How to copy your QuickBooks Online Company File with ChronoBooks

    I'm retiring and will not need QBO any longer and wish to cancel my subscription. How can ChronoBooks help? What if i need access to my data 2 years from now? 4 years, etc? Am I just replacing my QB subscription with a ChronoBooks subscription? Will i need to resubscribe to QBO? Thank you.

      Hi Andy,
      This is a great question! I would actually recommend that you export your data to QuickBooks Desktop from QuickBooks Online and retain a copy of that. This would be the best solution if you still need to access the data in QuickBooks Format. If you do not have a copy of QuickBooks Desktop, I would suggest downloading a free trial copy to complete the process. I have another video on my channel that will help you export your data, or feel free to call our company and we can help you do it.

    I want to back up one company using chronobooks then merge it with another file with a different company name and sales tax number. Will archived information be changed to the new company name?

      I would also like to be able to keep the same customers, A/R, A/P, vendors, lists and reports. However, I don't want the old invoices to change to the new company name.

    Can we use ChronoBooks to export a company from QBO, then later, import it back into QBO?

      Hi Genie Chris,
      Thank you for your question! Yes it would allow you to export a backup of the company file which could later be restored if you decided to. I should be a little more specific though, ChronoBooks does not actually write over the existing database of information ( it does not wipe the old completely clean and replace it back with new fresh information) it actually looks at the data and modifies the information to match the way you want it to. Such changes are easiest to spot when you look at your chart of accounts, customer list, and vendor list. Most items are turned inactive instead of being deleted.

      ​@@Parkwayinc - I want to back the company data up from QBO, then delete the client from QBO, then import the same original data into our Wholesale Platform in QBO, so we can pass our discount on to our client. We can't transfer a client that already has QBO directly to the Wholesale Platform. Thank you!

    Can chronobooks be used to clone one account onto another?

      Hi ultrabaron,
      The short answer is yes, it can. We used Chronobooks to create a backup copy of our Universal company file so we could use it to speed up the new client setup process.
      BUT there are a couple things to know. This process does not delete the old company file and replace it with a new one, it modifies what is there to match (or clone) the file you are moving over. This means that you will have inactive accounts, vendors, customers, and items. If you are within the first 50 day of your new account, I would suggest purging the account AND then moving the copy over.
      ALSO,
      there are other parts of the company file that will not be copied over also. Features such as the bank rules, and custom reporting cannot be transferred with this tool but, they can still be migrated manually. We have a new video that shows how to share reports across companies in QuickBooks Online.
