Data Loss Prevention in Microsoft 365 - Stop Data Leakage

Is there a way that you can prevent people within your organisation from sharing sensitive data with others? Well, if you use Microsoft 365 there is something called DLP - Data Loss Prevention. In this video you’re going to learn all about DLP and why it provides additional security benefits to your business.
In your business, do you have data that is considered valuable, sensitive, or even regulated? It could include financial data, medical records, or intellectual property.
What technology processes do you have in place to prevent people from oversharing that information with inside or external people?
It might seem hard to achieve this. How can you control the content people put in emails, Microsoft Teams chat, or the documents that are shared in OneDrive or SharePoint?
Now as a business you might be thinking - we don’t work with sensitive data. We don’t work with medical records so this doesn’t apply to us. But even a spreadsheet containing the names, date of births and addresses of all of your staff members could be considered to be sensitive and private.
It’s your responsibility to protect that data and control it going in and out of your organisation. This might be an accidental or malicious sharing of information. But how can you use technology to ensure that happens? Plus with the emergence of cloud computing and hybrid working does this become harder?
Well, if you use Microsoft 365 your job became a lot easier. You can use something called DLP. DLP stands for data loss prevention. You can use DLP to create policies to ensure private and sensitive data is kept, well private, and secure.
How does DLP work?
DLP Analyses content by looking for certain patterns and keywords.
A good example is credit cards.
Now, hands up if you have ever sent your credit card information by email? Or maybe you’ve received some credit card information by email?
You don’t need me to tell you that you shouldn’t send a credit card number by email without security such as encryption, but I am sure people do, maybe without much thought.
Credit card numbers are in the format of 4 sets of 4 numbers with expiry dates. They might also contain the word VISA. DLP is clever enough to be able to spot this and if you have a policy in place that refers to credit cards, it will be blocked.
Likewise with passport numbers and date of birth.
How can you get started with DLP?
You might be sitting watching this video thinking - yes, sounds like a good idea. But where can I get started? What kinds of information is in my business that I need to protect?
The first recommended step is to identify what types of information your business needs to protect - it might be because of regulation or because it’s valuable to your business.
Fortunately, Microsoft 365 does make it a little bit easier for you to get started with some pre-built templates for the country you reside in.
Just before we look at DLP in Microsoft 365 - it might be worth mentioning that it is only available in certain Microsoft products.
It isn’t available if you’re using Microsoft Business Basic or Standard. At my IT company, we always recommend that our clients use the Microsoft 365 Business Premium license - DLP is part of that.

I bet you'd be very good at explaining the difference between DLP and sensitivity labels and how they complement each other and work together but both don't need to be implemented necessarily. I cannot find a good explaining to me the way I want it, you're the only guy who can do it...cheers
