    Gary, you are so the MAN I let all ads play during your videos so you can get all revenue that you deserve. What you have done for the MAC/apple community is amazing. I have saved so much by not spending on endless third-party apps and have used what is already baked into Apple products that are not widely known. But thanks to you I am officially a MAC power user.     Gary, I have been trying to do my Christmas cards for years and just found out Apple has mail merge back. So rather than waiting til December and get frustrated on not being able to figure it out, I decided to try it today. Apple's instructions are so bad, so I looked up RUclips videos and came across yours. Thank you, thank you, thank you. It still took me longer than I expected to figure it out, but I'm sure once I get used to your video style, I'll be much better. Now I get stop using my husbands' Windows computer which I hate for Mail Merge. I'll be tuning in regularly now to see what else you can teach me. thanks again.

    Learning how to mail merge on Mac has been a challenge. Specifically trying to figure it out in Word, so thank you for this video. Will pages allow me to send an email like this, or can it only be used to create letters etc.

    Hi Gary. Another great video explaining a rather complex subject that can produce simple and effective results.     Thanks for the tips. You CAN use all the field names from a spreadsheet by selecting Add Mail Merge Field and then clicking Add From Spreadsheet.
    In your flash card example, you could have selected as field names "Question" and "Answer" from the Add From Spreadsheet dialog.

    Thank you for illustrating how to do this. Your directions worked. Merging from the Contact List was buggy. Dragging a card into a Group is not flawless. I had to verify that the Cards indeed made it into the Group, which was time consuming. Merging from a Spreadsheet is probably the better choice.

    About time too! I can’t understand why they removed this from a much earlier version (or am I mis- remembering?). It’s an essential tool for word processing.

      No, since this is a one-entry-per-page thing. Use label printing software, the Contacts app, or a Pages template to do that.

    So thrilled to finally have mail merge capabilities other than having to purchase Word/Excel! Thank you for your excellent video. I would like to be able to create a sheet of labels from an inventory worksheet - each label will have different information. I've tried, will have to try again to see where I'm going wrong.

      I don't think you can use this to make a sheet of labels as it is meant for one or more pages per name. For labels from a worksheet, maybe consider one of the many label printing apps that are in the App Store to make it easy.

      Use Contacts App to create labels. The labels function is in Contacts' Print, with some degree of formatting available, even add graphics.

      @@peterbreis5407 I have an inventory sheet of thousands of items and as I add new items, I’d like to print labels. Can’t see any way that contacts would work for this. I’ve gone back to Avery online. But thanks.

      @@lyndaj2759 That is a different usage and I understand why you need it.
      A database might be more appropriate, so you would be able to better check for duplication and narrowed searches/reports.

    Hi there, I watched several video’s and I find each video very useful. Thanks very much for helping. I love the apps, numbers, pages etc. Just learning, I worked always with Microsoft excel, word etc but once you tried numbers you will never go back to Microsoft.     For years I have been calling for the restoration of such helpful functionality, it also works on iOS for the first time! P.S. I don't need to keep the old system anymore only for mail marge. Now I "calling" for shadow on tables, still can't do this without hack.

    Hi Gary, very informational. Thank you. Can you tell us how to include a weblink in the merge. I'm able to merge the data from the link field in numbers spreadsheet, but the link itself is not merging.

      Have never tried that. Doesn't really apply to a typical situation (printing) So I suppose that isn't supported, maybe? Depending on how many you have, I suppose you could select each one and use Command+K to turn a URL into a link.

    Hello Gary. Great video simplifying a feature we’ve been waiting for. While playing with the feature, I noticed that you can add custom fields. In order to achieve that, you need to have the info you want in numbers table then mail merge icon in pages -> add merge field -> add from spreadsheet. You will see the headers of your numbers table in the mail merge fields list. Thank you Gary. Appreciated.

      No, you'd want to use an email sending service (online, not a local app) for that. Personal email not really meant for sending out mass messages.

      No. That's something that needs to be done with an email service, not a local client app on a consumer machine. Something like Aweber, MailChimp or Constant Contact.

    Gary, I'm on 12.2 now, and just went to use the new mail merge for the first time. But I can't seem to get the Merge or the Add Merge Field buttons enabled. I'm starting with a blank template, and I've tried including a document body and NOT including a document body. Help?

      So to send out an email messages to a list of people, but with different content in each message? Even with Microsoft, you need to worry about stepping on your email provider's rules for sending out mass email, or perhaps getting yourself blacklisted as a spammer by services that notice too many messages coming from one person. I suggest using a proper email service (Aweber, Constant Contact, MailChip, etc) for something like that.

    great video, thanks Gary! Is there a way to do a merge with just one contact? Say you're sending a single birthday card and you want to print an envelope for a person in your contacts. Rather than merge an entire list and have to delete things, can you just do one?

      Sure. Just include one. But if you just want envelopes, the Contacts app is the right app to use. Don't put all that work into a Pages Mail Merge when the Contacts app can do it very easily.

      @@macmost Thanks for the reply. I did find a way to do a single contact merge in Pages. Turns out you just drag and drop your contact (from the contacts app) onto the merge fields (like Name, address, etc) and they auto-populate. Saves a few cut-and-paste clicks and you get just the info you want.

    Your videos are the best. But you know that. Years ago there was a way to print a ZIP CODE on the envelope that the app applied automatically. I think MS Word Mac did that. But that no longer exists. How can I find a way to do that? Thanks.

      Not sure what you mean. Like it would figure out the zip code from the street address? Maybe a special feature of Word, but I've never heard of it.

    Hi Gary, great video! Thank you. I ran into an issue, that when I try to merge my spreadsheet, where it says select I cannot choose name or address, it only gives me letters from A-R. Do you know what that issue is?

      I had this problem too, and couldn't figure it out. I saw that the letters correspond to the columns on the spreadsheet I chose. I just went ahead and selected the letters for the columns I needed for the names and addreseses and clicked Merge and Preview. The first envelope was addressed to those letters, but all the rest had the correct addresses contained in the columns I chose. To print out the envelopes, I just omitted the first one. This is a workaround and I wish I had a better solution, but it works.

    Nice one Gary from a fellow Gary. I just tried this and the contacts I have are from Google and these don't work with mail merge it seems only contacts that are in icloud?

      Maybe. Have you tried "On My Mac" ones? What happens if you just copy them to On My Mac to use in the Mail Merge. Though it is probably better to just use them from a spreadsheet instead.

    Really good and timely. I need to create a phone/address directory for a club I belong to (400+ members). I could see using Mail Merge, but a little nervous on importing from Numbers. Do you recommend using Mail Merge or some other means?

      @@macmost A little nervous was probably the incorrect use of the word nervous. That said, I haven't used Mail Merge in years, so I thought this might be the solution to my project of wanting to create a phone/address directory. But, I can't figure out how to have a number names/addresses to appear on one page - if that is at all possible. My "nervousness" was whether or not all would be kept in alphabetic order and display properly when having the name appear in 2 or 3 columns per page. My best.

      @@macmost Today's video was good and certainly a positive step toward what I want to do. Since there will be multiple columns, the issue will be being sure that in alpha order from the last of column 1 will properly move to column 2 and then to 3, etc. and back to column 1 on the next page. Guess I will have to manually set up the order in Numbers. Shouldn't be too difficult, but would prefer an automated process. Will give it shot in the AM. You are much appreciated.

      No, Mail Merge in Pages is for creating documents. If you want to send out mass emails, use an email service (Aweber, Constant Contact, Mail Chimp, etc). Not a good idea to send out mass emails like that using personal email accounts anyway (rules, limits, etc).

      They would "print" as a single PDF. You could print just one page at a time each to its own PDF. Or you could copy and paste pages from the big PDF in Preview to make single-page ones. Might be able to make a Shortcut that does it if you have some coding skills.

    Thanks for the video. How do I do the equivalent but send a bunch of Emails with personalised name fields at the end instead of printing letters or envelopes. I mean, say I have a Smart List of 3 people (Wendy, Steve and John) in Contacts and I want to send Emails to each of them that start with "Dear Wendy" or "Dear Steve"? Thank you.

      There's no easy was to do that using the Mail app. For 3, just do it manually. But for lots more, you should use an email newsletter/marketing service to send mass emails, not a local email client app.

      Sending mass emails is a very different thing than printing variations using Mail Merge. To send mass emails, you need an email provider like Aweber, Constant Contact or Mail Chimp. That what those are for.

      Mass email broadcasts are different than mail merge to a document. Usually, you would use an email service for that, not an app on your Mac. Probably not a good idea to use personal email for sending that many anyway, as most services have limits and rules against it.

    At least the file still opens on "Pages" Catalina. The other day I was trying the pivot tables on Big Sur numbers and had to revert to a previous version so I could open it up on Catalina numbers 11.1

    I have a Contact list that has a Photo of the Contact on the top. Can I create a document in Pages that shows the appropriate photo as we ll as all the other merge field data? Also, I had created a group name in Contacts for select members of our motorcycle club but could not see that as an option when setting up the document in Pages.

    I'm trying mail merge with a postcard template - it has two recipients per page - I get the same recipient on both instead of 2 recipients.

      Mail Merge is meant to work with one per page. You'll need to treat them like labels instead of document pages if you want to do more. See ruclips.net/video/DrGQFu3jMaU/видео.html

    Still doesn’t seem to be a full Mail merge. Doesn’t look like you can have multiple records per page (I.e. to make sheet of mailing labels).

      No, it doesn't seem to have that. I would see that as a different function, not really a Mail "Merge." Contacts does mailing labels, and of course there are tons of specialty apps that do it.

    Kind of silly they don’t allow you to add your own mail merge fields (like almost any other implementation). Hopefully they will add that capability. The lack of mail merge has forced many enterprise users to not use Pages, so this is a major improvement. 😀

    For some reason, on my M1 Mac, I only have 12.0, and it doesn't show an update in the App Store. My MacBook Air got the update, but not my 24". iMac.

      Just try again. Command+R where there to update.

      I had the same thing.
      I went to the App Store selected Pages directly there and then it let me update it. You have to do the same thing for Numbers and Keynote, auto-update seems to be broken.

      Not sure if you can. But why put the fields in a table anyway? Just use text boxes. What is it you are trying to DO, exactly, that requires tables?

      No. If you print to PDF you get one PDF just like you would get one "print job."

      @@doctorarvindram Or you could open the PDF in Preview and drag each page from the sidebar to a folder in the Finder to export them. I don't know how many pages you have so I don't know if that is a good solution.

    This is great, however, i’d like this to be evolved even further, for example, to use a spreadsheet to create multiple documents. I run a law practice and it would be helpful to have a set of template documents regarding setting up a LLC and combine them with a spreadsheet in mail merge to fill out these with data 😬

      I find that’s setting up mail merge seems at times to be very tedious, but once set up, mail merges can be sent out really quickly. It’s almost like the fact that so much programming is necessary for something to be super simple. In the end, it’s worth it. Especially for your situation.Hi Gary. Another great video explaining a rather complex subject that can produce simple and effective results. You make me realize that a lot of the software I used to pay for can be done natively from within Mac. This is really valuable, both literally and figuratively. You’ve saved me a ton of money. Thank you so much!

      @@originalmagneto I did what you want to do but with contracts and invoices (not a lawyer). It took a long time to set up but once set up, it was like magic! Also, wording changed over the years with experience but the merge fields generally stayed the same. Stay with it; you will be rewarded! By the way, Gary’s videos are the best tutorials I’ve found. Deep dives, simply stated.

    While I appreciate the addition of the feature isn't this about 5 years too late?
    Most notably, it doesn't work with Apple Mail. Isn't there an inherent flaw in the feature when it doesn't work with the App whose title it literally has in it's own name?
    I like Pages. And it's always nice to see it get better. But this is like announcing a new DVD format when we are all now viewing movies and TV shows online..... Aren't we somewhat more of a paperless society now with Email Blasts and E-signing documents? Raise your hand if you want to go back to Avery labels and printing envolopes. I can't remember the last time I sent a letter....

      I think the problem with doing Email Merge rather than document "Mail" Merge is ISPs certainly don't want to make it easier for people to send out mass emails. We want solutions to spam, not things that would enable even more. Neither you nor I would use these for spam, of course, but how to stop others?
      Also, not sure if you realize that most ISPs have daily email send limits. We rarely hit them, but something like Email Merge would mean it would happen more often, and sometimes without an error message or warning.
      I think using server-based email newsletter services is the right way to go for things like this.

    Sorry. This mail merge function in. 2023 is lacking essential features like email as target for the mail merge. Office 365 has this as an option where you use a csv file as source and target can be either print or email which is more modern and environmentally friendly not to say quicker. Makes this function kinda useless. I have only ever used mail merge for email campaigns

      I was not aware that Office allowed you to use Mail Merge to send emails. How do they deal with the email sending limits that most email services have?

      @@macmost Well that is a good question. I guess Outlook isn’t a mass mailing tool but Office 365 has a limit of I think it’s 250 recipients which is a fair amount for personal use. I usually use it for internal stuff like mass onboarding tasks internally and have never hit any limit so it might be even higher internally. When you have composed your email/letter with merge fields usually one of the fields is the email address. You specify it as the address to send to and then choose email as distribution. You get a short form with a subject line and fire away. It uses you’d installed email client. Usually Outlook to send and sent emails end up in your sent items folder. You are the sender of the email.

    I don't know how you could have made this more difficult beyond using sanscrit or some other language. WAY too complex and you never seem to get to the point.
