    Your channel just popped up in my RUclips Suggestions, which baffled me because I'm not an iOS user. I tried, twice, then gave up after much frustration, and shipped each device to my sister who is all in with iOS. It made her happy - me, broke! I have been looking at the latest Mini though, mainly because I need something portable, lightweight, and stylus compatible for notes. I'm subscribing now so I can check out your previous posts. I'm keeping my fingers crossed!

    Wow. Thank you for this video. I’ve recently bought a new computer (Macbook). I’m going through my old files & I’ve noticed I haven’t had the knowledge about how everything with iCloud etc actually works, so this is really helpful! I just have to let the decluttering & organization of the files take some time now I guess since I have so much to go through.

      I'm not entirely sure, but if I remember you need to turn that on in 1 Password's settings on any of your Apple Devices.

    Thanks Carl. An excellent run through. The other advantage that people don’t get about iCloud - is the availability of your stuff on windows machines. People I worked with ( who used iPads and window machines) - who preferred using Pages but would use Word ( because I can get it on my windows machine!) - never really understood (although I showed them and told them many times!) that you can continue work on Pages or Keynote through the web version on iCloud ( regardless of machine).

      But Terry, please help. I just discover that iCloud has 1 profound weakness. Example: At home, I created a Word document on my iPad which I then saved on iCloud Drive. Later, at the office I could access that Word document (via iCloud.com) on my Window desktop and resume working on it. However, afterward I cannot save it back onto iCloud.com (via my PC). It only allows me to save (or Save As) Word document on my PC. Hence, I cannot access back that "modified" Word file on my iPad at home, later that evening. Any solution? 😥

    why did iCloud put all of the documents and folders in one single one on my desktop? I liked to have them displayed in different areas of my screen. If I move them from that single folder to my desktop again would they still be saved in the cloud or not? thank you!

      Once you've turned on documents and desktop in iCloud, you can move themaround your computer wherever you like them.

    Hi Carl, why can't I see the books I bought in iBook in my icloud folders on "my files"? I'd like to use goodnotes with them, but I can't open them cos I don't have them in my files...

      Good question. I believe these files are contained in a unique placeholder within iBooks. Very similar to the way your TV shows and movies are stored.

    What if only I have is an iPhone and say I lose my phone and buy a new one. Will I be able to recover the photos I had on my old phone from the new phone via iCloud?

      Yes, if you make sure your photos are being saved in iCloud. You can check that in your settings.

    iCloud is my biggest peef with the iPad, or rather the to having a file system that has a file system. I never had much of a problem with organizing files on drives. It is a one time purchase and if you fall on hard times you needn't worry about keeping up with the subscription fees that pile up.
    Half the app eco system runs on subscription plus iCloud file storage. So running short on money can cripple your ability to access your files and run your apps.
    Where as you are usually fine for up to five years with not upgrading your hard- and software and still successfully get your tasks done. I guess you have to have had your life turned up side down and really suffered money troubles of the severe kind to permanently stay away from subscription. I just don't know how long I can keep this up, since everything and everyone is moving towards subscription.
    As for the accessibility in a coffee shop, well I never had the need for it nor would want to. I do enjoy a break a quiet coffee to contemplate.

      Hi Silas, you will need the previous owner to reset the phone. Without their iCloud login details, you will not be able to switch iCloud accounts.

      The main difference is Google One is Google's cloud service for personal users. iCloud is Apple's cloud service.

      Hi James, Not that I am aware of. It will always pop up when you are uploading something to iCloud and you are getting close to your limit.

    If you have multiple devices (imac, macbook, ipad) and choose documents and desktop for all three to be in icloud, will you end up, in icloud in the finder, with only 1 documents folder and 1 desktop folder, or will it maintain 3 distinct folders which are available on each device?

      Hi Allen, you end up with one document. The document will reside in two places on your Mac and in iCloud. However, if you make any changes to the document on your any of your documents those changes will be reflected across iCloud and therefore all your devices.

With multiple devices will you end up with 1 document folder holding documents from all three devices? Or, when you look in the cloud/finder will there be a separate document folder for each device?

      @@allenschneider1847 Oh no. You on have one documents folder that belongs to your Mac. You can add to that folder if you wish, but it will always belong to your Mac. Your phone and iPad do not have such folders. If you want to save anything on your phone or iPad you will have to select a folder from your files app.

When you look at the finders (or in icloud drive) will there continue to be 2 documents folders (one for each mac) or will they be combined into 1 icloud documents folder?

    Great Video!! I am new to MacBook Air and this helped me. Only problem is what to click to save or not to save to icloud. Any way you could go through each app, like "Preview" to show us what it is in dumb dumb terms so we know what to checkmark or not?? I'm getting that Preview is an imaging app, but do I need to checkmark it for icloud? Etc, Etc....Again, thanks for the free video!!!

      Unless you want all your saved images available on all your Apple devices, Preview doesn't really need to be on iCloud. That said, I've turn everything on (you never know when you might need something)

    HI, any idea why the health app doesnt show up in icloud for me ? it works fine on my iPhone 13 and everything else syncs up to icloud but not health.. it is turned to sync..

      Hi Graham, As far as I know, that's not accessible except on your phone for privacy reasons. You would need the health app to view the information anyway and that's only available on your phone.

    OK I want to correct something you said because I personally experienced it. Here's my Scenario. I have a Mac mini with a 256GB SSD and 2TB iCloud account with about 1.3 TB filled. When you organize your iCloud Drive don't create lots of folders in your root directory, rather create them in the documents folder and here's why. iCloud will automatically store all this on you local drive with one exception that I will get to. The result is your local hard drive will fill up with just a few gigs left and the computer will be constantly shuffling files around to TRY to make it all fit. Now to prevent all of this on you Mac go in your system preferences, Apple ID and under your iCloud. First make sure that is checked then click options. Then unlike your recommendation uncheck Desktop and Documents folders. When I did this I received most of my hard disk space because this is where most of my files are stored aside from the app specific files like photos etc. Now for your visiting the coffee shop example, yes all of your files are available but they are in the cloud with an internet connection. The same thing works on your Mac at home. Your iCloud will appear on the Mac side bar with all the files listed only they have that little download arrow next to them. If you need them just click on the name of the file and you can grab them from the cloud. I only wished that Apple's cloud management on the local computer worked like Drop Box where you can granularly select individual folders to store a local copy or not. Other wise iCloud works great.     Hi Carl, great info. Please keep it coming. Anyways, I have an issue.
    When I go to System Preferences and and click on Apple ID, everything is checked; ( about 14 apps).
    Yet when I click on options only six apps show up. I don't know what happen to the others.
    Do you have any insight as to what has happen to the others.

      Hi Eric, your photos are in the cloud and should be showing. Music is different as that's a streaming service so the songs you've saved in Apple Music, will be held on the device you are using in the Music app.

    Helpful video. Thank you. Would love to see a video on using Files on iPad because I find that it can be very confusing to find things in Files at times for some reason. I have a 200gb iCloud account but still find myself saving things to my smaller Box account just because it seems to work so much easier within apps on the iPad and the desktop PC (which I hardly ever use these days). But maybe it’s just me and I’m missing the something rather obvious?

      Ooh, good question. If you delete them from your Mac, then yes. Stores until you delete the trash. If you do it from iCloud.com, then I believe they disappear eventually.

    Thanks, Carl, esp. for the explanation of the difference between iCloud and Google Drive.
    May I suggest that a lot of your screen's real estate is taken with the desktop lake view, making it hard to see e.g. at 4:28 min, the details of the Apple ID window. This ID window uses only about one-tenth of your screen and at our end, on a small laptop screen, is very difficult to interpret. I noted that at one point, later in the video, you zoomed in which was helpful.

    Dear Carl, so please excuse me being a total Apple newbie/thicko here, so am I right in thinking that the icloud saves to the icloud whenever I press save please?
    Because I am kind of hoping that icloud will sit there behind the scenes and not slow my flow so to speak.
    Thank you so much for any help... It is just that if it saves to just the cloud and NOT my macbook then it hasn't backed anything up has it? Because I still only have my files unbind place... The cloud?
    I need my files on my macbook especially as there is not always wifi here.

      Hi Nigel, Your files will save automatically to iCloud if you save them there. You can save files into your Documents folder or Desktop and they will also be on your Mac's hard drive.
      Also, if you do save anything to iCloud it will say available on your MacBook for a few days before being only available on iCloud.
      Hope that helps.

    If you choose for documents to be in icloud but choose not to optimize, my understanding is that documents will be saved both on the computer and on icloud; does that mean you will have 2 documents folders, one in icloud and 1 on the desktop?

      Hi Ian, that's the $1 million question that no one seems to know the answer to (including Apple). I've not found anyone brave enough to try it. My advice is assume the worst and expect to lose everything.

    When saving a document from within Pages or Numbers the document is placed at the root level of iCloud Drive rather than in the actual app file folder.

      Not really sure what you mean there, Rick. If you do not designate a folder to save a Pages (or Numbers, Keynote) file, it will save the file in the Pages folder in iCloud. This is helpful as it means when I open Pages I can quickly access the most recent documents I have worked on.

    When we backup our iPhone it backsup on iCloud. But it is not visible. Where is it stored? And, how can we have access to the backup file later -other than connecting the phone?

      Nobody knows. That one of the beauties of iCloud. You only see what you need to see. However, if you lose your data or purchase a new Apple device, part of the setting up process will ask you if you want to setup using a backup.

    hey, please if you could answer my question, it would be great! I have a jailbroken device, and I save my data with icloud from time to time. My question is if icloud is saving my jailbreak files or not (do note that the jailbreak files are in a place which you can't even access if you're not jailbroken in the first place) because it actually does save them if you backup your device on your computer with itunes or imazing. thx in advance!

      It's likely that your files in iCloud will disappear sometime in the near future. With jailbroken phones using non-standard ways of saving files, it's usually not long before Apple close any holes that all the jail broken device to work.

But even if what you’re saying is true, if I backup my device now, does my jailbreak files save to icloud or not?

      @@eliofeghali Maybe, maybe not. Apple is always trying to block jailbroken phones. So you might be able to do it today, but not tomorrow.

    Hello. When someone gets a new cell number and creates a new ICloud email address (to go along with their new number ) does the ICloud account generate emails to your saved contacts in your cell phone to let them know you now have a new email address and new phone number (listing both in the email )?

      No, sadly they don't. Although I haven't tried this, you could go into the Contacts app and select all to send a message or email.

    I do use iCloud and Family Share mostly to backup our iPhones; I was hoping the video was going to show how to change the directory display to List or Details view but it appears the only choice is icon view, which I find unusable

      That depends on which device you are looking at it. If you're using Files on an iPhone or iPad, tap the three dots at the top right of the screen and you can change to list or icon view. On a Mac, you have all sorts of settings on the top line of the window.

    I have a question I have ipad mac and iphone and for some reason I can see all folders on all devices but my ipad missing documents in some folders i created on the mac show the folder but nothing in the folder do you know what I could do thanks

      Hi Marc, the only solution I have found is to log out of iCloud on your iPad, shut down your iPad then restart your iPad and log back into iCloud. That usually clears any bugs in the system and gets things working again.

      Ooh, there would be a lot of factors there. From the strength of your WIFI / LTE and age of your iPad to how much is being downloaded/uploaded in the background.

    Hi Carl,
    Wonderfull video. I like to add something if I may. If you have desktop & documents activated on your Mac's e.g. an Imac, an Mac mini and a Macbook Air, and you store a file on the desktop of one of those machines, it will appear on the desktop of the other machines asswell. That can be very handy. As if you work on one computer. However, and that is really fun, I use sticky notes (kind of Post-it notes) a lot on my desktop of my Mac mini, but not on the other computers. It does not put that on the other desktops.
    Concerning people with nasty comments. Ignore them of just delete their comments if it bothers you. You are making a great contibution to people who want to learn some more. Thank you for that!

      Thank you, Patrick, You're right, you can have documents (and downloads) on all your Apple devices as well as on your iOS devices too. It's surprising how often I use that feature.

      There's a couple of things you can try. First, make sure all your devices are signed in to the same iCloud account. After that, log out of iCloud on the device that's not syncing. Shut it down, then restart and re-sign into iCloud. That usually clears any obstacles and gets things syncing again.

    My MacBook pro have 256Gb storage. So, I am thinking to take icloud (50GB). If my finder icloud show all files, will it take the space from my macbook's storage?

      It will. It will eave you with a thumbnail of the file, but the content will be in iCloud. When you double tap on it, it will download to your computer. Not sure 50GB will enough though. If you can I would recommend the 200GB plan

    Great video. Thank you! I've recently noticed that when I create a new contact on my iPhone, it's not being synced to my other Apple devices. The reverse is also true. iCloud is turned on on all devices... can't figure out how to fix it. Any ideas?

      Hi Eric, sometimes iCloud gets a bug. All you need do is turn off iCloud on the devices where sync is not happening, turn off the device then restart it. Once restarted, turn iCloud back on. That should fix it.
