    I absolutely love time blocking in my everyday life. My fiance and I time block our breakfasts together (he works nights and I work days so it just helps us to be on the same page and still get to see each other) and the upcoming games he wants to watch (so I know not to plan anything that includes him or to bring snacks in and yell at the screen with him). I have ADHD so I like to add in meals and daily tasks that I might forget if I get too focused on something (if I don't have lunch on a repeating basis, I will not stop working to eat). I use it for everything basically.

    For the emoji insertion (windows users) -- one can use the shortcut -- "window" key plus the "dot" key in your keyboard.

    I read somewhere to have big blocks of the same task (for example 3 or 4 per day) , rather than thousands of one hour tasks (it can look like a rainbow haha) . The second one puts you in a constant switching mode between activities. Having big blocks can help u achieve mores subactivities of the same big task.
    Another advice i can give is for example, if you have to make a big report in two weeks, schedule 1 or 2 hours 3 times a week so you can keep on doing it in short periods of time and not spending 12 hours doing the report before the deadline. HOPE THIS CAN HELP.

    Thank you for this! I put it to practice at the beginning of the day today and had had a really energized, organized, and productive day. Allowed me to oscillate between being 100% on and short recovery sessions of being 100% off. Let’s do it again tomorrow!

    What's wonderful about your videos, is that you get to the point straight away. I just started another video from someone else and they start at about 7 minutes into the video before telling me anything noteworthy. [ didn't bother to watch the next 20 minutes either].     Thanks for a great idea, Scott. It's one of those, "why didn't I think of doing this before" kind of things. I have been wanting to make some distinctions like this in my calendar but didn't even think of making separate calendars for myself.

    Thank you so much for these videos. Wish I'd discovered you earlier. I have an additional Study calendar in which I put study topics in half hour segments and then use it for the Pomodoro Technique, just adding a 25 minute timer (desktop, cell phone or Alexa). I'm retired so I need some self-imposed structure to my days.

    Just one comment. As nobody else can see the private calendars (if you are using Google at work) it's highly likely that colleagues will book a meeting that clashes with say for example time blocked out to write a report. Why not just block out the time in the main calendar and change the colour of the calendar slot. This is the only way to make sure that the slot is not overbooked

    I've found a good CRM to be invaluable for employee management. That said, I always encourage my employees to walk through the door in the morning and hit those immediate, essential tasks that need to be done every day for one hour. Then, with a dent made on the routine stuff, step away and take a 10-minute break. They review their tasks for the week, the day, and block out their remaining time around what they want to accomplish most. It's effective!

    Great tips! Been doing this for a while now. One question: is there a simple way to share your calendars with friends/collegues so that they see that I'm busy/available - without sharing all the specific calendars individually?

      yes, the easiest way is to set up auto-reply to all of your contacts that states, "IM BUSY, DON'T CALL ME, ILL CALL YOU!"
      This seems to work well for me, but now I have O friends 😕

    I think that's definitely faster than changing the colour of each event (which is what I currently do), but if your sharing the calendar with others, especially if they are using it for scheduling, you would have to share multiple calendars or have to duplicate events on multiple calendars to show an accurate availability.
    Not sure if there's another option for that?

      I think I have a similar question. If I’m trying to block out time to do deep, uninterrupted work, I need others who are trying to schedule an appointment with me to know that particular time is unavailable. What’s the best practice to do that without having to share multiple calendars with someone?

    Hi! This video is amazing! Thanks! I'm struggling a bit because when I create an event on my calendar and go to choose what calendar (color) it belongs to, I am not given the option of MY created calendars. It just shows my generic named one and when I click on it, it just gives me options to change the color but not the calendar the activity belongs to! Do you know why? I have changed the basic original color offerings for my calendars (6 of them) to custom colors that are easier on the eyes. What can I do to get the options you get on that window that pops up when you "pencil in" an event or appointment?

    What are the advantages of using different calendars instead of just using different colors in a single calendar?

      The main advantage is that you can hide other calendars from view when desired. You can also have different notification defaults for different calendars.

      I find nice the fact that you can have different calendars for different areas of your life like the video. But i prefer one calendar with different colors. Being able to HIDE my tasks ,gives me more anxiety than peace (i feel like im missing out something). xD I WANNA SEE THEM ALL ALWAYS.

      In Settings > View Options you can change this to Monday.

    Another way to add emojis is to hit windows+. After creating a new event. Short cut is slightly different for macs

    For years I have simply changed the colors of different types of activities. This works better because you toggle the different calendars to spotlight categories. What effect would this have on free/busy views that others have of my calendar?

    When I send my appointment calendar to clients to set up appt times for calls, are my other activities on my personal /work calendars blocking out those times automatically
    Are you able to update the videos as some of these are several years old and google changes things around.So following your lessons on current Google calendar is awkward sometimes.

    Is there a way to manage 'blocks' that you didn't organize? For example, I would like to glance at my calendar and see all meetings as one color, regardless of who's hosting the meeting.

      Yes, you can keep all the blocks the same color or change the ones that you create.

    QUESTION: I love the idea of an exercise calendar but how do you use the exercise calendar if someone invites you to an event? Those events always go directly to my default calendar and I cannot change it to go to my exercise calendar... Then I notice my only option is to copy to my fitness calendar but then I get a duplicate on my cal. help please!
    Secondary question: How do you manage Google calendar with iphone events? I often get duplicates so should I remove the iphone calendar all together?

    How do you get your google calendar to show the actual blocks of time? Mine only has a colored dot next to the event with no blocks showing. Is there a setting for this?

What impact will it make, its not even a to-do, so that i can look an say that i have completed it.       The main purpose is that it's hard to ignore when it's built right into your schedule. Often, I will delete the event once complete to signify that it's done. And thank you for subscribing and being a part of this special milestone!

      I have seen where people change their completed tasks to a different color (ie calendar) once it is complete. For example, after his run, he could edit his calendar from “exercise” to a “completed” calendar. It could be signified by a different colored “completed” calendar. I hope this makes sense.
