Organize Your Administrative Documents

  • You're only as good as your organization allows you to be. Just like important personal paperwork that you keep close by at all times, your business has important information that you should store to have access to whenever you need it. Ideally, these items are all kept behind a password, or two because there is important information on them, and information that could be valuable if it falls into the wrong hands. Below is a list of items you should keep in some sort of cloud-based sharing system so that you can access them wherever you are and whenever you need them.
    •Entity registration documents, Articles of Incorporation, and entity identification numbers (issued by the state(s) your business is registered in)
    •Operating Agreement (if applicable)
    •Employer Identification Number (EIN) Assignment Letter from the IRS
    •Local registration and account number (if applicable)
    •Sales tax license number (if applicable)
    •Payroll tax ID numbers (if applicable)
    •Current year insurance policies (business, liability, worker's compensation, etc)
    •Current W9s for all subcontractors that do work for you
    •Insurance policies for all subcontractors that need a policy on file
    •Current Rental/Lease Agreement
    •Tax Notices and the responses, for the last 7 years
    •Employment documents for current and former employees
    •Documentation related to employees leaving or being terminated
    •7 years of business tax returns (if applicable)
    •7 years of personal tax returns (likely needed to prove taxable income unless you own a C-Corp)
    •7 years of bank statements, credit card statements, loan statements for the business, separated by year
