    You are so very helpful, every time. For the last couple of weeks, I've been largely in Carl Pullein training... simply with your free videos and downloads. I'm a musician, physicist, sound therapy expert, author, online teacher, festival/retreat producer... and on and on and on. Doing so many things and without a streamlined system... by e-life has become a giant mess... which mess leads to avoidance of important things like inboxes. I use all Apple devices and was looking for a super elegant system for doing a HUGE, but crucial streamlining process... and found you! What a Blessing! You have been teaching me everything I wanted to know and lots I didn't even know was looking for. Big Huge THANKS!!!! You are an inspiration. BTW... my name is Thomas Orr Anderson and this PhiSonics e-face will be leaving soon... but I am something of a public figure and my name is, as best I know, unique.     Thank you for this video. I look forward to the upcoming ones in the future. As someone who only uses Apple products, I really want to like Apple mail (talking mostly about on my iMac and MacBook Pro) but it's just a piece of software that just doesn't do it for me. Really do want to like it.

    Carl can you make a label in gmail and then use Apple mail and still use command keys to get to folders

      Yes. I find the easiest way to do it to create the label in gmail first and then when it comes through to Apple Mail add them to your top line then.

    anyone know if there is a way to clearly label what email account the email was sent to, like a label or color tag, when using multiple accounts on apple mail. This reason alone is why I don't go back to apple mail.

      Hi Rob, in Mail rules you can apply a rule to colour your different accounts. I'd forgotten about that feature. I'll be doing another mail video next week, so I will add that to the list.

    Whats the benefit of having an empty inbox and moving the messages into archive ? Does it effect the performance ? Also I was wondering what apple mail archive folder does: is to moving emails from the cloud server and storing emails locally on the computer storage ? And does archiving in apple mail app depend on the mail server or is it the same functionality applied regardless, if its exchange, gmail or iCloud mailboxes? Appreciated your answer.

      Hi Abdullah, Firstly, if you do not clear out your inbox, important and critical emails will very quickly be lost. It also means you will not be making decisions about what needs to happen with a mail and you will soon become overwhelmed.
      Apple Mail, Outlook and any other mail app are just shells. The 'movement' of mails happen at the backend. For instance, if you have a Gmail account in Apple Mail, if you move a mail from your inbox to the archive, what you are in effect doing is telling Gmail to move that mail to the achieve.
      There is nothing "local" happening. Depending on what email app you are using you may have the ability to store mail locally (offline) but in effect you are just creating a copy of that mail.

    If I only use the native mail app how do I set up folders for Action, Reference, and Waiting for?

      Depends which email service you are using. In Gmail, you set up your folders in Gmail. They will then come through into Apple Mail.

    Hi, I'm on OS 12.2.1. For tracking purposes (using Mailbutler), I'd like to send each member of a mac mail group an individual identical email without everyone else's email in the To or Cc field. Bcc doesn't work for this purpose as it doesn't allow tracking. Is this possible without having to create a separate email for each recipient? Thank you!

      Hi Hal, For this kind of work, Apple Mail would not be the tool to do it. I would suggest something designed for this kind of tracking. (Apple are very much against tracking of any kind for privacy reasons)

      @@Carl_Pullein Thanks for the prompt reply, Carl. As I mentioned, I'm using Mailbutler in conjunction with Apple Mail. I'm not sure Apple Mail is the bottleneck. I think it has more to do with Bcc tracking regardless of which 3rd party app is used. Just trying to see if there's a workaround.

    Carl LOVE ❤️ YOUR VIDEOS BRO. Can you help me understand why in Apple Mail on the iPhone 📱 you can see attachments logo but you can open the attachment. Is there something I am missing??

      Sometimes the attachment hasn't downloaded completely and therefore you only see an attachment logo. Once the file has downloaded to your phone, you should be able to open it.

    I really want to back Apple Mail 100% - the only issue that stops me is that I answer a lot of emails on my iphone and iPad and I cannot for the life of me get my company branded email signature to work when sending. FYI outlook IOS app doesn’t play nice either - only Spark.

    Carl, interesting video, but I think that ‚smart mailboxes‘ do not sync across devices, if I do not mistake?!
    If so, I would have to create those smart mailboxes on my iPad, iPhone...but still a sync between devices would not happen.

      You are right. For some reason smart mailboxes do not sync. I'm hoping that will change with iOS14

      Carl Pullein As you said...for some reason 🤷🏼‍♂️. It won‘t be changed in iOS14, the problem is known for quite some time. Same with smart playlists in Music, they sync once with my iOS devices, but then never again...for some reason 😉.

    Thanks for nice video! I am using dark mode as default setting for macbook. How do I have light mode for only Mail app? I tried NightOwl but it doesn't seem to apply the settings to Apple default apps.

      Hi Ravi, I am not sure you can do that. It's an all or nothing thing with Apple's dark mode. This is a shame because some apps are better in dark mode and other in light mode.

      You can drag and drop on an iPad, or use the share sheet to add the note. That would work better and give you greater control.

    Hello Carl-I'm a first time visitor here. I would like to learn how to create an email to send in the future using the
    Mac mail App? Is that even possible? For example: Let's say today is Sunday, I am typing up an email but I don't want my colleague to receive the email until Tuesday. Can I somehow write that email and have the opportunity to send on a future date?

      Hi Javy, it's not possible. The only way to do that would be to subscribe to Mailbutler. That's an extension to you can add to Apple Mail that will give you that functionality.

    CAN THIS BE DONE WITH IPHONE 11 & IPAD 10(7TH GEN)? I'm new to the Apple sytem(about a month now). I would like to switch to mac os completely when my pc goes or sooner if I like it. I do not see Apple mail on any apps that came with my Apple products. Now all I have is my gmail account linked in & go to my other email provider thru a saved favorite.

      Hi Ted. No it can't. There's no smart mailboxes on iOS Mail. The only way round it is to have a Mac computer turned on with Apple Mail open at all times. I'm pretty sure most people are unable to do that though.

      I did a few years ago. But realised it was just another app that didn't do anything extra that I needed. I like to keep my email simple. After all, an email either needs replying to, deleting or archiving.

      @@Carl_Pullein very true, but what I do find appealing about Spark is a few things; delayed sending, follow-up reminders on sent mail, integration possibility with Apple Reminders - this goes for both the MacOS and IOS versions of the Spark software. I can live without the extra functionality but the lack of exporting emails from Apple Mail to Apple Reminders is just bugging.

      I just want to add, that in MacOS you can just command+A selecting the content of the mail then select share... it' a workaround but at lest you get that little mail-icon link in the reminder

    Thank you Carl that is all so helpful and really well explained! I have added some of your tips to my 'Mail' as your video went along. We are trying to get a new mail account on to Mail app on iMac running 'Sierra 10.12.6, we can add the new account and send and receive emails from the new account, but, we cannot select this account in the left sidebar, it only has one mail folder beneath it 'Sent' and when we open this sent folder there are none of the sent emails in it, they are in the other account sent inbox that we have been using and we intend to keep. The new account is not listed at the top on the left sidebar under 'Inbox' . do you have any idea where we have gone wrong? thanks again for the brilliant video. Best wishes D.

      Hmm not sure there, Denise. Have you added the account to the new accounts section? If it is a Gmail account you also need to add the Google account to your accounts section in preferences.

      @@Carl_Pullein Hi Carl, thanks for your reply. Yes we added the new account from the window, 'add new account' in 'Mail'. it's not a gmail or any other listed. It is an IMAP , we added it from the selection 'Add other Account'. I'm not sure we have the port numbers right, we've had conflicting advice from the server provider on that issue .We have now deleted the account to try again from scratch. I did notice that the details of the account are still in the window 'accounts' under the drop down list 'outgoing mail account' if we go to 'edit the SMTP server list' it says the account is now offline. Is it a good idea to delete the details from there ? Have we then accomplished deleting the account fully so we can start afresh? Thanks for your help!

      @@deniseclarkart Ah, it could be that your email account is not compatible with Apple Mail. Not many are incompatible, but some are.

      Carl Pullein thanks for your reply Carl. It’s all working now, but the folders , junk, trash, inbox, are not there. But I’ve been searching on Apple discussions and apparently they will just appear as we start using the new email account! We’ll see! Best wishes D

This is the most basic thing that I need and surprising can't figure out. Also on Internet can't get much info too. Surprising how Apple expects us to do productivity with this basic functionality not easy for a general user like me

      @@anandshah71 Smart Mailboxes are currently only available via the Mac OS Mail app. However, if you use Gmail, you can create the smart mailboxes in the Gmail app and that will work in Apple Mail.

      Write your email, then save it in drafts. When you are ready to send it, open drafts select the email you want to send and hit send. Job done.

      When I shortened my intros I was criticised for not covering the context, when I added context I was criticised for not getting to the point fast enough. In the end I decided to just go with the style I like videos to be and accept that some people will not be happy.

    I'm sorry but these are the "features" that Apple mail offers? With in Gmail, you have this +100000000000 as the most BASIC features.. Why do people use this over Gmail?

      vidy WOW! Really? It’s the most ridiculous feature in any email app. Why oh why would you ever want to ‘snooze’ and email? It’s there, it’s come in, and you know it’s there and you know it’s coming back! Just deal with it. Hitting a snooze button just delays the inevitable and how on earth do you know when it comes back you’re not still busy?
