The default setting is to remove the emails from the server when they are downloaded. You can change that, if you want. I have mine set to delete after 7 days so I can download them to Outlook on my desktop as well as to Gmail. But be wary of leaving them in your hosting account/cpanel indefinitely... you'll eventually hit some kind of storage limit and need to delete them before anyone can email you. Unless you want to bother with that, it's easier to just delete them from the server after they are downloaded.

The issue isn't on the Gmail side of the equation, but with your domain server. You are most likely on a shared server and that server has limited resources (no matter what your hosting company might want you to believe). As a result, it doesn't send out new emails instantaneously after receiving them, but on some set schedule. I'd suggest contacting your hosting company and asking them to shorten that schedule. You may only be able to shorten it to every 5 minutes, though. If that isn't often enough, you will want to look at moving to a dedicated server (with all of the associated cost and responsibility that entails) as no shared server set up will ever be able to offer you instantaneous delivery all of the time.

We are a three person company at the time so I need a way to configure the pop3 to the gmail as you explained but how does it work with the other people I want to be able to respond and recieve emails? For example I would be andrea@domain.com, and there would be a tom@domain.com and a maria@domain.com. Do i set them up with aliases or make them an email from the CPanel. I would like them to recieve their own emails and be able to respond because they are in charge of different things (for example tom is in charge of menus and catering and maria is in charge of events/ decoration... But I want to be able for them to access all emails and for me to oversee all emails in case of any emergency (IE: Tom is sick, Maria hasnt responded to a client so I can check that). What do you recommend doing?
Since you want Andrea, Tom, and Maria to be able to receive their own emails AND respond to them, its best to set them up as separate email addresses in CPanel utilizing POP3. Setting them up as aliases only changes how Google sends emails on their behalf -- it doesn't change the underlying functionality of the address in any way. In other words, each email address is a separate entity. Only the person assigned to that address can access emails sent to it or from it. This is how all modern email programs work. Trying to set up your system as you envision it (where every member of your team can see and access all emails and you have god-like access to everything) is simply not practical. Here's a couple of the many reasons: 1. There would be no way to share constructive feedback with one member of your team without the rest of them learning of it. This is a violation of HR rules and policies. 2. While it seems like it would help ensure things don't fall through the crack, the opposite actually happens; no one takes care of it because everyone thinks its some else's responsibility. As for what happens when someone is sick, you just deal with it the way every other company does. Either you have Tom create an autoresponder in his email client, or you can create one in CPanel for him: in that email, that is sent to everyone who emails him, you indicate that he is out sick and who people should contact in his absence, if it can't wait until he returns. As to how to deal with someone not following up with a client, you simply ask Maria if she followed up. If she develops a history of not following up, you need to fire her and hire someone better suited to the job. Micromanaging your people and treating them like children is not the best way to run a business. Instead, hire responsible people well suited to the job, and then treat them like the adults they are.

check if your site domain support ssl. At most of them, I seen that you should buy it. ;)

Pop3 method is not recomended for this reason. If you do it with forwarding, the email delivery will be immediate.
