Power Automate: Reminder Emails By Date [Power Platform Series - Ep. 16]

- In the 16th episode of Matt’s Power Platform series, he takes a look at Power Automate. Matt showcases how you can pull records in from a data source and filter them based on a column value. For this example, he will use two parallel branches in Power Automate to return records that are 3 days from today’s date and others that are 7 days from today’s date. After the two separate arrays are returned, he will then showcase how to set up two separate emails one for each set of records returned.
In the emails, Matt showcases how to use dynamic content, expressions, variables, and apply to each loops for the full execution. He also throws in how to return a user’s manager information if that is something you would like to access in your flows.

This was great. Only recommendation would be to walk through “getting items” from a calculated column. This was wildly helpful though.

Thank you for this - it's super! Two minor comments, in case it helps somebody else: 1) I had to put single quotation marks around the ODATA filter date to make it work and 2) Having two people columns in my Sharepoint list, I had some issues with only one of them showing in the list of dynamic fields after Get Items, which led to some loops of Apply to each to make it work. But - it works. So again, thank you.

This is possibly the clearest introduction to creating reminder emails I have seen and earns a subscription. One request, could you do a guide on how you would use a SharePoint Calculated date column in the Filter Query please? Its easy to do in SP designer but Im really struggling on implementing it Power Automate.

This was very helpful! But, it was suggested you can dynamically send the emails by user assigned. I have tried and I receive errors. It works just fine with a static Email but not with the "Assigned To" field. Is there another video??

Thank you so much for this! Amazing explanation. It all works for me except the last step. I can send emails to myself but as soon as I want to send them to someone from the assign to or if I want to refer in my email to something in my list, it does not work anymore. Do you have an idea how I can trouble shoot this?

Thank you for the Video , it was very informative. I do have a question, I have the same scenerio, however, the date column is a calculated sharepoint column. When I try to use "Get Items" I get an error message saying I can't use calculated columns. Is there a work around to achieve the same results?

Hello, your video really helps me to understand and create a flow but when I try to get the email of the "Assigned to" in the "To" of the email setup, I cannot get it, how can you do it? without creating an additional "Apply to each?" (refer to 10:36 of your video). Thank you for your help.

it breaks if u change the 'to' email notification to the value 'assigned to', puts inside another loop...

Thank you! that was great, only downfall for me, is that even though both Get Items are in place and exactly the same, one with 3 and one with 7 days...the 3 days works fine since adding these single speech marks, but 7 days just won't play ball! I even recreated it in case there was a glitch, I keep getting BadRequest - "String was not recognized as a valid DateTime. Creating query failed." Can't make sense of it. Also while the flow runs with just the one, I get no email... :( Any suggestion?
Latest Update: It now works after I amended the date from dd/MM/yyyy to MM/dd/yyyy even though my Regional settings for my SharePoint is set to United Kingdom which is dd/MM/YYY format. I can only imagine 3 days still made sense in that format whereas 7 was too high a "dd" number if read as a month (12) ... so now it works, the emails are coming through but I get the date in that US format that confuses us on this side of the pond :(
If anyone knows how I can get this date issue straightened up, I'd appreciate the help.

I was expecting this to tell me how to create a reminder email as a date approaches, as per the dental description. Unfortunately, it shows how to create a reminder 3 days and 7 days from the event creation. Or am I missing something?
That's how I understood it, too. I want to know how to start a flow x number of days before a date selected in an item (like a library or inventory due date), and to have that flow send a reminder to the item's borrower. That seems like a more common real-world scenario to me.
Is it possible to attach attachments of each entry which get through to the email?

Hey, I have a flow that sends an email with a condition if a record is found in the list. However, the issue is that the flow sends an email to the intended user even if there are no records or dates found. Can anyone help me with how I can stop the email from being sent when there are no records found?

Hi, when I run the flow, it gives an error message if no items are returned in the get item section and the flow fails. What do we need to do if there are no items returned on the Get Items section to prevent it from failing.
Hey Matt, When I test this flow, the 'To' in 'Send an Email (V2)' is erroring out stating that 'To' is "null" or "empty". Any clues? It's not empty, I'm using the dynamic value 'AssignedTo'. Thank you in advance

How do you get it to trigger an email off a date in one column when it is that day?
I figured it out, I did a reoccurrence daily and a get items with a condition statement to match utcnow but I reformatted it to yyyy-mm-dd to match the column that I had a date in. I used a Compose action to see what the inputs and outputs were so I could format the utcnow correctly.

Hi there. Here is a template to hopefully get you in the right direction. On your get items step for the Filter Query you would do something like the following. closeDate eq null and creationDate eq addDays(utcNow,-2,'MM/dd/yyyy') What I wrote in parentheses would be written in the expression builder and after you add it to the filter query input you would want to wrap single tick marks around it like 'Expression' Hope this helps.

Lowercase for days and years and capital for months. Should look exactly like 'dd-MM-yy'

Flow save failed with code 'InvalidTemplate' and message 'The template validation failed: 'The inputs of template action 'Send_an_email_(V2)' at line '1 and column '2954' is invalid. Action 'Apply_to_each_2' must be a parent 'foreach' scope of action 'Send_an_email_(V2)' to be referenced by 'repeatItems' or 'items' functions.'.'.
Lesson learned here was:
Don't copy and paste your email body content to make things quicker. You can leave in text, but take out all dynamic content and put it back in manually.
Also, being in the UK, I got additional errors because I wasn't using ISO date format, so changed dd/MM/yyyy to yyyy-MM-dd.....now no flow errors.
