Power Automate Collect Feedback Workflow for SharePoint

    Do you need to modernize all your SharePoint Designer Workflows? In this video, I'll show how you can recreate the out of the box SharePoint Collect Feedback Workflow in Power Automate. I'll show a demo of how it works and walk through all the steps needed to build it.

    Nice detailed explanation. My first attempt was similar to this, but the 30-day time limit per flow run presented problems (some "feedback processes" last 6-9 months in our organization). We moved to a model where the initial flow just creates the feedback list items as "placeholders". As they are created, another flow runs to send them the Approval. Another runs daily to check for any approvals that have timed out and generates new ones. Sounds really complicated, but it works. Also, the people overseeing the process can check at any point in time to see who has/hasn't responded and "poke" them as needed.

      Thanks Chad! That is a great callout on long-running feedback processes. If you anticipate the process will go over that 30 day limit then you do have to add in some additional logic to handle that. The approach you took to handle that is great!

      @@AprilDunnam I have a question. I have followed the steps in your video and successfully setup the workflow and it's working. How do you add a due date to the workflow and then prompt the user by email that when the date has passed that the workflow is overdue, etc. (like with the 2010 collect feedback workflow). Like a reminder email.
      Also, is there a way to add an additional field to the document library to show the status of the workflow, i.e. in progress, completed, etc.

    Thank you very much for this video. It would be cool to have as well a video for the following case:
    Instant Feedback Flow (personal feedback to improve yourself)
    1. Select users from who you would like to receive feedback
    2. Users are informed (link to form)
    3. Users give feedback using the form
    4. Feedback requester is informed and gets feedback
    Important: Answers should of course only be visible for the feedback requestor but the flow should be useable for everyone.

    Hi April. Great video! I've been looking for this type of solution for some time.
    Question: Is there a way to collect the feedback without waiting for everyone to approve? We may have situations where someone is out on leave or something and they won't submit feedback on a request during that time. I know I can cancel the approval request but then it doesn't seem to record any responses that have been submitted. So is there a way to have it wait for a response for a specific time period instead of waiting for all responses?

    Nice video , Really helpful . Tried it and worked well
    Only issue which I faced is on format of the email generated after run flow . The email received in my case does not have a text box for entering feedback and has several links . Not sure whats the issue or did I miss anything

    Awesome video! Question: From the initial trigger "For a selected file", you added an input for email. Can you dynamically grab a list of emails from a column in your SharePoint library instead of manual entry?

      Yes you can! I do this exact thing. I actually have an input on the trigger to select a group from a drop down (it's in the text options) and then have a switch control to build the email address string in a string variable based on settings on my master staff list. So if someone is a manager and the person requesting feedback wants only managers to get the approval request, I get items from my master staff list in SP and then grab all the email addresses of who matches the group selected and append my string variable with the email addresses and a semicolon. Then I just use that string variable as the Assigned To property in the approval control.

    Hi April, is there a way to implement a sharepoint workflow that routes a questionnaire to all reviewers participating in a review stage, waits for all reviewers to respond, calculates a score based on responses and updates the list object moving through the workflow? Thank you!

    Hi April, Need a little help, I am doing a Power automate Flow that goes out to a couple of people in sequence, for review. Along the way, I need to get inputs like date and their decision as to Extend or otherwise, for certain people in the chain. Please help April.

    Hi April, I created the "Collect Feedback" Flow following your video. It works beautifully. However, in my situation, when a user clicks on the Feedback button in the email, a new window opens whereas in your video users can enter their feedback while still in the email window. How can I get my Flow to act like yours? It is much more user friendly. thanks

    So when doing the second step, it’s only allowing the list from the library rather than the Sp lists. Is there another step I am supposed to do to create this?

    Start seeing this on FlowL The power flow's logic app flow template was invalid. The 'type' property of template trigger 'manual' at line '1' and column '4580' has the value 'Manual' which is deprecated in schema version '2016-04-01-preview' and onwards.

    I need to create a flow where I have to send remainder mail based on diff.between due date and current date...I am trying everything still not cleared

    I really had troubles following the video. Steps that could be shown/explained in 2-3 min should not take 20 min to do so. The screen was difficult to see. I kind of dont need to see her face, but the screen (where to click/not to click). Maybe its just me, but this did not work out. Will look for another video. Thumbs down...sorry and thank you for the effort.

      I honestly don't understand why people take the time to write negative comments on people's videos. I watch a ton of content on RUclips and never once have I felt compelled to leave a rude or negative comment on one of their videos. If I don't get value from the video or don't like it, I simply move on and find something else. Maybe it's because I understand the amount of work that goes into creating these videos for no to little profit and most that do tech videos do so in their space time out of passion for helping the community.
