    As a school, we chose the last method given the advantage of using less bandwidth. It worked super fine for students who could afford a PC or tablet. However, many of those using their phones reported not being able to watch the slides. So now we are considering changing the method. The 4th option seems the best as you said. Thank you!

      I have not heard of an issue with method 5 on phones and will have to investigate further. Option 4 allows you to share less of your screen so hopefully that will help with the bandwidth challenges.

      I ran a quick test using Option 5 and watching the slides on an iPhone in the Teams app. All the slides worked properly. There must be more to investigate because these issues are being reported by many others in the post you have linked to.

    Thank you so much for this, very useful. I am struggling to find information on which options allow you to see your meeting participants whilst presenting - can you answer this one? I think it may be in option 5 only but option 5 doesn't play videos.

      Whether you see your meeting participants or not on Teams doesn't depend on which of the options you choose. In a Teams meeting when you share content, it minimizes the Teams interface to a small video window in the lower right corner of your screen. Just click on that window and it will restore the Teams interface so you can see all the participants.

      Thanks but I think you'll find when you choose option 5 you can still see participants across the bottom of your screen while you're presenting....

    I like the way this was thought through and demonstrated. Good pacing: to the point, but not too fast to take in.
    In particular, I was interested in the option to present the show within a window rather than within a full screen. As far as I could tell, this permits a presenter's video image to be present for the attendee as well as the slideshow. (In the RUclips, there's an initials avatar in lieu of video, but I expect that's where my face would be if I had my camera on.) On occasion, I've found myself gesturing to enhance a point, then realising that full-screen Presenter View is thwarting that. Another RUclipsr has promoted option #5 for its ability to show the presenter's face concurrently with the slideshow, but for me there are too many function restrictions in option #5 to make it worthwhile. I hope that Microsoft eventually extends all the functions of Presenter View to this cloud-sourced mode.
    There's another reason why I am keen to use a slideshow-within-window option rather than a full-screen telecast of the slideshow. I have actually found myself unable to effectively exit from screen sharing full-screen PowerPoint and to return to screen sharing for another document (say, a Word file). I need to experiment more with this, but more than once I found that I was out of Teams rather than simply out of PowerPoint (Alt-Tab, or Windows-Tab provided no window that offered my controls back. Calling up Teams did indeed load Teams - suggesting it'd been closed.)
    I'm a strong believer in using Presenter View's functions. Direct slide access by slide number, a full-page equivalent of slide sorter view just for the presenter, the ability to make notes on (annotate) slides and to direct a 'laser pointer' over slides, the access to notes and the forthcoming slide: these are compelling features that allow presenters to be more than servants of a pre-arranged structure. I will mainly be using options that preserve Presenter View's functions.
    There was one situation where I have considered using PowerPoint in Edit view with my attendees. Where I have an exercise in which text boxes need to be moved to the correct position on the slide (perhaps to label parts on a diagram, or to match terms with definitions), that could be done 'real-time', attendees participating with their voiced suggestions, by doing that task in Edit mode. (Obviously, you can prepare an animation demonstrating the correct actions in a pre-determined sequence, but I'm talking about working with the participants as candidate solutions are trialled and then sometimes rejected, etc.) So there's a potential place for that interesting option where the Edit view was trimmed of distracting panels and toolbars.

      I misunderstood the possibilities in my second paragraph above. What I imagined was that Presenter View control would still be in effect, but would output to a window rather than to an entire screen. I think that could be very useful under Teams, for the reasons I went into. As things stand, however, the function works as it's correctly described - it's for personal browsing.

      As it stands now, Presenter View only outputs to a full screen. The option I use if I want to see my notes and slides is to print a PDF of Notes view. Then I can scroll through that on a portion of the screen while I show and control the slides in a window using Option 4.

    Great video. We have staff working from home offices and bandwidth is a challenge. Option 5 looks like our best option.

      It could be as long as it supports the features in PowerPoint that you use. Option 4 could be an option as well if you make your PowerPoint window smaller so it transmits less data.

      Teams IS created for doing both. That is why there is an option to upload the presentation. There you get best of both worlds. Unfortunately, most people either share desktop / single PowerPoint window instead and get confused.

    Hi. These videos are very helpful - thank you. Option 4 is a life saver! I have two questions (1) how did you manage to see the presenter AND audience view at the same time. (2) If you share the slide show in a window and want to add a quick form in chats will the audience (students) see the chat appear, or do they have to switch screens? Many many thanks.

      Glad you liked the videos! I was not seeing the presenter and audience view at the same time on the same computer. When I create the videos I use either the Teams recording or a screen capture recording from a second computer to show the audience view. Then I merge the two in editing.
      If you drop a link into the meeting chat then everyone can see it by opening the chat pane. The chat pane opens on the right side of the Teams window. It makes the slides a little smaller but they still see both.

    Is option "2:Share the Slide Show window" and option "4:Share the slide show in a window" still available? It's no longer possible on my teams for Mac Oct 2020. It was a good way to use the screen for notes during the presentation.

    Thank you for sharing this video. It explains very clearly all 5 options. One question: If I want to show a video where I have the URL included on a slide, how can I do that and return to the slides once the video is done? Currently I stop sharing the slides and share the Video, then return to the slides. Is there a better way?

      In PowerPoint you can insert an online video on a slide. If you set the playback to Automatic, the video plays as soon as the slide appears. I do this regularly with RUclips videos and it works well. There is a slight delay while the video loads from RUclips, but it will play. If you only want to play part of the video or want to include any closed captions, you can watch this video to see how to do that: ruclips.net/video/gq3yUtGHnYs/видео.html (it does involve switching from PowerPoint to the browser). Remember in Teams on Windows 10 that to get the audio to be heard, you have to change the setting as shown in this video: ruclips.net/video/6W2faZw7Ymw/видео.html.

    I'm a new Teams user and really struggling to figure out how to both drive a slide show with animations AND see my notes, but in such a way that participants can not see my notes. I would love any tips on that!

    That was so helpful, thankn you very much. - I am preparing to use teams for a n interview and would really like help troubleshooting - I can use option 1 , and will If I cant get option 2 or option 5 to work. but option 2 results in the slides appearinng off centre and hence cropped on my audiences' screen while option five does not play embedded videos ( AVI),

      Good luck with the interview! Option 5 does have some limitations since it is using PowerPoint on the web. It sounds like Option 1 may work best since you can get it to work for you. You may want to test Option 4 as well.

      The audio file will play just like it does before. The issue may be a setting in Windows 10 that reduces the volume by 80% (it can also affect the audio track in a video). I show how to solve this issue in this video: ruclips.net/video/6W2faZw7Ymw/видео.html. Hope that helps.

      @@ThinkOutsideTheSlide Thanks for your speedy reply. Yes, I did watch that video and I did check the settings and it is set as you mentioned. What I experienced that if I select the power point slide presentation, the option to include the system audio is disabled and I am not able to click on the box to include the system audio. Any help will be great.

      If that option is disabled, it may be a setting that the system administrators have set. I have not seen that option disabled in the Teams environments that I work in. I would suggest you check with the system administrators to see if they have disabled audio sharing and perhaps they can enable it for you.

When I tried to share the screen and clicked on include system audio and open the power point file under "Power Point" I get the message "System audio is enabled. If you need to include your system audio, use desktop or window sharing". I also searched for the solution and found that if you share the ppt file under the app or use the whiteboard, then the audio is not supported under this situation. Only option to share audio system is when you share the file via desktop or window sharing.

      Option 5 uses PowerPoint on the Web to play the slides and it looks like that may not support sharing system audio yet. If you do want to use PowerPoint on the Web, you can run it in a browser window and share the browser window. Then you can share the system audio (this I have tested with sharing RUclips videos from a browser window).

    It's also possible to use the speakers mode (i have the german version so i don't know the correct translation) within PowerPoint which enables showing all notes just for the speaker and the preview to the next sheet.

    That's great, but why do 2 shows appear beside each other on the student screen, one with animation and the second without?

      In Option 5 at the time I created the video, the attendee screen showed the animated elements on the slide before the presenter advanced to bring them on. This is one of the issues with Option 5. It will hopefully get better over time as Microsoft addresses these issues. The attendees only see one screen; the video was showing what the Presenter's screen looks like as well.

    There is a huge delay of around 3 minutes experienced today while showing power point presentation in MS Teams. Highly frustrating. Are they transmit and receive audio, video and Screen sharing using separate unsync software components in the main app? MS Teams consumes high amount of resources like 1 GB memory and 20 Mbps bandwidth which eventually force users to upgrade their systems for running Teams. Highly frustrating.

      That does sound very frustrating. In most cases it is best to first start by asking your local Teams administrator to see if there is a known issue. I hope the experience gets better for you.

    What happens if you use alt+tab while slide sharing? Does the slide minimize as well?

      In Windows Alt+Tab is an operating system level way to switch the active application. If you are sharing your screen, the audience will see everything that goes on. If you are sharing a window, it shouldn't change what the audience sees unless you end up changing the shared window content or closing the window.

    I am learning about Microsoft teens. How do you present a PowerPoint to students but at the same time you be able to see your students on the screen? I need to be able to see what they are doing while I go through the slides.

      If you are using one of the options where the slides take up your full screen, you can't see both the Teams interface and your slides at the same time. If you use Option 4, after you share your slides, the Teams interface gets minimized to a small window in the lower right corner of your screen where you see your video only. If you click on your image in that small window, the full Teams interface opens again. Remember to click on the PowerPoint window again to be able to advance your slides.

      In option #2, the slide show takes up the full screen and you can't see the Teams interface or other documents on your desktop. In option #4, the slide show is only within the PowerPoint window so you can see other items on your desktop, like notes or the Teams controls.

      As a presenter when I use option #4, I noticed there is a bug, though my audience can't see the other open windows, they do see my cursor as I use those windows - only they see it moving on the slideshow with no logic.
      Is there any way to fix this? Can I hide my cursor movements from my audience?

      Sorry for not replying sooner. I didn't see your extra comment/question. In my experience the cursor is only seen when it moves inside the PowerPoint window. So I am just careful to move it around that window on the screen if I am using another app. Hope that helps.

    Where it shows the small "DP" icon in the bottom right-hand corner on the audience view, will this show the presenter's camera if your camera is on? I'm wanting to be able to present to the audience while they also can see me presenting simultaneously.

      Yes, that "DP" is actually where your video would be in a presentation if you turn your camera on. I left my camera off when creating this video so the focus was on the options I was trying to show.

      No, option 5 assumes you want to show the slides to the audience as a slide show. If you want to show the PowerPoint file in editing mode, you can open it in a browser and share that browser window in Teams.

      If you have two screens you could share the screen with the slides and have Presenter View on the other screen so you can see your notes. If you have one screen, option 4 allows you to show just the slides in the PowerPoint window and allows you to have a PDF of your notes open somewhere else on your screen so you can see your notes.

    So if I want my script to be side by side, I just need to share my slides in Teams Web and open up the script.doc window right next to it, am I right ?

      Option 5 is one method that would work, you are correct. The risk is that a feature you used in PowerPoint on your desktop may not yet be supported in PowerPoint on the Web that Teams uses in Option 5. Another method would be Option 4 where you can have your script open beside the PowerPoint window and the audience only sees the slides because you are just sharing that window.

      Whether the participants can take control is a meeting setting that does not have anything to do with how you share your PowerPoint slide show. In Teams a participant can request to Take Control and you can refuse the request. To stop someone's ability to share content at all, make them an attendee instead of a presenter. This article explains the different roles participants can have: support.microsoft.com/en-gb/office/roles-in-a-teams-meeting-c16fa7d0-1666-4dde-8686-0a0bfe16e019. The article also explains how to change someone's role before or during a meeting.

      @@ThinkOutsideTheSlide Actually, @Harsha Anirudhan raises a point that I think is worth including in the pros and cons. The specialised PowerPoint option (your #5) by default allows attendees to navigate back and forth through the slides. Usually, I think, a presenter will want to turn this option off - often we withhold surprises (or solutions) on forthcoming slides! When that option is altered, all modes restrict slide navigation to the presenter(s) only.
      My experience of this last option is that it's very limited: basically advance or regress step-by-step only. I think I will post separately on comparative presenter functionality.

      By default, the participant can navigate through the slides when using Option 5. I agree that I would not want participants to be able to do this. It is relatively easy to turn off but one must remember to do so each time. I am not sure but it may be possible to turn this off by default in the Admin settings but regular users don't have access to this, only IT admins.

    Why am I only able to share PowerPoint files within Teams. I can't share anything outside of Teams?

      If you are referring to option 5 in the video, this is an option that only exists in Teams because Microsoft is using their own PowerPoint on the Web app to create an option that uses less bandwidth. PowerPoint slides can be shared on any web meeting platform, such as Zoom, Webex, Google Meet, and others.

    How to show pointer or cursor during the ppt presentationin. In my case it is invisible

      I have found that the cursor is seen in all options however the laser pointer tool is only available in some of the options (option 4 does not have the laser pointer tool).

    can people outside your organization also be a presenter?

      I believe that option is set in the organization's Teams administrator panel so it may or may not be something you can control in your organization. I know it is possible because I've done it in meetings before but I think there are some settings that the admins can change to restrict this. The participant would need to be a presenter role not an attendee role. You can change someone's role in the Participant list if you are the meeting organizer. One way to test this is to start a meeting and invite your personal email address, such as a Gmail address. Use this invitation to connect to the meeting in the Teams app on a second device (a computer is best to test but a phone or tablet will work) without logging in to Teams to make sure you are a guest. Then test if you can share from there.

      In almost all cases if you move your cursor over the slides on your screen the attendees will see the cursor on their screen.

    Am I being stupid here and missing something... Why isn't there an option were the audience can see the presentation and you can see the audience with maybe the PP in a minimised window?

      In Teams when you share content the app window gets minimized so you can see your screen when presenting. You can restore the app window so you can see everyone's video if your prefer that.     Now i understand why few of my kids from each class can't view my slides when I share them from the TEAMS file so I always have to resort to option 4. for me the best option is obviously no 5 as u can view both the PPT and Teams attendees/chat window but not all students can view the slides.

      With option 4 you can click on the minimized Teams window after sharing to show the full Teams controls. Then you can see the chat and participant list. Hope that makes using option 4 better for you.

      FYI - Set up slideshow is not an option in PowerPoint 365 :-(

      I have this option in both Windows and Mac versions of PowerPoint 365. Not sure why it would not be showing for you. If you are using PowerPoint on the Web then you would not see this option because it cannot display the slide show in a window in the web version of PowerPoint.

      When you share any application in Teams it minimizes your video to a small window for the audience. If you want the video to be large, you can try the approach in this video: ruclips.net/video/rKDKniBmwe0/видео.html.

      As with sharing any screen or application in Teams, you click the stop sharing icon, which looks like a rounded rectangle with an X on it.

    Option #5: add to Disadvantages: You cannot share a PowerPoint and record the presentation. You do get an error message at the top just under the "You're recording" message that says: "File sharing not recorded. To record a PowerPoint presentation, share your desktop instead". If you ignore the error message and keep going, as I did, you will end up with a recording that has audio, but no video.
