Guys, the mobile app has been updated and it has a new UI! Unfortunately, this tutorial won't be a 1:1 match anymore... sorry 😔 I hope you still get some value from it.
This video helped me today. Awesome work, your video helped me very much! Thank you!!
It is still useful for me , thanks
the video is still awesome
Thank you so much for this video! I'm going to have to watch it a few times for inspiration on my own structure. I had been trying to figure out if toggl was the direction I want to go in. Knowing that there are other people that use this to master their personal time as well is really encouraging. I appreciate that you didn't just show us how to use the app, but also took the time to walk us through your thought process in setting up your tracking system. I also really like that you showed us how and explained why your system evolved. If I hadn't said it enough, I'll say it one more time. Thank you!
Thank you very much, I'm glad it helped you ☺️ ~Andrej
This is the EXACT VIDEO I was looking for! Thank you so much! The tutorial was amazing, you explained it amazingly! Thank you 🙌🏻❤️
yaaay, thanks! I'm glad it was useful to you
Lol , ikr
Thank you so much. You video is really interesting and helpful. Keep it going !
Thank you so much! this was very useful! I just found about Toggl and your tutorial has given me nice ideas!
I'm happy for that, thanks for sharing your feedback
The best description of the Toggl app! Thanks!
Oh that's very kind of you, thank you!
Awesome video - thanks - logical structure, tightly edited, engaging and helpful. I'd be interested to see how you would extend your structure to incorporate work (but not teams) but still with the personal life goals underlying focus.
Thank you for such nice feedback, John! To answer your question - if I was to stick to my current structure of clients (Future, Joy, Joy & Future - explained towards the end of the video), then I would just create Work projects under those. Let's say "Work (F)" or "Work (J & F)". And under those projects, you can log individual tasks like "meetings", "emails", etc. But it all depends on what kind of reports you need in the end. Because if you wanted a report on "how much time I spent writing emails last month", then you would need to do a bit more clicking to get this number (since it's not a project on its own, just a task within a project). Not much extra clicking, but still. There are other options, but I don't want to overcomplicate it for you, because it all depends on what information is important for you and which information you'll need to access more often. My "Creative" stuff that I do can be considered as Work and that for me is project-based - I do my creative work for different projects and I track each project as its own "Toggl project", as I mentioned in the video. So if your work is also project-based and you want to see time spent on each project, that works well.
This is super helpful! Exactly what I’m looking for! Thank you!
I'm glad it helped you!
Dear Andre,
Many thanks for your valuable video. It's not just a how-to education for a tool. It's valuable because includes mindset and a real case study. It was really useful for me
Indeed! And you're welcome, glad it's useful ~Andrej
Awesome!! Thank you so much for sharing this!
Thank you so much Andrej!! I was overwhelmed when looking at the app on my own. This helped so much
awesome, thanks! :)
Many thanks for this video - exactly what I was looking for!
no problem, glad it was useful :)
Very clear and useful tutorial. Surprised that even Toggl’s own official RUclips channel doesn’t have something like this 😂
thanks!
Just want to say this was a really useful review. You completely captured how to use an app that was designed for business to use it for personal use and you provided ALL the details. Thanks so much for the time and effort you put into this video.
oh you're welcome, I'm glad it was useful to someone. Thanks for your comment, very nice of you
Thank you so much... I'm going to revolutionize my life with your tips! Much love from Tanzania❤
Awesome 😎 no problem ~Andrej
Super helpful tutorial dude! Thnx for making sense out of setting this thing up! Love your intro I've watched it 10 times it still makes me laugh
Hehe, thanks a lot 😁 ~Andrej
Very useful, especially the distinction between Toggl clients (not real clients!) and Toggl projects (where my actual clients will go). Also helpful to see the progression of how you've developed more helpful activity descriptions and groupings over time. Thanks
Thanks a lot for your comment, Mark ❣️ ~Andrej
Very nice and useful tutorial, and just the tool I was looking for. Your voiceover is very engaging without being over the top, which is very refreshing.
Thank you, that's a very nice comment 🤓 ~Andrej
This is an amazing video. Really useful, motivational and inspirational. Gave me exactly what I was looking for and more! Thank you for making it.
No problem, thank you for sending a comment ❤️ ~Andrej
Thanks for making this video! Looking forward to time tracking using this app.
Cheers! ~Andrej
Excellent video for quickly getting up & running with Toggl Track. Lots of good information. Thanks!
thanks for the feedback, Alain :)
One of the most useful and most practical videos i viewed this year. (this simpl mindset really expand beyond app and toward better daily life planning)
Thanks! Cheers ~Andrej
Loved this!
Thanks for the effort you put into making this video so perfect. I found it super helpful for getting started with Toggl. I'm not sure why, but my attention drifted away right before you start talking about the clients feature. I had to take the video back to that spot 3 or 4 times to actually hear your introduction to clients. The way you broke the video into sections was really helpful for that. I'm going to save this video and recommend it to anyone I work with who's new to Toggl.
haha, maybe the video was too long for your attention span :) thank you for sharing!!
Thank you! I was wanting to get into the whole time tracking thing, and someone mentioned Toggl in a comment. Downloaded the app and then went online to find tutorials on how to use it, but the majority of them were centered around business tracking, not personal tracking, so when you say up front you weren't covering using the app in a team environment, I knew I'd finally found a tutorial that would suit my needs; and you did.
Glad to be of service 🫡
Thanks for making this video, really useful !
You're welcome, sir! ~Andrej
Brilliant video - thank you so much, easy and clear instructions. 👌
thanks for leaving a comment :)
Thank you so much! Very informative and easy to understand. I've been trying to stick to this kind of routine since last week. Toggl is really helpful

Thanks for the great video.

Well done. I like this adaptation to life-goals. Very helpful with the app and in general. Thank you.
thank you, Rob!
Quality vid mate!
When you added relax to no value it made me smile though, glad that in your new system you’re less binary and recognise that there is a role for productive downtime provided it’s not in excess
yes!! I'm still trying to learn that 😊 ~Andrej
Excellent. Thanks from Spain
gracias, Mago! :)
Thank you very much bro

I was going to download strictly for business, but you really inspired me to use it for more, thank you! ❤
Yaaay, np ☺️ ~Andrej
Nice video. GJ
thanks! ~Andrej
This tutorial was very good Maa Shaa Allah
weee, thank you :)
It's so useful, the toggl track is very niche in China, so I had to come here to find a tutorial. Your approach is great and inspires me a lot.
Wow thanks, happy to hear this was inspiring ~Andrej
Awesome vedio, thanks
Gonna try this for the next 10 days n see how this go
go for it and let me know what you collect :)
Can you decribe to us how this 10 days went, pls???
Hey! That was Really Helpful Andrej.
You've Got Crazy Good Content on your Channel. I'm really Wondering about When did you start Posting actually on this Channel. Did you switch to this as a new channel or Something?
Because I Strongly believe You deserve a lot more Subscribers man!
hi Yamini, thanks for your encouragement. My first video was published on May 19, 2019. Right now it's Unlisted because nobody wants to watch a guy walk to the office and back 😅 This is indeed my first real YT channel (I tried something very briefly before but didn't stick to it). The subscribers will come... or not since I really niched down and focus on localization only. These few app tutorials drove 99% of the views, but I have to focus on the right thing. - Andrej
pretty much the only good video on toggl, well done.
Thank Sergio, appreciated
Thank yoi
very welcome 😉 ~Andrej
this is gold
cheers :)
wonderful
indeed 😁 ~Andrej
Well paced, meaningful, practical video EXACTLY what I was looking for. I suspect that the new UI mismatch will be lees of an issue, as this feels like core functionality guidance. Let's see ; )
hopefully 🤞 thanks for the comments ~Andrej
A friend recommended the app, but she didn't explain how to use it, and This tutorial helps me greatly; I think it will be better to use! (Need to put more focus on classifying clients),!!! thanks
You need to find better friends 😂 ~Andrej
Great video, thank you for sharing the personal details of how you schedule your activities. By the way, why don't you use Tags instead of projects to distinguish let's say between activities you enjoy or do not enjoy?
Hey Antonio. It's simply because of the reports - you can only use tags as filters. So I would have to manually check what is my time for what I enjoy and then what I don't enjoy. With projects I have the aggregated numbers right away in one table/chart
You should add some kind "Toggl for personal" descriptor in the SEO/Title (etc.) for this video. This was exactly what I was looking for.
good suggestion. Since I'm currently ranking high for just "Toggl", I'll put this on my to-do for the next year when I update this for 2021 :)
Great Video mate, Would you say its better to start with how you did your clients the first time around? To get a feel for how our time is being spent then move on to the current way you have your clients.
Excellent video
I'd say start with whatever is more simple and easier to build a habit with. If you overcomplicate it, maybe in two weeks you won't track anything
Profesional Video
oh thank you very much, Shamsul!
Andrej was like "Awwww, are you tired and overwhelmed?"
ME: Yes 😢
Andrej: SHUT TF UP, YOU AIN'T DOIN' SHIT!
ME: 😳, ok you got me 😅
hahaa... YESS!!
Dope vid, and thanks for giving us insights in how you've learned how to use it over time! I'm curious what extra benefit you might get from using tags? Also I'd love to hear how tracking your time like this has changed your life in the past 2 years.
Hey Sean, thanks and sorry for the late reply! :) I've never used tags, I find my current hierarchy sufficient. I think tags allow you to further classify your activities for reports.
Now, how has this changed my life... that's a good question. Honestly, just being more aware of how I spend my time. Sometimes I feel like I missed my weekly goals and when I look at my numbers, I still feel better knowing how much time I put into my Future. Also, recently I've been thinking about how to bring more "joy" to my life while working on the important things. So I'm looking at outsourcing some of the "Future only" activities that became a routine for me, but they're important. With the numbers I have, I looked at how much time I spend on cooking and groceries... and also editing podcast. Both of these I don't enjoy that much and I could outsource (either get a meal delivery plan or find an editor). Based on the number I track, was able to pick which one to start with since I can't afford to outsource everything. So this is the thing... I don't feel like it has changed my life on its own, but it's a handy tool to have when you make important life decisions imho.
It would be useful to have a way to quickly see all different activities for a specific project
Very useful indeed. I'll give it a try. Is there a way to pre-enter the tasks/activities in the project? Also, I was wondering if you use tags and whether they are helpful for reports. Thanks!
I'm not sure what you mean by "pre-entering tasks"? You can manually insert time entries.
I do not use tags as I didn't have the need for further classification of the data. You can use tags as filters, e.g. to get a report with a certain tag. But you can't create reports based on tags... :/
Very useful, thanks. I will give Toggl a try. I think I spend so much time in stupid stuff and I don´t like it. Hopefully this will show me where those things are and for how long I am doing it. I am separating mine Learning (which I love), Creativity (when I write or plan screenplays), No value (for Netflix and things like that) and Productivity which is more work related. I guess is trial and error...
thanks
no problem. That's how I started as well. And yeah, if you track it properly, it WILL show you the reality :)
Hey thanks so much for this video! 🔥❤️
For college, do you suggest logging all school activities under one big project or creating individual projects for each and every single class?
Hope you’ll reply 🥺
Welcome 😁 about your Q - are you serious about each class equally? Maybe there are classes you just turn up to, for others you may want to commit more time because it's your future or you like. So I'd probably separate it unless you think everything you do at school is equally worth your time. ~Andrej
Honestly I want to know is how I put my hourly rate in the application?
Hi, thanks for a great insight into how you categorise your "clients" and "projects". I can't find the Accountability Journal Series you mentioned at the end of the tutorial, did you launch it elsewhere?
hey, sorry about that! I did that series here on this channel but I decided to take it down after a while ~Andrej
@@LocalizationAcademy Ok, Thanks for letting me know, All the best. Jim
Amazing video, I liked your way to use client. Just a question: how do you record two different activities made at the same time? For example: I go running for one hour listening a 30 minutes podcast on my mobile. How can I track these two activities?
hi Domenico, thanks for the comment! Re your question - someone asked me the same thing before in my first Toggl video, so I've just screenshotted the answer: drive.google.com/file/d/1r5SrBgYnNPtA650bN5Y8e54Xax2Pcgbo/view?usp=drivesdk 😀
Help ! I switched my toggle track on dark mode, and I can't find how to go back on light mode. It's stupid, I know ! I'm on Mac Os Bg Sur. Thx for any help...
Interesting videos, does toggl have a download to excels functionality to download all the logs we've created?
support.toggl.com/en/articles/2564936-exporting-data
By the way, you talked about accountability journal at the end of the video. Where can I find it?
I took those videos down long time ago...
Great video! one question please. How can I use toggl AND pomodoro technique? is there any addon or is it already build in and I can find it?
Sorry, my man, I don't use Pomodoro so I didn't have to look into this :/
@@andrejsbackup4962 :(
Great video! Is there a convenient way to "charge" 2 categories at once? For example, let's say I can combine cardio on the elliptical and reading a book. Is the best way to just make a new category called "Read_Cardio" (or something like that) or is there a better way?
Wait... Sorry just found a duplicate comment where you answered the question! Disregard this one!

hehe, no worries. ~Andrej
thanks, great video for the personal use of Toggl track - I like your client/project structure - guess you do not use "tags"
thanks for your comment, Brian! Nope, I don't use "tags", didn't feel like I need that extra level of classification for my activities. cheers
How can I group the time that I have devoted several days to a task and put it all together in the same time entry? many thanks !
I'm not sure why you would want to put it as one time entry? Each time entry is based on when exactly in real life you did it... You can filter out a task in reports to see how much total you spent, but it's still multiple entries for each time you did it (= it reflects doing the work at a certain date and time). ~Andrej
Is there a way to make a to do list or quick access to repetitive tasks in order to avoid entering them manually each time.. thanks
I use "Continue task" most of the time (03:31), which starts a timer for a task you did before. So no need to enter anything, just find it in the list of previous tasks and tap the Play button. Toggl also has auto-suggest, so you don't have to type the whole thing all the time, it should suggest to you previous tasks based on what you type.
Thank you for the tutorial! I would like to literally run the timer 24/7 with no gaps between an activity and the next one. Is there a way to do that so that every minute is accounted for?
hi Matthieu, yes absolutely. Just build the habit of starting the timer for a new activity when you switch what you're doing. That's how I track every minute, like right now, I'm tracking "comments" under my RUclips project. And when I finish this reply to you, I'll do something else and change the timer again :) it will be tough at first, but eventually you'll be doing it automatically. And when you go sleep, start tracking "sleep"... and when you wake up, first thing you do, is you change your timer again to what you're doing.
@@LocalizationAcademy Thank you for your reply! I’ve started using he shortcuts app in iPhone to make the process more seamless. Do you know if there is something similar for the Windows desktop app? I feel like it’s not fast enough, especially given that I take breaks sometimes, as short as 5 minutes and at the end of the day, I still want to account for those minutes. Thank you again for your “time” ;)
Where would you put the commute part to see your friends or the doctor?
I usually listen to music on commute, so I'd track it as that. Or I reply to comments like now haha... If it's really just travel, I'd put it as commute and have it as part of "Survival"
Do you need to watch that new Netflix series? Ouch! That hit deep...
You're welcome 😁 ~Andrej
Do you know Life Cycle? Do you use it? It tracks where you go automatically and you can associate an activity for every place.
I was searching on toggle because I thought it would be useful for work, since I work from home in general, and also because of the timers since on Life Cycle I should check the time I began and ended the tasks at home ie…
That sounds interesting but no, never heard of it, never tried ~Andrej
@@LocalizationAcademy I love it. But I guess for work Toggl has more options, like sortint the projects by client (but I’m still trying to figure out exactly how to configure it. It’s a bit confusing for me), so you can know with what client you spent more time. It seems good to calculate an hourly rate for jobs and specific activities.
Any idea on a app where it tells you what you were doing at what time rather than telling you how long you have been doing it. It would be self sufficient
just switch to Daily or Weekly view
Is it just me or is non of the time trackers really good? Now then pro on Iphone looks good, but im an android user.. Anyone know of a good tracker where you can have categories and subcategories? And not have to use the pc..
i think rize is nice but its not free
Hey Andre,
I've integrated my google calendar with toggle and I noticed one problem.
It only started tracking my activities after integrating.
I want to make it so it also stores the past activities(before integrating) in my google calendar.
Can you help me with this?
Much appreciated.
No idea, I don't have any integration. I'd check if Toggle offers some import and then export data from your calendar. ~Andrej
@@LocalizationAcademy Thank you.
I appreciate it Andre, keep up the good work!
