Sorry to hear they are not working. Assuming you have your hyperlinks set up properly (Ctrl+K for hyperlink) they should properly convert. As yours are not, I would recommend (1) double checking your hyperlinks are properly set (you have to use Ctrl+K or equivalent to insert the hyperlink (2) close out of PowerPoint (so no presentations are open), then open it again and try the F12 PDF trick. If you figure out what is not working, please reply to this comment so it can help others in the future if they have a similar issue. Thanks!
Great question. As you are moving from a PowerPoint to PDF, any embedded files will remain only in the PowerPoint presentation, they will not transfer to the PDF. An embedded file is usually feeding a specific graphic, chart, or table, so only that graphic, chart, or table will display in the PDF. Hope that helps.
Hello can you please teach how to insert charts natively in powerpoint and edititing the data in excel while doint the chart inside the slides. Thank you. I love your videos.
Thank you very much! I am saving a power point that has notes to pdf - this assisted me in doing so. I used the "print" to "pdf" format and saved to my folder.
Thanks for the comment! The Print to PDF is a great feature to have (I use it all the time myself). If you ever want to explore more of the printing notes options in PowerPoint, I wrote an entire blog post about it covering all the different options. You can check it out below. nutsandboltsspeedtraining.com/powerpoint-tutorials/print-powerpoint-with-notes/
For some reason, a presentation that I'm trying to convert to a PDF loses some of its graphics when I do the "Save As" method. But, if I use the Print -> Saved as PDF approach, the graphics remain. The only problem is now I have a white margin around each of my slides. Is there any way to save without those margins? I have Windows 2016.
That's weird that you are losing graphics one way but not the other. It makes me wonder how those specific graphics were added (are they embedded objects from Excel or something like that)? I would double check the graphics as it should not make a different which way you convert to PDF. For the Margin around your slides, you will need to adjust your page size. If you are converting 16x9 slides into 8x11 pieces of paper, the best you can do is not scale to fit paper, which will take some of the white margin away (but not all of it as it is different sized paper).
I'm working on my speed. The skinny of it is: F12 for Save As, change your file type to PDF and click Save. Check out my blog post for details: nutsandboltsspeedtraining.com/powerpoint-tutorials/ppt-to-pdf/
What if I want to save individual slides as a separate pdf but do not want to lose hyperlinks? Do not think it is possible to do this using Save as, Print, Print to pdf.
Yes, that should work. In the Print Dialog box, just input the slide number(s) you want to print as a PDF, choose the Microsoft Print to PDF printer, and you should be good to go.
If you lost a version of your presentation, open last version you have and from the File Tab, click on Info, click on Manage Presentation and see if you have unsaved versions you can recover.
Thanks for the video. It highlighted some slick features such as formatting handouts with notes. One thing that you did not mention is “insert action.” This feature creates the illusion interactivity by inserting buttons into slides according to a decision tree. So, including a “home” button for example will allow the user navigate back to the top of the document with one click.
Does anyone know why my hyperlinks don't work when i have it in pdf? It works perfectly in powerpoint...but as soon as i save it as pdf it doesn't do anything
I can add that to the list, no problem Some quick thoughts for you though. #1: When cropping your photo, make sure you don't over compress your image. That should be the only thing that should affect your image quality after you crop it. You can see our post here for more help: nutsandboltsspeedtraining.com/powerpoint-tutorials/powerpoint-compress-images/ #2: When copying and pasting your charts from Excel, I would recommend using Paste Special and selecting the PNG file type (that should be the highest quality). Or better yet, if you can just save your Excel chart as a default chart template, I would just copy and paste the data into a native PowerPoint chart and apply the template. That way you have the exact same chart in PowerPoint without having to worry about image quality. Hope that helps!
Not from within PowerPoint, no. But you can check out Neil's blog post about a Macro he wrote that might get you there. neilmitchell.blogspot.com/2007/11/powerpoint-pdf-part-2.html
I would recommend using the Free version of PowerPoint online. If you open the file using that free version, you can File - Download As - Download as PDF. Otherwise you'll need to use one of the online services to do the conversion for you (like smallpdf.com/). I hope that helps!
Great question. If you are just saving PPT as a PDF from within Microsoft Office, you cannot add hyperlinks after the fact. To do that, you would need to use a dedicated PDF program like Adobe. Using the techniques I mention here, you will want to double-check that everything is correct before converting to the PDF file format. I hope that helps.
Glad it was helpful! If you ever need to covert the other direction, you can use Word to convert a PDF into editable text. Check out our blog post here for details: nutsandboltsspeedtraining.com/pdf-to-word/
I am new to digital planning and note taking. With your instructions I will be able to use GoodNotes after saving the ppt to pdf r. Thanks this is good to have. Video has been saved to my favs folder! The Microsoft word which provides the writing lines appeals to me.
You can put a hyperlink to jump to a specific slide. Are you trying to create navigational features? If you are just trying to advanced someone to the next page, I would just let them scroll to it. That said, if you want someone to jump from slide #2 to slide #15, you can create a hyperlink to do that. You will just want to set this all up in PowerPoint before you save as a PDF as you cannot edit those hyperlinks after the fact.

That's a great question and unfortunately, not that I am aware of. All of your multimedia is removed from the presentation when you save it as a PDF.
