  • HOW TO LINK TEXT OR IMAGES TO A DROP-DOWN LIST SELECTION IN MS WORD - CREATE FILLABLE FORMS // Learn make text or an image appear in your document based off what a user selects from a drop-down list. This video will show you how to do this using a Time-Off Request Form where different instructions and time off reasons appear if a user selects the employment status of Full-Time vs. Part-time. This technique can be used to also insert a particular image file depending on the drop-down item selected. We review this using signature image files at the end of this form.

    Thank you, Sharon. This video helped immensely. Is it also possible to include a plain text form field within the condition? So, the drop-down selection would essentially create another item for the user to fill out. It haven't had any luck doing this.

      This would be amazing if possible with check boxes too! Eg. Auto-filling drug doses and basically anything in a paragraph by quickly ticking through a bunch of check boxes :)

    This is the first of all the "how-to" videos out there that addresses this, thanks! I didn't know this was possible. Quick question. Is there a way to add text like in this tutorial if a legacy checkbox is selected? I tried using the same code you used for the drop-down list but it doesn't work. You would forever be my hero if you could let us know how to do this with a check box.

    Your videos are the best. Very easy to follow along. Perfect for a project that I am working on. Can you create a video on how to "fix" the coding if you make an error. For instance, I hit Ctrl+9 one too many times and then I was unable to remove the extra set of brackets. Each time I make this error, I have to re-creating the entire coding line from scratch. Thanks!!!

    Thanks a lot for this very helpful tutorial. But i have a question. I want to create a dropdown-list in de Visual Basic Script. i.e. When i select a job title from dropdown-list i want it to show a certain text with a drop-down-list. But when i select the drop-down list, it jump back up to the beginning of the page. Is there a way to fix this?

    Thank you Sharon! You're a great instructor, I'm so glad I found your channel! Question - is it possible to have entire tables dependent on fillable forms? For example, I've created a set of dropdown selections in my form and I want a specific set of information to populate onto the form in a table format (e.g. 1x3 table as can be inserted from the Insert tab) for each different option the user chooses.
    I've tried googling this but perhaps I'm using the wrong terminology because I haven't found good information on it. Thanks again and I'll look forward to your response!

      @@SharonSmith yes I've considered that solution and it may work for some applications but I was hoping to have the tables themselves show up or not depending on drop down selections to avoid having empty tables if certain options are not needed.

    Hi Sharon, I have gone through the comments to try to find an answer to this question that I have... however... there's just to many to scroll through. lol and rightly so because your videos are a tremendous help so thank you again!
    My question is: Once I've created the drop down menu and have successfully linked it to the text, am I able to edit the "IF" statements without creating it all over again. I'm having a difficult time trying to figure this out. Thank you in advance!

    Hi Sharon, great video! But I have one question. You mention that "a user" can fill in this form. But if a user wants to select an option (in your example eg. Full-time), that user must be in “Restrict Editing Mode”. Or is there a way that other users who don’t have “developers menu” and “Restriction mode” on, can use the form? I hope you can help!

      Hi Olivier, when you create the form and restrict editing and then save it, you should be able to send to a user as a locked form and they would not need the developer tab enabled in their Word version in order to fill in the form. You can also save the form as a template file type if desired. I hope this helps!

    Hi Sharon. I've been trying to find this solution for months. This is EXACTLY what I need!! However... my document needs to have two image fields that will have more than the 25 options allowed in a legacy dropdown. Do you happen to have a video on how you would do the image fields with the ContentControl dropdown (that has an unlimited number of items)?

    Super video. Made my life much easier. So after you start restrictions and the conditional text disappears, how do you restore (or see) that conditional text again?

      Hi Tom! You do have to have another form field for users to tab into as the conditional text fields will appear after the user fills in information in the form field and then hits tab (because it works by "calculating upon exit") from the form field. If you need to edit the form, you can stop protection on your document and then hit Alt+F9 (or Alt+Fn+F9 depending on your keyboard) to display the reference fields in your document. When you are done editing, hit Alt+F9 again to turn that view off and the reference fields will "disappear" again. Hope this helps! Thanks for watching!

    Helpful video. I’m struggling with adding a text box in the coding section. I need to have it so that if the user chooses “yes or no” from the drop down list, a blank text box shows up so that they can fill in *why* they selected that option. Is that possible?

    Thank you, this was very helpful. How do I prompt a checkbox check to show text somewhere else, similar to the dropdown? Normally, the reference would = the dropdown value, but for the checkbox would the reference = "Checked"?

    Thank you so much for posting this video - it helped me quite a lot. However, can you explain to me what I should write in those brackets IF I am dependent on two REF fields? I have tried so many combinations because I would like it to be {IF {REF XX}="abc" and {IF {REF YY}="def" then return "XXXX". I hope you have to time to answer and let me know "how easy I can solve this problem" :)

    Love this video - very helpful! Can this be done referring to whether a checkbox is marked or not? For instance, if someone checks "vacation", can we create an IF statement that shows certain additional text regarding using vacation time?

    This video is great but I am having a few issues in my own application. When I select a drop down field with the intention of other areas being populated, as per the video, it works the first time but then when I try to test the other options to toggle between it either takes a long time or doesn't work and stays stuck on the first one. Any ideas why that may be?

    Very well done. Start with an example to show what this is about (unlike most videos where you have no clue if they are even doing what you want), and explain step-by-step.
    I just wish there was also a quick mention on creating text depending on whether a box was checked or not, since I needed that too. Hopefully google will help with that.

    Excellent video and very informative as usual Sharon. What is the best format to save the document, as a Word Template or just a Word document?

      Thank you Jamie! Saving as a Word Template is helpful if you or your users will re-use the form and want to start with a fresh blank form template every time you open a new file. Basically, users can't "save" over a template file type with their filled in answers, they can only "save as" and name the document something new. Hope this helps! Thanks for watching!

    Thank you so much for all your video’s, Sharon!They are also very helpfull in The Netherlands ;) However, because of the editing restrictions it isn’t possible to fill in forms and make remarks at the same time. Do you have a solution for this?

    Sharon thank you so much for this! One question - Is there a way to be able to ctrl-C the output text created using this method? I'm using it to automatically build a document from just a few selections but the users need to be able to copy & paste out the results.

A question pop up in my mind - under "Reason for Request" is it possible that only the checkboxes which contain text against them appear and none of the checkboxes is without text? I was wondering if you could provide a tutorial on using a drop down that would produce multiple options within an editable text field that is mostly prefilled with text, but includes additional drop downs, form fields and date pickers.       Cindy, for that you may want to be using Content Controls instead of legacy form fields together with AutoText/Building Blocks. Use the Building Blocks Gallery Content Control.

    Sharon, thanks a lot for this very helpful tutorial. Is there a limitation as it regards the number of options (if-clauses) and the amount of characters? In my case I have up to six options and at least some of them do have more the 256 characters.

    For everyone struggling to get their text to show up. You cannot use a "new controls" version of the text content control boxes, you must use a "legacy" text field (form control) to tab to.

      Hello - are you using Legacy Tool drop-down field? If you selected the Content Control drop-down field then you won't see the same properties, like the option to bookmark. On the developer tab, select the Legacy Tools drop-down and then use the Legacy Form options. I hope this helps! Thanks for watching!

    Thank you for this easy-to-follow tutorial. Is there a way to edit the text that is auto-populated after making the selection in the drop-down? I have a list of tests that auto-populates a short description and a table to enter scores with test-specific columns/rows but, when I restrict editing, the user is not able to enter the scores into the table.

      Hi Anna! There may be a limitation to how many characters in your IF statement, but I recommend to test and see if it works for your needs. You would need to Stop Protection on your form and hit Alt+(Fn)+F9 to see your ref fields and edit them. Then you can re-protect your document. Hope this helps! Thanks for watching!

    Hi Sharon! Thank you so much for this incredible video. I have tried out it in some docs but the linked text did not change automatically. I always had to update fields when I put fields codes manually ( opening tab by right click on mouse and then I used "Update field"). Is there any hint to set out automatically? I mean that upon changing the value in drop-down lists, the linked text will be appeared automatically.

      Hi Peter! Do you have the "Calculate on Exit" checkbox in the drop-down form field properties checked? If so, as long as you have another form field for users to tab into, it should auto populate. You also have your form field protected for "filling in forms"? I hope this helps!     Excellent video. Question though...how can I include a new or second drop down list WITHIN the text that is linked to the first drop down list? For example, my first drop down is a yes or no answer to Question A, and if yes, I have Question B that shows up and I want a new or second drop down list to show up with the linked text so the user can use it to answer Question B .

    Hi Sharon, thank you for this video! It was very helpful. I wanted to expand on this premise by not just having a couple sentences of text appear once a drop-down list option is selected, but an entire set of steps. However, when I enforce protection and then select the applicable option from the drop-down then "tab", it moves me to the end of the steps. Is there a way to stop this from happening (i.e. remain on step 2) instead of moving to the last step? Or can you recommend another solution for displaying multiple sets of steps based on the drop-down list selection? Thanks again!

      Hello - if you have set up the properties of the form field to "calculate on exit" then I recommend having another form field and instruct users to hit tab after making their selection. ChatGPT says it is not possible or is to comlicated but can someone tell me: Can drop down menu be linked wit the whole table?     Hi Sharon, are you able to tell me how you get your formula to show in word? I would like to be able to copy the formula to multiple locations and be able to edit the formula if necessary. (currently once the formula is entered it just shows as blank space until it updates with the selection).

    Hi Sharon - love these videos, they have been a huge help! I'm currently creating a Proposal Template, I have set up the Drop Down menu to Select an Office Location - and have set up different addresses and phone numbers to change depending on the location selected - but after I select the office and press TAB they only way it displays will show the Office and Phone Number is after I do a print preview, or manually right click where data should appear and Update the Field - how can this automatically show?? Is there a setting I've missed? Also is there any way to change the field shading from grey to another colour? The client I am working for has a blue cover, so the text is white, but this means you cant see what is written in the field - it just looks like a grey rectangle. Thank you for any help in advance!! :)

In order for this functionality to work, the drop down field should be set to "Calculate on Exit" so you do have to have another form field to tab into or select. Hopefully you can build this into your document somehow. Then, when you enforce protection to "filling in forms" the reference fields should automatically populate after you select your drop-down and tab to the next field.       @@SharonSmith Hi Sharon, I am still having issues that the Fillable Fields will only update after a Print Preview. I have even recreated your Time Off Request Form and step by step did the exact same - but it does not auto populate - any help, I would be grateful. "Calculate on Exit" is selected, I have inserted the IF and REF information as described. I restrict editing on Fillable Forms for Sections 1 and 3 (where relevant text needs to be inserted). I Select the City, Press Tab, but information will not populate unless I select where information should appear and press F9 for each data point, or I do a print preview... I'm now getting desperate!! Please help if you can.
