner from Microsoft Forms. Specifically, it will demonstrate how to create a Planner task when a Microsoft Forms is submitted. A Microsoft Form to Planner task or MS form to planner task integration can be implemented using Microsoft Power Automate. As such, this video will demonstrate how to build a Microsoft Flow create Planner task from forms workflow. Using a Microsoft Power Automate forms to planner workflow, you can create Microsoft Planner task every time a Microsoft Form response is submitted. Additionally, this video will also demonstrate how to insert Microsoft forms response details into the notes or description field of the Microsoft Planner task. As a bonus, this Power automate MS Forms to Planner and link Microsoft forms to planner tutorial will demonstrate how to create Microsoft Planner tasks in different boards conditionally based on the responses provided at a question on a Microsoft Form survey. For example, when the response value "Complaint" is selected on a Microsoft Form designed to collect customer feedback is selected, a planner task will be created in a Microsoft Planner board titled "Complaint". Additionally, this video will demonstrate a way to link Microsoft form to planner, how to connect Microsoft forms to planner, and how to create planner task from Microsoft Form all using Microsoft Power Automate. Lastly this tutorial will answer the following questions: Can a Microsoft form Create a Planner task?, How do you integrate forms into Planner?, How do you integrate Power Automate with Microsoft Forms?, How do you use Power Automate to create tasks in Planner?

    Great video, It was easy to follow. Thanks for this.
    I have a question, exactly from 9:35 in the video when you talked about assigning Labels. in my form, there is a question that allows one to select one or multiple options, so I wanted to assign a Color label from planner to each of the options in my form such that if that option is selected in the form, the assigned Color label automatically appear in my bucket. However, I realised that once I switch the values of the Labels in planner to “Yes” as said in the video at 9:35, the Color label switched to “Yes” constantly appears in my bucket regardless of whether I have chosen the option I assigned to it in the form. Is there a way to go around this? Although I was thinking we may have to enter a custom value and use the “if” function.

    I have a question about the format of the date. When we fill info in forms, the date shows like “dd/mm/yyyy” whereas reflected “yyyy-mm-dd” in power automate. Do you know how to change the dates format in power automate from forms? Like id like to reflect same formats as “yyyy-mm-dd” from forms

    He Lui - this is an AWESOME tutorial. I do have an issue while creating from my form. I have to use the ID due to the form being in the group and it not appearing. This makes the create a task Title limited to just the responder's Email, Submission time, and Response ID and not the fields that I need to create the task - how do I fix this issue?

      Unfortunately not. You cannot apply text formatting unless you use custom code in Power Automate.

    Thank you so much for this! I am having issues when pulling the task details, the output to Notes of the generated task is inclusive of other characters that were not hard coded or part of the values I selected.
    Example:
    REQUESTER: ["Test"]
    how do I remove the [" "] from my output?
    Second, the my source Form submission has a step requiring an attachment upload. Is it possible to have the sharepoint url generated from this upload populate into the Notes section of the task as well? I attempted to do this by adding the update task details description hard code line for "attachments" and then selected dynamic content linked to that question in the form. The output i get is inclusive of a link but it also included a bunch of other characters as well.
    I'm a novice, any help is appreciated!

      Unfortunately I've not experienced the issue you're experiencing before. I'd suggest posting your issue with screenshots over on the Microsoft tech community.     Any change you can do a video where you can move the attachment from a form into planner ? Im using this as a service desk and wanted to see if they could add a photo?

      I'll add this to my backlog. I have a tutorial coming out soon that demonstrates how to create a Sharepoint List item from a Microsoft Forms response and in that video I demonstrate how to fetch the attachments from the MS Form Response and add them to SharePoint list item. You could also use the steps outlined to accomplish your use case. However

    @luilacobellis, can you tell me, once i have the the flow to create a Planner task, how do I set up the flow to make one of the answers to a question in my Form show up in the "Notes" section in the planner task? One of the questions on my form asks for the desription of the change. I want that answer to show up in the Notes section of the planner task.

      You could do this but in the approach outlined in the video you would need to hard code the person into the flow. You'd need to come up with additional methods to dynamically assign it to a user

    I want my task to be created by the person who filled out the form yet it keeps being created by me. I am the one who created the form, but why is it passing my info as the task creator? Can you help point me in the right direction?

      Unfortunately, you cannot alter the property of created by with the Planner create task connector. This isn't support by the workflow action at this time. Hope this helps!

    At 7:45 my only option is "List of response notifications Response Id" I click that and then it automatically goes to "Apply to each" from "Get response details" and nothing shows up in the task portion. What am I doing wrong? I'm following your steps exactly

      "List of response notifications Response Id" is an old deprecated Flow Action. I'm not sure if you are re-using a flow that you started building a while ago or a recent once. I'd suggest logging out and back into PA and then starting to create your flow once more from scratch.
