7 Simple Notes That Keep My Life Organized

  • The Apple Notes app is simple but a goodie. In this video, I share the 7 types of notes I use on a frequent basis to keep my daily life organized.

      Google Sheets (or any other online spreadsheet, preferably with offline capability). Problem is, it tends to accumulate so much un-used info, I have to start over a new one every 2-3 years. The main tabs: 1) Useful/ Interesting Links 2) Taskers at the Office 3) Rolodex 4) Plans & Options for the Future 5) Daily To-Do Lists 6) Scheduling & Timing 7) Random data notes such as wifi passwords. Note that banking and email passwords are NEVER recorded in cleartext. Instead there are a few "token" patterns that are memorized and named. Then each new password is some combination of these. What gets written down in order to remember the password, is a string of those pattern names.

    Some solid ideas here. One note I use semi-regularly is a 'Gift Ideas' note. I have a note for all of my family members and close friends and whenever I come across something that would make a good gift for them I save it in their note. That way when their birthday comes around I will usually already have a list of ideas I can start from

      Nice! Such a good idea. I actually have a Gifts note too, but it might be worth putting this in my pinned section...I rarely use it because I forget I even have it 😅

    Thanks for the great video! I love how you use this app!
    I have a lot of options available to me (google docs, calendars, other apps like Trello and Monday), but I find myself always using Apple notes - it’s just so easy to use, always right there, and I find that its simplicity makes it fun!
    It’s also excellent for working with images. You can paste a bunch of images in a note, open a second note, then swap them back and forth to reorder them and build things like social media campaigns, newsletters, blogs, etc quickly and easily. Easy, fun and tactile.

    Some great ideas! To add to the mix, one note I keep in my system is "Borrowed / Lent" where I track anything that I've borrowed from or lent to somebody else, who the person is, and I date each entry. It helps me to return things in a timely fashion and know when it's reasonable to "follow up" on something that I need back.

    I love Apple Notes and use it much the same way as you described. I've tried Notion and all the others and just haven't been impressed. I also use OneNote but mostly for work stuff. In Apple Notes, some of my key pinned notes are ones that I call "important dates," and it's the dates important events happened in my life. Things that you can forget the date of years later like surgery, or the date I started grad school or a new job, or when a family member passed. I also have a "master project list" of projects I'm wanting to tackle, I keep a note for my weekly AM and PM routines and one for my weekly planning review. I have one pinned note with a copy of my COVID vaccine record, one with photos of all our vehicle license plates (comes in handy when checking into a hotel) and many others that help me keep my personal life organized.

    Even though I am not an Apple nor Apple Notes user, there seems to be a movement away from Notion to other apps - both other "new" entries in the productivity sphere (like Obsidian, which I use) and older apps (like Aplle Notes). Which ever tool you use, the most important thing is that it has to work for you specifically and by that I mean that you actually take notes and achieve the goals you have set for your self when you startet with the system, instead of fiddling around with the structure or trying to make it pretty. This is not only different from person to person, it may also change over the course of your life, as you may focus on different things. You should blindly follow some productivity youtuber and instead always reflect wether the stuff presented is actually fitting your needs.
    Your suggestions are a nice collection of ideas for some simple central notes, even though I use a shopping list app for the shopping list to avoid populating my todo list with grocery items.

    I absolutely love using the Obsidian app! It's like "linking thinking" in a way that has completely transformed my life. This powerful tool has given me deep insights and has even changed the way I think about things.

    I used to be a frequent flyer before I retired - One note that I alwayes returned to was Travel Info - passport number, frequent flyer number, hotels I used frequently, medicines needed (in English), alergies (English) - but also basic info as height, weight, shoe size etc - all the stuff you may need when filling out that green arrival card etc

    I strongly recommend using a password management tool instead of notes. There are many out there that work well.

      I agree. I just use the Apple encrypted one in Settings. It also uses the code generator for 2FA. Love it

My channel has nothing to do with productivity, but with full time work and also coordinating life, I do watch a few and this was so well put together.     Danny! It reminds me of Getting Things Done. However, it does not treat aspects of learning languages/ thoughts etc.

      I actually hadn't heard of Getting Things Done! I just looked it up, and yes, it seems like we both see the value of noting things down externally and decluttering the mind ;)

    Point 1-4 ist what u should do in reminders, 6 I put in reminders as well at least for the books/films to consume

    I stopped using Notion for Notes because sometimes simpler is better. Also the app is so fast and works so seamlessly on all my Apple devices.

    Is there a sort Feature

      You can sort the order in which notes appear in the app by either title, date created, or date edited. You can do this by going to Notes > Settings at the top bar of your screen. As far as a the ability to sort content within a note itself, if there is such a feature, I'm not aware of it.

    I agree that NOTES is a good app and will do the job for most people. It is surprisingly complex if you really look into what it can do. Recommended.
