If you create a form like this and protect it. Is there a way to press tab and edit it? If there is a drop down box. Can you fill it in by just using the keyboard?

Hi Jamie! If you are using a Legacy Tool field (like the plain text field) you can open properties on that field and set a maximum number of characters in the "Maximum Length" field. This includes the maximum number of characters and spaces you want to allow for users to fill in. This can help constrain the box from expanding too much. I hope this helps! So, that didn't work quite as I wanted. Even though I set character limits, it still pushed the text next to it to the right and even dropped it down to the next line until it reached the character limit. However, I was able to do it a different way. I created a table and set character limits within each cell thus keeping the cell's from expanding when I entered text. It's a little more work but I'm okay with it.
Hello! In Word for Mac, on the Developer tab, you can click the button to "Protect" and it will lock the form and allow users to fill it in. Or you can also go the the Review tab - Protect Document and that will open a security window more similar to what you see in this video. You can set a password if desired, and select the protection option for "Forms" and click OK. Hope this helps! Thanks so much for watching my videos.

Can you restrict one side of a word document to be locked and the other side to allow free text? We have our letterhead on the left side of our page we want to lock it down.
Hello! To my knowledge you are not able to restrict one side, however you can place your left (or right) sided letterhead graphics within the Header & Footer so when users type in, it is in the background. Here is a video that shows how to do that with letterhead graphics on one side of a document (about 2 min in): ruclips.net/video/hcrr16pYucg/видео.html I checked to see if you can restrict/protect a document's header and footer section and right now, Word does not offer that functionality, but this could be a way to limit people interfering with your letterhead graphics because they would have to open the Headers & Footers to change/edit it. I did this to my document and it worked, but I've gone back to edit it and add another unrestricted section, but the 'Select Sections' button doesn't show up anymore. The 'open' section I set last time is still editable when I restrict it...but the blue 'Select Sections' doesn't want to play anymore.. Is there another way to get to the sections selection aside from that button?
Hi Claudia! Unfortunately, if the "Select Sections" hyperlink is not visible, there is no direct keyboard shortcut to access the "Section Protection" pop-up window. I would recommend to go to the Home tab and in the Paragraph section of the Ribbon, click the icon to Show/Hide and make sure your section and/or page breaks are still where you set them. If so, you can click Show/Hide again to hide them. Then on the Developer Tab, click Restrict Editing to open the pane, uncheck, then re-check the #2 box and select Filling In Forms to see if the "Select Sections" hyperlink reappears. If not, I would try saving and reopening the document and check one more time. I hope this helps! Thanks for watching!
Is there a way to make the header fillable with the rest of the restricted form? I was making a form and realized the header was not going to be able to be fillable when I restrict the rest of the fields. The need the header to be fillable as well. Thank you.

Hello! There is a way to do this. The original protected document should be saved. That document can't be copied since it is protected. However, if a user opens a new blank Word document, they can go to Insert - Object - Text From File (select the saved file) and click Insert. This will insert text from the protected document into a newly created document (it preserves some formatting) and then it can be selected and copied. Not sure if these extra steps will work for your needs, but it is one way to accomplish this. Hope this helps! Thanks for watching my videos!

Hello I would like to make one application forms for 3 kinds of my employee LVNs/RNs and office staff, is there any options that I can create one form with choice of for example 3 boxes on top of the page we can pick: LVN: BOX RN: BOX Office employee: BOX If I checkmark on RN all RNs boxes or questions that apply to RNs appear and the others that are not applied to RNs is hiding. Basically, all form the same just maybe five or six of items different between all three. Thank you in advance.
Hi Frank! I think you may be able to create some dependent drop-down form fields that would meet your needs for this form. Have you seen my video on creating multiple level dependent drop-downs? How do you prevent the user's answers from editing the formatting of your fillable form? When they type in a long answer it causes my split tables to run off the page.
Hi there, you can set a maximum length character limit if you use legacy tool form fields. Just open the properties on your text form field and set the maximum length (say to 500 characters). The field will then expand until it reaches the limit and it won't allow any more characters to be entered. Hi Sharon . I'm unable to document in the fillable fields after enabling the protection. Although, the "Restrict Editing" indicates "This document is protected from unintentional editing. You may only fill in forms in this region". Please help as I am new to this and don't know what to do!

Hi I have created a fillable form in word. I stopped enforcement so that someone else could do some editing. When it came back to me I tried to start enforcement again, taking off design mode. But the start enforcement remains greyed out! Can you advise please?
Hello! You have a few options. If you have a logo or image in your document, you can right-click and select Wrap Text and select "Behind Text" then on the Picture Formatting ribbon, in the Arrange area, select the "Position" drop-down to open the "More Layout Options." A Layout menu opens and toward the bottom under Options, UN-check "Move object with text" and then CHECK "Lock Anchor" then click OK. This should leave your image in place and users should not be able to move it around. You also have the option of placing the image in your header if that works for you. Hope this helps! Is it possible to have a certain cell in a table freely editable while other cells are locked and restricted to only filling in the form fields? After watching a couple of your videos I was able to complete the form I've been working on, but when I edit the "text form field" the next line beneath it will move down a bit and this is after the Restrict Editing is activated. Thank You So Much. Very clear explanation. I have a very big problem after creating whole bunch of pages. When the file is unrestricted the "tab" key just works fine and navigates to all the Plain Text and Check Box tabs. But when I restrict the file, Tab key works only til the Plain text box once it reaches the check box tab it jumps to inappropriate check box and tab key doesn't works After that. I checked the Proofing option it's set correctly. Could you Please Help.
can you please advise, as this is not available anymore, word does not have the side tab, info tab, file tab is on computer not on doc itself, also restricted editing had disappeared completely with online subscription which is the only way to do it???

Hello, I converted a PDF document with scrolling text fields to a Microsoft Word document and we need to be able to restrict editing to just the fields for data entry. However, we also need to be able to use Track Changes and Comments. I cannot figure out how to add the data fields and preserve the track changes and comments features. We need both. I created a fillable form and set the restriction to restrict editing however when I email the document to someone, they get prompted at the top of their screen to edit the form even if it is password protected. I have a fillable form with signature lines. I made the section with signature lines unprotected. When signer clicks on signature line, it shows as "read only" and they cannot sign. It works on my end when viewing document. Why will this not work for the other user.

Hi Sharon, SUPER helpful. I have a head scratcher for you. My clients fill out a form that gets updated annually. Many of the fields remain the same. However, the client looks over the form from the previous year to make any changes since their last visit a year ago. They will do this again in another year. They only need to edit some fields and not others. I have many clients, and each client may or may not need to change various fields that they had formerly filled out. Is there a way to send last year's form to a client and they can see what their previous answers were, but they can click through the form and replace old information with updated information? I don't want to have to make them fill out all the information from scratch, but only change the areas that are different now while still being able to see what was on the form from the previous year. Help if you can, and thanks!

Just in case you don't have the Developer tab enabled, follow these steps so you can create fillable form fields in your Word document: TIP: To ensure the Developer tab is visible in MS Word so you can insert form fields, follow these steps: 1) Right Click on the Ribbon area and select "Customize Ribbon" 2) The Customize Ribbon and Keyboard Shortcuts window opens 3) On the right hand side under "Customize the Ribbon - Main Tab" ensure the "Developer" checkbox is selected, then click OK.
Hi Ndumiso - you can always unlock by going to your Developer tab, select "Restrict Editing" and click "Stop Protection." This will unlock everything so you can edit the document. Can you restrict one side of a word document to be locked and the other side to allow free text? We have our letterhead on the left side of our page we want to lock it down.
Hello! To my knowledge you are not able to restrict one side, however you can place your left (or right) sided letterhead graphics within the Header & Footer so when users type in, it is in the background. Here is a video that shows how to do that with letterhead graphics on one side of a document (about 2 min in): ruclips.net/video/hcrr16pYucg/видео.html I checked to see if you can restrict/protect a document's header and footer section and right now, Word does not offer that functionality, but this could be a way to limit people interfering with your letterhead graphics because they would have to open the Headers & Footers to change/edit it. I did this to my document and it worked, but I've gone back to edit it and add another unrestricted section, but the 'Select Sections' button doesn't show up anymore. The 'open' section I set last time is still editable when I restrict it...but the blue 'Select Sections' doesn't want to play anymore..
Is there another way to get to the sections selection aside from that button?
Hi Claudia! Unfortunately, if the "Select Sections" hyperlink is not visible, there is no direct keyboard shortcut to access the "Section Protection" pop-up window. I would recommend to go to the Home tab and in the Paragraph section of the Ribbon, click the icon to Show/Hide and make sure your section and/or page breaks are still where you set them. If so, you can click Show/Hide again to hide them. Then on the Developer Tab, click Restrict Editing to open the pane, uncheck, then re-check the #2 box and select Filling In Forms to see if the "Select Sections" hyperlink reappears. If not, I would try saving and reopening the document and check one more time. I hope this helps! Thanks for watching!

Hello! There is a way to do this. The original protected document should be saved. That document can't be copied since it is protected. However, if a user opens a new blank Word document, they can go to Insert - Object - Text From File (select the saved file) and click Insert. This will insert text from the protected document into a newly created document (it preserves some formatting) and then it can be selected and copied. Not sure if these extra steps will work for your needs, but it is one way to accomplish this. Hope this helps! Thanks for watching my videos!

Hello I would like to make one application forms for 3 kinds of my employee LVNs/RNs and office staff, is there any options that I can create one form with choice of for example 3 boxes on top of the page we can pick:
LVN: BOX RN: BOX Office employee: BOX
If I checkmark on RN all RNs boxes or questions that apply to RNs appear and the others that are not applied to RNs is hiding.
Basically, all form the same just maybe five or six of items different between all three.

Hi Frank! I think you may be able to create some dependent drop-down form fields that would meet your needs for this form. Have you seen my video on creating multiple level dependent drop-downs? Here is the link: ruclips.net/video/54dSJukbe3k/видео.html You could create your 1st level question as a drop-down with the options to select LVN, RN or Office Employee then you can program your next level form field to only show relevant options depending on what the user selects for the "parent" question. How do you prevent the user's answers from editing the formatting of your fillable form? When they type in a long answer it causes my split tables to run off the page.
Hi there, you can set a maximum length character limit if you use legacy tool form fields. Just open the properties on your text form field and set the maximum length (say to 500 characters). The field will then expand until it reaches the limit and it won't allow any more characters to be entered. Hello! You have a few options. If you have a logo or image in your document, you can right-click and select Wrap Text and select "Behind Text" then on the Picture Formatting ribbon, in the Arrange area, select the "Position" drop-down to open the "More Layout Options." A Layout menu opens and toward the bottom under Options, UN-check "Move object with text" and then CHECK "Lock Anchor" then click OK. This should leave your image in place and users should not be able to move it around. You also have the option of placing the image in your header if that works for you. Hope this helps! Thank You So Much. Very clear explanation. I have a very big problem after creating whole bunch of pages. When the file is unrestricted the "tab" key just works fine and navigates to all the Plain Text and Check Box tabs. But when I restrict the file, Tab key works only til the Plain text box once it reaches the check box tab it jumps to inappropriate check box and tab key doesn't works After that. I created a fillable form and set the restriction to restrict editing however when I email the document to someone, they get prompted at the top of their screen to edit the form even if it is password protected. I have a fillable form with signature lines. I made the section with signature lines unprotected. When signer clicks on signature line, it shows as "read only" and they cannot sign. It works on my end when viewing document. Why will this not work for the other user.

Hi Sharon, SUPER helpful. I have a head scratcher for you. My clients fill out a form that gets updated annually. Many of the fields remain the same. However, the client looks over the form from the previous year to make any changes since their last visit a year ago. They will do this again in another year. They only need to edit some fields and not others. I have many clients, and each client may or may not need to change various fields that they had formerly filled out.
Is there a way to send last year's form to a client and they can see what their previous answers were, but they can click through the form and replace old information with updated information? I don't want to have to make them fill out all the information from scratch, but only change the areas that are different now while still being able to see what was on the form from the previous year. Help if you can, and thanks!
Hi Everyone! Thanks for watching! Just in case you don't have the Developer tab enabled, follow these steps so you can create fillable form fields in your Word document:
TIP: To ensure the Developer tab is visible in MS Word so you can insert form fields, follow these steps:
1) Right Click on the Ribbon area and select "Customize Ribbon"
2) The Customize Ribbon and Keyboard Shortcuts window opens
3) On the right hand side under "Customize the Ribbon - Main Tab" ensure the "Developer" checkbox is selected, then click OK.

Hi Ndumiso - you can always unlock by going to your Developer tab, select "Restrict Editing" and click "Stop Protection." This will unlock everything so you can edit the document.
