- In this step-by-step tutorial, learn how you can track attendance in Microsoft Teams.
Meeting organizers can view and download a meeting attendance report. Find this report in the Participants pane of the meeting, by clicking the download arrow as shown below. You can download the report as a .CSV file (text format).
For education tenants, this report is useful to track student attendance in online classes. For example, the teacher can download the attendance report at the start of class as a simple way to do a "roll call."
As an admin, you control whether meeting organizers can download meeting attendance reports by setting a Teams meeting policy. By default, the ability to download the report is turned off.
If meeting organizers need access to more meeting attendance data than they get from the report available within the meeting, you can assign the Report reader role so they can access the Teams admin reports themselves.

Just add MS Forms as a widget to the meeting and drop a poll in the chat box, not only can you extract the attendance as an excel file, you can randomize which time you’ll check attendance

If all you want to know is 'Were they there for any part of the meeting?' they do all show in the Posts channel with the meeting video. At least for a small class, not sure what happens with a big class, whether you can access the 'others'

One key thing to remember is that this must (in most cases) be done at the END of the meeting. When you download the attendance, it details all of the coming and going up to that point. If someone new joins the meeting after the download, that name won't be in the already stored record.
That sounds like a useful idea.
I find the Attendance reports very messy as Teams meetings NEVER look like the examples used in tutorial videos. They're typically full of attendees coming and going throughout as their connections drop, they go on breaks, they go in to breakout Rooms or Teams fails to add them to breakout rooms, they leave and rejoin or attend using two devices at once! 😆 I struggle to find a total attendance time for each attendee. Zoom seemed much better.
Kevin - I was really excited when this functionality became available ALTHOUGH I do believe MS Teams should allow the organizer to decide if another person can download the attendee list. For instances - from a business perspective - often people will delegate scheduling to somebody else but in no way could that person hop onto every single call; meeting; training; etc to download all the participant lists. At the very least if the organizer could have the permissions to get the list as well as anybody the organizer extends that permission to - i.e. the Host; Trainer; etc.
I agree - MS should not assume that ONLY teacher schedule classes. In my situation NO teachers schedule and with only ONE organizer allowed the scheduler has to download the report at class ends (which are across staggering times) and end the meeting. Only good thing currently is as long as the meeting has not been ended, that organizer has gone into meeting hours after class finish and been able to get the list.
Kevin- I am a teacher and our administrators scheduled our TEAMS meetings so someone else is the organizer. How can I still take attendance on MSTEAMS?

Key question!
You can currently only download the attendance list while the meeting is ongoing. It's likely best to download at the very end so you have a full attendance record for the entire session. Once you leave the session, the attendance list is wiped. If you leave and rejoin, the attendance list starts again from when you rejoined. Hope that helps!

Any idea of this feature will be available in the future to download the attendance after the meeting ends? When you host a meeting and if you present your screen till the end of the meeting, chances are you miss out on downloading attendance report before the meeting ends.
As long as you remember to download the report before hanging up, you can download it. Once you exit the meeting and rejoin, the attendance list will be reset. If you want the ability to download an attendance report even after leaving the meeting, I'd submit feedback via your Teams app.
Thank you this helped me so much. I wasn’t understanding why I had to wait almost eight hours for my attendance repots to download after my Monday meetings. Good to know as the meeting organizer I can force a download. Great content
There was a recent upload by a guy who actually pulled off showing pre-recorded videos through a virtual camera for an entire week, and nobody in the meeting figured it out. I hope tons of students try to do it, and it just shows them looking at the screen and nodding. That would be hilarious.

I would also REALLY like to know this. I just tried going back into a former Teams meeting from yesterday and the attendance report just showed me with the current time stamp of the restarted meeting to try to get the report. I'm sure teachers will forget to download it before ended the sessions on occasion.

No Way
Record is only valid if you are in team and join the meeting in time, so any reason if you leave the class.... Record is gone for ever
Add "Insights" to your Channels... it tracks all activities of the participants

The Team has a calendar but hidden in Outlook. See microsoftteams.uservoice.com/forums/555103-public/suggestions/34734004--hiddenfromexchangeclientsenabled-true-when-crea. You can still open it via Outlook web access (OWA). Then create website tab in Teams with the OWA URL. If you’re admin, you can enable in regular Outlook via Poweshell. Microsoft - please do this user voice suggestion!

Thanks for this. It seems to depend on you setting up a meeting with naming attendees rather than people entering the meeting via a link? If they are invited through a Team which has the students added to the Team, does it work?
The attendance list also includes guests who enter the Teams meeting through a link. They don't have to be named attendees. Hope that helps!
@@KevinStratvert I there any way that a student could be "observing" the meeting and not truly be part of it and therefore not showing up on the download. I've been keeping downloaded lists since Sept. 14 and now I have a parent of one of my students disputing her poor attendance record. Student claims she's been in on the meetings. I have no evidence to support that. As a school we're having problems with this. Kids say they were there, but don't show up. We really don't feel like all of them are lying.
So, does this mean that for the entire school year I have to download each of my 8 classes EVERYDAY!!

Kevin, I'd love to know how to track attendance in Teams without needing to have a meeting. School districts this year are not having synchronous meetings everyday, but attendance is required everyday in Washington according to OSPI rules.

@@MaheshkumarChiliveri When the Live event is scheduled, the organizer must check "allow attendee report." When the meeting ends, go to the event from your Teams calendar and you will see the button to download it.

That happens to me all the time. There should be a way so that the studens are attendees as soon as they enter the class. It's annoying having to make all of them attendees every class.

What if I end the meeting, then after sometime I recall that I don't remember to download the attendance. Then how will I able to download the attendance????
I do have the same question. The only way I have found that this is possible, is to be an admin in Teams, meanning that your company or institution should give you admin permisions, not only for Microsoft Teams, but to the whole Microsoft 365

You can get attendance report option while you rejoin the same meeting even if meeting is over.

Another question that is a little off topic but involves TEAMS. You are conducting a remote learning class - and you give students an online test which they have to complete within the period. Is there a way to prevent students having there own video conferencing on TEAMS to discuss their answers between them? Can you disable this function for a period of time?
