In this video, we'll show you how to create a QR code attendance system in 2023 using Google Sheets and Google Forms. With this system, you'll be able to track attendance and make sure that all students are following the instructions of the school. We've done it before, but this time we have more efficient, more user-friendly, and all-round better formulas and functions in Google Sheets.
QR codes are becoming more and more popular, and this attendance system is a great way to use them to improve school compliance. With this system, you'll be able to make sure that all students are following the instructions of the school and that they're able to attend classes safely and on time. Absolutely. First, make sure you are using BinaryEye. It is open source and it's the only one I have reliably found that does instant scanning.
Once open, click the three dots in the top-right.
Click preferences
Go right down the bottom. The eighth option from the bottom is "Open Immediately". Turn that on.

Can I also add an column that tells me if the person has logged in or logged out based on the condition when they scan the QR code, If its the first scan "login" value should be recorded in the column or if its the second scan "logout" value must be captured in the column???

hi, a very helpful video, however, when i pasted the formula to generate the qr code, the link from qr code did not go to the page "your response has been recorded" instead it went to the list of attendance where i have to manually tick n the names. Could you kind enough to check why?

Is there a way to get a general QR code upon scanning links each individual to their QR code?
I would really like to use this version of the QR attendance system, but I cannot get the form to automatically submit when clicking the link. (I haven't gotten to the QR code yet). When I click on the link, it takes me to the form with the answer populated, but the user still must hit submit.
I've changed viewform?usp=pp_url&entry. to formResponse?entry.
There is only one question and it is not required.
The form is not collecting addresses.

I guess one of the issues with the current setup is I can scan my friend's QR code, and it will work 😅

Another idea is making a dynamically changing QR code based on the time the instructor opens the sheet

Yeah you can make a dynamically changing QR code each day. Just add a date field to your Google form and add that to the Google Sheet with each qr code. Prefill as usual and you're good to go

I'm finding it difficult to know how it's works afterwards. Are the students suppose to scan their individual QR code to register them? If yes, do you leave the PC on for them to scanned each time or how?
There's different options. You could create a student ID for each person and give it to them. Print off all the QR codes, have the students stick it on the inside of their workbooks, then when they come into school they get scanned as they come in.
Or you could have the full list on your computer and scan them as they come in (but if you're doing it this way, it'd just be easier to have tickboxes!)

Hi Ali, great video and I have already implemented it. However, I keep getting entries even during nights or from people who were not actually attending the class. It looks like someone else is simply using the URL to submit responses but I don't know why and what they can get out of it. Is there a way to "secure" the scanning to only those people authorized to do so? I know I can collect the emails but I don't want to add this extra "manual" steps. Thanks

Unfortunately there is no way to add super security to this system. I am working on other projects that will improve on this one, so hopefully that will solve the issues.
I noticed that when I set my form to collect email automatically , it recorded the scan as coming from my email, no matter whose code I scanned...could be a great way if students have to be signed into their school google account or network when scanning. just having someone else's qr code will not help. you'd have to have their phone or sign in information... @@HashAliNZ

Hey No One, what id suggest is a qr code for each building that directs to a Google form with just a text field. Teacher inputs their unique code and submits it. Have all Forms attached to the same Google Sheet for easy reporting. This method prevents people from signing in other people and keeps students guessing as to what the teachers unique codes are

Hi Fernando, It's possible but you'd need a new QR code for each different option. Let's say you have 5 people, three questions each. That's like 125 different QR codes. Not very manageable

Hi. This is interesting and useful. I have a question. Can I use the same QR codes to record attendance on different days for the same students? For example, students attending a club meeting on different dates. Can I scan the codes for different dates and have all the dates in 1 sheet?
Yes you can do that. It automatically records the date and time it's scanned. You'll just need to figure out what times relates to which club.

My QR code scan does not submit the form. It only shows me the form and I have to click on the selection to submit form. I see that my scannedlink truncates at formResponse? as well. Did anyone had this issue??
Hey Joe,
Don't worry about the truncated link - phones just do that to save space.
The problem you're having could be down to a few reasons. If there's no error showing when you scan, then it's likely down to a small problem in the URL.
However if the error showing is something like "The question has changed", then try using the BinaryEye app as your scanner. Stock cameras being used as scanners aren't great yet. They have code in them that prevent auto-loading to the final screen.
I got the same issue and binary will only pull up and show the qr code. It doesn't record it. It almost shows it as if we are supposed to send a qr code to the student or client.

Scroll right down the bottom. The 8th from the bottom is "Open immediately". Make sure this one is activated.
Then you're good to go
My problem is when scanning the QR code, it asks to sign in to an email. How do I fix that setting so that when the code is scanned, it automatically submits the response?
Use the updated system linked in the description. It's better, more secure, and less likelihood of messing things up.

Not sure about MS forms, but it does work on the MS platform through PowerApps and DataStudio. It's even better than through the Google System, but I'm not the best person to learn it from

I'm guessing you have enabled the "Collect emails" setting. This will require input from the person scanning. You have two options: Either get rid of the "Collect emails" setting. The problem with this is lowered security as you don't know if the right person is scanning. The other option is to leave it collecting emails, but get rid of the name question and change it to something the students will find fun to answer like "How many holes does a straw have? Give your reasons and we'll discuss your answers as a class!"
HI Hash! I was wondering, is there any way to automate a process where I can send the client their QR Code via SMS or E-mail automatically? For example, once Emily Smith submits a reply, it generates a barcode, that barcode is sent to Emily, Emily now scans in that QR Code to be checked off the list at Check-In. No way to stop people cheating using this method, sorry. If you need higher security then you'll need to find a paid option.

Once you've got your Google Form open, click the three dots and select "Get prefilled link". Once you have that, choose one of your students from the list. Then go right down the bottom and click "Get link". Then a black box in the bottom-left will show up. Click "Copy Link". Then paste that into your Google Sheet

I am working on a Google Form that I only want the name to be pre-filled. I was successful with making the hyperlinks and using your formulas. However, the QR codes would only take me to the blank Google Form - not the pre-filled link. I tried it with an iPhone and an Android. I also tried it with a form made with my school's Google account and then my private Google account. Same issue in all of the ways I tried.
Any suggestions?

Thanks for your videos! I was able to recreate this last year, but for some reason I am having trouble this time around. I need to create a unique QR code for each class date rather than each student--we want to just show a QR at the beginning of class and have them scan, enter their name and hit submit. I got a pre-filled link that marks down the class date and when I click on that url from the google sheet, it will take me to a pre-filled form. However, when I use the code to create a QR code, the QR code will take me to the form without any prefilled date (so students would have to select). I've tried this with both 'viewform' and 'formResponses', but with no luck. Any help with getting the QR to link to a pre-filled sheet or generating unique QR codes without student names would be super appreciated!

How do you show the qr codes for students to scan? I have 40 in a classroom. Showing one by one qr codes is not an option. Neither Ms power apps (actually i did one but students don't have power apps).
I have printed the qr codes for students to use. Laminating the printed cards hasn't interferred with scanning them. When I'm feeling really fancy I use our school ID printer to produce them. I still put a piece of packing tape over the top of the code so they don't get scuffed with use. So far, so good!
Some people haveade little fobs or student IDs. When it's made to look like a Professional student ID the students don't tend to play with them much. They come in get scanned and sit down

Security can be an issue with this method. Unless you're willing to pay big $$$ for an app, you can't restrict using this method. If you've got Power Apps as part of Microsoft Suite, you can use that

Hi Auggie, Download BinaryEye. It's free and opensource, and much better than stock cameras on phones. For some reason a little over a month ago phones stopped accepting these QR codes from their stock cameras so we now need to move over to third party apps. No idea why it happened 🤷🏽♂

In what way does it not connect to your Google Form? As long as you have internet connection there should be some kind of connection to the Google Form, even if it gives an error.
Can you please just tell me how to scan a QR code with my phone in order to add points to my club members account. This video had too much intro and too much stopping and starting telling me descriptions of things that do not pertain to creating the QR codes or to using the codes to scan on my phone and then add points to my members accounts.

I think you may have clicked on the wrong video. The title of this video is how to create an attendance system for teachers. It walks people through creating the system from scratch.
This isn't a video for adding points to your member accounts, however there is a way to use this system to do that. Just do what's on the video - it shows how to create qr codes and shows how to scan them. It also talks about the limitations which would apply to your scenario. If you're still wanting to use this system despite the limitations, then just open up a new tab and use a formula similar to:
=query('Form Responses1!A1:A, Select A, count(A) where A is not null group by A")
Everytime a name gets scanned it adds a point to their name.

If you're using the method in this video then the QR code should appear. If it's not, then the most likely cause is the formula being incorrect. If you're in Europe, try switching out the commas in the formulas for semicolons
Why QR Code does not automatically submitted response? I still have to fill in the questionnaire.
The most likely reason is you didn't setup the Google Form correctly. If you have more than one item in the Form or you have made it require sign-in, then it'll send you to viewForm rather than formResponse.

Hi Nurul, I'm guessing this is to do with the arrayformula. It's likely that the beginning of your formula is correct:
=arrayformula(if(B2:B="",,
but then the next time you see B2, it should be B2:B

The way we've done it in the past is to just scan the same qr code and filter out the times. It has some issues but it's super easy

You could using the snipping tool to create a jpg out of it.
You can scan the qr code offline, but it won't submit anything since Google Forms requires internet to submit.

Disappears? In what way? If you see some QR codes and not others, it's likely your computer isn't powerful enough to show all at the same time. Copy and hard paste (Ctrl+Shift+V) the ones that did load, then refresh the page, then use the formula on the ones that didn't work the first time round

No, not with Excel. You can with Microsoft Forms + Sharepoint + PowerApps but to implement it would take understanding of Azure.

Which step did you not get? Every step is shown, but this method is old and some things no longer work within Google Sheets, which I've addressed in the comments, description, and updated methods (which are also linked in the description).
If you're a grown up and teacher, it's also a good idea for you to learn to take what you see and make additions and changes for your own skill level and requirements.
Don't just call something BS because you can't figure it out when thousands of others have.

Hey, after scanning the QR code it is not automatically submitting. It does select the person name on Google forms but is not automatically submitting it. How do I fix this issue?

I must've done something wrong because every time I scan, the 'Forms' page displays and just lists the names and says that 'the question has been changed. Review your responses.' Can you help please?
There was a recent change with stock camera apps that means the scans don't go directly to the submission page. Try downloading the BinaryEye app and scanning from that. Let me know if that works.

After watching this video, is it possible to have our teachers have a district issued QR code like the one I created after watching this video, that is pulled to a google slide template. (Another video of yours I watched) They way, they can have the PNG qr code on their phone and be able to sign in to the PD I've created using your examples?

Not at the moment. However there is a way to do it with MS PowerApps. It's actually a good method, but I unlisted it from my channel because I'm not great at answer questions about PowerApps. There are tutorials around if you search for PowerApps Attendance System

There is the Table view in Looker Studio that doesn't aggregate (like sum or count would in a pivot table). This will be able to give you their times. It might be easier just to do this in Google Sheets, though. It won't look as pretty but it'll work faster.

Question? You have to stand by and babysit the app per each student? As I see or think I see you have to click back page to do a new scan ... in otherwords ... 30 students should be able to stream line into class with their id qr code and that is that ... however it appears and I may be wrong hence question ... however it appears after each student scan you have to reset the app to take a new scan? is this correct what I am seeing? or am I incorrect? thank you

I have a qr code scanner hooked to my computer which is what I will use not iphone ... that said, a usb scanner will dump data like a keyboard into any app, like text, excel etc. The question is, is there any software that you can recommend that is simple and not overloaded that will allow me to dump simple data and organize it with name, date and time ... as I find nothing out there and may have to create simple page in excel on my own ... if you keep excel open or any text app ... the scanner scans the data into it. Hi! Unfortunately you can't copy-paste directly from the Sheets cells. You can, however, snip using Windows+Shift+S. It's tedious and sucks to do, so it's best if you format everything the way you want it in the Google Sheet and then print directly from there.

Hash! My qr codes have disappered???? help! Have been using this version of QR attendance for my work sites, and it has been amazing. The already printed codes work swimmingly, but they are not showing in my setup sheet.....I was able to backup to a previous version last week to restore, but no longer. Your videos are outstanding and so helpful. Is it possible to generate individual QR codes for each teacher that go to different PD sessions offered during the day? Everything I have watched from your videos works but I can't figure out how one individual assigned QR code can be linked to multiple PD sessions.

Unfortunately there's no automated way to do that using the method from this video. If you want a less automated way using this method, there's two options:
1. Create a different Google Form for each PD session, then send out the QR codes for each one. That'll be a total pain in the butt.
2. Put a field in the Form for attendees to select their PD session they're attending. This could be problematic because they'd have access to the list of attendees.
Fortunately I've got a different method. Just create your own all using App Sheet for one PD session, then duplicate it for each of the other sessions. The teachers can sign in using the same QR code

Great stuff, but I feel like I'm missing something "big picture." Is the point of having individual URLs and QR codes for each student is that they don't have to select their name from the list on the Google Form? I share a classroom and can't think of a good way to have individual QR codes in the classroom. I don't think asking students to click on their name on a list of 30 students is much of a burden. Or am I missing something obvious?

This method was introduced in the midst of the pandemic when classes were low contact to prevent the spreading of the disease. The QR system provided a way to get students to scan in without touching any screens and without a teacher calling out people's names and sending out their spittle 🤮
An alternative way to do it that has been popular has been to give people a Student ID card with their QR code on it and sign in - similar to how you'd swipe your code at an airport.

Great info Hash. I have watched all the videos on using QR codes for attendance. I do have a question, though. Is there a way to easily see which students DO NOT scan the QR code showing their attendance? Looker Studio does a great job of showing who checks in each day but I can't see who does not. That would be helpful in a large class so I know who I may need to reach out to and make sure everything is okay.
