I just recently started numbering my bins. I only have 8 at the moment. I’ve been meaning to go through and add the bin number to my listings before it gets out of hand! I really like knowing I can search by bin to check against eBay. Great info! Thanks again!

I use totes that have just words on them (I’m still small, no need for alphanumeric yet). So Books are in the ‘Books’ bin and Shoes in the ‘Shoes’ etc. I use the SKU all the time starting with the date listed, amount spent on item and then in which bin it’s stored. So far it works great. I may tweak it in the future.
If it works, it works. In the end, that's all it needs to do.

100% I just kept track of where stuff was in my head. Once we passed up like 400 listings, that became too much. I regretted not tending to it when it really didn't seem necessary.

This is exactly the same way as I do it. I even use A1 A2 B1 B2.
I have 8000 items listed on eBay in over 100 containers.
I started cutting colored paper and now I just put A, B, C etc.
In the sku I will write Yellow A, Blue B, Green A ect. The containers would get all mixed up and take longer to find, by having a colored Square my eyes will automatically find Yellow or Blue or Green and I only have to look for A B C now once i find the correct color.
I actually love that!

I just started numbering my bins yesterday after temporarily losing a couple of items. that was so stressful LOL so even though I also only have 8 bins, I definitely needed a better system! btw, I don't have the Rollo printer, but I do have their scale and it's awesomely accurate!
The printer is a game changer as far as I'm concerned. I'm willing to try a new scale at some point...but how can anything compare to my $20 workhorse that never fails? LOL

Great video Scot. I use pretty much the same inventory system. However, I have to say that as long as I have been at this I still didn"t know how to search a particular bin or sku so that I can check the contents of that tote. SO Thank You for another awesome and informative video.

Good system! Last year I started using rolls of item number stickers in stead of hand-writing them. It’s a big time saver, and I no longer repeat numbers.
Anything you can do to eliminate steps AND still be more efficient and predictable, is a win.

Scott you're a genius you've have mastered an inventory system that I like! I will watch this video again and again until I catch on your sku system.
Just to give you an idea of one of many challenges I'm dealing with, I'm living in a small one bedroom apartment in NYC. I do have a storage unit not to far from me...I'm in the process of decluttering and reorganizing my small living room space to put in some shelves (I may try to put rolls on them so I can move them around different areas if need be;) to create an all in one work station etc. Oh did I mention I also design gift baskets that I mostly sell on the streets and church bazaars vendor and pop up shops. I'm sorry for the long comment, I can't help it I retired from a corp customer service position and I talk a lot, sometimes too much 😊 I'm very social - I was promoted 3x times I think because of my people communication skills.

My system may not be complex enough for someone's specific needs. But for us, simple is better and more likely to be used consistently.

I run a medium-large BrickLink (LEGO parts) store and you use the exact same inventory method as me. I've been selling for 12 years. When people ask me what equipment they should invest in, I tell them #1 a shipping scale and #2 Label printer. Until you own a label printer you don't realize the time and effort that it saves. And your advice about using the same container for the day's inventory to help find "lost" inventory is spot on! I don't know how many times that it has saved me. And for the rare customer that may sell items that number in the thousands (many $.01 - $.10 parts) I would also recommend a counting scale. They are expensive but will save you hours of having to count parts.
100% agree. I've had a few comments that this inventory method is antiquated. But it allows us to store lots of items, it's simple to use and we can find stuff.

I agree to start your SKUs asap as I didn't until I lost an item and went on a marathon search through 200 items. You wouldn't think that was very hard, but I had to SKU items, make new tubs and sort by what could be stored in an un-A/C garage and what could not. Learned a big lesson! thx for your info!

I find some every single time
I now use the sequential numbering system. Cardboard boxes and items are packed in resealable cellaphane bags. I use a sticker on the bag showing the number. It's easy. Takes less room. I used to do this system. I sold those totes and made my money back.

We've been doing this for years with zero issues. The only time we have a problem is if we don't follow our own simple processes.
Great info, especially the auditing the tubs. I put my eBay username and the box designation in the custom SKU field. When I print a label, I can tick the show custom sku on label button and it prints my username on the label.

Last week I was just fed up with not being able to find stuff. To be honest all I was doing was writing down. What been I was putting stuff in and then kept that in a notebook. I had seen your other videos where you make mention of the SKU But holy brilliance Batman, your extended explanation, and the fact that you can find it by typing it under item name is amazing exclamation anyway, there were so many refunds I had to give because I just couldn’t find stuff that I finally went out to the shed with my hubby, and we went through every single Bin and rewrote everything and then in a few days from now, I will go back through every listing and add the SKU number. That’s gonna be time consuming huh? I want that Rollo. For some reason even my text, savvy, son-in-law, and daughter cannot figure out how to just be able to print now and have my labels print out. I literally have to print one label at a time and I cut them out and then I take my paper and turn it the other way around in my printer so I can at least get to labels out of one sheet and then keep the other half the sheet and run it through my paper shredder to use for packing if I need it. I do have everything else though on your list I made a wish list for Christmas from your reselling video even have a manikin head. And it’s funny because I only have like six hats at the moment. OK rambling over. Thank you again for showing me the system. You and Melody use. Being new I have listed a relatively small number of items however with your comments I will develop a "simple and easy to use" inventory control system. I imagine that you must have a large amount of items in your inventory so having an easy to use system is a great benefit for your team.
If you have a hundred or less, it probably wouldn't matter. But, the closer you get to a thousand items, the more it becomes important to have something consistent.

I taught elementary school, was a school principal, and spent the last 12 years of my career as a school superintendent. Doing RUclips has given me the chance to feel like I'm teaching again. Great system you all have there. Any suggestions on breakable hard goods? I store my crystal stemware in wine cases but having some difficulty with the smalls. Thanks for all you're "how to" videos. Very helpful for this newbie 😊
Breakable hardgoods are SO much harder to store, in my opinion. They require more space, which we just don't have. You can store it on shelving and cabinets and just make sure you have a way of logically recording where it went/ But we don't pick up a lot of it for this very reason.

I make those labels on a Brother QL700 label printer. It prints a 2.4" label. I picked it up used for $40 a long time ago. I actually used it for a while as a shipping label printer. It worked, by it is a PAIN to change the paper. The shipping labels worked but were really small. I use it now to make tub labels and inventory labels.

I learned a lot from this video thank you. I have a question, which is, how do you keep track of your inventory for bookkeeping? Do you use a particular software program? I looked through your other videos, but did not see anything on how you keep track of that. Thank you.
I don't keep a complicated inventory. I use a simple cost based inventory. I track what I spend and what comes in. I don't track individual items. You'd have to talk to an accountant to see if that would work for you. I do keep my items backed up on List Perfectly. I like their program for that as much or more than I do for crossposting.

You certainly could. For us, an app would be an extra step that wouldn't serve much benefit. If someone were doing a different accounting method, or if they needed individual stock numbers, an app could be vital.
These are fantastic tips! I'm planning to put them into action. Personally, I feel like the eBay interface is a bit cumbersome, so I've opted to manage my products through a spreadsheet instead. Though effective for now, I can see how this approach might become laborious as my store expands. Any recommendations?
I use a simple cost-basis for accounting. So, I don't need a complicated inventory system. And since most of my items are one-off and not replenishable, I have never needed anything more comprehensive. I also use List Perfectly. It's been great for us. It not only allows us to easily crosspost and take items down when they sell, it gives us a complete inventory back-up if items get dropped on one of the platforms. Plus, the folks at List Perfectly are really nice and truly customer oriented.
All that said, don't set up something with a subscription service if you aren't already generating income and need it.

I like the idea of adding the item number / sku number right into the description. Since I'm not doing eBay sales as a business yet, and I don't have a store, where can I put my inventory numbers? Any suggestions? Thanks for another helpful video.
There isn't any reason at all that you couldn't include those in the SKU, too. You can literally put a sentence in there if you need to.

I have never used separate spreadsheet. Some of that depends on your accounting method, though. I use a simple cost accounting method. But, you really need to visit with a tax professional about that.

I have bought something that comes tomorrow. It’s a qr code and the random 5 characters below that. 1.5 billion combinations available.100 tags for just £6 …
I plan to place a tag on a box and on an item inside the box.
If the invoice is placed randomly I scan it and it will tell me on what group (box ) should go. And the app I use is stock control on iOS. It’s cheap and effective even if the product has an expiry date.
Side note. I plan to label 🏷️ every item in my house and store them in a box. If I need something I search in the app for example a hammer. The app would show me a picture of the hammer that I have the tag that was placed on the hammer and the box that was placed in.
That's the beauty in all of this, you just need it to match what you need. I'd never keep up with QR codes. But I know others that it would be great for. You've got this! Just keep doing what works for you.
Hello. I have a similar inventory system as yours. The problem I have come across lately is when ebay removes a item for reason like counterfeit and you no longer have access to your listing to look up your custom sku to remove it from your inventory. Was looking for something to help in this. I have found that if I do a google search that my item comes up as ended nothing comes up on ebay search. If maybe I put the Sku also in the main listing body description or title (will take valuable space in title) might help. Not sure if I want to create a separate excel form to keep track as I don't want to add more steps in my listing. Just curious on your thoughts on this and if you had ebay remove a listing and how you found it FAST to remove it physically from your inventory. Thanks, Ken.
Oh Ken...you're not kidding. It is so frustrating when that happens because you just can't find it. What we do now is use List Perfectly. I started using List Perfectly when eBay lost the photos for about 200 of our listings. We literally had to take all the photos again. I'd use List Perfectly now even if we didn't crosspost. I have backups of every single listing now.
Excellent video and I use this method as well. I have multi quantity of the same item and I spread it out over 2 bins because I could of purchased the items at different times. eBay does not pull the custom skus for me when I use different bins for the same item. An example is: I use A1 and X1 for the same item because purchase at different times. Anyone have any suggestions? Thanks!
I have included item numbers on rare occasions. You could put both bins in the sku followed by something that would indicate which bin by date.
@@TheChaChingKing I put both bin numbers in the custom sku but when I print the reports for inventory checks it doesn’t pull either bin. I have space between the numbers but that hasn’t helped. (A1 X1) like this but still won’t pull either item on the reports.

You will always have better luck requesting feedback from sellers than you will from buyers. I don't think I have enough advice in this regard for a while video. Including a note that you'd appreciate positive feedback if they are happy. Beyond that, some buyers bristle at being asked.
How do you print the labels for the poly bags?
I print them on my Rollo label printer. The labels have a sticky back. So, once it prints, you just peel them and stick them onto the poly bag.
Thankfully I don’t have much inventory living in an RV. I’m constantly moving my inventory around and it gets complicated to put in a different custom sku for multiple items when I change things around. I only work off my phone. Lol. That’s what I’m doing today! What other platforms do you sell on? Anyway, have a great day! 💕
We also sell on Poshmark and Etsy. Occasionally, we sell on Facebook Marketplace.
Good vid, just to comment, you stack those 3 tubs on top one another, must be annoying if you need the bottom one, I suggest to put the tubs into shelves.
It is ANNOYING! LOL I need to build some custom shelving to hold them.
Do you also keep a hard copy of any of this like in a notebook or a spreadsheet on your computer besides the eBay website
I don't keep a hardcopy. But I do keep my inventory listings on List Perfectly as a backup.
Where do you enter the Custom Label (SKU) data when you create the listing? In the variations, I see a "SKU" but not a "custom label" field.
In the SKU. That's where I put it. :-)

Can the customer see the sku number on a listing? Can you add an extra note after the sku number (like how much I paid for an item) or is there somewhere else to add a note that only I can see?
The customer can't see the SKU at all. Not before the sale or after. So, you can use that to record any information that it helpful to you.
That's a great system, my question is how long is it from the time you buy something to when you list it and complete the custom SKU? We have purchased things, especially at yard sales, and then they sit in the death pile awhile before listing and we struggle to remember how much we paid. So it there a good system to track prior to listing and putting into a SKU?
LOL...I have stuff here that's probably been sitting longer than you've been alive. We don't mind having back stock. We use that "abundance" to limit our future purchases by focusing on average sale price instead of quantity listing. We don't buy any $25 stuff when I have a ton. We just look for $50 stuff...if that makes sense.
I am just getting started, and created a spreadsheet with all the data of purchase price; value; listed price; sold price; weight, etc.

I was just talking to someone the other day, someone I know who I have followed for years...NOPE...I wasn't subbed. I think RUclips goes through occasionally and removes accounts in their attempt at removing inactive accounts. They don't always get it right.
Do you launder all used clothing before putting it in the plastic bags? Obv NWT are prob fine, but some items I’ve found even in decent condition need a little laundering.
I would say we launder 90% of all the clothing before putting it up. I just feel like sealing it in a bag dirty is counter productive. If I have something that is VERY old and washing would destroy it, we don't seal it in a bag at all.
How do you get the custom label field when creating a listing? It’s not on my laptop or phone?
It's at the very bottom of the item specifics. You might have to "show more" at the bottom of the item specifics and then scroll all the way to the bottom again.
How do you determine where you are going to put new inventory? Do you just have to look through each tub until you find empty space?
That's exactly right. Just like today. I knew that my tub #C2 had plenty of room. So, I used it most of the day. I would pick another one tomorrow if I've filled this one up again.

Yes, I did know. If you are only shipping an item or two, that works great. But, depending on where you are located, you'd have to wait at the post office to do this. And, for those that have mail pickup, they'd have to take it in. But, no doubt, it's a good idea to build the labels and shipping around what works for you and your business.

I opened my business a couple months ago and quickly realized that I needed better inventory management from a past video of yours. I just have one shelf but over 150 items. One of the main things I am stuck on though is accounting. Accountants are expensive and some of the routes I have gone down don't work well because they don't track COGS properly or something else. What accounting software do you use... without offering tax advice?
I'm using Quickbooks. That said, I don't like it. I was using GoDaddy and it was great. But they discontinued it and migrated everyone to Quickbooks. I keep hoping I'll fall in love with it. But, 8 months in and that isn't the case. So, I'm not the best one to ask. My gut says that an accountant may be cheaper in the long run than not having one.
Yeah I tried using Quickbooks but it is overly complicated and confusing. Do you use the basic tier or is the tier with inventory management necessary? I also couldn’t get my eBay to properly sync with Quickbooks even though they were linked.

Question…when I go to listings and I want to find a specific one…how do I find it? I see no place to put a search word. I am using the app.
One of your own items? Go to SELLING. Then, click on ACTIVE. From there, there's a very small magnifying glass icon on the top left. That will allow you to search your own listings.
My Listing Page does not show a SUBTITLE Line or a Custom Label Line . Am I using a different template?

You could use just about anything. If I were selling jewelry, I might get a few large tackle boxes...the type with drawers. And just label the drawers.
Thank you! For chunky bracelets I use plastic bins. But I have misplaced smaller brooches, pins and pendant necklaces. Tiny things like to hide! 😂. I will check out fishing boxes for sure. Thank You for responding to my question.

If you are on your computer, it may be near the top, just underneath the title area. If you are on an android phone, it may be at the very bottom of the item specifics...and you might have to "show more" to get to the bottom.

I put the location in the SKU. The customer can't see the information in that box. Is that the question?

You can't use that date if you sell similar, selling similar starts that date all over again. I have a whole garage full of a certain category, however, ebay is saying I only have 52 listed. Some of the sku's are there but, they are saying that only one item is in that box. They have deleted whole sections of my inventory over the past year. No, I don't sell similar and have erased my own inventory. Things just fall off, sometimes things I have sold last year or two months ago reappear. I have been selling for over 8 years and this is the worst mess that I have seen ebay go through. It is so bad that I didn't have to buy any new Christmas items to sell this year. I just pulled two old totes up and none of the items in those totes were still listed. Most of them sold either through ebay or Mercari, the rest that didn't sell will be donated.
That's a great point about selling similar that I didn't make in this video. As far as inventory falling off, that's also true. I do an inventory every year and find things every single time. We started using List Perfectly and I maintain all the listings there. It makes relisting them (and finding them) MUCH easier.

I really don't. I'm using Quickbooks and am not a fan so far. :-(

I include all of my sales in my calculations. Whether they sold on Facebook or Etsy or in person, I include all of them. I'm not a tax person and can't give tax advice. I consider it income regardless of where it sells because my intention was to make money.

Even a new seller has access to the SKU. Sometimes, it can be difficult to find. It's either just under the title or at the very bottom of the item specifics (sometimes you have to SHOW MORE).

Why wouldn’t you just edit the SKU from the the active listing page? Instead of going all the way into the revise?

You absolutely can edit through the active listing page. If I'm doing an item or two, that's exactly what I'd do. Part of the reason I show it in the revision is that I can kill two birds with one stone. I can show them how to update the SKU and also show them how to do a revision.
Do you add new items to a bin when that bin's inventory gets low?
Yes, exactly. I try to grab a tub that's running low so that I can use it all day. That helps if I ever need to find something that we forgot to put the bin into the listing sku. We can try by looking up the date it was listed on and see what tub(s) we used that day.
