  • For years I ran my business from a simple to-do list. Everything that I needed to do in my business was on my list, and I was pretty good at getting things done!
    Fast forward to a while later, and my business had grown... a lot. While I was really excited to tackle new projects and hire new team members to help me, my to-do list began to feel completely overwhelming. I began to avoid the projects on my list, because I was subconsciously managing every task I had.
    That's when I was introduced to Asana, and it changed my life and business for the better.

      Hi Gillian, I didn't hear if you said you have the free or paid version? I am trying to choose 1 project management tool both for business and personal :). I think Asana could do it but don't want to start building pages to find out later/too late that it doesn't have everything that I need.
      Do you add comments and files/links/pics to each task so you have all needed info to complete the task or do you capture this that somewhere else?
      If you do it within Asana, do you still have enough storage or do you need to delete stuff, save in your hard drive as you go along and therefore duplicating effort?
      Do you know if it is possible to create 2 workspaces to divide all personal and business projects? thank you

    I have tried doing boards on Asana, but I have found that Asana lists are way more effective for how I opperate. The majority the youtubers I have seen prefer boards, but Im just not a fan. They just look super messy to me and my brain focuses on the messiness rather than what needs to get done

      That's the best part of Asana.. you can customize it for your brain. And how you work best. Depending on the project, I use all the views.

    Oh, that is amazing - what great timing for me! I am currently in an organisational crisis trying to sort out my life and work schedule more effectively and I keep on bouncing between different apps and calendars, but none of them seem to do what I want them to do.     One can have the best of tools and equipment, but if one lacks the discipline to keep going-on, nothing moves. Having said that, I get the point of getting yourself organized in such a manner - keeps you focussed on the work which in turn, leads to better results. Asana seems like a good option to try out :)

    We (the IT department at work) also use Asana to plan each Sprint! I love ticking off a task because of the little flying pictures that appear on the screen :P

    This is absolutely hands down one of the most helpful videos I've ever seen! I use Asana but have really been struggling with organizing the projects...what you did by organizing them into "Teams" blew my mind. lol. And a TON of other useful info. I took mad notes! Thank you!!!!

    I used to be obsessed with Trello!!! Still love it, however I moved to something called AirTable. I love databases, and organizing my tasks for projects in the form of variable data stored in databases... Is freaking awesome, gives me alot more flexibility!!!! It's more of an actual system as compared to other apps like Trello and asana

    Gillian, great video review. I used heavily Asana. The only thing with Asana is that for solo-preneurs, and as a project management tool for individuals with no team or clients, the free version doesn’t provide all the features that are worth unless one pays. Other than that, it is one of the best tools.
    I’ll actually be posting a video under my channel showing what tool surpasses Asana and why. After trying all the best if the best, I’ll show the software I chose as the best for both solo and consultants with a portfolio of customers or teams. I’ll be posting the link to my new channel on this same post. Stay tunned!

    Is there anything that Asana doesn't do that you wished it did do? Also, as much as I just LOVE looking at your gorgeous mermaid hair, would you please consider making the picture-in-picture of you much smaller? It is so distracting and takes away from what you are saying when it's that big. I love almost all of your videos, but I just had to get that off of my chest (so to speak). Thanks

    I have been using Asana for over a year. I have a team of 6 staff members. We use multiple projects as well. I have also found that having a project for that specific person helps keep a kan ban to go to that person's tasks so you don't have to look for it. However, I struggle with one HUGE blind spot with Asana that I am hoping to find a solution for. You have yours set up the same as I do, multiple projects for each topics which may have the same team members or in my case some have different team members. Asana is great for to do's but the free version is NOT great for a summary of what is going on real time. There is no ability to time block in Asana, there is no ability to lets say check on what that person is doing or has done. I find I send out tasks but they often go "out of sight, out of mind" which means I often tell my admin or other staff members I need something done but then I might not remember who I assigned it to or when I needed it done by, or if it was even done since our company doesn't work well with real specific due dates. Many of our projects are ongoing or long term projects which require oversight. I do have weekly staff meetings which helps when i check in with people but I have lost thousands of dollars with the lack of ability to oversee what everyone is doing without having to look for the task or person or projects.

    Super cool video and Congrats on all your hard work paying off. I immediately grabbed a copy of Asana last year and did nothing with it. Can you do video showing how you set up everything in your business? Like how to create tabs to house your many checklists, things to do, processes, and more? I'm a newbie real estate investor and want to organize my business from the beginning to help me scale in future. Your set-up is awesome. I was just wondering if I could replace your Column Tab Names with my own. Like SOP, Daily Tasks, and then take a lead from acquisition through to closing and getting paid. Your video makes me think Asana may be perfect for me in creating smooth deal flow. Thanks again for the content and hope to hear and/or see a video on this soon. PS.     Subtasks - They do not show on the calendar view. How do you manage your calendar if you are only seeing the tasks and not their subtasks? Staying on time with your calendar when you can't see any of the subtask due dates is crippling to the planning of new projects - or am I missing something? Help please! Brand new to you with this video and SUPER excited to have found you. Tx

    This was great - thank you! I am just learning about Asana. I am wondering how I can see my subtasks in a 'task' with the subheadings you have in your tasks. The example you used in this video saw the video creation, with the subtasks, by category. I can't seem to do this... I have the paid version.
