For our team if we use delegation it sounds like you they would not get access to DRIVE. Do you have any work arounds or receomndations on how we give them DRIVE access as we have several sheets or documents we regularly attach to emails in the sales account. I'm at a loss here, thank you!!
Hi there, Yes, I think delegated access might work for you in that case. If you want access to shared drives for your team, you just need a Google Workspace plan that is Business Standard or above. Theres no option for an admin to just directly add delegates to someones inbox to another employee? Just like we do in 365. It appears i have to be logged in as the user > and provide delegate to another user. Thanks. Liked and subd also! ❤️
@@Damsoncloud sorry. You know how in 365, we admins just have to login to 365 tenant, go to the user’s mailbox > click on delegation > then under full access just add another user say a supervisor. The mailbox will then auto map on the supervisor’s outlook. Theres no option like that in google admin console?
@@MsBernadettexSorry Phoebe - yeah that issue is the #1 thing that we are still waiting for Google to address. It is not possible unfortunately. We use tools like Cloudmanager, GAT, Patronum etc to manage this issue and unfortunately, it does need to be done either through a 3rd party tool, or via the API. Sorry, I hope that helps!
We've been waiting for this too, we ended up just having a forwarder set up for every account going to our admin account and then used labels to put the emails into folders. I'd annoying as we only need access to users emails when they are on holiday etc.
Requirements for this feature are a Google Workspace account (no Gmail.com), the person you are delegating your account too needs to be within your domain/company. Admins also need to allow this feature in the admin panel. You have to logon as Administrator and make sure that the feature allowing individuals to delegate their accounts is checked. I think, not sure, the default is that it is not checked.

When you delegate access can you tell who sent them email from an audit trail perspective? Meaning can I determine what person on my team responded to a lead that comes into a mailbox? If so how?

Hi Jake, This is not possible. Delegated accounts are only available on the web interface. You could use a web browser on your phone and request the desktop site but this would not be an ideal experience. If you really needed access to an account on your mobile you would need to setup something else such as having direct access to the account via the username and password or some sort of email forwarding to your account. - Fintan

For example I can not delegate my account to someone in another company. Only to someone in my business or organisation. Finally this feature is not available on a personal @gmail.com account. - Fintan
Hi Lorli, You should not be getting any pings from 2FA if you have set up delegated access under the method shown here - if you are then it is probably because: Your assistant is just logging into your account using your details, not actually using delegated access. Whoever is accessing the mailbox as delegate does not get prompted with a 2FA check.
You can remove access to your email in your settings. Under "accounts and import" you will see "Grant access to your account:" this will show a list of accounts who you have delegated access to. You can simply remove them from here by clicking the delete button next to the person's email address. - Fintan
Thank you for the guide. Isn't this kind of useless without the associated contacts that go with that account? We set up a new "admin" account and want to share it. It is no good to us if the delegated account doesn't have access to the account's Contacts - or at least to our personal account's Contacts. Any suggestions? thank you.
Hey Russell, Thanks for the comment. You can delegate email, contacts and calendar in Google Workspace. I would suggest going into the contacts for the admin account and delegating the contacts as well. In the top right hand corner of the contacts there is a cog, click on this and you will see Delegate Contacts. Hope this helps! - Fintan

He want me to watch those lectures but he do not want to share his email with me. Is there any solution by which I can access his calendar by his gmail and not his mails so that he can be safe too? If you are using delegated access, the email will always be sent as the person who's account has been delegated to you. Hiding email addresses when sending emails is a complicated process.

Hi Mitchelle, To remove a delegate: On your computer, open Gmail. You can't set up delegates from the Gmail app. In the top right, click Settings Settings and then See all settings. Click the Accounts and Import tab. In the "Grant access to your account" section, click Delete next to the account you want to remove.

what about authentication? My Assistant can't get in because 2FA pings my phone and I'm not available!!

Yes it will grant access to your entire inbox. There is no way to delegate only some emails to another user.
