    Apostilles are complicated, and our goal in this series is to provide simple, concise information about common questions and issues in a few minutes or less.
    Topic 1: What is an apostille: In simple terms, an apostille is an Internationally Uniform Certification of a Document that validates it for International use.
    In the US there are two key differences: Federal and State Apostilles
    State Apostilles are for BCs, MCs, Diplomas, Notarized Documents and other documents issued by any particular state. An apostille is s sperate sheet attached to the original document by the secretary of state - it clearly says “apostille” on top.
    Federal Apostilles are for FBI Background Checks, Social Security Letters and other documents issued by the federal government.
    Key Points, Common Questions: Where can I get an apostille? State apostilles are only issued by the secretary of state from the state of issue. For example, if you have a California Birth Certificate, it can only be apostilled in California. If you have a notarized document from Florida, it can only be apostilled in Florida, no exception. Translation apostilles are different and will be explained in another video.
    Federal documents are only apostilled by the Federal Authentications Office in DC. In odd cases, notarized versions of federal documents can be apostilled by a state, but doing so is not recommended for a variety or reasons.
    The most complicated part of any apostille is government rules and regulations. You can always order apostilles yourself; however, using a service like our reduces the risk of rejection and return and will speed up the process, in most cases.
    Summary - apostilles validate documents (either state or federal) for use internationally. If you’re getting married abroad, planning long term travel or retirement abroad, most likely many of your government issued documents will need apostilles in order to be valid.

    Is the document for apostille must be translated to the designated country languages or it's fine with english?

      Most likely, but for Jamaica, you should double check with the requesting party as they have flexible rules/regulations for different regions, and not all docs will need an apostille. Thanks!

      A Consular Report of Birth Abroad (CRBA) is a document that certifies a child acquired U.S. citizenship at birth, and yes, those can be apostilled too. They are not really more official with an apostille, just valid for international use. To Apostille a CRBA, the document has to be five years older or newer, and the federal government's vital records division can take a long time to process apostilles for birth abroad certificates.     How about a DD 214 - Certificate of Release or Discharge from Active Duty. I have the original wet signature document, what next?

    Do i have to notorized my CA drivers license in order to have it apostille?

      Yes, driver's licenses can't be apostilled as is -- you will need to get a notarized copy, which has been properly notarized according to the rules of the state. Thanks!

      Yes, that is correct. Only the secretary of state can issue the Ohio State Apostille, and the process can be complicated from outside of the country. You may try calling the sec of state as they can sometimes take payment over the phone with a card, even though they don't list that option on their site. Additionally, they may have other options for your situation. If you need help, you can always send the doc to us, we would then send to the OH Sec of State (with payment) and then back to you in Spain, via FedEx or DHL. Thanks!

    Hello, I would like to know how I can apostille a notarial document from Ohio from Spain. I received it by mail and now they ask me for the apostille so that I can use it in Spain. I know I have to do it at the Ohio Secretary of State. But they ask me for a check for five dollars and USA postage stamps that I can't find in my country

      No, the federal government is required to process in the order in which requests are received, so the only way to expedite (even a little bit) is to ship to/from DC via overnight delivery. Other than that, there is no way to expedite.

      Not sure if a notary can help, although you may have to have your documents notarized. Aside from that, most of your documents will need to be apostilled (authenticated and legalized) by the state. Translations are typically not needed for Panama as they generally accept documents written in English. You should get in touch with the Consulate of Panama in DC and see what is required for retirement visas. If you are also considering Europe, each country has its own rules/regulations.

    Hello, How do I get award letters from Social Security and the VA which contains the seal of the agency, the official's signature and the printed name and title of the official who signed the document please? These things are required for the State Department to apostille the documents. The download award letters from the VA and Social Security do not have the above.

      We have to apostille those at the state level since they are not officially signed by a federal employee. We create a notarized affidavit and attach it to a copy of the letter. From that point, we send to the state government for an apostille.

      @@ApostilleService I believe that all federal docs need to be appostilled via US state department not state level. BTW, many countries will authentic/appostile fed docs at the US embassy as well. I know they do in the Philippines.

      @@rfbos Yes, correct. The state level shortcut is really only valid when a country/agent just needs to check a box and get something done -- not valid 99% of the time. Federal docs should be apostilled at the federal level and state docs at the state level. Consular legalizations can be done in some countries too, correct.

    I have been waiting 10 weeks to get my FBI background check apostille documents. It's so frustrating . What do you recommend ? I am within the 90 to apply for the student visa .

      It should be processed soon if it has been 10 weeks. We haven't seen ten weeks here, but processing is very slow now. We get our a little faster as we ship to/from DC via overnight which speeds up the process, but if you used regular mail, you may be waiting around 10 weeks. You should call the Dept of State and they can check on your order: 202-485-8000 -- best time to call is 8AM to 10AM Eastern Time. When you get your document back from the State Department, you should scan/email it to Spanish Consulate in your region/zone, and they should give you an appointment quickly if you have the docs ready.

      The US gov doesn't set an expiration; however, other governments do. Most country only allow 90 days of validity, but some have changed to five months or 180 days in the past few years, depending on the visa requested. You should always double check, but 90 days is always a safe estimate, worldwide. Thanks!

      You will need to get a new copy (most order from VitalChek) and send it to us. We can't obtain the doc on your behalf due to privacy laws/rules. Also, states must have the original to issue an apostille as scans/PDFs will not work for state-level apostilles. Thanks!

      No, you will have to start over. The government doesn't keep prints/files on these for security reasons... We have seen these lost in the mail/shipping, and we have to order new ones. If you have the PDF version of the background check, you can just order a new apostille from the PDF.
