  • Today I want to talk about office manager, and the traits that a good office manager needs.
    Now this video is really for small businesses, like the auto mechanics or the plumbers, the AC guys, the electrician's, any company that has a lot of moving parts.
    Character Traits of a Good Office Manager:
    1️⃣ Strong leadership skills
    She has to be able to have tough skin sometimes and also make the bad decisions or the good decisions, and what I really mean by that is the tough decisions.
    2️⃣ Excellent communication skills.
    They have to be able to speak the jargon or the language of not only your trade, but also with the employee, because a lot of times there is company jargon.
    Also, knowing how to talk to customers, knowing how to overcome things sometimes that people get mad about. You’ve got to have a little bit of psychology, you’ve got to have empathy,
    you’ve got to really understand, you know what it's like to be that customer sometimes.
    3️⃣ Optimism.
    Always being positive, always looking for a great outcome, the grass is greener
    on the other side of the hill - my water is half-full. I'm not saying don't be realistic,
    I'm just saying don't be a Negative Nancy.
    Really a lot of times out when things go bad, it's really a learning opportunity, and that's the way you've got to look at.
    4️⃣ Organizational Skills.
    They have to manage their girls or guys below them, they have to manage the parts coming in, the parts going out, moneys coming in, moneys going out, employees, HR, insurances.
    5️⃣ Be Accessible.
    That means you have to be approachable, be accessible, meaning that if they need to talk to you by yourself, you'll make time for them. That you're not condescending, or you don't think you're better than they are.
    6️⃣ Understand Financial Statements.
    You've got to get the money in and you’ve got to understand how this works. One thing that you must know and understand is accounts receivables, accounts payables, balance sheets and PNL’s.
    I always gave my office manager some latitude to do certain things, I basically told them anything $5.000 or below, just make the decision, just do whatever you need to do. Because that way they didn't have to worry about calling me up for $500 motor or a $200 part. Just do what you need to do to take care of the customer, make sure the employees are safe and everything is working, because we want to keep that ship moving very smoothly.
    A good office manager understands the jobs and the task below each and every one of the people that's working under him or her.
    Office managers are very important.
    They are a critical part of the business.
    If you don't have a smooth run of business, you won't have a business.
    And I used to tell my office manager and my office staff, here's the door, inside this glass door is the business and outside is all the work.

    David, I really have appreciated all your videos over the years. I hope that in the future you could do one regarding pricing for A/C contractors. It's very difficult when you just get started to set good pricing, especially in a very saturated market.
