Hey Carl, do you think setting up a professional email with the Custom Email Domain with Apple iCloud+ is worth it? I'm thinking of using it for my professional email account.

Hello, Carl. Helpful, as always.
Do you think you could even reduce your email folders from 3 into just 1 (i.e. just ACTION THIS DAY or just CURRENTLY READING or DEALING WITH). Ultimately we all want to have our INBOX empty. I see the [Reference] and [Waiting For] folders as optional.
- Reference inputs should turn into items out of the mail app and considered as resources for further review or reference.
- Waiting for inputs might get archived after turn them into a [Next Week, Month....] todoist task. I personally don't like to "wait for" anything, therefore adding some kind of deadline to the item should be suitable.
Which are your thoughts?
I probably could. But I have a system now that works so I no longer have a need to modify things.
@@Carl_Pullein Understand. My comment comes from a current need before starting to implement a new system. I come from a "one folder" buffer scenario, that is why I wonder if I would need more than that. I'll give a try to "Action" and "Waiting for", and see if it works during some weeks. ;-)
Apple mail is lacking 1 feature I like...speed. Notification when received, with Gmail or Outlook on iOS I get my notification right away after it's sent. Apple mail takes a long time.
Exactly. I tried to change that from the system. But there is no solution. 3 things are missing. Hyperlink, show avatar beside emails, latency of received emails.
I try to use an many default apps as possible. Apple especially has a focus on simplicity and core functionality and even if it may appear to “hinder” productivity, 80/20 rule states that only 20 % functionality will deliver 80% of the benefits so in actual fact it helps you to be MORE productive by focusing your attention the most valuable functionality
Joker what I love about Apple Mail on iOS is how it restricts a lot of push settings such as gmail. This actually makes checking email more “intentional” over just looking at your phone every time a notification comes up

Agreed, Joshua. I think that's why I've always loved iOS Mail.
I used to use Apple Mail with Mailbutler but switched to Newton as Mailbutler is slow to adapt to new macOS versions. Also, I wanted to have features like tracking and send later on my phone as well and wanted to keep it unified under one app (the Gmail app wouldn't suffice as there is no Gmail Mac app).
Ah, I tend to think of email as like a tennis match. Once I've returned the ball it's no longer my problem. If I don't trust my staff to do what I ask them to do, I don't have a problem with email. I have a problem with my staff.
@@Carl_Pullein The other issue for Apple Mail which I didn't like is that it is iffy on enterprise networks.
I'd love to hear how (if?) you're using Apple Mail / Mailbutler in conjunction with Apple Notes now that you've moved from Evernote to Apple Notes.
Brian Murphy Hi Brian, Evernote is still my workhorse notes app. I use Apple Notes for quick notes on my iPhone / iPad because at the moment Evernote is not very good at all on iOS.
@@Carl_Pullein ah! good to know. in that case, I'd love to see/hear how you use Apple Notes and Evernote together. When to use one vs the other, how to keep your notes straight when they might be in one of two places, etc.
(in case you can't tell, I've recently become a big believer in your methodology! thanks for all of your videos and courses, they've been a game changer for me)
@@thisisbgm I use Apple Notes as my quick notes - it's much easier to use on an iPhone/iPad. Evernote is more of a digital depository of my longer-term notes and plans. Although, I do prefer to use Evernote for my project planning. I think that's more out of habit though.
The mail is fine expect that I get the occasional automatic opening of the mail app into split view. This is annoying particularly when there is actually no new mail. I am looking to delete or leave the app till this is fixed.
Oh boy! I have that trouble too. The only way I have found to control it is to have the mail window minimised. That stops it. Not a great problem though and it can be very annoying.

Carl. I really respect ✊🏽 your opinion. Can you tell me why you use Apple mail over Spark Mail. I don’t know much about this email client but I hear a lot of people talk about it but I think there’s a reason why use apple mail over any other platform and I would love to hear your thoughts can you message me back and tell me why thank you so much
Really it's because it just works. In almost 20 years of using Apple Mail, I've never had a problem. The occasional glitch that can be fixed by a simple restart. I tried Newton Mail a few years ago, but when they stopped (the first time) I switched back to Apple Mail and said I would not play around with other apps again.

Most frustrating things about email
Not having my notes per each email, calls to action, reminders, tasks ALL in the same interface as the email itself. AND need a summary sheet or doc or folder that is auto populated for quicklook overview of all notes, tasks per all emails.
Hmmm so you don't really want very much then LOL Good luck waiting for that lot to come out.
I actually quite like Mail and used to use it for my business domains. I quit because it's difficult to manage on mobile. I had the other domains set up on Mail for my iPad, but it was always really buggy. I had trouble sending mail from those accounts on iPad. Also, as one user points out, the pricing of Mail Butler is a bit high when you can get similar features in Newton (now back in biz) Still, I'm considering this as it's very compelling. How are you handling the email across devices?
Hi Leslie, I've never had a problem with Mail across devices. My main folder (Action Today) works brilliantly across all my devices. My business accounts are managed by Google in the backend. I wonder if that's the reason.
@@Carl_Pullein Thanks for your swift reply. I use Blue Host. I'm not sure how to use Google with email and Mail. Do you have a video on that? I'll poke around to see.

Carl - I've tried everything I know to try and get that little task bar above your email (rather than having a sidebar to the right) when adding a task. How can I set this up?!
Hi Nick, apologies. All you need do is drag the mailbox you want on the top line to the top line.

Apple Mail is fine but what can't I get Gmail push notifications to work with it?
If you go into your Mail settings, you'll see an option to turn on "push", turn that on and you should start getting Gmail pushed to you. Tread carefully though, the world is already notification crazy as it is. I prefer "fetch" that way I get email on my terms, not on someone else's.

I'm in the same boat as much as I like 3rd party email apps I keep coming back to Apple mail b/c it works best with other apps. Not to mention b/c I have an iMac (mailbulter), iPad, and iPhone it works even better. I was lucky enough to snag mailbutler Professional lifetime plan and have not looked back since. I just wish that Apple would upgrade iCloud mail rules to match at least 60% of what Mac Mail has and allow for mail templates on ios. I have been able to make templates via HTML coding and shortcuts but I would love something simpler.
Yeah, I often feel Mail is Apple's forgotten app.

That's very strange. After you have created them, do they show up in your folders list?

Yes when i make them they appear, and then within i would say 10 minute they dissapear. Like i never made them.
Only leaving the today button, which is also changed back to Hoy, because somewhere my language settings are still in Spanish

Thanks for the video, Carl. Great as always. I know you're an iPhone user and I am curious about what you're using on your iPhone for mail. I'm assuming the builtin mail app, but I see that Mailbutler doesn't work in it, so I'm wondering how you're sending actionable email to Todoist. Are you just forwarding the emails?
I don't really send that many emails to Todoist for action as I trust my Action Today folder. I check that in the evening and clean it out 95% of the time each day. (my rule of dealing with anything in there within 24 hours) I do send a few emails to Evernote and just forward the email directly to my inbox. iOS Mail knows as soon as I type "e" it's going to Evernote.
Outlook or spark does this with more ease.
Hmmm I've never been able to do it. I tested and tested it. To have multiple email account Action Today emails coming into one smart folder. Love to know how to do it.
Spark manages well multi-accounts, smart inbox, smart filters...

The obvious question... ... why not use the Gmail client in say Chrome, with maybe extensions but it filters and folders, and across multiple accounts? Keep up the good work : )))))
Because it's the ugliest, most uninspiring interface of any email client I have set my eyes on. I love writing emails and I want to do it in a place that inspires me.

Sadly, I don't. I've not used a CRM system for al very very long time.

I have the 2 terabytes storage which I share with my wife through family sharing.
Can you add 2 emails from the same provider? I have 2 gmail accounts I would like to have as part of a smart mailbox but I can only seem to get one to work at a time. Any help will be greatly appreciated. 👍🏽
Hmm interesting. All my email accounts (except for my iCloud account) are all managed through Gmail. I have no problem adding them to The only thing I would suggest is make sure you give each email account a different name. (even "Gmail1" & "Gmail 2")

Why not use Outlook?
Too messy and too many features for me.
I’ve switched from Newton to Spark because I need an email client with Evernote integration built in. Forwarding emails to Evernote adds another “person” to the email conversation... which has can lead to trouble. Nothing like forwarding a client email to Evernote, then replying to the client email, only to have the reply go to Evernote and not the client.
Newton does have Evernote integration. IT works very well and it's a simple click and send. It doesn't 'forward' an email. It just integrates.
Carl Pullein Yep, that’s what I meant... I need apps like Newton because of the integration with Evernote. Spark does the same thing. There are a ton of great email apps out there, but only 2 (Spark and Newton) that have the ability to integrate with Evernote.
I need to try Butler again. Forgot about that little gem.
Carl: Thaks for the good tips on Mail Butler. What do you think of Spark mail as an alternative to Mail Butler?
I tried Spark for a while and I like it a lot. But I always come up with the same issue. No way to create the universal "Action Today" folder. So far, the only email app that seems to give me that is Apple Mail.
I am a big user of TheBrain. My system is paper (live) , Nozbe (tasks, schedule) , Evernote (digi data, notes, rough plans)) & The Brain (Thinking, file templates, web links). Some overlap with Evernote so have an either or philosophy there, I often cross link stuff to Evernote. Evernote tends to have stuff I need now, or archived and TheBrain is a doodling and thinking tool. But TheBrain is a killer app. It gets better the more stuff you put in it. I garden mine, 20 mins a day - kind of life logging.
I can say that fast forward to iOS 13, the Mail app does look very polished and plus it has dark mode. I too use it with my Gmail account and the only thing I don't like is how Apple mail has Push Mail Notifications for all email accounts EXCEPT Gmail. That is so annoying to only be able to use a Fetch timed interval option.
Is there any way around that to make it Push Gmail instead of only Fetching?
I never noticed that before. Truth is, I'm perfectly happy there being a slight delay on email arriving from Gmail. Brings a sense of calm, quiet. My fetch set time is every 1 hour.
Does Mail integrate natively with Notes on macOS?
No. Sadly not.
@@Carl_Pullein Do you think Apple will take Mail app more seriously and acquire and/or build to compete? If no, why not? Why not make it great and keep people in the ecosytem even more?
@@bommaritohawaii Hi Jeff, I suspect Apple will keep it much the same as it is now. Most people are not interested in more features and Apple are more interested in providing the basics not providing for the power users. Power users are much more likely to turn to third-party apps.

@@bommaritohawaii Hmm that depends on how you are browsing your Gmail. If you are using Safari on a Mac you can use the share sheet and it will send the mail to Notes. If you are using the Gmail app, I'm afraid the best I can offer is copy and paste.
Hi Carl, now that Newton is back I'd like to know if you still prefer Apple Mail!
I do. I lost trust in Newton when it decided to close down. There are some fundamental apps that I need to be trustworthy. My email client is one of those.

Hi Carl, good stuff as always - thank you. I'm tempted to move back to Apple Mail from Airmail3 due to poor support over a number of glitches. Even more so now that Mail Butler enhances the app. Are you planning on doing an actual Mail Butler review?

I Use Outlook with my 365 subscribtion and it can all of the above as Apple mail...
ooh I’ve really struggled to get Outlook to recognise my mail rules. It became so frustrating I gave up. 😭
I have to use o365 with 20 Macs and sorry it is Horror, every Day "Keychain Errors" if the User have more Accounts. I love a lot of the Products from Microsoft (Azure etc.), but Outlook on the Mac is not on the List :). I check every 3 Months and came always back to apple mail, the same for Spark and Airmail.
@@drbrennero Wish me luck... I'm testing Outlook on Mac for week to see how it works with Catalina.
I can’t get office 365 to work with Apple mail. It starts off ok, but then when I reboot mail app or have to shut my computer down, I lose access to mail app preferences, the screen comes up blank. I then have to delete preference files for mail app and start over. So now I’m using office 365 e-mail through the website interface, which is painful.

outlook still working for you? Mine started to actup and the tech suport is pretty poor.* on IOS
@@gewglesux So I've been using outlook on IOS too. Only thing I'm not sure I like is that I don't have a separate calendar app anymore. I know it can sync my calendar with native IOS app but that defeats the purpose. Outlook mail servers are great and have better options that icloud and gmail. The mac outlook desktop app just got a pretty cool update on UI too which I like a lot.
@@eph6v16 Their Tech support was pretty awful. They reply when they feel like it, and when they do they're pretty useless. They forced me to go back to Apple Mail.
I really wanted to go back to Outlook but because of how shabbily they treated me. I was forced to go back to Apple Mail. Then there was an issue with "pop vs IMAP"
Couldn't deal with it anymore.

Yes so do i.. or so i thought my IOS device used to work fine using IMAP BUT somewhere along the lines something stopped.
basic auth is getting shut off. say goodbye to outlook apple mail.

I've never had a problem with Gmail and Apple Mail. Works smoothly and have never lost or missed an email.
It's a plugin ... a plugin you pay for ... SPARK is a complete mail client, and most of it's functions are for FREE! Wake up fox ...
