Chris...thanks for the comment, and that's a good point. But you'd be surprised how many people ask me... how do I sign up for a gmail account. After doing a few of these I've found it's better to cover as much as possible vs. trying to do the minimums.

Years ago, I had a business where on occasion I had to fax something, and at that time--2001--I had used a free bit of software that I added to my PC that ran through my printer, then the phone line. Hi Mason... I get this question quite a bit. In the video I show where I'm using my fax number as the send to number. It is yes, an efax number, but you can put a traditional physical fax machine number in the same place, followed by @rcfax.com or @efax.com in order for it to process through the internet.

The RingCentral service does not support GoogleVoice phone numbers (to verify the account holder) and also do not support APO/FPO/DPO mailing addresses, since the states AE/AA/AP are not supported. To resolve this they require a form to be faxed to them... what? I thought the goal here was to be able to send/receive faxes?!?! Very poor customer service and processes.

Dave, I'm not sure I understand the question to the extent that I need to, in order to give you a good answer... but what I understand is, you want someone to enter their info (name, email, fax) on your website, then you send them automatically a fax response? I believe we can get this service to do that... but if it cannot, there are several that will.. google "fax on demand" ...as far as the second part of your question, the subject line and the body of the email will send with the fax...it doesn't have to be an attachment.

Yes, absolutely you can. That's the whole point of it. You just give people your online fax number and they send how they normally would. If you mean...can I receive to email from your current fax number...the best thing to do would be to forward those numbers automatically to your new online fax number.

when you sign up for the service, they will assign you a new number. you can use your cell phone for the verification, so long as it's a contracted cell phone. If you don't have one, the best thing to do is use someone else's number for the verification and change the contact number afterwords. That was the recommendation from ringcentral.

They will put their branding on the cover sheet that shows you are sending a free fax, but that probably won't matter unless it's something sensitive like a resume or something else where you are trying to posture your business... but for personal non-financial items, sure...

The point is to show you how to setup a Gmail fax or email fax if you don't have Gmail. That being said, what you are trying to do is allow Gmail to send a fax on your behalf using an external fax service provider. So you enter the "to" fax number where you would normally enter an email address, then you add the service provider behind that... like this. 2056778993@rcfax.com. The rcfax.com in this case belongs to RingCentral. You would need to setup a free 30-day trial with them prior to entering that into your email. By the way, this will work with any email provider, not just Gmail.
***** I think what you are saying is that you'd like them to return the fax to your work fax number.... even though you are sending the fax from your computer. Is that correct? If so, you have two choices. 1. You can attach a fax cover letter as the first document which will print out before the other attachments and tell them your instructions. or 2. I would just receive the return fax back to your email fax so you can forward it, print it, store it, etc. If it needs to go to someone, or everyone at work, you can just forward them the attachment in their inbox. That way you have a bit of documentation as to when you sent it as well.

The idea behind online faxing is that you don't have to be there waiting for the fax to come in, or to make sure it's safe when it does. When you receive the fax into your email or gmail account, it's stored safely for you there.

Hi Kay, in your quest for how to send a fax online, you are going to need an online fax servicing account. There are several to choose from, one of them from the page attached to this video (see link). Then when you key in the @efax.com or @rcfax.com, your fax will actually go out. Hope that helps!
I've had efax for about five years now. However, a couple of weeks ago I can't open my files that come through my email like it has always done. I have contacted efax several times in the last few days. They tell (EFAX) me I have to go into their site, which is a real pain because I do a lot of efaxing to clients. SOOO, what do you think the problem is and I've tried everything possible, from PDF reloading, etc. Can you tell me what I need to do to get my efaxs through my email like I have done for years. I don't know if something from Gmail is blocking something or what. I would appreciate your help, you would think the efax people would know, apparently they don't know or just don't care. That's a good question Jerri. I don't know that they are blocking faxes on gmail from efax... but anything is possible. I know that with Ringcentral (link above) that you receive pdf attachments to your gmail account.
So, what is the relationship with Google? I don't understand. Apparently ANYONE can sign up for a free trial of some online fax services. Why must you need GMail, then?? Can't you do that using ANY email client??
Hi, thanks for watching... yes, you can use any web-based email...but the common request from people online is how do you do it exactly using gmail. so I made a video. If you'd like to see a video using a different email client... just let me know.
One item isn't clear: You mention the cover page but don't say how it comes about. As you demonstrated, you put minimal info in the subject line. Is that what goes as a cover letter? I'm listening to the video again to make sure I didn't miss it. Step 5: You don't say how the cover sheet comes about. I'm going to try it now anyway. I have to scan a hand-signed document and hope the receiver accepts it as a real fax :-)
There are a few ways to do that. The faxes that come in are in PDF format. Adobe Acrobat Reader is the program for this on the PC side, and Preview is the program that reads this on the mac side. Either one of those programs has a signature feature where you add a transparent signature (png) file to the document. Adobe requires you to scan it once, where mac let's you take a picture of it.

If you just want to send a fax from your computer, you can scan images and send an email fax by email. If you don't need an actual fax number, then there are services out there that will let you send a fax for free. The only catch is they usually want to include some sort of advertising on your fax cover sheet.

Right... sending and receiving a gmail fax can be done using any fax number, not just your own. All you have to do after selecting a service provider, is enter the @ sign and the fax company's extension like you mentioned above.

HelloFax is much more expensive than RingCentral. You can't even do email to fax on a trial... you have to option for their $10 dollars per month plan just to send OR receive from email. Do your research first before comment spamming.

So you don't want to send a cover page? I believe that is a setting you can checkbox. Either way, you have 30 days to try it out, so you'll be sure.

for sure... they just dial your electronic or efax number and it rings, then goes to tone, just like any other physical fax machine. You'll be fine.

Do you need to create your own fax number when all you want to do is send the document to a fax machine? I don't need to receive a fax back just need to send one.
branbran1819 For just sending a fax, you can find a few companies that will do that for you. They will put their branding on the cover sheet that shows you are sending a free fax, but that probably won't matter unless it's something sensitive like a resume or something else where you are trying to posture your business... but for personal non-financial items, sure...

The point is to show you how to setup a Gmail fax or email fax if you don't have Gmail. That being said, what you are trying to do is allow Gmail to send a fax on your behalf using an external fax service provider. So you enter the "to" fax number where you would normally enter an email address, then you add the service provider behind that... like this.
2056778993@rcfax.com. The rcfax.com in this case belongs to RingCentral. You would need to setup a free 30-day trial with them prior to entering that into your email. By the way, this will work with any email provider, not just Gmail.
***** I think what you are saying is that you'd like them to return the fax to your work fax number.... even though you are sending the fax from your computer. Is that correct?
If so, you have two choices. 1. You can attach a fax cover letter as the first document which will print out before the other attachments and tell them your instructions. or 2. I would just receive the return fax back to your email fax so you can forward it, print it, store it, etc. If it needs to go to someone, or everyone at work, you can just forward them the attachment in their inbox. That way you have a bit of documentation as to when you sent it as well.
Just now signing up with Ring Central fax and trial is for only 7 days as of today 9/12/14 but only 7.99 per month 500 pages. EFax is 30 day free trial but 16.95 per month for 150 inbound pages and 150 outbound pages

kyiree spence Hi... that's correct.... Unless you want to receive faxes by email anywhere in the world. The idea behind online faxing is that you don't have to be there waiting for the fax to come in, or to make sure it's safe when it does. When you receive the fax into your email or gmail account, it's stored safely for you there.

Your VIDEO TITLE is misleading. You say "RECIEVE" but you only talk about "SEND". What I want to know is, if I go to a faxing service and sign up and they give me a fax #, can I set it up so that if someone faxes me the normal way it goes to my GMAIL?

Are you sure that you need a fax in order to do that? That seems like something you would do from a website.

When I tried this, I received an error message that the fax # was not valid. I used a good fax # the first time, 2nd time I added the @efax.com. Same undeliverable message. What have I done incorrectly?
Hi Kay, in your quest for how to send a fax online, you are going to need an online fax servicing account. There are several to choose from, one of them from the page attached to this video (see link). Then when you key in the @efax.com or @rcfax.com, your fax will actually go out. Hope that helps!
I've had efax for about five years now. However, a couple of weeks ago I can't open my files that come through my email like it has always done. I have contacted efax several times in the last few days. They tell (EFAX) me I have to go into their site, which is a real pain because I do a lot of efaxing to clients.
SOOO, what do you think the problem is and I've tried everything possible, from PDF reloading, etc.
Can you tell me what I need to do to get my efaxs through my email like I have done for years. I don't know if something from Gmail is blocking something or what.
I would appreciate your help, you would think the efax people would know, apparently they don't know or just don't care.

That's a good question Jerri. I don't know that they are blocking faxes on gmail from efax... but anything is possible. I know that with Ringcentral (link above) that you receive pdf attachments to your gmail account.
So, what is the relationship with Google? I don't understand. Apparently ANYONE can sign up for a free trial of some online fax services. Why must you need GMail, then?? Can't you do that using ANY email client??

One item isn't clear: You mention the cover page but don't say how it comes about. As you demonstrated, you put minimal info in the subject line. Is that what goes as a cover letter? I'm listening to the video again to make sure I didn't miss it. Step 5: You don't say how the cover sheet comes about. I'm going to try it now anyway. I have to scan a hand-signed document and hope the receiver accepts it as a real fax :-)
what if the document needs signature?
There are a few ways to do that. The faxes that come in are in PDF format. Adobe Acrobat Reader is the program for this on the PC side, and Preview is the program that reads this on the mac side. Either one of those programs has a signature feature where you add a transparent signature (png) file to the document. Adobe requires you to scan it once, where mac let's you take a picture of it.

If you just want to send a fax from your computer, you can scan images and send an email fax by email. If you don't need an actual fax number, then there are services out there that will let you send a fax for free. The only catch is they usually want to include some sort of advertising on your fax cover sheet.

I just needed to know that it worked with any fax number and it wasn't just "my fax number via email" since I needed to send a fax not just send to myself for testing. Thanks so much Matt!
Right... sending and receiving a gmail fax can be done using any fax number, not just your own. All you have to do after selecting a service provider, is enter the @ sign and the fax company's extension like you mentioned above.

Writing this I can see how that would be confusing. Yes you can send to an international fax number. They have very very low rates for that...

HelloFax is much more expensive than RingCentral. You can't even do email to fax on a trial... you have to option for their $10 dollars per month plan just to send OR receive from email. Do your research first before comment spamming.

You just enter whatever it is you want to send and then enter the fax number where you would normally enter the email address. Like this... 2068921730@rcfax.com The rcfax.com at the end is what tells the online fax service provider that this is a fax and they should process it on their end.
