Method Statement (MS): A method statement is a type of health and safety document that people usually use for high-risk work. It describes the steps (method) that workers must take to carry out a particular job safely. Primarily, they are for the benefit of those who will physically be carrying out the work, usually those working in the construction sector.
Material Submittal (MS)/ Material Transmittal (MT)/ Material Approval (MA)/ Supplier Submittal(SS)/Material Approval Request (MAR):
Shop drawings and material submittals (submittals) are a critical element of every construction project. They serve to provide the architect, contractor and subcontractors with detailed information on the materials to be incorporated into the project.
Letters: Letters are used by companies to stay connected to their Client, Consultant, Subcontractor, Supplier, Manufacturer for various reasons. A letter may be for retention purposes, for giving out information about the new product and service offerings of the business or for explaining the terms of the purchase done by a client.
There are two types of letters: Incoming Letters & Outgoing Letters.
Incoming Letters: Those letters we will receive from Client, Consultant, Supplier, Subcontractor, Manufacturer Etc. are called Incoming letters.
Outgoing Letters: Those letters we send to Client, Consultant, Supplier, Subcontractor, Manufacturer Etc. are called outgoing letters.
Field Inspection Request (FIR)/Work Inspection Request (WIR)/ Inspection Request (IR)/ Request for Inspection (RFI): An inspection request form is the request form that is used for making a request for inspection. It can be either used by the organization to request the inspection officer to conduct an inspection or vice versa. The ultimate aim is to make a request conducting inspection as a regular procedure or due to any specific issue.
Field Change Request (FCR)/ Request for Field Change (RFC) - Field Change Request means any request for a minor adjustment or variation in the construction that does not increase or decrease.
Quality Audit: A quality audit is a systematic examination of an organization’s quality management system. It is done by an internal or external quality auditor or audit team members. The purpose of quality audit is to evaluate the degree of conformance to meet a standard specification or procedure of the product, design, process or system. Quality audit is a key element in the ISO 9001 Quality System Standard.
Internal Audit: Internal Audits are performed by the internal team members of the company. For example, the Head Office sends the company's auditors to audit the project or Auditors come from other projects of the company.
External Audit/ Third Party Audit: External Audits are performed by third party auditors to assess an organization’s compliance with external quality standards, regulations or certifications.
Request for Information (RFI): A request for information is better known by its acronym RFI. It’s a document that a company uses to request information about a product or service from suppliers. This way, the organization can get an idea of possibilities offered by each vendor, compare different providers, and gather information on a market in a more structured way.
SON (Site Observation Notice): A site observation report documents the observations an inspector makes on site on a particular day at a particular time. The purpose of the initial observation and the observation report is to ensure projects and works are on track - and capture anything out of the ordinary or out of scope.
NCR (Non-Conformance Report): A non-conformance report, also known as a Non-Conformity Report or NCR, is a construction-related document that addresses specification deviation or work that fails to meet quality standards. NCR is a document that shows any deviations from the quality standards of a product, service or process.
There are two types of NCRs in Construction Projects.
1) Internal NCRs - The Quality Engineers of Main Contractor issue NCRs to Internal teams (like Civil, Architectural, Electrical, Mechanical Etc.) or issue to any subcontractor is called Internal NCRs.
2) External NCR - Those NCRs issued by the Client or Consultant to the Main Contractor are called External NCRs.
Site Quality Notification (SQN)/ Log Book Entry (LBE)/ Site Instruction (SI)/ Site Instruction Notification (SIN)/ Surveillance Report (SR): You can use a quality notification to record the following information: Problem description. Affected reference objects (for example, material, purchase order or delivery) Partner information (for example, customer, vendor, or coordinator) Defect items. Causes of defective items.
ITP (Inspection & Test Plan): An inspection test plan (ITP) is a project document that is usually prepared by a quality engineer. It sets down the program of inspections, tests, and surveys needed for each specified work or material of the project.
