Mine is in the State of Texas. The paperwork Audit I have to walk in on appointment. I have all in a binder and neat.
I am non CDL. So no drug test requirement, and pre 2000 vehicle, so I am one of the few with paper logs. Texas said bring 6 months of logs. I have from the Beginning of my authority.
I have maintenance records and receipts of many things I bought to back it up. They require a lot. As you said organized is the way
They did not come to my office but I did have to go to them. They were about an hour away. They sent an email that I contained a checklist of all the things you mentioned. Those are all the things I had to take with me. The email has the auditor’s phone number. I called and asked for clarification on some of the items. I had to upload the driver logs two day prior to going to the audit. This particular audit does not charge fines. They were informative. My email came from the department of public safety. Your information is spot on.

Hey David, thanks for the fantastic video. I did want to follow up on your response re the applicability to a business with vehicles < 26,000 GVWR.
My read of the statute ( §382.103) a company must implement a DOT drug and alcohol program for all drivers operating a commercial motor vehicle (CMV) that requires the driver to possess a commercial driver’s license (CDL). While vehicles over 10,000 lbs are classified as CMVs, certain vehicles < 26,000 can be operated without a CDL and should be exempt.

Thank you for sharing this information. I came across video due to a call I received this week from my insurance agency in preparation for an upcoming international DOT inspection. I have most of the information you mentioned put together but I was missing the random drug screening program aka DOT consortium. I am a new carrier so I have not received my first audit yet, but thanks to this video I should be prepare. David, I'm so grateful for all the information you're sharing. I was in the school system for the last 13 years but now I'm trying to help a very ill family member maintain his trucking company. I have little to NO knowledge or experience in trucking but I'm willing to learn as much as I can in a short period. Your videos have helped me to better understand the different systems, compliances, tax laws, etc. of the trucking industry. Keep teaching King!!!! I just want to say how appreciative I am for your videos. I currently work for Amazon. I was a CDL driver directly working for Amazon and was recently promoted to manager.
We are paid SHIT compared to other companies. UPS, 3PC, and even the 3P shuttle drivers, we pay to move trailers from our offsite make more than us. Even me as the manager, I make less the the 3P shuttle driver that move trailers to and from our off site.
I am learning a lot from my current role and your videos are helping me prepare for my (hopeful) transfer to my own company.

When do you do your ANNUAL DOT SAFETY INSPECTION? Do they contact you to get it done ? Each year?
So for the proof of insurance can I just sent the the certificate of insurance or we have to have the form mcs-90 we don’t transport any hazards material we only deal with Amazon relay.
Above & beyond all of the DQL stuff, what other records should I be habitually hording?
If they need shipping documents for the past 30 days or so, what do you provide if you mostly Hauling Amazon loads?

Our company (Grass seed processing plant) has recently purchased our first 10 wheeler. (26000 gvw.) We have acquired a DOT#. Not sure if we need a MT#. We are listed as interstate and our home base is Washington State. We will be primarily using it to transport our grass seed in bulk boxes from the field in Washington State to our processing plant in Washington State. Leaving the state will only happen 4 or 5 time a year day trips. I have 5 drivers that are currently having background checks done. My understanding is no CDL is required. I have been told each driver will need a medical card (DOT Physical). I still have questions about log books, MT#, drug program and other requirement we might need. I know the DOT# must be on the vehicle but what about our company name? Any guidance would be appreciated. I have watched a couple of your video's and they have been very helpful.

I just signed up with Foley. They have a nice easy to use website for uploading ur docs. A bit pricey but I don't have to worry about doc expiring because they will let me know before hand. Good luck!

Being an owner operator, how exactly does the DQ File work? I hope I don't need to fill out an application for my own business... I still need previous work history and all that? What if I've been living just off of VA disability and what my wife makes for the last few years? Now I've got my CDL and want to own my own business....

For the ELD log, what if you have ELD but don't really use it because you do Amazon postal loads with 26ft box truck only? Can a paper log book be sufficient enough to to satisfy DOT audit?
Great info!For a car hauling company that been in business for 6 month now is it the type of audit you are talking about we need to expect? Also what if 2 of our drivers had Eld faulty entry violations so far? Could we still continue operating under current authority or is it not likely to pass the audit? Thank you!
