Awesome video as always. I did learn something today, I love how you can color the background of the messages. That makes my life so much easier now I can tell the difference between my outlook mail and apple.
Glad to have been of help, Rajeev.
Loved the command keys you showed us.
Great suggestions! Love these videos as you provide very cool tips and info. Thanks again!
Thanks, Wayne. Glad you like them.
I love ❤️ your Apple Mail Tutorials and also love ❤️ your reminders all things productivity in the Apple ecosystem is highly encouraged. One of my favorite tips is smart mailbox and also how you use folders. Keep up this important work.
Thank you, MaiKai. Glad you are enjoying them. More to come in the following weeks.
🙏🏻 Carl really enjoying smart mailbox’s I set up last week,so very handy & productive😁
Fantastic! Glad they are working for you.
Thank you so much. I had not been able to add mail to VIP. Now I do.
Happy to have been able to help, Marie.
Apple Mail is tremendous and in the last 2 years it has improved so much. I am all in as well. One thing I learned here is the VIP mail. Had been wondering how that work and now I can make it work for my needs.
Do you have a video regarding how to create an iCloud email or how to create additional email addresses? I think that would be a very useful video.
Keep up the great work 👏🏽
Hi Jav, I don't have a video on that as yet. I'll add it to the list of possible future videos.
Good stuff mate, just getting back into Apple and this was appreciated as I set my gear up again. Good on ya.
You're welcome :-)
In your second smart mailbox, you set "all"...great video
Yes I . Missed that until it was too late. ;-)
I am still learning how to work my MacBook. Thanks for your videos.
You're very welcome, Nina.
Anther great video. I have shared your content to many of my Apple using friends and colleagues.
Would love to see more Apple Mail videos, and integration with Calendar, Reminders, and Notes. The ecosystem security is my main priority and your integration tips certainly make for seamless changes that lead to productivity improvements.
There will be more coming as soon as Big Sur comes out on Mac OS. I suspect that will be early November.
Love the tip about color email accounts!
It works great if you want to see your different accounts easily
Great suggestions - I will use some of these today.
Fantastic! Hope you enjoy using them, Christopher.
@@Carl_Pullein Very much, thank you! I applied some of these today.
Good stuff Carl 👍🏼 How about a video deep dive on Mac and iOS Mail searching? It seems to me that it is pretty dumbed down. No Boolean or wildcard searching????
iOS Mail video coming very soon. I may do search as a separate video though.
Carl brings Apple 🍎 to life ⚡️⚡️❤️
Hahaha thank you, MaiKai.
So similar to the filter and label combinations in Gmail clients, and er, those sync between devices, and across OSs - for me W10, iOS and Android. But like the menu item drag, not available in Win10/Chrome... ... maybe one day.
We can but hope, Tim. :-)
Thank you. I find your videos to be very clear and helpful. I have been looking for through your library trying to find a specific thing on debugging apple mail. But I have not found it... I have a friend and everytime my friend sends me an email it goes into the trash. This is very frustrating. I want to figure out what is doing this can change it. Can you give some information on how to identify the problem please?
Hi Don, I'm not sure you can debug apps on Apple's OS. However, the latest versions of Apple Mail learns from your actions. To prevent mails from certain people, normally all you need do is move the email to your inbox. You have have to do this a few times, but eventually the app recognises you do not want this mail to be trashaed and will stop.
Thanks great video! However one simple question when I set my font for creating a mail to 'verdana, 11' is comes in another mailbox opened in Outlook as the font 'calibri' so why is that happening?
It's not you. It depends on the receiving email client and its settings. My Mail app's font setting are San Francisco (Apple's font) ,which of course Windows does not have, but all main I receive comes in as SF.
Really like smart mail box concept. Had no idea earlier. It is pretty similar of creating rules in Outlook isn't it?
Yes, it is in away.
I do wish Apple would make this all server based and sync across all devices. It’s the one thing gmail has over Apple mail. It’s all server based.
You have to keep mail running on your Mac for it to act as a “server” for iOS emails.
I’m looking at drastically changing how I manage emails. I have so many folders for so many things. It get convoluted that’s for sure.
To create a server for Apple Mail, you can use an old Mac and keep that running in the background. That's what most people do. That's said, Apple's objective with email is different from Google's. Google wants everything on the web so they can track what you are looking at. Apple is more focused on privacy and is happy for people to keep email sandboxed inside its own app.
@@Carl_Pullein yes I agree with your statements however I wish they would make up their mind on functionality as the Mac app, the iOS app, and the web app is so different that it is frustrating. You here other Mac tutorial authors say that see the web email server to do rules yet it is so limited. If the Mac app is the standard bearer then it needs to sync all functionality to iCloud and be the same on the web and iOS. I use the web apps all the time as I keep my browser open all day at work. It is just easier to be able to jump on the web to get things done. Thank you for the response.
Is it normal for the attached file to show as an embedded file rather than the way outlook places an icon below the address bar when sending emails? Can I set it up like outlook as I am used to that form? Thank you. 🙏
Yes, it's normal. Apple Mail has always done that. In fact, it's even better because there are inline attachments too. And no, there isn't a way to change the way attachments are shown.
Hi Carl, I enjoyed each of your videos about productivity system on an apple environment. Im having issues with some of the tips regarding the use of Mail. When I move emails from the "today smart mailbox" into the "Waiting For" or "Action Today" mailboxes it does not disappear from the today smart mailbox. Meaning that this smart never empties. What am I doing wrong. Best Regards
I think that might be a bug in Apple's system. The only way I've discovered around that is to clear the mails from my action today folder in my main mail account.
@@Carl_Pullein Hello Carl, thank you so much for your quick response. I use two email accounts, a hotmail for personal matters and a gmail for work. Do I have to create a today smart mailbox in these two separately in order for the system to work?
This is great, exactly what I was looking for! Thank you for this.
I just use the flags instead of smart folders for most things. You can rename the flags to things like work, personal etc. Then you dont need to move anything. You can have various accounts and just flag mails as they come in. then you just check the flagged folders. you can also drag them to the top bar as well. Much simpler IMO.
Flags. do work too. I occasionally use them.
Hi Carl, I love the intelligent folder. The only problem is, that I still have to safe them in the separated Archives. You cannot drop Mails in intelligent folders (at least that is what I know). So is there a smart way where I can drop them in just one folder and it will do the other way around and sort it in the different folders (so intelligent folder inverse)?
Thank you!
Hi Oliver, I haven't found a way to do that yet. Still researching though.
@@Carl_Pullein ok thank you! I have a Call about this topic on Wednesday and will keep you updated!
Greetings from Germany
Carl,
Another fantastic education video. One comment. When you creating the 'WAITING FOR' Smart Mailbox, you forgot to check 'ANY' which is why it didn't show up. I was paying attention :)
Alan
Yeah, I saw that. So many things to remember LOL
The one thing that puts me of using apple mail is that emails don’t seem to come through on iOS lock screen, or do you know different? Also I find it difficult to delete them.
Mike Bryans make sure that your Mail notifications are turned on and Show Previews is also turned on.
Hi Mike, since the iOS13.4 update, there should now be a trash can icon at the bottom of your email. You can also long press on that to send the mail to archive.
Just a quickie... if it’s not an action today but say an action for 2 days time where do you move that email too?
I wouldn't let an email sit around waiting for two days. That said, I do have a secret 'pending' folder where I keep coaching client questionnaires until their first call. But there's nothing to do until that first call and then I copy and paste the questionnaire answers into my notes.
top tips. Love your videos, but this one was particularly helpful. Looking forward to the IOS tips
Thank you, Ibraim.
Smart Mailbox doesn't seem to work, when select multiple Folders it doesn't show, when I check the settings it says on various "Message is in Mailbox" says "No mailbox selected", when I select then and click OK still not visible when I check it again says no mailbox selected. Would be a nice hack if it worked.
Hmmm I've never had any problems there. The trick is to try and keep it as simple as possible. Another way to create smart filters is to set them up with your email host. A lot of my filters are done at the Gmail end so they also work on my phone and iPad.
The "Apple Way" or really the only way to get your mail rules to apply on a mobile device is to have Apple Mail open and running on a Mac all the time. I have Apple Mail running constantly on a mac mini at home and that applies all the mail rules as mail comes so they are applied on my iPhone as well.
James King hi James. I have an iMac and was curious if I left my iMac running will rules transfer to my iPhone? The problem I'm guessing would be when my iMac goes to sleep? I could change that setting. Thanks
It does work. That's how I have mine running. I should have mentioned that in the video.
@@rjb1115 I use an app called Caffeine (lightheadsw.com/) that keeps my Mac mini awake and I just blank the screen when I am not using it. It doesn't transfer the rules but it does the processing on the mac and the results are on the phone.
Carl Pullein thank you
James King thank you
Can you Update pls?
There's nothing changed in iOS15 that directly affects email, Daniel. I'm waiting to see what changes, if any, come with OS Monteray.
I just drag all my inboxes to the top
You didn't set the 'Waiting For' Smart Mailbox to 'Any'
I know. But only discovered that after the video was published. D'oh!
@@Carl_Pullein - fantastic videos...only spotted it as you explain everything so well!
Someone may have commented previously - The reason there is no content in the "Waiting For" Smart mailbox is the rule is set to "All". it needs to be "Any" as you demo'd last week. Great video otherwise!
Yeah, I got that one a bit late. Easily missed ;-)
It didn't show up because you didn't select any.
Yep, sometimes I can be so stupid. D'Uh!
Again, since I do not have in my Catalina edition of Apple Mail ‘On My Mac’, your RUclips video is of no use to me.
Hmm that's interesting. "on my Mac" has been in Apple Mail for over 20 years. I have no idea why your version of Catalina omits it.
