How I backup and catalogue my Procreate digital artwork

  • If you're anything like me you have a gazillion Stacks in your Procreate gallery. Which makes finding a specific file a nightmare! In this quick video I show you a method I've started using to not only backup my artwork, but also create a decent catalogue system which makes finding artwork much easier!

    Thanks so much for sharing your tips and taking the time to put this video together, Lisa. It’s fantastic, much appreciated, and very helpful. 🥰
    One thing I do to make it easy to identify which Procreate files I’ve actually backed up is to add the ‘= ‘ sign to the front of the file name in Procreate as soon as I’ve backed it up, i.e. LG MissPiggy1 (before backing up) becomes =LG MissPiggy1 (after backing up). I find it visually easy then to see what files still need to be backed up if I take a break. 😃

      That's a super tip! I add the letters CAT (short for catalogue), but I think a symbol is a lot better! Great idea 😊

    This is very helpful Lisa, thank you! I also heard recently it is easy to plug USB hard drive into your iPad and copy files onto a hard drive. I haven't done this yet, but it seems like it would be quicker than airdropping to your computer. The cataloguing is a fantastic idea! Thanks again!!

    I back up my files the same way but hadn’t been coding them which I can see would be really useful for the future so will start doing that. I actually go a step further and only keep the files on my pc and back up that to an external hard drive and delete all the stacks in Procreate because I’m always running out of storage on my iPad lol.

      That's a good idea! I should do the same but I always get nervous deleting docs from Procreate, I always think I need them there "just in case"! 😂

    I struggle with this in Procreate and I wish that Procreate would come out with a better way to organize stacks and the item under a stack. I like what you are doing and need to sit down and do this myself. Thanks for sharing!

      I agree! I wish I could have sub folders in a stack in Procreate. Maybe in the future, let's hope! Glad this was helpful though 😊

    I love how you organize and backup your illustrations. Thanks so much for sharing. 😊 One question….do you put the underscore dashes between the words in the file name intentionally?

      It's a pleasure!! Yes I do. It comes from my graphic design days when we used a server for all our file storage and back then the system didn't like spaces. It could just be an old wives tale now, but from what I've heard, it's better to not have spaces for more stability especially when transferring files between devices. 🤗

      @@Lisaglanz eliminating spaces is still a good housekeeping practice, it uses less system resource to read the file names so doesn’t slow your system down so much when you have a gazillion files (like me!)

    Do you find that the large files and large number of files slow down procreate? I imported one of your canvases and it crashed my procreate I thought maybe the file was too big for it to handle.

      Hi Christina, I don't have that problem, it could be that the canvas files causing that problem for you has too many layers for your size iPad. My sets usually include two versions of the canvas, if you're struggling to open the larger one please try the smaller/standard size instead. Procreate needs a certain amount of your iPad's memory/processor to function properly, so based on your iPads capabilities Procreate will limit the files size and layers your iPad can cope with. I also make a habit of clearing my iPad from time to time to keep plenty of free space for Procreate to run smoothly. Hope that helps!
