Importance of the Recoverable Items Folder in Exchange Online | Microsoft365

This tutorial video aims to provide knowledge about the Recoverable Items Folder structure in the Exchange online environment. I have described about the benefits and how it prevents emails from getting deleted permanently. I have also covered the usage of MFCMapi tool which can be useful in troubleshooting scenarios.

A question for you sir. We have a few staff members where the discovery hold is 99GB and they are part of the 7 years Microsoft retention period policy. Is there a way we can delete emails that is older than 7 years if emails were already hard deleted by staff members and it appeared in the discovery hold?

Nice video. Can we bypass Recoverable item folder. If mail will be deleted from deleted Item folder, can it directly move to Purge folder? Really appreciate your help !

If a user deletes an email from the Deleted Items folder while holding the Shift key, only then email will skip the "Recover Deleted Items" folder in Outlook (technically Deletions folder) and will get placed in the Purges folder, given there is either "litigation hold" or "single item recovery" enabled on the mailbox. Single item recovery is by default enabled for all the Exchange Online mailboxes.

Nice information and What happens if Purges folder is full with 100 GB. We have a shared mailbox with Purges folder with 100 Gb of data and will the data in Purges folder will be deleted after 14days?

If there is no litigation hold/(org level) retention policy applied to preserve the data of Recoverable Items, data in the Purges folder will delete after 14 days. However, if you have Hold/Retention policy applies then you will need to enable Online Archiving followed by changing the mailbox retention policy so it can move items in the recoverable items to the online archive mailbox
