Great video. You can do the very same thing in Notes app. Just go to the bottom of a new note and hit the camera icon and scan your document.
I did not know the option of black/white or color to reduce file size. Thanks

Just came across this video. A couple of years ago I scanned a whole load of documents using Adobe Scan. Easy to use, but they are all stored on Adobe's server and I haven't got round to downloading them onto my Mac. Thanks, knowing about this feature will be great for the next time I need to scan a whole load of docs.

Music to my scans! Wow! I've been searching for this all my life :-) I may stop using my Scanner that stopped working with Catalina, a ScanSnap. Prior to this video I had to scan to my Windows LapTop, saved to OneDrive and download it from my Mac. THANK YOUUUUUUUUUUUUUU!

Scanning into Notes app it’s like a secret awesome app sleeper hidden gem that no one knows about or at least I just realize the power of it. Notes does OCR optical character recognition and scene and an object recognition, making it easier to search for basically anything you take a picture of. It’s really great too. I wish your photos app was this powerful at recognizing text and objects within a photo.
I also found some gigs and tripods on Amazon, that would make it even faster.

I use a free app named Genius Scan, it saves default as PDF and gives a ton of options for cropping. I use it to pay company bills and it works amazing.

Sincerely, the scan function in iOS 13 has perhaps be implemented, but without OCR recognition, it is quite useless! You finish up with a bunch of documents which are not searchable.
There are a few apps out there which do a better job, like scanning the page(s), renaming the document on the go, automatically apply a filter for best look, caracter recognition and uploading the file to one or several of the most popular cloud services.
I use Scanbot Pro for this workflow which does a good job.

This looks like it’s OK for an on-the-go solution, but I’ll continue to use my trusty Canon 8800 flatbed and Hamrick VueScan software, which has been upgraded for Catalina.
@macmost I knew about MACMOST for a while now but never really watched the videos. But after seeing some of your videos I have now subscribed and am going through all of your vids as they are very informative. You are a true power user. Can you please do a video for apple shortcuts and using it with calendars, reminders, etc. Trying to get away from 3rd party apps
Do you mean the Shortcuts app on iOS? I've done a bunch on those (macmost.com/tag/shortcuts) -- what are you looking to do with Calendars and Reminders, specifically?

Thanks for the tut - I like this. You can also add a "scan" directly into an Apple Note using the camera icon. The strange thing to me is that it seems as though there's some sort of OCR tech at work, as the name of the note often uses the first word/s from the scanned document (!) as the note title. Also to note :) the notes version of a scan generally appears to be a smaller file size in my comparisons as compared to scanning directly into the Files app. I'd love to see a real Scan to Text approach with Apple's Notes and Files apps, otherwise I'll stick with Readle's Scanner Pro app for a bit more robust scanning.
Yes, there is definitely some OCR going on. You can actually search in Notes for text inside the scan to find that note.

One thing you should have added is that you can for example right click in a newly created email, and select scan document. that way it activates the iPhone, and you can scan a document with it, when the scan is complete, it sends it right to the created email. This works in more places to.
Gary, I just recently got my iPhone XR and I don't see a File app. Is there a reason? Any help would be appreciated.
I have an old CanoScan 8800F - not natively supported in macOS but VueScan takes care of that. Can’t scan negs using an iphone.

Great video Gary. Thank you for posting. Please can you tell us if there is a way to reduce the file size (or set to a smaller file size) when we scan using our iPhone? (I noticed that my scans are very large.)
There's no setting for that. Maybe get a third-party scanning app? Or just use it as-is. Storage isn't as expensive as it used to be.
I can't find any files app that you are talking about that has the options mentioned in your lesson. Where should I look?

No wonder the hip folks at the Apple store laughed at me when I went in to buy a scanner! Also saved me from subscribing to a third-party app I didn't need. Thank-you again, Gary, for yet another unveiling of a hidden Mac treasure!
this is available since ios 11, using the notes app. the only difference in ios13 is that you can do it in files too
That's a huge difference. I scan about 100 or so documents per year to maintain a paperless office. They need to be files, not notes.
@@macmost the scans via notes generate a pdf file, automatically. since ios11. it's basically what you can do today, via files. it's an old feature. but many people don't know about it. thank you for sharing

Hi Gary - This works really well. Only problem is Notes saves a scanned page as a 3mb file as you just showed. What's the best workflow for reducing file size on a multi page document scanned from Notes? Thank you, you are the best. Regards, Anil
You can try: Open it in Preview, export using the "Quartz Filter" reduce size option. But 3MB is pretty small for what you have, which is essentially a series of large images.

Gary, many thanks for this tutorial. I have a silly question. The file sizes of the documents I scan using this process are larger than I would like them to be. Is there a way to use the settings to change the resolution and produce smaller pdf's? Not sure if I am explaining myself well or no?
The sizes aren't that bad when you realize it is a huge image for a scan. But if you want to compress them, I did a tutorial on that. It is for Mac though. ruclips.net/video/_8D0UeiWD84/видео.html

You'll need iOS 13 for what I am showing here. But you can still use the Notes app (and other third-party apps) to scan on iOS 12.

I thought I followed all instructions carefully, but one page is wide, next page is narrow, third page is in between. FYI, you are driving me towards a Mac Studio to replace my PC! Ahhhhhhhh

Hi Gary. Thx for this video. I wanted to ask: Is there anything that iOS 13 brings to scanning BESIDES the iCloud integration you demoed? I have an iphone 6, stuck in iOS 12. (I'm looking for more reasons to upgrade.)
Anything like what? What are you looking for? I think iOS 12 supports continuity scanning (use iPhone to scan to Mac) but iOS 13 supports scanning right in the Files app like I show in this video. There may be more quality options, but I have no way to look back at iOS 12 to compare.

How can we search these scanned documents? Is there a way to search a word in one of the pages???
Yes. Try it. The OCR isn't perfect (no OCR is) but it will tend to find words. I always name the file something that will make it possible to find, though. For instance, if it is a water bill, I will make sure "water" is in the file name.
Scanned document doesn't appear on MacBook. I found I need to airdrop it, and then I can find it in downloads. What setting do I need to set so it goes to the MacBook like in the video?
Assuming you are using iCloud Drive, just scan into anywhere on iCloud Drive and look at the same location on your Mac. But if you just want it on your Mac, then you can initiate the scan from your Mac. I'll have a video on that soon if you can't figure it out before then.
The only issue is file size.
How would you remove a finger from the scan?
Remove a finger? You mean because you were holding down? You could edit the PDF in Preview I guess. Instead, just use another object to hold it down or something.
Hi do you know how to make the scan result to be in A4 size? I realize that when I tried to combine the scanned file by iphone with another normal pdf file which is an A4 size in one same pdf file, they are not the same size.. My scanned result is way bigger than normal A4 size..
The scan is always just going to be the size of the physical object you are scanning. I suppose you could import it into a Pages document set to A4 size, placed how you want on the page, and then export that page as a new PDF to force it to exact measurements.
Nice tutorial but it seems to me it’s about the same as taking a pic of it. At least as long I cannot use any ocr technology
The difference is you would have to take a pic holding the camera exactly level to the paper, which is nearly impossible. Then crop it. A "scan" photo is correcting the perspective and then cropping it for you. Plus it easily allows for multiple pages and packages it into a PDF.
I still don't think this technique should be used for photos. I hate when people on Instagram take a picture of a picture and there is this big over exposed area in the corner where the flash went off and the other side of the picture is way to dark. I wish people would just take the time to use an old fashioned scanner which has nice even lighting going across the whole photo. By the way if your default scanning software, like image capture, doesn't work anymore you can still rely on third party solutions. VueScan works good on Catalina for an example.
I scanned an 8.5 x 11 page with the iphone and the PDF file and document sizes were 3.4 MB and 24 x 31 inches respectively. I compared that with an 8.5 x 11 PDF document saved from my email which was 51 KB and size was 8.5 x 11 in preview. Is there a way to adjust the file and document size that is created during an iphone scan?
A PDF created by an app is going to be pure and clean -- it isn't a photo but the exact lines and text from the document. Scanning is always going to be bigger because it is a photo with pixels. You can play with the settings I show to reduce the size, like set it to grayscale or text.
@@macmost Yes, thanks. What about the overall dimensions? In preview, I press command+I to get info and it shows approx 24 x 31 inches. I scanned another page with Scanner Pro app which made the dimensions 8.5 x 11. It's confusing how the dimensions and resolution are related, and why the iphone scan defaults to such large dimensions.
The file size is large, to large to send. Using compress file didn’t help. Any suggestions?
The size depends on what is inside. If compressing didn't help, then it is probably already well-compressed. Perhaps try using a cloud service instead of "sending?"

I’m trying to find a shortcut to this.
I have a Documents folder in iCloud. Inside of this folder I have a number of other folders named according to the type of document I’m scanning, such as bank statements, medical and insurance.
When I receive a physical letter, I use the Files app to scan the documents in to the relevant folder.
What I’d like is to create a shortcut where the ‘scan documents’ function is activated, I take the photos and when done, I am prompted to save it.
I’d like the list of folders to show at this point so I can then tap on it and have the document save there.
Would anyone have an idea of whether this is possible or not?

Can't think of any good way to make it do it exactly as you want. So come up with a process that works with what you have.

I found a workaround
> Take Photo > Make PDF from photo > Choose from Menu List > (for each folder name) Get PDF > Save PDF (to sub folder)
Works well, but I can only set the camera to take a specific number of photos, so can’t work with variables for multi page documents.
I’ll keep trying!

I did this and the scanned PDF on my iPhone is 40MB and it too big to send. Is there a way to scan to a smaller size? It would be great if you could change the resolution like a real scanner. Compressing the PDF decreases the quality.
There are settings for compression/quality if you look before you scan. But you can also get third-party apps if you really need to compress it more.
@@macmost I did not see any way to do this on my iPhone so I ended up having to use Preview on my MacBook Pro and exported the PDF to a smaller size. I got this idea from another video of yours so thank you. I appreciate your quick reply.
No such feature available on iOS 13.6, iPhone SE 2020? Did I miss something? The iCloud swipe down doesn’t reveal the 3 tiny dots, but a “Sort By” list. No “Scan Documents” feature anywhere. 🤔
It would be there for your iPhone if you are using iOS 13. Are you in the Files app? Play around and you'll find it.

Is there a process in the Mac to convert the pdf (of an image of the text page - as per the vid) to a text pdf? Or is that a job for Adobe?
For that you need OCR (Optical Character Recognition) software. You can find them in the Mac App Store. Scanning will do it, but only for searching. You don't have access to the text.
