Track Employee Hours + Calculate PTO in Excel - Tutorial

  • In this Excel tutorial, we look at how to create a time tracking sheet for employee hours worked and to track vacation time, or PTO, for an hourly employee.
    We’ll go over how you can calculate vacation time earned per hour worked by your employee and how you can track their PTO as they continue to work more hours and use vacation time.

    In the example in this tutorial, the employee's vacation benefit is 80 hours or 2 weeks per year. They can earn more or less than that based on the number of hours worked.
    Please keep in mind that each business is different and there are many ways that you can award vacation time to your employees. This tutorial is meant to help you understand how you can make an employee vacation tracker, but you’ll still need to adapt it to your situation.
    While I absolutely love using Excel, it can take a bit of work and requires attention to detail. You’ll also need to collect timesheets from your employees and keep up with PTO requests and revisions.

    What if you work for a company that gives you 20 days PTO off the bat and doesn't increase it no matter how long you work there BUT you can carry over 20 days into the next year?

    This sounds and please 🙏🥺 stop me R say something if im wrong but unless i was tracking it this whole time im entitled to nothing.
    I have paperwork showing everything but im so confused.

    If the policy states there's a cap to pto hours, how would that work into a formula?

      Hi, Hillary. Do you mean a cap to PTO hours earned or used?
      In this example, we did 2 weeks PTO by using 80 hours in the calculation for "PTO
      earned per hour worked." The formula for that was the PTO allotment for the year / (52 weeks * 40 hours). We used 52 weeks b/c some employees might not take the 2 weeks and would still earn PTO time. You could adjust that by using 50 weeks instead of 52, if that's your company policy.
      There's actually many ways of doing this, so it can get a little mind boggling. I hope this answer helped. Thanks!
