    I am a BIG FAN of asana. Our team can't live without it now. Just one thing to mention, asana has unlimited 'guests' that is allow to use asana just good enough. We are about 50 team member using asana for free.. really working good.

    I tried Asana out brielfy ages ago, liked it, but stopped using it. Need a solution like this again and this video was super informative. thanks for taking the time! Two things that make this an easy choice for me: chain based event sequences and dropbox integration :)

    I like that you can customize each project and make task lists that are very detailed. I use Zentao, still the best project management tool for me. It has more features that are easier to use.

    Thank you for sharing this. I just started a new position and it is very heavy Project management. Never doing official PM before, I really need help with this. This new initiative needs to have a proj plan and the initiative is vital to the company's success. I need Asana to come thru for me.

    You had good timing with this. I was just looking into Asana for our office. One question, though, can you schedule recurring tasks?

    Downsides:
    - From my perspective, it's impossible to have subtasks. There is something like that but it's actually a checklist strictly tied to the task.
    - No clear IDs of the tasks so it's hard to use them in a billing tracker for creating an invoice. There is a custom field you can use for that but it's not auto-incremented but only a text input that needs to be filled out manually. Also text custom field is shown partially so it's useless for putting the IDs. We end up with adding our custom IDs as a task title prefix in a square brackets.

    Giving Asana a try after seeing your enthusiasm for it in your last two webinars. I'm an Omnifocusiac, but I'm a visual person and love the boards idea. I'm starting by trying a project. I do have a question I haven't been able to figure out. How do you change the size of the columns? I'm trying to have them fit my screen. Love your videos, big help to me! One request however, on behalf of my fellow Landscape Designers, please don't break any shrubs as you storm the castle! We'll have to repair them! Robert

    Thanks, sounds really interesting! I am managing a team of 10 people in 4 different locations so i think this could be super useful! Does anyone know if it works in regions with rather limited internet connection, like Darfur? Also, is it possible to all individual tasks of all team members at once?Thanks and greetings from Sudan

    Steve, I saw your 'Canned Responses' card on the screen. Have you done a tutorial on this? When I first saw Canned Responses on a video tutorial I couldn't believe what I was seeing. Such a simple thing that I now could not live without for my set up. Reckon others would be in the same boat. Another simple tool I could not do without is Boomerang which I use on all 3 Gmail accounts and absolutely could not do without. The caveat here is I don't use a CRM (because CRMs do my head in - one-person gig here) so as a very small operator Boomerang handles all my follow-up emails and deals with non-responses beautifully. Just a couple of tutorial ideas there.

    Very useful review actually. I am going to start playing with Asana tomorrow now that you've explained many of the features I was interested in. I have two questions though...
    I a have a 6 month project that I am about to start. So I see that you can create " phases " for the project.. but what about about stages or tasks that overlap each other ? Can you see that on the board too ? The other question is... can you create subtasks ?

    Hi Steve from a warm Melbourne Australia.
    Thanks for this one on Asana.
    I use Trello for personal project management because I am in solo positions.
    I am about to expand that to join a team already using Trello so that we can do marketing/publishing projects plus show productions for an amateur theatrical company (Gilbert & Sullivan comic operas). So I can't really consider changing to Asana for now.
    My real question is: does Asana support a template structure, so that we could build a standard procedure for producing a show or publishing an issue of our magazine, and then make a "working copy" to manage the current show or current magazine issue?
    I have already created template boards in Trello which allows me to copy an entire project process, and yet there are things in Asana which look useful (like sub-tasks and dependent tasks).

      It's really difficult to articulate. Personally ,I like the structure that Asana gives me, but trella would certainly do the same thing if I chose to fully embrace it.
      In my opinion we are speaking about essentially equal products.
      I believe that Asana, Will scale to large organizations more effectively than Trello. And I also like how they are evolving the product.

      Martina Fuchs I like Trello, but it the issue I have is when something is completed, it is still visible. With Asana, you can use the cards view, but it offers greater collaboration for teams. Trello has come a long way and I really love the tool. For many years, we used it as a knowledge base.

      I suggest replacing Google Keep with this app called "OneKeep" which is like Google Keep in steroids. They have the same UI but the latter has all the features that Google Keep users want but Google never provides (e.g. folders and formatting tools).
      Moreover, it has a native app for Windows 10 which is far more superior than Google Keep's web version (Google doesn't provide a native desktop app whether Windows or Mac). The iOS and the Mac versions are also underway. Unlike Google Keep however, some of its functionalities are locked for premium users.

    @dottotech I am a team of one! Can you suggest a way for me to display my own tasks, so that I can keep on track? I would like a daily check list, such as a grid that showed a week/month worth of routine tasks (such as diet, exercise, sleep health, dog walk, garden, housework). I think it would have to be a grid, so that I could scan across it and see when gaps occur to understand my patterns of both adherence and avoidance. Additionally, I would like to add a couple of larger ongoing projects that have a variety of changing and ongoing tasks. Any ideas? Or do I have to just draw a grid on paper or excel?

    Very nice presentation of Asana Steve. I wounder if Asana has facilities to "early start, late start, early finish and late finish" tasks to calculate the CPM (Critical Path Method). Or if you indicate another free software for it. Best Regards.

    Mr. Dotto, Have you discovered any hacks for printing the BOARDS to include sub-tasks??? ...I loathe the print view for all lists & boards in Asana! :-(

    I have been using Trello but am considering Asana. How do you use Asana to schedule the work required to accomplish tasks that might span multiple days. I am doing freelance article work and need to be able to load balance my work week to make sure that I get each project on in on time.

      I think what you're looking for is subtasks, which Asana supports.

      Asana is fine for individuals, but other great tools include ToDoist,, Trello, Monday. and others

    Any info about whether you can view the visual calendar chronologically without manually re-ordering cards? This is the one big negative I've experienced with Trello.

      Here is what I recommend you do when you put Air table to the test - test it in collaboration with what Air table calls a "block" (another software). I recommend a NEW block called "Sendgrid." I idea here is to automate email and it's feedback into a "smart database" that is configurable. Yes, there is a need to make both the computer and the Internet man's slave...rather than the other way around.

    I looked at Asana in a recent evaluation and it didn't have the boards at the time. I went with www.meistertask.com and the thing I enjoy the most about this system is that it combines with a mind mapping software that allows you to brainstorm a new project and have that mind mapping session tie directly into task assignments into a new project that you create from the session. Both tools are very visual and tied in well to the way I prefer to work. I left JIRA to go with this new system that I have really enjoyed working with over the last 2-3 months.

    Watching your tuts in 2018 and what actually happened during the last 1 year? did they block the Dashboard view feature and make it usable in premium version only? I can not see the same button you're showing in your video in nowhere.

      Tasks seem to be one per person. but you can set up followers on tasks

    Dottotech do you know of a task management software like this or Trello that isn't cloud based? I will pay for software if I can store all the data behind the company firewall. I can't find anything and am super frustrated. Help!

    Steve, well done. My holy grail feature is tasking out of Gmail. Ie., client sends me something to do via email, I click and create a task. Does Asana do that? If not, know whose does? (Insightly was the only one I found, but it's more CRM, rather than PM).

      You can send a task to Asana from Email, I am not sure how specific you need, but Asana accepts email to your account.

    Love your channel ! My company uses outlook and I hate it. Is there a way to embed outlook into my Gmail. I can't add any apps to outlook such as send later etc. Is there anything I can i do?

      You can Use Gmail to access any email account, It will not bring in all the calendars or tasks however

    Hallo Mr. Dotto, thank you for your work. My constructive critic is: you are talking way too fast. Taking a step back, it seems a cartoon of yourself. This makes it difficult for me to follow. I'm a follower from Germany, I understand english, but not that fast. I'll try Googles speed feature at 0.75. Your chosen themes are very interesting. I'm a crofts-man. I need measurements saved and processed. The gathering and calculating ideas from our clients is our work. The companies seem to deliver some interesting options.

    I adore asana. Used it when I ran a team of marketing interns at a university. Now I'm en entrepreneur (solo, soon to have a VR) and I currently use Nozbe. I love nozbe for personal task management but I do wish I let me get a little deeper like asana does with its subtasks.
    Also one thing Steve, I've used the ❤️ button is asana to get my team to "vote" for different ideas within a project. You seemed a bit "why would you like something" when you explained that feature. Ha. That's just one way I used it outside of a typical "like".

    These are the Dottotech videos I like best - The 10-15 minute dive into a particular bit of productivity software. I don't mind seeing topics that were covered previously. Products change over time, so I don't mind seeing updates.

    Asana has gone pretty far, but it's still behind Bitrix24 and Wrike. No Gantt? No time tracking? No dependencies? No resource tracking? No client management? I don't get people who pay for Asana when Bitrix24 is free and unlimited.

    Our company is currently using Base Camp. I'm not a huge fan of this tool, but it gets the job done. I have recently been seeing ads for Monday, which looks just fricken amazing!!! Have you guys looked at that tool yet. It just seems so much simpler and more intuitive than any others I have run across. It is pricey however, so I don't think I could sell my team on it at it's cost point. But wanted to know if it is as impressive as it looks.

    I discovered Dottotech's amazing amd extremely useful videos tonight whilst struggling to stay awake and comfort my sick child. I now have no intention of going back to bed!     Asana is frustatingly slow. Both on PC and android phone. I was considering it over trello because it has more feature but slow syncing & loading is a deal breaker.

    Thank you for your tutorial on Asana. Is there a way to set up a workflow
    template that includes all the of the tasks for a project type and then
    you just add this template to a team and the tasks are pre-filled and
    perhaps due dates are filled in as well based on the task durations and
    pre-requisites? Similar to MS Project

    Steve, I have a small team. We are testing Slack, but we also need a task manager. Do you think that Asana can replace Slack so that we could stick with one app instead of two?
