    As a GTD enthusiast, I understand the shortcomings of Projects. I need to revisit this video a few more times to form an informed opinion. Thanks for this video, Carl.

      Processes, because they have a trigger to start it, means less planning, more doing which makes it all the more efficient.

    As a follower of GTD, I have already developed the concept of process naturally, which I build in Notion, years ago while I keep using projects. But I did not make the process concept so dependent out of projects as you articulate so clearly here. But I totally agree with you here, and I think it’s important to keep updating these kind of ideas upon David Allen’s work instead of believing him blindly.

    Fantastic take on productivity! As an architect my process of design is iterative though each building is unique. I concur: focusing on the process itself is extremely helpful and allows not only for less worry overall but shorter Task Lists as well :). Cheers from Texas!

    Very good approach and especially helpful against procrastination. Many think too much in projects and everything that needs several steps is also a project. I think I got some value from the video and will rethink the idea of using projects

    I don't see why there is that much of a difference. Both of them are a list of steps you need to take to accomplish something. You could say that building a new factory is a process for a company that has already built many factories. You could say that writing a blog is still a project... It's just that you don't need to list out each individual step because you know the steps so well.

      In a way you are correct. However, projects generally require planning ( and meetings), and there's no trigger that will get the ball rolling. Processes are all about automation. A trigger begins the process and the steps are all aligned. No planning is required. It simplifies things and allows you to seek better and more efficient ways to get the job done.

      Or, you could look at a project as a chronologically ordered process. If we treat everything as a project, we start to think it's unique, and then we are unsure where to begin. So we plan and plan some more. A process has a trigger, and off you go.

    Fascinating. I fully agree with you on the overwhelming aspect of making everything a project. That means that at any time I have well over 100 projects in flight. Not all getting addressed each week because there isn't enough time. Unfortunately I am having a very challenging time seeing where I can turn my work into process activity. Your law office comments struck closest to home, but so much of what I do is reactive, not proactive unfortunately that I need to think this through and as ridwanslife said, re watch this a few more times.

      It took me a long time to figure this out. Once I did and began looking at what I did each day, I realised I was doing the same basic work, just with different clients or as a teacher with different courses. Each course is different, but the "process" for developing a course is the same.

    I have processes for all the stages of the construction process in making a building. : ))))
    The creative bit - is the variations between the detail to make a factory, hospital, shopping centre or airport. But they all have commonalities. That then becomes a process - tweaked - and in 'size' terms they vary, but the pumped system is one of 5 or one of 20, etc., etc.
    The differences and the 'mistakes' or 'ommissions' is where the clever stuff happens.
    But the basic process is covered by say - RIBA 'Plan of Work' and the BiM tools, see also the 'Soft landings' process, etc., etc.

      Yet - 'they are all projects with a few thousand tasks, most covered by a method statement and a checklist to ensure the task is completed...

      @@timbushell8640 Correct. But, that's why it should be treated as a *_TASK_* with many stages and with the driver being *_WHEN_* it gets done to avoid adding to the 77 we already have. Very shortly, the project panel becomes overwhelming. That's why Carl's system works because the SECTORS are *_HOLDING PLACES_* for tasks and "milestone reminders" of both our *_TASKS and PROJECTS._*
      If you haven't yet, look up his video's on *Why Projects do not work well in Task Managers.* Listing "WHEN" you're going to work on your project in Todoist works best. It's used best as a prompt to Project Folders stored in MS Word or Evernote, etc.

      @@justfelicia6671 Also - it rather depends on if projects overlap with each other... about half my 'professional' time has been one 'employed' project. Yet most of the next half has been 2 or 3 projects - when one is at the finishing and another starting stages... and then a small slice time of maybe 10 or even 20 projects which aren't really connected other than say 'me'. Where oddly the management of the multitude is virtually a perfect GTD planning of the varied tasks on dis-similar projects. So the techniques are useful, and levelling up the effort required to balance the time needed within the mix. In some instances - like the old GTD 'context' so - an answering email session - across all or most projects is useful.
      Processes - are therefore the guides to tasks, and the variation between say building type or my role within that project - gives me different views on that client's view of the project - so it becomes an almost 3-D puzzle. The management element is still a process - checks and balances monitoring time and money and defects/issues, etc. Mind we are taking on major construction projects whole new General Hospitals or University level research labs or +1000 key hotels with 20 odd restaurants, etc. So price tags up to a billion-ish dollars

    There are many tasks that you do that are related and take you towards one accomplishment. We can call it project. It gives happiness when that small thing is accomplished. Humans develop by small accomplishments. Projects work. What does not work is creating 10000s projects when setting up your system. Create projects only on the fly and only if needed to bunch multiple tasks into 1 goal. As David allen suggests.

    Hi Carl -- I love your videos, and have been watching them for years, but one minor criticism is that I can't help but always notice the bias in RUclipsrs presenting productivity tips and systems on how to be a better RUclipsr. Would love to see how you've helped other people with different types of work (contractors, consultants, project managers, programmers, etc.), and not just content creators.

      Ooh, it's very simple. On Monday morning at 9:30, I sit down at my desk and open up Ulysses. I write for around 90 minutes. On Tuesday morning at 9:30, I open up Ulysses and edit the first draft. Once done, I post. I think in total it would take less than three minutes to explain.

    Hi Carl, once again, great video. Very informative and thanks for sharing your ideas. This sounds a lot like using a template in Todoist, or TickTick, etc. that one can trigger as required. Do you manage these along side your projects in Evernote? I’m anxious to hear your advice. Keep up the good work, you’re doing a great job with this channel and your expertise is greatly appreciated.

      You're right, Allan. Once you have identified the processes for doing your work, you can create templates in your task manager.

    This clarifies a lot. Projects should be short term, with a goal and a deadline, but also *novel*. That way project work stands out from core work or other routines.

      @@Carl_Pullein - I find that the PARA principle of ongoing 'AREAS' of focus is more appropriate for these ongoing or recurring activities, as opposed to the unique goal with a final deliveralbe that is a PROJECT.

    Thank you for this video. I have a question. When you work on a RUclips video, does it exist as an item on your todoist? If not a project, at least as a task? Or do they only exist on your PC work folders, to be worked upon during the alloted times in your calendar?

      I have a weekly recording task that says "record RUclips video" and one that says "edit RUclips video". I plan each video in Apple's FreeForm app where I can throw all my ideas.

    Well, we all go around in circles. The Agile software development process is the same as GTD, and what Carl is talking about is a typical PoC and Story... I wonder if someone dressed it up in more abstractions... 🤔

      It's likely the way we work is always changing, and what worked ten years ago no longer does, so we need to find new ways to stay on top of everything that is coming at us.
