I've watched Thomas Frank's video that you mentioned in the video. Fyi guys, if you want deep dive into making your own template, Thomas Frank is the one. But you just made a masterpiece. It is simplified and really usable. Thanks a lot uncle. 🙌🙌
"Anno-I mean lovely Notion users" this guy has the greatest humor 😂 anyways do you have any tips for making properties? I'm currently making databases for a Second Brain dashboard but I'm struggling with property ideas
Going beyond "jokes aside" - you purposefully set out a regular time to reply to comments. You follow your own advice and you make time for your community and invest back into the folks investing in you. Your engagement is regular without being a massively consuming part of your day, week, or month. It's an incredibly tricky balance to achieve but you make it sound easy - props to you for that!
Thanks for sharing Jeff! I think this is perfect for those that want to focus on the execution part and less on the planning side. Something I notice with those using Notion is that they get caught up with setting up the perfect system-e.g. overthinking the long term usability, etc.-and not enough on actually doing the tasks listed 😅
I've been using this system for a while and love it! The only change that I've made is replacing the task list with an embedded window to my todoist. That way I can use todoist for both my idea capture and task management and remove the friction of jumping between apps.
You can use recurring templates to create a new entry each day in your make time database. Then you can filter by “Date is This Week” and never have to worry about creating entries or clearing old ones.
@@jimchiang1729 Click the dropdown menu next to the blue new page button in the top right of the database, and press create a new template. This will open up a new page. Then go back to the dropdown menu, press the three dots next to the template you just created, and click repeat.
Man you are great , i loved that you highlighted that everyone can use notion as they want , I always felt that i am using it wrong before seeing ur vids
Fantastic video, thank you - I can't wait to try this. I tried this a few months ago, but not sure I was ready. I find myself using Notion more and more for everything. I love having it all tracked, but I also like being loose. Having a database to search through has been so helpful on so many occasions. Thank you!
Amazing!!.. I have maintained your previous 'Make Time' template.. however, I want to take it off the screen to review my day. So started maintaining a dairy and Apple default apps to remind and take notes of imp one's... this template looks good
I 've been using Notion for a while now but hadn't thought of using the button feature to add recurring tasks, thanks for that! Also I love how you mention other people's work, it creates a nice web of ideas to draw from.
hey, Jeff! i've been searching for some time now how to enhance my tasks management with notion and todoist, and you are the first one that I see that uses both at the same time. Mindblowing hahahah I think todoist is the ideal tool for quick capture aswell, but I tend not to organize tasks there too. And I just simply love Notion for planning and organizing everything. I will put this video on repeat and test your system! Thanks!!
You are making me reconsider Notion. I switched to Bear which is the best notes taking app, but I can't reach it on my windows PC. It's accessbile only from macOS and iOS. Overall Notion is the best product, but I spent more time configuring Notion than actually using it and it wasn't effective for me at all. That's the reason I switched to Bear. But recently I saw several templates in your channel and might give it a try again.
As much as I want to tell you to switch to Notion and use my templates, I have to admit the best tools/processes are the ones you feel the most comfortable with! I had the same problem when I started out with Notion (too much tinkering, too little doing). My advice here is to just pick 1 template/workflow you want to get right (for example daily planning) and ONLY focus on making that pretty/functional for a month, before thinking about your other pages
I love this. One day I will make the time to use Notion to help me manage my day, week, life. Goodness knows I need it. I love your videos, I’m going to have to do a Jeff Su video binge, real soon 🎉
I really loooove your videos 😀. I love the energy and that you get straight to the point without missing important explanations and all this with some jokes 🙂. Thanks!!! Watched Franks video but really struggled with it. Would you by any chance be able explaining how I link tasks to a project 🤩?
There is a widget for Notion that allows you to use Todoist. That might help reduce the friction as well as far as swapping back and forth from tab to tab or tab to program. Another thing to recommend for anyone who uses mobile would be to add a table of contents option at the top. That will allow people to click to that specific area without having to do a lot of scrolling. Trust me, my world building Notion stuff has gotten so out of hand I must have a ToC option even for the desktop app. There is something I use called the Complication Factor for my personal tracking. If it is something you can do on your own, the complication factor is one. If it is something that requires two people (yourself and another person), the complication factor is four. If the task requires four people, then the complication factor is sixteen. This helps you get a visual of what is delayed quickly and easily so you aren't wasting your time doing something that other people need to assist with. I usally mark it with CF1, for example. I'll also color code the entry, but that is just overkill for most people. Great video as always, much appreciated! I'll download the template and kick it around! I have to get a new template up for the new job anyway, so this is a good place to tinker!
Hey Matthew, thanks so much for this! I actually Googled the Todoist Notion integration after reading your comment so I'll leave the help center link for everyone else here (todoist.com/help/articles/use-notion-with-todoist). I couldn't help but smile reading your explanation of the "complication factor" because I totally get what you're saying but I'll definitely NEVER end up using that 😂

Hey Danny's back!! Goddam your comment is making me feel FOMO for not using Obsidian. Would you say my entire process in this video can be replicated in Obsidian (with less friction)?
Hello there. Yes I do see a lot of wasted efforts here moving tasks over and over from place to place. I have similar setup in Notion yours. Love the trick at the beginning and it’s quite nice quoting other RUclipsrs. The video is a bit quick and it’s not easy to catch up many of things. Comments from many pro notion users here which is good. I wonder why use todist instead of reminders and Alfred instead of spotlight and google calendar especially instead of iOS calendar? Sometimes also I feel this system takes a lot of time and just stick to simple reminders list lol.
Wow I love this constructive feedback Abdullah! I agree with each point you made and you don't make me fee defensive at all, so thank you for that 😁 To reply to your questions: 1. Todoist > Reminders because I don't want to rely completely on Apple Ecosystem (tradeoff between "safety" and friction I guess) 2. Alfred > Spotlight this is easy because even with the latest update for Spotlight Alfred is still wayyyy faster and more powerful for more needs (also the snippets feature) 3. Google Calendar > iOS same as my answer to (1) and I love the features that come with Google Calendar
It's great to have a personal Task management system. I found it easier to combine both work and personal into one task management platform. My organisation is using asana, so I also use asana as both personal and work task management platform.
As you stated, it's best to stick with a system that works for you. In my case, I primarily use Todoist (90% of the time) as a task manager because it is smooth and simple to use, particularly on mobile. On the other hand, I find that Notion has a lot of friction when used as a task manager and require more input. I only use it for managing project tasks.
Jeff, thanks a lot for sharing. I’ve been waiting for this video:) recently I have updated my tasks management system to database-based too. You never mention how you manage your work projects and work tasks. And I would really like to hear about it. My biggest struggle is to manage different types of tasks: related to my full-time job, related to my life and related to my projects. Any advice how to manage work and life tasks?
So long story short I created 3 areas in Notion: Personal, Business (RUclips), and Work. Then I create projects and RELATE to those 3 areas (tasks as well)
I had a similar system but just started using the new sub-tasks feature to create tasks related to projects (instead of a separate tasks database). We’ll see how it works out!
Oh nice! I haven't started using Sub-tasks yet. I get the concept but I feel like Projects Tasks is enough for my needs. Let me know how it goes for you!
I don't use todoist but I have a suggestion for you which might be helpful for you. Instead of inputting tasks/notes to todoist and then entering the same in notion, you can actually use a simple app on your phone like Instant notion which will be directly connected to your notion page/database. Do let me know if it works for you.
Hi Pravin, thanks so much for the advice! I actually like how smooth the mobile app for Todoist is and I love the natural language processing feature, so I'll probably be sticking with my current workflow for now!
I honestly don't understand how some of these productivity videos are so counterproductive. Sure, it's fine to use Notion to organize a couple of things here and there, but when planning your day starts to be a task itself so full of small procedures to get things going, it's the opposite effect of solving your life. I prefer to spent this precious time on work related tasks and keep things very minimalistic.
Hi Ivan, it's awesome to hear that a more minimalistic approach works for you! I tend to get anxiety if I don't list out the things I'm going to be doing so I enjoy this system of mine 😁
But investing a couple hours into making a database like this which can be accesed even from your phone saves much more time and organizes every task you need to do our minds can't keep up with every task so its vetter keep them organized in a seprate space and not miss anything
Hey jeff, love all your content! I found it very useful and pleasing to watch! don't know if you can make one video that quickly goes through your video-making and post- process. Those animations and illustrations are amazingly smooth! Wonder how they are made. Thank you!!
Hey Jeff! I love the style and personality of your videos!! Do you have a video on what editing software you use and where you got all the animations? (Or did you make them yourself?)
Hi Jeff😊 Happy New Year!!! I hope you will have a great year🎉 I have watched many videos in your channel, and I am now using your daily notion page which is working for me as well! You change my life to way-way productive one! Thanks! I am always thinking: Which should I use for note taking, Google Docs or Notion? What do you think? Also, I am now using Google Tasks for task managing app, but I am interested in organizing tasks in Notion, what do you think? I would like to be more and more productive, so please continue on creating interesting contents😊 Thanks❤
Really liked the video and the simplicity around your system. I have been trying to get into Notion and I ended up following someone else simple system with 10+ databases and it didn't work hahaha. So I might take a step back and try a more simple approach. Thank you a lot for the video :)
No worries Caio, I totally understand where you're coming from because I had to go through a few iterations as well before landing on something that worked for me. Let me know if you end up adopting this system 😁
Hey Jeff! Thanks for the great contents and videos. They are super helpful. Would be interested to know how you plan your tasks for work, especially Notion is not allowed at G. Thanks!
YOOOO JEFF ! Okay, I watched your video and I really love the explanation. You make it seem quite intuitive and simple. Flexibility is also a priority for me, sometimes I get too overwhelmed and forgo apps entirely. I love the simplicity of pen and paper, but my adhd wanna make things go brrrrrrrr. So yeah, I've been wondering or meaning to build a gamification system using Habitica, Notion and Todoist. Somehow.... I don't want to add too much friction, my plan is to use Notion, todoist (for quick capture) and google calendar the way you have taught us too. I'll add in habitica for basic habit goals, to keep it fun and such. What the mission will be though is to focus on redundancy. I want it all somehow to sync. Api's maybe ? Sounds complicated. Maybe I'll just keep it simple for now and work on this system over time. Anyways, thank you for this video, it really is super helpful to students like me. Happy new years and all the success.
Discovered you recently but already love the content, you should make a video on that areas database where you had the content calendar. It seems REALLY interesting. Cheers man
Thanks for sharing Jeff! Been following you for quite some time and seeing how you continuously strive for improvement (& experimenting new stuff) in your video is just so inspiring. Agree with your final remarks whereby the best productivity system is the one works for you, so I will only STEAL the part on Highlights which I resonate the most for this round! Thanks again and looking forward to more great videos from you! 😀
Love watching your videos! Just got to this one - not sure if this has been brought up to you before, but I do something similar with my running to-do list and a Today list, but I include checkboxes in your "Week View" equivalent for "Today" and "Tomorrow", and if I check that, then it will automatically populate into those lists which don't have sorting applied, so I can manually reorder tasks on that list and it doesn't impact the original tasks or due dates.
@@JeffSu yeah! just adding an extra checkmark box for today/tomorrow as a new property within the full to-do list property, and then making it show within your weekly view so you can just check and uncheck for what you want to do for today and then in the today/tomorrow section, it'd just be a list view of the to-do list database, filtered for only items that have the today/tomorrow box checked but when the task is completed, i check it off on the table view list w the due dates, since i don't think(?) you can add check boxes into list view of a database the only caveat is i'm not sure if it would work with you button to autopopulate daily tasks, since i haven't really used that feature ... might have to separate that out 🧐
Great setup Jeff!!! Just a little tip that might help your workflow (or maybe not)... at 4:27 I realized that you fill the "day of the week" manually, from a "Select" property. You could automate this by replacing that property with a formula, this one: formatDate(prop("Date"), "dddd") Not sure if this would have some downsides elsewhere in your setup though, like in some filters that might use the weekday.
Thanks for the video! I've tried for so long to get into notion for task & project management, but I've found it to be too hard to stick to. I can barely remember to put my stuff into Todoist lol. For me, scattered sticky notes and paper lists are always going to be the easiest to stick with :)
you're funny! I like how you do these videos man. Also great and easy to understand info, thanks so much for the templates (I just bought you a coffee)
Hi Jeff I really enjoy your content from productivity to career advices (e.g. how to take 1-1 notes with your manager etc)! I was wondering if you have any tips on how to document your projects, this comes in handy each year for performance reviews where we have to go back in time and think about every projects we worked on. I have been searching for recommendations and formats on this but have not been able to find any at all! Would be really nice if you can share yours! ❤
This is a GREAT question Anna and I'll probably do a video around this in the future. The short answer is a boring one: you need to create a system. Doesn't matter if you use Docs Sheets or Notion, but you need to set a calendar reminder once a quarter to come back and input key metrics: Project Name, Teams involved, Objective, Quantifiable results, advocates, etc.
Love this, I think this will finally be the task management system I can wrap my head around. Is there a way to have tasks from the projects database automatically show up in the 7 day view of the upcoming tasks? or do you have to duplicate them in each database?
Hey Jeff thanks for your video ! Do you think you can make a video step by step how to build a notion platform like yours (even tho we have your template) Thanks man love your videos
Adored the video, Jeff! How do you manage the calendar? For all the tasks you create some time on the calendar? And for appointments, for example, a doctor appointment, do you create a task for that, or do you only keep that on the calendar? I use notion, todoist, and calendar, still trying to find the best way to organize them, but I really liked the way you are doing it. It's pretty simple and doable. To take a course or learn a new skill would you create a project for that? Or do you think could be better create a Learning/Knowledge DB?
Hi Jeff, I have a question - Where are the Milestones in the PROJECTS that you talked about in your "how to manage complex projects in Notion" --- video? Do you not create milstones for projects anymore? Edit: Also the Notion template that you gave with this video has the complicated setup of Thomas Frank with *29* properties!!! We want a simpler template on which Jeff Su's magic is applied 😏 (we want Jeff's project DB, not Thomas Frank's.) Edit 2: Last one I promise, 🙂 How are you calculating overdue? Again in the template Thomas Frank's DB is given which is beyond my understanding! Lacking Jeff Su's simplicity ever much!!
1. So ever since I started using Thomas Frank's Ultimate Tasks and Projects, I stopped using milestones! His way is so much better 😅 2. Oh but I don't use the 29 properties (and I think most of those are automated anyways) 3. Since I review the upcoming tasks 1-2 times a day, I actually have never had a task be overdue yet 😂
Thanks for the video. Couple questions: Are the daily tasks stored somewhere when I complete them? And if I moved a task to ' For Tomorrow', will it automatically be shown on my next day's daily tasks? or embedded in the weekly tasks section?
Hi Jeff, great video as always. Very valuable. In 2:22 where you show your Content page, you have a calendar on the right. Does this database track your "Idea" of content from the "Idea" stage to the "publication" stage for platforms? Or do you have a database to track the "ideas" for each platform?
@@JeffSu Thanks for clarifying, Jeff! It’s interesting to hear about your approach. I think it would be incredibly valuable for your viewers (including myself) to see a video explaining how you manage your content ideas and final content separately. Looking forward to it if you decide to cover it in the future!

Then I create projects and RELATE to those 3 areas (tasks as well)
I love your productity system, it just works perfect for me as well❤
That's what I love to hear! 😁
Subscribed, your Mac apps and tips videos are littt
Woohooo thank you.... Wicked John 😂
I stan the organization
thank...you?
nice video and just downloaded your template. thank you! hope this helps me be more organized and productive. :)
Glad to hear it Louie!!
I was looking for a way to optimize my task management routine and found your template. Thanks for creating it 🫡
Nice!
Hey jeff, love all your content! I found it very useful and pleasing to watch! don't know if you can make one video that quickly goes through your video-making and post- process. Those animations and illustrations are amazingly smooth! Wonder how they are made. Thank you!!
Hi Wang! I haven't made any of those videos yet but I'll probably start sometime later this year 😁
appreciate it bro, saved alot of people alot of time
Woohoo!
Thank you sm for this free guide. And thank you for always inserting humor into your videos lmao 🤣
No problem 😁
Hey Jeff! I love the style and personality of your videos!!
Do you have a video on what editing software you use and where you got all the animations? (Or did you make them yourself?)
I use Final Cut Pro and create these animations from watching tutorials on RUclips! You can check out my gear here: www.jeffsu.org/gear/
Hi Jeff😊
Happy New Year!!! I hope you will have a great year🎉
I have watched many videos in your channel, and I am now using your daily notion page which is working for me as well! You change my life to way-way productive one! Thanks!
I am always thinking: Which should I use for note taking, Google Docs or Notion? What do you think? Also, I am now using Google Tasks for task managing app, but I am interested in organizing tasks in Notion, what do you think?
I would like to be more and more productive, so please continue on creating interesting contents😊
Thanks❤
Feel free to check out my note-taking videos since I have one for Notion and one for Google Docs!
@@JeffSu Thanks Jeff for your reply. Yeah I’ve watched it, but I want to know how you use (or distinguish) those 2 apps.
Whow 🤩 the editing is awesome Jeff!!
How did you do that...
RUclips tutorials 😂
Great video. Very helpful!
Thanks so much Jai! Glad you found this helpful 😁
Jeff, I love your editing so much!! ( Fan from Thailand overhere! )
Thank you so much my friend! I'm hoping to go to Bangkok sometime this year!
Hey Jeff! Thanks for the great contents and videos. They are super helpful.
Would be interested to know how you plan your tasks for work, especially Notion is not allowed at G.
Thanks!
I'll probably do an entirely separate video on my Google Workspace productivity workflow!
You're welcome my friend! Happy New Year and remember: The best system is the one that works for you so no need to overthink it 😁
Jeff Su is on my weekly reminder...haha
It better be 😏
Thanks for sharing Jeff! I just started my notion journey and this template is amazing >
Glad to hear it!! 😁
thank you for having this free
No problem 😁
Discovered you recently but already love the content, you should make a video on that areas database where you had the content calendar. It seems REALLY interesting. Cheers man
Woohoooo thanks for being here! I will definitely take your feedback into account!
The most useful notion video and good humour, thnx
Thank you Danas 😁
Thats amazing!!!! Thank you very much for sharing it's help me a lot :)
That's what I love to hear!
THANKS for sharing all this.. really benefiting. You mentioned setting up recurring tasks - how do you do that in a project/task?
I use Thomas Frank's template!
Woohooo that's what I LOVE to hear Ying Ying! Let me know if you end up using the highlights portion!
@@JeffSu yes I did, implemented immediately in my current system and it felt amazing! 😍
Love the set-up! Thanks for sharing. What are the best ways to integrate & store notes in projects?
I'd recommend checking out Thomas Frank's video! I follow his workflow!
Awesome content Jeff. Grateful for the work you do!
Thanks so much Scott 😁
Love watching your videos!
Just got to this one - not sure if this has been brought up to you before, but I do something similar with my running to-do list and a Today list, but I include checkboxes in your "Week View" equivalent for "Today" and "Tomorrow", and if I check that, then it will automatically populate into those lists which don't have sorting applied, so I can manually reorder tasks on that list and it doesn't impact the original tasks or due dates.
And that's within a database?
@@JeffSu yeah! just adding an extra checkmark box for today/tomorrow as a new property within the full to-do list property, and then making it show within your weekly view so you can just check and uncheck for what you want to do for today
and then in the today/tomorrow section, it'd just be a list view of the to-do list database, filtered for only items that have the today/tomorrow box checked
but when the task is completed, i check it off on the table view list w the due dates, since i don't think(?) you can add check boxes into list view of a database
the only caveat is i'm not sure if it would work with you button to autopopulate daily tasks, since i haven't really used that feature ... might have to separate that out 🧐
Where do you buy your shirts and jumpers Jeff? Bit of a side note from the content but you always look on point sir!
Hahaha thank you! I actually wear a lot of Lululemon and a smaller brand called Gentspace
Great setup Jeff!!!
Just a little tip that might help your workflow (or maybe not)... at 4:27 I realized that you fill the "day of the week" manually, from a "Select" property. You could automate this by replacing that property with a formula, this one:
formatDate(prop("Date"), "dddd")
Not sure if this would have some downsides elsewhere in your setup though, like in some filters that might use the weekday.
Another viewer mentioned the same thing and I already adopted it, it's a GREAT time saver! Thanks for sharing as well André 😁
Great!!! 😊
Thanks for the video! I've tried for so long to get into notion for task & project management, but I've found it to be too hard to stick to. I can barely remember to put my stuff into Todoist lol. For me, scattered sticky notes and paper lists are always going to be the easiest to stick with :)
The best system is the one you can stick with so you already have the perfect system!
Love your videos Jeff.
I was wondering, can you make a video on the content creation process as well the content creation Notion template?
I might do that at some point down the line 😁
Heads up, there's a very easy Zapier integration that allows you to automatically create a notion database entry when you add a task to todoist
Yea I tried that but it still felt a bit "off." Another viewer recommended using the Todoist Notion direct integration. Have you tried that?
You amazing dude...I like the Blending you did with Thomas Template
Glad to hear it! 😁
Dropping a very welcome comment, when I don’t even use Notion 👀
I was wondering where you disappeared off to Christiana, welcome back 😁
Great video editing 🤯!
It's easy to work with your layout. Fantastic content, thank you once again!
It took a while to get this right but definitely worth it. Thanks Luís!
Happy new year
Happy belated new year Raghavan! Although I get to say this for the whole month since CNY is coming too haha
@@JeffSu what animal would be for this year.
Hi Jeff! Which one should I follow or use? Weekly Agenda video or This video?
Depends which workflow you think you can stick with consistently 😁
you're funny! I like how you do these videos man.
Also great and easy to understand info, thanks so much for the templates (I just bought you a coffee)
Thank you so much for the kind words and the coffee Richard!! Always glad to help 😁
LifeOS booting❤ thanks for this Jeff
Hope you enjoy the OS Anurag 😉
@@JeffSu Now I am impressed with your magic trick!!! would like to see your video editing tutorial... 😀
@@anuragparsa I might do those types of videos later this year!
That intro was absolutely dope 🤌⚡
Haha thanks Marcus! Hopefully you liked the rest of the video too 😉
Hi Jeff, Can you please teach how one can manage multiple RUclips channels in Notion?
I might be doing a video on that later this year!
They're all in 1 tasks database :)
Hey Jeff thanks for your video !
Do you think you can make a video step by step how to build a notion platform like yours (even tho we have your template)
Thanks man love your videos
Hi Mr. Benith! I might do a video like that later this year!
@@JeffSu awesome ! Thanks for that boss !
Great question Felipe! I actually go over my exact workflow in my "simple productivity workflow" video!
Great information in this ! ,thank you!
No problem!
Woah. First video I had so far and it's so mind blowing. Just new to notion. Am I not that late? haha.
You're not late at all my friend! 😁
This is well thought-out :o
Thank you so much, this will help me improve my pages too
Only the most well-thoughout templates/workflows for my viewers! You're very welcome!
Thank You so much. #Dear 🥰
No problem 😁
Very well performed video
Thanks
Thank you!!! You're welcome Biny 😁
We want a simpler template on which Jeff Su's magic is applied 😏 (we want Jeff's project DB, not Thomas Frank's.)
Edit 2: Last one I promise, 🙂 How are you calculating overdue? Again in the template Thomas Frank's DB is given which is beyond my understanding! Lacking Jeff Su's simplicity ever much!!
1. So ever since I started using Thomas Frank's Ultimate Tasks and Projects, I stopped using milestones! His way is so much better 😅
2. Oh but I don't use the 29 properties (and I think most of those are automated anyways)
I have separate databases for "Ideas" and "Final Content"
@@JeffSu Thanks for clarifying, Jeff! It’s interesting to hear about your approach. I think it would be incredibly valuable for your viewers (including myself) to see a video explaining how you manage your content ideas and final content separately. Looking forward to it if you decide to cover it in the future!
I use Drafts App on Mac and iOS to capture quick tasks and use a simple workflow to create a database entry in Notion via API. 2:48
Oh nice! So you connect Drafts and Notion via...Zapier or just an API?
Hi Jeff, your video is so cool, can you show me how can I do it? Thank you.
There are loads of better teachers than me out there for video editing! I use Final Cut Pro so check out some free RUclips tutorials 😁
iNTRO 🔥🔥🔥🔥🔥🔥
Glad you liked that Madhu 😁
Jeff, do you use Obsidian? Great video, as always
I do not, but open to learning about it!! 😁
