In this quick video, you’ll learn how to change all the fonts in your PowerPoint slides at once using PowerPoint’s built in Font Changer command - the Replace Fonts command.
On top of that, you'll also learn how to set your default shape and default text box formatting so this doesn't happen to you in the future.
The Replace Fonts is a GREAT feature for quickly switching out old font styles in your slides, saving you from having to manually walk through all your PowerPoint slides one-by-one yourself, replacing each font style yourself.
This is another great PowerPoint Speed Training example where you can save a ton of time by getting PowerPoint to do the heavy lifting for you.
Using the Replace Fonts command, PowerPoint walks through your entire presentation (including the Slide Master) and changes the fonts in all your objects like:
• Shapes
• Text boxes
• Placeholders
• Tables
• SmartArt
• It even works through the notes pane
The only place this font changer command doesn’t work in PowerPoint is with your charts. So, if you have a bunch of charts in your presentation with the wrong font, just be aware that you will have to manually replace fonts there.
After changing your fonts, another clever PowerPoint Speed Training trick is to set your default shape formatting and set your default text box formatting.
That way the old font styles that you don't want won't accidentally show back up in you r slides, which is bound to otherwise happen if someone has set default text boxes and shapes to the old (bad) font style.

WOWWWW!!! I always think I’ve identified every command in PowerPoint but have never seen this! I always advise have minimum size 30. Is there a way to find & replace text sizes?
Glad I could share a new one with you :). Great question about font size...there is not a default way that I know of to do that other than changing the font of your placeholders on the slide master. The only problem there is it will not update text in any stray objects. Will let you know if I think of something. Thanks for the comment!

@@ilovecats2796 To do that will be a multi-step process. (1) Copy the formatting of the text you want to apply (Ctrl + Shift + C) (2) Ctrl + F to find your first word "correct" and then close out of the find dialog box (3) Apply your formatting Ctrl + Shift + V (4) hit Shift + F4 to find again to find the next work and apply your formatting. You can then Shift + F4 your way through your entire document to keep finding the next instance of the word and using your apply formatting shortcut.

@@ilovecats2796 Correct, that is not possible. None of the PowerPoint features allow you to do that automatically unless you build yourself a macro. The fastest way I can think of doing that (outside off building your own macro) is the chain of shortcuts I mentioned in my other comment. Hope that helps.

Great! One question, though....does changing the default font for a shape or text box change it just for that presentation file or for all new presentations going forward?
Thanks Laura and great question. Defaulting your shapes only changes the defaults for that specific presentation. If you copy and paste the presentation, those defaults will stay with you, but if you want to set the defaults for other presentations, you'll have to set the defaults individually for those other presentations (which is highly recommended).

One other font recommendation, if you are sharing your slides with a lot of different people that might have different versions of PowerPoint (like PowerPoint on a Mac), there are only 9 fonts that will work across all versions of PowerPoint. Hello I have a question in my chart there were 50 items and the text beneath it kept getting smaller/narrower how can I increase the size of the Text beneath my data please

Thanks and great question. The only way to change the font colors and/or the font sizes on your slides, is to change them on the Slide Master. That said, it pre-supposes that all of your information is in placeholders...i.e. you haven't interested any extra shapes or text boxes outside of the template layouts. If you have, there is no default way that I know of to sweep through and change them. Can you PLEASE do a 2020 version? these options are not available in the same places anymore. Replace fonts is not in th home tab at all :(

Great question. When you paste into PowerPoint, you can select "Use Destination Theme" from the Paste Options button, which will convert your font size and style to however your PowerPoint template is setup. If you want a specific font size and/or style, you will need to use your shortcuts to get there. Glad you enjoyed the video!

At this point there is no multi-select for fonts, so you will need to change them one at a time for now. That would be a great feature PowerPoint can add in the future. Good idea!

I did this (replaced a bunch of fonts I don't want) but those bad fonts don't disappear from my "Replace" list which is odd!!
This happened to someone else that wrote in a while back and here's what we figured out (which might or might not be the case for you). What happened to them was someone had embedded a Mac font (using their Mac computer) but the majority of the team was using a PC. So we think what was happening was, the Mac font was being translated (incorrectly) into a different font on their PC and even though we removed all of those "bad fonts" because we couldn't target that original embedded font it remained in the deck (Even when I tried to clear it on my mac). The bad news was we couldn't get it removed from the replace list, the good new it wasn't actually in the presentation, it was just stuck there in the list. So ti was really just more of an annoyance than anything, as it wasn't showing up. All that is to say, that is another reason why we recommend not embedding fonts. So if it is in your dropdown list but not showing up in your presentation, that might be the issue for you too.

That is possible as long as all of your text is properly formatted Content Placeholders. If it is, you could change it all on the slide master. I was trying to replace the font from arial to times new roman but it wasn't there!!
Which font wasn't there? The Arial (in your presentation) or the Times New Roman that you wanted to replace it with in the Drop Down?
If you don't see the fonts in your drop down, then it means it isn't in your presentation. Double check that you are swapping out the right font style.
Can you replace All Bolded Font with not Bolded Fonts? I have about 70-100 slides per lecture to print and my prof bolds EVERY WORD. makes me cringe for my ink to just leave it like that
Great question. You can't do that with the Replace Fonts command, but what you can do instead is try this:
1. Holding the Shift Key, select all of your slides in the thumbnail view on the left.
2. Right-Click the selected slides in the thumbnail view
3. Click Reset
My guess is your professor manually bolded the text (he didn't do that as part of this PowerPoint template) so all of the bold text will unbold itself. That's my guess.
If you also ever select an object (or hit Ctrl + A to select everything) and hit Ctrl + Spacebar, that will also revert all of the formatting back to the template, which most likely won't have the bold text.

What about default fonts for tables? I can't seem to set this one...
Great question Todd! Tables are a pain when it comes to PowerPoint as they do not adhere to your default font themes AND you are not allowed to set a default font for them. They will always start with Calibri. The only default setting you can set for your tables is which color combination they start with. To do that, insert a table, go to the Table Design tab, open the Table Styles drop down, right-click the table formatting you always want to start with and select Set As Default. That will set that table style formatting as the default for the current presentation you are in (without affecting your other PowerPoint presentations).

That did not work i changed every thing like you said. Double clicked on text box and got old font and old tiny text size. What am i doing wrong?
When you say you double clicked on text box, were you inserting a new text box or was the font not replaced in an existing text box. Replacing fonts will not have an affect on the default formatting of new text boxes or shapes. If you want to change the formatting of new text boxes, you need to (1) insert a text box (2) format it the way you want all new text boxes to show up (3) right-click the formatted text box and (4) Select set as default text box
So how you change fonts within the new slide that is already done ?

It sounds like you are referring to changing the fonts on the Slide Master so that the default prompt text that pops up is changed (which is slightly different than just using the Replace All Fonts commands). If that is what you mean, you will want to navigate to the slide master and adjust your fonts there. Thank you for taking the time to help me on this . Well I have a presentation but I used the new slide column only so even then the only place I could make any changes are within the slide master even if am a different column ?
But here is the funny part today I created another one and somehow I was able to edit text and also font within so am not sure what I did wrong but definitely curious so I don’t make another mistake like that ! And am doing my presentation within the new slide column .

Yep...that is a whole other discussion, which was not the point of this video. If you are building presentations that will be used across the different versions of PowerPoint (Mac and PC) I recommend using one of the 5 fonts that works across all platforms. Otherwise you will end up with substitution errors and will be back to replacing fonts like I showed you how to do in this video. Really? How many slides did you have in your deck... I find it hard to believe that you could swap out all the fonts on a 100 slides faster than that command.
