How To Add An Online Email Archive Microsoft 365

- When your Microsoft 365 mailbox fills up you can’t send or receive emails until you delete emails. But what if you need those emails? Maybe instead you use an old-fashioned PST file for email archives. Well, you no longer need to delete emails or use PSTs because of online. email archiving in Microsoft 365. That is what we’re going to talk about in today's video.
What is a Microsoft 365 Online Archive?
Each user in your Microsoft 365 can have their own Online Archive. A Microsoft Online Archive cures the following problems
- It gives you extra mailbox storage so you don’t have to delete emails when your mailbox gets full.
- It keeps your actual mailbox nice and lean because emails are archived away. This can help with the performance of your Outlook.
- If you have PST files, you can move them all into your Online Archive. You can then access them anywhere with just an internet connection and you don’t have to worry about backing them up on your PC.
How much storage do you get?
The amount of additional storage space that you get in your online archive does depend on what Microsoft 365 license you have.
With Microsoft 365 Business Basic and Microsoft 365 Business Standard, you get a 50GB online archive. This is in addition to your mailbox, which is also 50GB.
We advise our business clients to use Microsoft 365 Business Premium - it has more features than the Standard and Basic plans. One of those features is the Online Archive - you get 1.5TB of additional storage, again to complement your mailbox size, which is still 50GB.

The Archive Tab is no longer in Microsoft Purview (aka Compliance Center).
Per user Achieve Management is now in the EAC (aka Exchange Admin Center) under Recipients > Mailboxes.
Bulk Archive Management is located at Microsoft Purview > Data Lifecycle Management > Microsoft 365 > Retention Policies.
PowerShell is also an option

Great Video! Do you know the exact permissions needed to access Data Management under Complience? I do not have global admin access, and requested to have the compliance admin permission but I still cannot see this area for me.

For some reason 365 information sources seem to be a mass on incoherent instructions even the official docs are hard to follow this was perfect though I was missing the Archive tab in Data life management. For me, I had to go to the Exchange admin centre and create a retention policy with a tag in the users Mailbox settings
The archive is missing from Data lifecycle management (We have MS Business Premium Licensing) BTW love your videos and have watched all of them
It's missing from my Compliance center too, and I also use Premium licenses.
Does this subtract from the 50gb limit though? From my research there Seems to be a diversity of opinions on this. Someone needs to do a video showing the storage before and after because I don’t think this actually does anything bedsides create another folder.
Okay this is interesting... I was able to do what Nicholas M said...
Exchange Admin center > Mailboxes > Click on my email address> Others > Manage Archive mailbox and then flip the button to ON
Now with me having a Business Standard account, does this mean I am going to get charged for the archive mailbox?
It had a warning at the bottom saying:
Additional storage is a premium feature that requires an Exchange Online Plan 2 or Exchange Online Archiving license to enable it for each user mailbox. Learn more
I found here how to turn it on, did it charge you. Im on a standard plan trial. I certainly don't want premium
As a personal user, I got by MS. Because none of this is available. I have 1TB of online storage, but cannot use it for mail. The only solution for private users: Gmail. You buy 100gb, you can use 100gb, however you want
Once moved to Online Archive, can we still use it like a primary inbox? Can we reply to the sender/forward to a colleague?
Does online archive include calendar items?
Sadly I can get to the Data Lifecycle Management page but there's no ARCHIVE button on that screen.
I have Microsoft Business Standard plan for 12.50 USD that you showed on the screen.

So, I activated the Archive Mailbox, however the automatic archiving isn't working.
Is there anything else I need to do?
E-mails aren't transferring automatically.
Have you find a way to run the automatic archiving? I face the same issue, the In-Place Archive folder is there but there's no email in it.
Is auto archiving from M365 to a local PST no longer operational? I have Outlook 2019 and a GoDaddy account. I can not auto auto archive, manually, yes. When the prompt comes up I say yes and nothing happens, it does not download the data.

@@bearded365guy Thx for the response. I couldn't get it work. The thing is, the inplace archive has limited space as well. Archiving to a local PST, and having that backed up, or synced with a cloud backup seems a good solution.
Don't you have to enable auto-expanding-archive to enable 1.5TB archive storage. Otherwise, ur archive mailbox storage won't grow beyond 100GB. This is for business premium license only.

Bro , great video. But the problem is I cannot see Archive button under Data Lifecycle Management. Also there is no button to create New Retention Policy under retention policy option. Could you please help me with the solution ?

Couple of "excepts". 1) On line everyone has access to all your emails. Yes they do. If our government military computers and utility companies can be hacked then sooner or later yours will be hacked too. If not already. 2) you can't access "anywhere" unless you have your password. 3) You did not explain the option of how to backup .pst to an external hard drive. Forgetting to add that option, seems to me you are just trying to promote additional monthly fee for 1.5 TB.
I’m not sure I agree with your comment. Plus, I don’t work for Microsoft, so I don’t need to promote their services for small monthly fees. It just makes sense to use it. 👍
