SOS. With my business I go to certain locations on certain days (i.e. I go to building A and C on Mondays and Tuesdays and building B and D on Wednesdays and Thursdays) so I need a schedule software that only allows clients to schedule appointments for the day that I'm at their building. Is there a software that gives clients the ability to pick their building location and then from their pick an appointment out of the available days?

Hello, I have a quick question I set my business hours but when clients go to book it’s stops my appts at 3pm and I work until 630… how can I fix it?
There must be another setting that is limiting the schedule. It could be settings for specific services, availability in a linked calendar, or something else.

Yes, you will pay for credit card processing as well as the monthly fee.
I have been searching for someone to explain if you are able to check a client out using square appointments. Or do I have to go to my register and create te transaction?

+Sindii Yadira I think the video shows pretty clearly that clients can pay within the Square Appointments interface. I'm not sure how this would integrate with your Square Register POS. You'd have to ask Square that question.

We have two coaches and I am wondering if it would be able to: Let the client click on the appointment link or drop in. Then be given the choice of which coach they work with and then the appointment types. We want them to be able to pick who they work with. I hope that makes sense.
Kari Hankins Good question. I was playing around with a 1 staff account in the review, but I believe if you have 2 staff active, the booking widget would have to give the option of selecting staff at some point before choosing the date and time.
Also, the advanced widgets I mentioned would allow you to manually do this. You could have a page on your site for each coach and then put an advanced widget dedicated to that coach on their specific page. Then on your appointments page, visitors would first click a link you create to take them to the appropriate page for Coach 1, Coach 2, etc.

Hi Ryan when you have staff on the online booking and some one books with them will the money go in there account or the busniss because we are all indepented contractors? and one more question is it easy for clients to cancel and reschedule or just move there appt. hour up or down, website i use now you can't and my clients are little frustrated by that. +Theresa Anderson I believe $$ all goes in one Square account even if you have multiple staff. I think you can cancel and move appointments pretty easily. Although it may be an admin that needs to do it and not the customer. I didn't try that when I was demoing the software. Sorry.
I have a client that cancel her appointment and have taken her credit card details of square so I could not charge her cancellation fee how do I avoid this from happening

Thank you for this informative video. I actually use Booker for my scheduling at my studio, but Square as my processing. I do have Gift Cards, managed through Square, that I need to keep track of. What I definitely need to keep track of are my Gift Certificates. Does this software also have "online" gift certificates"? I have the "old school" gift certificates printed and sold on my site through a button configuration and processed through Square. But having a customer able to order a gift certificates online and sending via email to a friend is really perfect. Thanks! Anna M. TEMPLEWORK LA
This video is about Square Appointments specifically. You said you already have gift cards through Square. I would imagine they do electronic gift certificates as well using codes but I have not used them or seen them myself. You should contact Square about this.
Bummer. I want to use Square AND Paypal. but this video says Square only allows Square payments.
Yeah, Square is a payment processor so it makes sense that they would not allow Paypal

You can definitely customize the time. If you want a different price, it may need to be a different service for each stylist. Not sure if you can set prices by stylist for the same service but I think not.

Yes, the names of customers will not show on the public calendar. I believe that's shown in my video.
Thanks for the video. I saw you covered how to invite clients, but is there a way to import a client list? I've used an online scheduling system for years and have over 1200 clients in my directory. The system I'm currently using has really gone downhill and I'm looking to change .. but I really don't want to move all of that client info over manually. I know I can download/export info from the one I'm using now.
Also, does the $30 per month for one person subscription include email marketing? I like to send out emails once in a while to fill last minute spots or let clients know when I'll be out of town. (I apologize if you covered either of these and I somehow missed it.)

I don't think I covered these these on the video. And I don't remember seeing an import option in Square Appointments. You may need to ask their sales team about that. I also don't think they have a built in email marketing platform except for basic notifications about appointments. My video is a bit dated so there may be some newer features that have been added since I looked at it.
Can I sync Square appointments to a website I already currently have? I have a go daddy website and want to sync it to the book now button
Yes, I cover that in the video. Watch it all the way through! You can embed the booking widget on your site or link to the Square-hosted booking site.

Yes, I believe you can use the appointment calendar and not charge anything. You can then take payment later with the square app or some other way. There may be a way to authorize a card and then charge it later or take a down payment as deposit and then charge the balance later.
How can I customize times with different services on different days.
You can first of all set your main availability on the calendar. I believe you can then customize the times for individual services.
If I have a client that goes on-line to make an appointment and she wants to pay cash, will she be able to make the appointment without a credit card?
You would have to change the settings to allow appointments without payment.
Thanks for the informative video... I use Vagaro as a booking website, but like Square for my cc transactions. Do you know if regarding the online booking function; are they charged the full amount up front, or can you dictate the portion of deposit according to the service provided? For instance: I charge $200 for a full set of eye lash extensions, but only need $50 deposit to hold the appointment. Would Square want to charge the full $200 at the time of booking? +Kelly Strong I don't think they offer partial payments. I believe it will only charge the full amount at time of booking. I'd consider just taking the full payment up front. Or you can list the deposit as the price and then swipe a credit card with Square to take the remaining balance at the time of the service.

You can see this on my video around 5:30. They select from time availabilities. I don't believe it's even an option to show them other people's names.

No Sweat The payment method is pretty seamless, but I'm not sure this would work well for bus tours or airport transfers. It's a continuous schedule and 1 per slot as far as I can tell. If I was taking payments for bus tickets, I'd probably just list the times and have a payment button.

Yes, you can change the length of appointments and add gaps in between so you should be able the achieve the schedule you're wanting.
Thank you. This is very informative. I do have a question for you. I'm looking to schedule appointments and classes. Right now, I use Schedulicity but I wanted to combine my POS and scheduling service. I saw that Square has appointment services for the fitness industry so I would assume that they must be able to have clients book classes with multiple openings. Would you know?
That's a good question. I believe Square Appointments cannot do classes. it's only for 1 person per timeslot. there are other options like MindBody Online or Bookeo. Both of them can handle classes.
With this can you have in book in quanty? E.g. booking spa day package for x number of people in a group at once? Thanks! Great video.

Will this scheduling program integrate with Quickbooks desktop? I am wondering if an invoice number is generated in QB when an appointment is set up in the calendar?
I have not seen any Quickbooks integration. Square has their own accounting software so I doubt they make it very friendly to integrate with Quickbooks

With this appointment calendar can you schedule multiple services during the same checkout? Like a massage and facial? or would you have to checkout multiple times?
+Elizabeth Bryan (HouseOfMassageGreenDaySpa) Good question. If you look at my video at the 5:26 mark, you see it says "Select One or More Services". So it looks like it is possible even though I never tried it. I'm not sure how it would handle multiple services. You would probably need to select more than one time slot to schedule the appointment or maybe the system will automatically create a longer block of time to cover all services. Then you can purchase them all in one checkout.
I have a question. I hope someone can help me out. Can client book two or three services at the same time? I test book myself and I can only book one service at the time. There’s no option to add service. Can anyone help me out? Thank u!
Good question. I believe it does have to be one at a time. It's tricky with time slots because if they book 2 or 3 services, I'm not sure how the system would handle the additional time in the calendar. One idea is to do separate services that are packages of popular services that people often combine. You may have to check with Square on this.

You're best bet of finding it is logging into your account and looking for help or support. They may only offer live chat or email support.
I'm trying to use this feature to schedule birthday party rooms in my business. I would think to set up each room as an 'employee' with the rental fees and catering as 'services' but not sure it would work best that way. Anyone have any suggestions or used Square appointments in this way? Thanks!
Yes, I do think it may work to setup the rooms as different staff. Not sure if you can get everything to display the way you want though. Maybe someone else can comment, although it's probably people deciding whether they should use Square Appointments who are watching this video. There may be a forum or support area for Square users.
How would it work for a rental salon? Say I have four stylists who want to process their payments through their personal square account but we want one main booking site for all of us?

I like the square appointment but what I'm not interested in using is the clients online booking. Is there a way to disable that so my clients can not see my books or book for themselves.
+Patricia Barna That's really what Square Appointments is designed for, but you can just enter appointments manually and not share the calendar links with clients on your website or elsewhere.
With multiple stylist- cking out clients -can payments go to separate accounts for each stylists/ also separate $$ to the individuals account for service while keeping retail sold to the same client into the salon account not the stylist account???
That sounds pretty complex. Unfortunately, I don't think either of those is possible with Square appointments. I think all the revenue goes into one Square account. You may want to contact Square with these questions though.

I don't believe Square has the ability to do classes with a capacity greater than 1 person. You may want to look at a different option. I will be posting a review of 10to8.com, another booking platform that offers group booking and 1to1 bookings. I don't believe I've seen any system that allows you to sell packages of lessons. This could probably be done with a credit system or gift certificate system. I believe Bookeo has a gift certificate system that might work for this.

Hi Diane, You would want to use the booking website that Square provides. It's explained on my video and you can find the URL in your account. You would send people to that URL to make a booking. For example. copy the URL in and email.

That's a good question but I don't believe they have categories to organize the services. If they do, there would just be a category selection when you create or edit a service. I don't recall seeing this but I believe you can reorder them so they are in a logical order.
How much do they take off of payments for processing?
It's explained on the Square Appointments main page. They charge 2.5% to 2.75% depending which plan you have.
Thank you for making this! I have two questions:
-Does square keep peoples' info/card info on file so they don't have to enter it in every time?
-Right now I use square for in person card swipes, but my online scheduler is Full Slate and cc processor is Stripe. Stripe doesn't allow customers to go in and change their card info, so whenever that needs to happen, I have to log in in person and it's super clunky. Evidently, there is a way to embed something on my website for that, but you need to be a programmer to do it. So...are customers creating an account that they can log into and edit?

Is this a good solution for booking rooms in time increments - like a tanning salon, or would you suggest Mind Body/Booker?
Square Appointments works with staff members. So people would be booking a staff member for a specific time slot. You could call the different Staff members Room #1, Room #2, etc.

Hi - yes it will. The Square Appointments page says "You can adjust schedules, give employees different levels of access, and manage every location from one account." You'd like need a paid account and not a free account to do this since I believe this is considered "Staff Management" and you only get 1 staff member in a free account.
Ryan I have a massage therapy business and I want to list my services. I do the same type of massage but for different increments of time, i.e. Deep Tissue Massage and I do it for 60 mins, 75 mins and 90 mins. Instead of having to list each massage and it's time in the title like Deep Tissue Massage - 60 or Deep Tissue Massage -75, etc. is there a way to have one selection, say Deep Tissue Massage and when you click it, it gives you the option to select the duration?
As you see in my video, the services each have a set duration and price, so I think you'd need a different service for each time increment of a service. That is - unless they added this in a newer version of their software. You can do a free trial to try it out.

I am concerned about overbooking. I have some staff that can only take one appointment at a time (massage therapists) where as other staff can take multiple appointments at a time. Also can I put a cap on the number of clients a staff member can see in a day?
Square is designed for one appointment at a time. I don't believe it can handle multiple appointments in a time slot. That's considered a "class" on many booking platforms. I supposed you could have 2 staff calenders (Sally 1, Sally 2) for each slot that is available. I'm not aware of a cap per day but this would be accomplished by the number of time slots in a day based on your settings.

Hey thanks for the video. Is there a way to incorporate user registration required in order to book appointments with this which you can then push register user info into mailchimp, use for follow up emails, etc. I’ve been looking into Zapier as well.
i guess you could hide the “book appointment page” unless they are logged in or a redirect to register. Issue then though is you don’t want the user to have to retype all their info into square book appointment section. Maybe there’s a way to connect woocommerce, pull saved user data that links wp registration/woocommerce - into - square appointments??
Hey - I don't know of any way to incorporate registration into Square Appointments. It probably would need to be a separate process. They may allow people to save info for future registrations and they may incorporate the ability to email all users. I haven't looked at it in a while. Your idea of hiding the registration except to logged in users on your site is an idea to force people to register first. But you're right that people will probably need to enter their info again unless you custom-code something.

Good question, you'll have to check with Square on that. The feature list on the page for Square Appointments does list Prepayments and Recurring Payments as inclusions.

Good question. I don't remember seeing that option. However, you could set the price at $100 for a service but make sure to state that this is just a deposit and then take the balance payment manually at the time of service. It would be a nice option if they had a deposit then an automatic payment of balance at the time of booking.

Good question - I'm not sure if any of the Square hardware (POS systems) interface with Square Appointments in any way.

I don't recall how to do that off hand but I believe it's covered in my video to some extent. Around 1:25 I talk about syncing with Google Calendar which is one way to show availability. I don't go into detail on how to manage Staff members but I believe that's where you would set availability. Click every link and you'll find it! If not, contact support.

I am trying to utilize square appointments into my website. My question is, if you use square appointments do clients have to prepay to set an appoint/enter their credit card information? Is there a way that they don't have to, and after the service is completed they can pay via cash or whatever? I value the scheduling system, but I don't want to require prepayment or card information just to set an appointment. Is this possible?
My second question is if you have multiple locations, can you see different calendar layouts for a given location? Or can they be color coded to distinguish different sites for appointments?
Those are good questions. I do believe you can let people book without paying ahead of time. Payments is one of the things Square Appointments does nicely so you may want to look at other options if you don't need payments. But I do believe it can do it without payments.
Square Appointments allows for different staff members but I don't believe it handles locations. You might be able to use the "staff" functionality for distinguishing between locations. I do believe there is color-coding. To see how it works and IF it will work for you, you might want to do the free trial. That's the best way to see if it will work. I'm reviewing another booking option called 10to8 soon that I believe does everything you need very nicely.

Great - thanks for the update. I think the Locations feature was added since I did my review. I imagine the color coding (if they have it) would be in the settings for each staff member or the calendar. It's possible they don't offer it.
What if you don’t want online booking and have no extra staff you’re the only one using
You can still use the calendar even if you don't want to show the calendar for online booking on your site. There may be other options in that case for you that are not as expensive. Square Appointments is really for allowing online bookings and taking payments.
Is there any way to alter appearance of services such as font size? All the booking apps haave huge fonts
Many do now allow style changes but some do. I don't believe Square Appointments allows for many style changes.
I am a personal trainer. I sell sessions i packages. Is there a way to assign a package to a client and will this keep track of how many sessions purchases, remaining, etc
+Danny Blanco I don't think Square is what you need in this case. You need some kind of user account where they purchase sessions. The only way I could see it working is if you sold the sessions somewhere else and Square allowed a coupon code to take 100% off the price. Then you could give someone 10 coupons when they buy 10 sessions. I've not seen any other services that do this for you. Have you checked out MindBody? They might have something like this.
I am unable to find how to update the master appointment schedule. Advice?
Not sure. You should probably check with Square Appointments support or the support forum/documents

You'll need to contact Square support or help documents for that one. I don't remember seeing anything for that when I did my review.
how come my staff name doesn't show on my booking appointment page ?
Hard to say. There must be something in your settings that needs to be changed. Contact Square support if you're having issues with details like this.
DO you know if the scheduling button can be added to an Etsy shop?
I doubt it. I haven't looked at Etsy in a while but you'd need HTML code access to add a scheduling button. If Etsy gives you the ability to add a link, you could put that in somewhere and link to your Square appointment page.

These are pretty basic changes you should be able to make by clicking around and modifying settings.

I don't know of anything called Square Accounting but there different apps like Payroll, Invoices, etc. are not included.

Can you book multiple appointments on one time slot for small group training?
Don't think so. You may need something for class booking which allows you to book multiple people per time slot and show how many are available. I don't think Square Appointments allowed this at the time I did this video.

No definite answer but I don't believe this is allowed with Square Appointments. You'll need a booking calendar for classes. I've seen them before, for example with Bookeo.com
can you schedule every other week for a worker?
I believe you can set calendars for availability of staff but I'm not sure you can automate it to set every other week. That's not a typical option in a calendar (every other week starting on Monday for example). You might have to just block out the calendar a few months out manually.

There are some free WordPress plugins that can be used for booking. Check the plugin directory. They usually are pretty limited and have upgraded plans.
Is there any way to show your clients as checked in or no show?
There is a no-show fee feature that integrates with the Square POS system so there's definitely an ability to mark check-ins and no-shows. I'm not sure how it works without the POS system. You'd have to ask Square or click around an account to find out. I may do an update video to answer some comment questions in the comments here since there are many good ones!

Hi John, I'm not sure if you can save notes. There is an export option to export your appointment history but I'm not sure if that will include notes.

Yes, Square Appointments is a separate service you pay for in order to allow people to book your services online. The booking widget can be embedded on your website or you can have people visit a booking site hosted by Square Appointments.
