It depends on the exact situation. Scenario 1: A file is stored on a Shared Drive. In this case if the initial creator's account is deleted, the file stays in place. Scenario 2: A person, let's say Jane, made you owner of a file that is saved on her My Drive. When Jane's account is deleted the file stays in place because you are the new owner and it is consequently stored in your My Drive. Scenario 3: A person, again Jane, made you editor of a file that is saved on her My Drive. When Jane's account is deleted the file is also deleted.

Yes, you can change the sharing permissions on a file at any time. So if you change your mind after having shared a document with someone you can simply take that access away from them.

Dragging a file from "Shared with me" into your My Drive only makes a shortcut to that very file. So the file is still on the Drive of the other person. The file still belongs to that person and you are accessing their file. Instead you should "Make a copy" and store it in your My Drive. Yes, moving an existing file to a shared folder will change the file access too as it inherits the sharing permission from the folder. There is no way of preventing that from happening. Hi I want to upload my resumé on a google form for an internship. But as i did that the other party is not able to access the pdf and its asking for my permission to grant that party to view it. I have already enabled public sharing. I am not able to access any advanced settings. Moreover I have tried to make a google form of my own to upload my resumé. I can access it only from the parent account but when I try accessing it from other accounts it denies access and asks me to get permission even though I have enabled pubkic sharing. Let me try to understand the situtation: - You have your resumé as a PDF file on your Google My Drive. - You have set access level to "Anyone with the link" and have set "Viewer". - You then copied the link to the resumé and sent it to the other party. - They click on the link but can't access the PDF file. Hi Shaida. You share your files with others by giving them "Commenter" access. Then you can define that commenters can't download, copy or print those files. When sharing with Google Drive: 1) People will see your email address if you make them editors. If they are either viewers or commenters they shouldn't see your email address. 2) They will only have access to files or folders to which you grant them access. So if you give them access to a folder with the name "Parent" and that folder contains a folder "Child" they will have access to both folders and everything inside these folders. 3) People won't be able to track your location with any of the Google Drive tools.

Say Acc1 was the owner and Acc2 was the person who i want to share. 2) In all three modes(viewers, commenters and Editors), when anonymous person clicks the link and tries to open any one of the file. But you are right, if you are in the same document as your students at the same time, they could see your email address by hovering over your Google profile image. There is no way you can stop this from happening.

An organization's admin can block the sharing of files outside of your organization. From what you wrote I'm guessing that's exactly what has been done for your organization.
If the admin resets your password and logs in as you, yes. Otherwise they can't access your My Drive. For obvious reasons, they can access anything you have created and stored an a Shared Drive. That's the point of having Shared Drives.

I am sharing a folder with people by adding their email in the share option, and i set them as a Viewer permission. The problem is that they can only see the folder i se in their Shared with me folder in Google drive. and the Option to move the folder to MY Drive folder is grayed out for them. The problem is that all my users use the Google Drive desktop app so that they can see Google Drive in File Explorer. But the shared folder is not visible when using Google My Drive desktop. I do not want to make the permissions as EDITOR, so is their a way to share a folder that is view only , but can be moved to MY Drive folder ?
Depending on the settings your Google Workspace Admin has decided on, you can't move a folder from a Shared Drive to your My Drive. But that won't solve your problem: "Shared with me" is never accessible through the Google Drive for Desktop app. The only solution for that is that they add the folder you have shared with them as a shortcut to a folder in their own Google Drive.
I found a way to connect the shared folder in the Google Drive desktop app with my app. I created a video to explain to my users how to do it. We are on a gsuite, my professor made a shared folder but there was no notification in my gmail. Does that mean it is not shared with me? Now, my classmate sent the link of the folder to me, I tried to drag my activity to the folder but it says “You dont have permission to upload to this folder”. It depends on the level of permission your professor has given to you. If you right click on the folder that was shared with you, you can check the sharing level. And you are only notified of a folder being shared with you if your professor chooses to send you a notification.
Update: I requested for the folder to be shared to my gsuite account. I think when my professor added me, I was only a viewer. Now that he accepted my request, I finally submitted my activities, I hope he wouldn’t give me deduction. Thank you for this video and reply, its very helpful❤️

If you share at folder level the accessing rights are also applied to the files within that folder. If you want to only, let's say, share 8 of the 10 files within a shared folder, you can simply unshare those two files. BUT, this will only work on My Drive. On a Shared Drive that wouldn't be possible.

Yes, that's possible if you have a Google Workspace Education or Business account. You simply have to create a Google Group, add all your students to that group and then give the group access to the file. But if your student's have accounts that aren't part of your Google Workspace account, e.g. their own personal account, your Admin will have to enable the adding of them to the Google Group.

You have two options here: 1. Put the files in folders and then share the folders. 2. While selecting the files press the Shift key on your keyboard. Then simply right click on one of those files and set the sharing permissions. This will set the permissions for all the selected files.

I'm sorry but I can't help with this case as you are using a Google for Education account. This is different to the Google Workspace accounts companies use. I have no experience with Google Classroom and how to deal with assignments. All I could find when searching on Google as that your teacher probably has switched your access off for the assignment file.
Are you referring to the advanced settings to disable downloading, printing and copying? Even with the new Google Drive interface it is accessible through the settings icon.

Any file that is shared in "Restriced" mode means that only people with who's email address you've shared the file will also be able to open it. If *anyone* from the university needs to access the PDF I would suggest you simply switch the sharing mode to "Anyone with the link". Ok?
Ok, so I'm not quite sure if I understood what you actually did. When you upload a file from your computer into a Google Form then it is stored to the Google Drive of the Google Form owner. You don't have to change anything concerning the sharing settings. If, on the other hand, you've sent them a link to that PDF, which is stored on your own Google Drive, you have to change the sharing permissions to "Anyone with the link". See the difference? Now the question is: which of the two options did you choose?

You bought a Google Drive file? In that case the file will always belong to the person who sold it to you. You will always only be granted "Editing" rights to that file. If you want your own personal copy you would have to make a copy of the file you bought it and then share it with someone else.

So you can either share a file with (1) an email address or (2) "share with anyone who has the link". If you choose the first option you will have to add every person manually to the file. If you choose the second option you can send anyone the link to access the file. You can't set the second option as the default permission for new files you create.

If you're doing this with a Google Workspace account (provided by your company or school) it's well possible that the Admin defined that resources can't be shared through "Anyone with the link". In that case you would have to ask your Admin to activate this option.

Or you can share Google Drive files with "Anyone who has the link" so they can read, comment or edit your file. In a Google Form the image is kind of embedded. BUT if you only add a link of that image to the Google Form then yes, you would have to share it with everyone. See the difference?

I can't replicate this problem. As long as you are the owner of the document you will always have access. Even if you restrict the sharing and hit the save button without adding anyone.
Hey, nice video! :) I had a question for anyone who knows the answer. I currently host a bunch of public files under My Drive that allow anyone with the link to download them. Is it possible to create a Shared Drive that has a public link in the same way that you can with My Drive? Or do I need to manually add specific people to the Shared Drive in order for them to get access to the content? Ideally I just want to be the main admin of the Shared Drive (and add contributors of my choosing in future) and allow people to sync my public shared drive using the Drive for Destop app, if that is possible. My Drive isn't really enough for me since you can only have up to 5 editors, but if I switch to a Shared Drive, I'd still need to be able to generate completely public links to the content I host on there. If you want to use Shared Drive, you will need a paid Google Workspace account. It's not available with a free Google account. Once you've set up your Google Workspace account you can share a folder within it with anyone who has the link. That sounds like what you are looking to achieve.
That's interesting. No matter if you're sharing from a free Google account or a paid Google Workspace account, there should always be the gear icon for advanced settings.

Hi Chanel: I recently opened a new Google account (I currently have 4: two academic (.edu) and 2 personal. I recently opened a new one (the fourth one) in order to keep some shared stuff separated from my main one. I have always shared the drive of my main account with no problems (I have 100M space). Upon opening the new account, I unshared a lot a stuff shared on the main one in order to share it on the Drive of the new account. The problem is that whene in my main account I had never had any problems sharing, In the new account, as I tred to share with the same number of people I was sharing with in the main account I get the message "sorry you have exceeded your sharing quota". I bought 100M extra space thinking it could be a space issue but the problem was not fixed: sharing with a group of 26 students, only 7 get the link. The whole reason I opened the new account was to share through a separate account and there's a quota (limit?); now I've had to go back to sharing through my main account, in which apparently there's no quota. Can you explain what this is about (why one account has a quota and the other one doesn't) and how to fix it?
Hi Francisco. This most likely happened because you were sharing lots of files in short sequence. To make spamming people with randoms files more difficult every Google Drive has a quote limit. So I've done some research on this topic. Currently, moving files or folders from one Google Drive to another is not possible with Google Workspace (that's the Google account type used by companies). That's why I can't make a video on this topic. At saperis we create tutorials for Google Workspace accounts which, with some exceptions, also work for consumer versioned Google accounts. @@saperis The way you have mentioned that you can share any folder and copy the files inside it in other Google Drive, your answer is absolutely correct, but if there are only a few files in that folder then it is fine but if that folder If the number of files is high, it becomes very difficult to rename all the files one by one.

Why are you getting this message? Are you trying to install the Google Drive app on your iPhone?

Yes, you can change the sharing permissions on a file at any time. So if you change your mind after having shared a document with someone you can simply take that access away from them.

Dragging a file from "Shared with me" into your My Drive only makes a shortcut to that very file. So the file is still on the Drive of the other person. The file still belongs to that person and you are accessing their file.
Instead you should "Make a copy" and store it in your My Drive. In that case the original sharer of the file has no access rights on your copy.

Hi Chanel, I have a spreadsheet with several sheets. Every sheet have multiple ranges protected (only me allowed to edit). When I "move" the spreadsheet to a group folder, the protected ranges are editable for every one !! That's not what I want :-( Have a solution ? Thank you for your generosity !
Yes, moving an existing file to a shared folder will change the file access too as it inherits the sharing permission from the folder. There is no way of preventing that from happening.

You can make a free Google account. But I think you'll only have up to 15GB of storage. If you need more than that you'll have to make a paid account.

You have to create a group first in Google Groups. Then you simply share your folder with that group.

Hi! Thanks for the video. I want to use the 'share link' option so I can paste the link in a mail to a large group of people. When I test this with one person, that person has to ask access. I don't want 60 people to send a permission request; they just need to see the folder with the content. How can I do that easily? Pasting 60 email addresses is so much work as well...

I want to upload my resumé on a google form for an internship. But as i did that the other party is not able to access the pdf and its asking for my permission to grant that party to view it. I have already enabled public sharing. I am not able to access any advanced settings. Moreover I have tried to make a google form of my own to upload my resumé. I can access it only from the parent account but when I try accessing it from other accounts it denies access and asks me to get permission even though I have enabled pubkic sharing.
Also the link sharing gets automatically deactivated. Is there a way to allow link sharing permanently?

Let me try to understand the situtation:
- You have your resumé as a PDF file on your Google My Drive.
- You have set access level to "Anyone with the link" and have set "Viewer".
- You then copied the link to the resumé and sent it to the other party.
- They click on the link but can't access the PDF file.
What I don't understand, is the part about Google Form and what you're trying to do with it.

Hi Chanel! I hope you can help me with this issue. I sent an invitation to a Gmail user to own a Google Doc but it turns out that the user can't accept my invitation. It only notifies "you no longer can respond to this invitation". What might be the problem?

I dont have a Google Suit as I am just a single user mom who wants to share my own home schooling curriculum activities and Google slides from My Drive, with my daughter’s school staff for a short time with restrictions that I can apply on downloading, coping and sharing with others, but maybe commenting allowed for certain people. Hi Shaida. You share your files with others by giving them "Commenter" access. Then you can define that commenters can't download, copy or print those files.
This can be done with a free Google account and not only with a paid Google Workspace account.

@@shaidashirazi8080 You can't do a proper transferring of ownership for files with free Google accounts. So she would have to make you an editor and you make your own copy of those files. That's the only option I see.

When sharing with Google Drive:
1) People will see your email address if you make them editors. If they are either viewers or commenters they shouldn't see your email address.
2) They will only have access to files or folders to which you grant them access. So if you give them access to a folder with the name "Parent" and that folder contains a folder "Child" they will have access to both folders and everything inside these folders.
3) People won't be able to track your location with any of the Google Drive tools.
@@saperis As per your point No.1, i have backtested with viewers, commenters and Editors Options
1) I created 2 google account. Say Acc1 was the owner and Acc2 was the person who i want to share.
2) In all three modes(viewers, commenters and Editors), when anonymous person clicks the link and tries to open any one of the file. At the Top Corner, there are three dotted icons, click three dotted icons and Then Click Details.
Then Hover the Mouse to the Owner's Photo placeholder which was near to the name of the owner. The Email Address was displayed.

But you are right, if you are in the same document as your students at the same time, they could see your email address by hovering over your Google profile image.
There is no way you can stop this from happening.

An organization's admin can block the sharing of files outside of your organization. From what you wrote I'm guessing that's exactly what has been done for your organization.

If the admin resets your password and logs in as you, yes.
Otherwise they can't access your My Drive.
For obvious reasons, they can access anything you have created and stored an a Shared Drive. That's the point of having Shared Drives.

I am sharing a folder with people by adding their email in the share option, and i set them as a Viewer permission.
The problem is that they can only see the folder i se in their Shared with me folder in Google drive. and the Option to move the folder to MY Drive folder is grayed out for them.
The problem is that all my users use the Google Drive desktop app so that they can see Google Drive in File Explorer. But the shared folder is not visible when using Google My Drive desktop.
I do not want to make the permissions as EDITOR, so is their a way to share a folder that is view only , but can be moved to MY Drive folder ?
Depending on the settings your Google Workspace Admin has decided on, you can't move a folder from a Shared Drive to your My Drive.
But that won't solve your problem: "Shared with me" is never accessible through the Google Drive for Desktop app. The only solution for that is that they add the folder you have shared with them as a shortcut to a folder in their own Google Drive.

I found a way to connect the shared folder in the Google Drive desktop app with my app. I created a video to explain to my users how to do it. Saperis, My name is Josh and I am having trouble sharing drives with my company. Everything was working all up to this point. Then one day I started getting error message from Excel stating (your file was saved successfully, but excel cannot re-open it because of a sharing violation. We are on a gsuite, my professor made a shared folder but there was no notification in my gmail. Does that mean it is not shared with me? Now, my classmate sent the link of the folder to me, I tried to drag my activity to the folder but it says “You dont have permission to upload to this folder”. It depends on the level of permission your professor has given to you.
If you right click on the folder that was shared with you, you can check the sharing level.
And you are only notified of a folder being shared with you if your professor chooses to send you a notification.
Update: I requested for the folder to be shared to my gsuite account. I think when my professor added me, I was only a viewer. Now that he accepted my request, I finally submitted my activities, I hope he wouldn’t give me deduction. Thank you for this video and reply, its very helpful❤️

If you share at folder level the accessing rights are also applied to the files within that folder.
If you want to only, let's say, share 8 of the 10 files within a shared folder, you can simply unshare those two files.
BUT, this will only work on My Drive. On a Shared Drive that wouldn't be possible.

You can share "with anyone who has the link". That that means any internet user, who happens to somehow find your link, will have access.

Yes, that's possible if you have a Google Workspace Education or Business account. You simply have to create a Google Group, add all your students to that group and then give the group access to the file.
But if your student's have accounts that aren't part of your Google Workspace account, e.g. their own personal account, your Admin will have to enable the adding of them to the Google Group.
Okay so I work with a lot of artists and I send hundreds of audio files every week. Is there a way I can change the drive permissions for multiple files at once?
You have two options here:
1. Put the files in folders and then share the folders.
2. While selecting the files press the Shift key on your keyboard. Then simply right click on one of those files and set the sharing permissions. This will set the permissions for all the selected files.

Are you referring to the advanced settings to disable downloading, printing and copying? Even with the new Google Drive interface it is accessible through the settings icon.
why can't I directly send my messages on Gmail without sharing them with a person or multiple people. The reason i am asking is that even when I share the file they respond back with "permission access"
As soon as you want to share a file, which is saved on Google Drive, with other people through Gmail, you will have to grant them access to those files.

The problem is I submitted pdf from my google drive in restricted mode. I forgot to set it enable for them to have an access. My question is, in this situation is it automatically they don't have an access to my pdf just because it is in restricted mode?
Any file that is shared in "Restriced" mode means that only people with who's email address you've shared the file will also be able to open it.
If *anyone* from the university needs to access the PDF I would suggest you simply switch the sharing mode to "Anyone with the link". Ok?

Ok, so I'm not quite sure if I understood what you actually did.
When you upload a file from your computer into a Google Form then it is stored to the Google Drive of the Google Form owner. You don't have to change anything concerning the sharing settings.
If, on the other hand, you've sent them a link to that PDF, which is stored on your own Google Drive, you have to change the sharing permissions to "Anyone with the link".
See the difference? Now the question is: which of the two options did you choose?

You bought a Google Drive file? In that case the file will always belong to the person who sold it to you. You will always only be granted "Editing" rights to that file.
If you want your own personal copy you would have to make a copy of the file you bought it and then share it with someone else.

I would recommend the following:
- Change your Google account password
- Make sure that none of the files are publicly shared (because they might get indexed by Google and be searchable through Google Search)
- Consider "upgrading" to a Google Workspace account. It's paid but I consider it a better option when you're using Google Drive for work purposes. workspace.google.com/

So you can either share a file with (1) an email address or (2) "share with anyone who has the link".
If you choose the first option you will have to add every person manually to the file.
If you choose the second option you can send anyone the link to access the file.
You can't set the second option as the default permission for new files you create.

If you're doing this with a Google Workspace account (provided by your company or school) it's well possible that the Admin defined that resources can't be shared through "Anyone with the link". In that case you would have to ask your Admin to activate this option.

You can publish Google Drive files(e.g. a report in Google Sheets) in form of a websites. This has to be done from within the file.
Or you can share Google Drive files with "Anyone who has the link" so they can read, comment or edit your file.
If you simply want to make an image accessible to anyone you have to share it through Google Drive with anyone who has the link.

@@jeon_nation8683 Not quite. If you add an image to a Google Form (as either a separate section or an image to a question) you don't have to change the sharing of the image.
In a Google Form the image is kind of embedded.
BUT if you only add a link of that image to the Google Form then yes, you would have to share it with everyone.

I can't replicate this problem. As long as you are the owner of the document you will always have access. Even if you restrict the sharing and hit the save button without adding anyone.

You don't have to. People can only see your files on Google Drive which you have shared with them. They don't see your other files.
Hey, nice video! :) I had a question for anyone who knows the answer.
I currently host a bunch of public files under My Drive that allow anyone with the link to download them. Is it possible to create a Shared Drive that has a public link in the same way that you can with My Drive? Or do I need to manually add specific people to the Shared Drive in order for them to get access to the content? Ideally I just want to be the main admin of the Shared Drive (and add contributors of my choosing in future) and allow people to sync my public shared drive using the Drive for Destop app, if that is possible. My Drive isn't really enough for me since you can only have up to 5 editors, but if I switch to a Shared Drive, I'd still need to be able to generate completely public links to the content I host on there. Thanks in advance to anyone who is able to help. :)
If you want to use Shared Drive, you will need a paid Google Workspace account. It's not available with a free Google account.
Once you've set up your Google Workspace account you can share a folder within it with anyone who has the link. That sounds like what you are looking to achieve.

Hi Ariel. At the moment that person would be asked to create a Google account when she/he tries to access the file you shared.

Hi Charity. To do so you have to open the sharing interface. If a specific person already has permission to the file you will see them listed beneath your own account.

I recently opened a new Google account (I currently have 4: two academic (.edu) and 2 personal. I recently opened a new one (the fourth one) in order to keep some shared stuff separated from my main one. I have always shared the drive of my main account with no problems (I have 100M space). Upon opening the new account, I unshared a lot a stuff shared on the main one in order to share it on the Drive of the new account. The problem is that whene in my main account I had never had any problems sharing, In the new account, as I tred to share with the same number of people I was sharing with in the main account I get the message "sorry you have exceeded your sharing quota". I bought 100M extra space thinking it could be a space issue but the problem was not fixed: sharing with a group of 26 students, only 7 get the link. The whole reason I opened the new account was to share through a separate account and there's a quota (limit?); now I've had to go back to sharing through my main account, in which apparently there's no quota. Can you explain what this is about (why one account has a quota and the other one doesn't) and how to fix it?
Hi Francisco. This most likely happened because you were sharing lots of files in short sequence. To make spamming people with randoms files more difficult every Google Drive has a quote limit. If you wait 24 hours the quota starts at 0 again.

So I've done some research on this topic. Currently, moving files or folders from one Google Drive to another is not possible with Google Workspace (that's the Google account type used by companies). That's why I can't make a video on this topic. At saperis we create tutorials for Google Workspace accounts which, with some exceptions, also work for consumer versioned Google accounts.

@@saperis The way you have mentioned that you can share any folder and copy the files inside it in other Google Drive, your answer is absolutely correct, but if there are only a few files in that folder then it is fine but if that folder If the number of files is high, it becomes very difficult to rename all the files one by one.
