Macmost is one of the best RUclips channel. Thank you for your great classes. About Apple built-in password manager. As far as I know, macOS Sequoia does not offer a way to set a separate password for the Password Manager, which, in my opinion, makes it insecure. I use a relatively strong password to log into my MacBook, but it wouldn't be too difficult to crack, and setting a very strong, long password is not practical for someone who puts the computer to sleep after a few minutes of inactivity. Thus, unfortunately, I still have to use a third-party password manager.
One password+second factor is what stands between you and the bad guys online (iCloud, email servers, banks, etc). It is the same on your Mac, where the second factor is physical access. Long passwords should not be a problem if you use Touch ID with your Mac, which you should.
Apple has long had password management but it was a rather technical data approach including info only IT needed access to. This has been a long time coming and I applaud it. Let’s hope they see the obvious advantage of exactly aligning this functionality across macOS & iOS. This is no place to be cute, Apple.

I would love to. But it has been proving impossible as each site and service seems to handle them differently. So a tutorial on how to do it for one site wouldn't help you do it on others. Frustrating. If you want to use a passkey for a site, you just have to follow the instructions at the site.
@@macmost I have many "red exclamation point" warnings in Passwords telling me I need to change my passkey for that site because it has been "previously shared with other people" - but I can't figure out what Passwords wants me to do exactly. When I click "change passkey" it just takes me to the website with no explanation of what I'm supposed to do. It's very confusing. I would love to know "what is a passkey" and how do I change it? How did it get "previously shared with other people"? I know I didn't share it. Does having a "shared passkey" compromise my security at that site, even if I have two-factor logon? What is going on Apple?????
@@timlangford8678 Hard to comment without knowing the full, exact message or the sites involved. I've never seen a message asking you to change passkey, only a password.
Gary, is it possible to share passwords only between iMac and iPad but exclude on iPhone and iWatch in case either of these latter two are stolen when out and about? Many thanks for an interesting and educational video.
No. And it would be a bad idea to do so. You want your passwords available to you on your iPhone, don't you? A Password manager is the best way to have access to them. Otherwise you'll be using simple and repeated passwords that are weak, and you'd be vulnerable to phishing. Remember your passcode on your iPhone protects everything. Find My too (for remote erase). If you are concerned about security then make your passcode on your iPhone stronger. I use a long alphanumeric password for mine (plus Face ID to make it easy).
Terrific as always! Gary, the biggest problem is when the thieve asks for the password of the iPhone. Is there a way to set a different password, as in notes, to unlock the Password Manager?
Thank Gary. I am confused. Is my understanding correct that after upgrading to Sequoia that the Keychain is eliminated? Why else would the new Password Manager simply not look into the Keychain to see what password to use for sites that you previously created a password for? If you are not already using a 3rd party app (like 1Password) how are you supposed to know what the previous password is? If Keychains is still available, my does Password Manager look at it to determine what password to use.
"Keychain" is the storage technology. It is still used for passwords and many other things. The "Passwords" app is just your interface for working with those passwords.
Apple did a fine job with the Password app. Hopefully in the next version they can implement some of Steve Gibbons Squirrel to make them more standard adoption.
Great walkthrough! I have one worry with this app. I have upgradable iPad and Mac, but my iPhone X stays with iOS16. If I upgrade on my other devices, will I still have access to passwords on my phone via settings app or will I lose access?

Very informative video. I've used Keychain for years. Other than the ability to see the sections (all, passkeys, codes, WIFI, Security) what is the advantage of using the Passwords app? If I do activate the Passwords app what happens to Keychain?
You don't "activate" anything. You just use it. Passwords is the user-friendly way to deal with your passwords. "Keychain" is the storage location for that and more. Maybe you are thinking of "Keychain Access," an existing app that lets you access everything in Keychain. The vast majority of users would use Passwords. Only devs and IT pros may use Keychain Access to get to things like certificates.
@@runnerpsuMe too. In my prior comments, I was concerned that the Keychain would be eliminated when upgrading to Sequoia. Seems the keychain stays also, so upgrading to Sequoia should not adversely impact older iOS devices that cannot run on iOS18. Now I wonder if Keychain Access is deled and replaced by Password Manager, can you still use Keychain Access if desired after upgrading to Sequoia. I just purchased a new iPad Air Nov 2024 and i am having issues with passwords. The iPad is of course on iOS 18 but my cell phone is older and is not up to 18 and doesn’t have the new password app. I can log into facebook on the phone and then when I try on the iPad it says password incorrect. I click forgot password on the iPad and change it and then when I try again it doesn’t work on either device. How Can I get the two iOS to work together? One with new password app and one with old password app. Pulling my hair out here! Thanks for your help
There is no "old" Password app. On iOS 17 you access your passwords through the Settings app, Passwords. Not sure why you are having trouble with that site. You can look in Settings, Passwords on your iPhone and compare the passwords between your devices.
Yes, just create two Gmail (or any other site) entries in the passwords app and the Passwords pop-up will give you both to choose from when logging in.

I'm still using Sonoma 14.6.1 on my Mac Mini, but have a password related question. Right after I upgraded to 14.6.1, several sites I visited in Safari didn't recognize my Touch ID (Magic Keyboard). I received a prompt to type in my user ID to activate AutoFill, and after I did that, I was logged in. Sometimes after logging out and returning hours later, I'd get the same prompt to activate AutoFill - but not always. I've cleaned the TouchID key on the keyboard but that doesn't seem to have helped any. Any suggestions? Do you think upgrading to the new OS will help?
It is hard to say why you needed to enter your code at those particular times. In general, Touch ID is a shortcut for entering your password. A variety of things can trigger macOS to make you enter your passcode again, all security-related. The idea is not to be able to use Touch ID 100% of the time, but a large percent of the time.
Till 15.1 will arrive I stay with Sonoma and I loved the apple keychain app, even stored some password secured notes there. What happens with all secure informations in that app, are they all gone, will the keychain app disappear, when I take my machine to the next macOS?
Keychain has been removed from the app launcher, but can be opened using Spotlight. I also use secure notes to store passwords that can be problematic, e.g, when using apps that are not supported by Keychain or Apple Password. I also use it for some apps that provide a list of one-off backup passwords. I hope that moving keychain from the app launcher, and presumably the Applications folder, isn’t the first stage of deprecating keychain.
@@chrisheath5233 Note that you can use Passwords to store any text in a note there. Just create ay entry you need. Put the backup passwords there too. You can use the app or the Menu Bar item to access these easier than you can with the Keychain Access app. But they won't be getting rid of Keychain Access as it is critical for developers and IT pros to have access to certificates and other items there.
I can see the passwords app in Finder-> Applications. But in Launchpad, It is no where. I have checked all pages of launchpad and even tried to use search in launchpad. I can access passwords app through spotlight. Same is the case with iphone mirroring app. I have tried restart and also safe mode. Can you help?
we need to be able to edit the website url sometimes. The url saved is not always the one we need to login from. I've got one entry that the url leads to something for employees only when it should be leading to patrons, and there's no way to change it
Still waiting on them to adopt a password generator utility outside of the account creation step. I use this heavily in bitwarden so I can't switch over until that's figured out. Also, need to see how this works on mobile apps because that's always been a big miss.
Hi Gary. Have a different question on Numbers that I can't seem to find the answer to and I've been searching for over an hour. I use numbered lists often. When I hit enter to create a new row how do I get Numbers to auto generate the next sequential number? I put 1 in the cell A2. In cell A3 I entered formula A2+1 and I get 2. But when I hit enter to create a new row, A4 is blank. What am I doing wrong? Thanks!
If A2 is 1, and A3 is A2+1, then you've got two different things in that column: a number and formula. So it doesn't know what to do in A4. You could put A1+1 in A2 instead. Since A1 is a header column, it isn't considered part of the sequence. So A2 is A1+1 and A3 is A2+1, so then inserting another row gives you A3+1. Or just use ROW()-1 in all of them.
Over time I’ve updated passwords and used other password managers, which this app won’t necessarily know. Is there a good way of managing that, finding the most recent and deleting duplicates etc., please?
Lots of ways to handle it. For instance, if you can export from it as a CSV, then you have everything in a file. Even open it in Numbers if you like. Now you have a backup for entries you haven't moved over to Passwords yet. You can just access that file for passwords you missed as time goes on. Or, keep the old password manager around and use both for a while.

Sorry, if I'm not wording my query very well, in technical terms. I really want to get my passwords sorted, as I spend so long resetting them.
@@ianb4916 If you like. There are so many things you can do it is hard for me to know which would be best for you. If you export from your other password manager then you have a CSV file (hopefully). Then you can use that as reference to get to passwords not yet added to Apple Passwords. Or, you could copy lines from that CSV file to make a new CSV file with only entries you want to import into Apple Passwords. Or, you could just keep the other password managers around and use them to access old passwords until everything is in Apple Passwords too. So many possibilities.

What happens if you have an iOS device (iPhone/iPad) that cannot be upgraded to iOS 18 (too old). Will password syncing across iCloud stop working on those devices when upgrading the Mac to Sequoia?

Is it possible to get access to my passwords in the Apple app when I’m not logged in with my Apple ID? For example when I’m using someone else’s computer.
I think the new password manager Is nice. But I would like them to add the functionality to ajust length/letters in the suggested password, as I run into site where they are to long or don't meet requirements. In my old password manager I could change this in settings.
I'd rather have those sites get complaints about that and change their forms. Having a length limit like that is very bad for security. But in the meantime, just delete a few characters off the end of the suggested password.
@@macmost Yes I also did that 👍But some sites require, for example, a certain number of numbers and a special character, or capital letters, so you need to a just for them. I noticed that most websites that have a box below the password field, where a green check mark appears for each line if you meet the criteria for the password. It is not many, but have run in to 3-4 when I changed passwords for my bookmarks.
@@mikkeljensen6347 Hopefully you don't run into any more. Every "rule" that a site adds for passwords weakens security as it reduces the number of possibilities for a brute-force attack by quite a bit.
I never save my 2FA into my password manager. Bad security practice. Always use separate app for 2FA. If somebody ever gets access to your password manager they have everything they need to get in if you combine them.
How so? How does using a separate app help? If someone has your passcode to get on your Mac (and physical access) then they can get to both places. Just having it in a separate app does not make it more secure. But it does make it much harder to enter in those codes (not automatic) so people will be less likely to opt for 2FA, which is a worse problem.
@@macmost Yes they might have access to both but depends how your 2FA is. For example you can use Authy and set a PIN code so even if they get your phone or Mac they will be stopped getting 2FA codes unless they also have your PIN. 📍. It’s another layer of security. Maybe edge case yes but paranoia in the realm of security is always my go to. Also watch this video by another popular Mac RUclips creator from today. I am using the latest version of MacOS Sequoia. Why is the Passwords app not listed inside Launchpad? It is available via Spotlight search and also listed under the Applications folder. Please help me get it inside the Launchpad.
I have tried searching as well as browsing for it in the launchpad but it cannot be traced. It can be opened only by accessing Spotlight and the Applications folder.
Is there a way for Passwords to generate a password for 3rd party apps where the screen for password generation doesn’t appear automatically? I find that if I’m on a website I always get a prompt to pick a strong password. But some 3rd party apps don’t have that prompt coming up and I’m on my own to come up with a password. I’ve looked in Passwords but can’t find something that will generate a strong password if I’m not prompted to do so.
My problem is that the same site can have multiple passwords depending on which page I am inside that site and Safari would not know which password to autofill if they are all different. It presents one of them (independent of the subpage) and I have to remember which one is assigned to which subpage. It will not deduce it from the subpage.
You get a menu in those cases. So you can choose. For instance, if you have 3 passwords for a social media site as you manage different accounts, you can simply choose which to fill in.
Gary, it all sound like and an important and crucial improvement. Except. Except like in this scenario. I'm trying to log in to a site which is already registered in Password Manager and it does have a strong password. When I click the user name field Safari suggests the right user name but does not fill the password field. When I click the password field it does not enter the existing password stored in PM. Instead it asks me to click either New Strong Password or New Strong Password (without special characters). So I go to Password Manager instead, select the right site and..... there is no option to click to enter the password on the site. Instead, I must copy password and then paste it manually into the site. That's how it's supposed to work? But wait, there's more. On subsequent log-in attempt, the password is not remembered and I have to go through the SAME procedure again. That is, I'm asked again to click New Strong Password or New Strong Password (without special characters). And again I must go to Password Manager, copy password and manually paste it into the site. And what if you actually got hooked on the idea of clicking New Strong Password? Well, I tried it.....and I screwed the site as Password Manager did not replaced the old password on the site. Fortunately, me the old hand at this game, I did copy the old password before I tried that "strong password feature". Tried different ideas to go around those problems and none works. I hate this and now I wonder how to skip this Password Manager "improvement"???
The the site is asking for a "New Strong Password" then you are using their "sign up" form and not their "log in" form. Look carefully at the page and how things are labeled.
@@macmost First of all, I do appreciate you answering really ASAP. But it doesn't really work the way you describe it. First of all, there's a difference depending on which browser you use (in my case either Safari or Firefox). I use the log-in form in both cases. In Safari, when I click the password field, the form responds with prompt New Strong Password (highlited in blue) or Open Passwords. However, to the right inside the field there's also the Passwords icon (looks like a key) and if I click it I get four choices: 1) Finger touch for the named site 2) Recently generated passwords for the site 3) Other passwords 4) Suggest new password for the site Option 1) with finger touch inserts the right password from the Password Manager Option 3) opens the Password Manager and lets you look for the password then inserts it into the log-in password field. Except for option 1), it's not intuitive at all so I'm scared to even try 2) and 4) As for Firefox, I don't get the Password Manager icon in the password field to click and consequently the only way to log in is to go into Password Manager, copy the password and manually paste it into the required field. And of course, Firefox is maintaining it's own and separate password database to which you're directed if the password entered doesn't work. All in all, it's not intuitive at all and as there's no sandbox to try and use it, I feel there's a real risk of inadvertently screwing passwords (which did already happen to me as described above). Ouch!!!!
@@MrAstygmatyk Sounds like issues with that particular site then. Each site is a little different as to how the code in them works. And each password manager has its own code to figure out which field is what.
I don't think so. I've not played with any system that allowed that, but I think the site would need to support something special, like at least passkeys, to do that.
For someone who spends time working on multiple platforms, is there a way for Apples password manager to work with (share) their data safely with Windows and Unix platforms?

@@macmost - My CPU isn’t on the ‘supported’ list allow me to upgrade to windows 11, and as they serve their function and have proprietary software installed… they work for now under windows 10 pro. I’ve spent literally weeks trying to get it to work, Apple says it’s a Microsoft problem, Microsoft says it’s an Apple problem. I will check out that article you suggested later.
@@macmost Yes notes as part of the website you are saving passwords too but i want stand-alone secure notes that i can note down other things that doesn't need URL or passwords just stored behind a master password. Hopefully they will add this facility in the future.
@@perrysrc Not sure what website you mean. The Notes app allows you to lock notes. But also any file you create (Pages, Word, TextEdit, etc) would work. Some apps let you encrypt the document. But even if not encrypted they are still protected as part of your whole user account.
@@macmost I don’t mean the notes app. Lastpass saves websites like Apple passwords but LP also lets you save secure notes which you can attach pdf’s or photos too. What I needed to know was does Apple passwords have the secure notes function or just password saving with just a note you can add like you showed in video.
@@perrysrc Yes, I understand. I'm just suggesting that you can use the Notes app to save things like that. As of now, Passwords doesn't let you have anything but text in notes. But you can use the Notes app (and many other methods) to save secure notes with attachments.
Sorry not sure where to ask this question but wondering for YEARS… What the heck is the Photobooth app good for? I feel like it was Steve Job’s kid who thought of such a thing and they’re just honoring it by leaving it as part of the apps included with apple products! What am I missing?
It is good for using your Mac's webcam to take a photo. Don't know of any other easy built-in way to do that. Some site asks for a quick headshot, or a document you are working on needs a pic of you on the author page, or you want to post a pic of something while you are working on your Mac, not your iPhone, then Photo Booth comes in handy.
I think this is great but I can’t believe they didn’t add credit cards. They have their own credit Brads now it would be great to have a credit card section. I can’t see changing just yet.
Hi, can you direct me to a video you have (already probably) on iMovie. I need to take a vertical video and black out the sides (or blur them) but I'd prefer to black them out. How to know if a third party browser supports Passwords? Will the browser require a third party extension? Are there currently any third party browsers that support Passwords?
There are no third-party browsers yet, I think. I'm gonna guess that they will all just wait for Apple to make extensions instead. There is already one for Chrome.
@@macmost Oh that’s right. I tried the extension for Chrome, and it was irritating. You have to put a PIN in each time rather than Touch ID. I find 1Password a lot smoother either Touch ID.
I hate that they do awesome things like these and then come short at things that are so basic that it baffles me they didn’t have the time nor the budget to add. Such as secure notes, or just more secure fields associated to each item. Or a history of all the changes you have made of a password. Simple things that almost all passwords managers have had for years, and yet is missing here. Pd: yes, as a developer i can argue those are rather simple features that shouldn’t take more than a couple of weeks to get done.
@@paulschwarz6917 Where? Were you signing up for a fresh new Apple Account? In System Settings? Not sure how that would work as you'd need to be signed out of iCloud to do that, which means Passwords wouldn't work. Very unusual situation.

Now if I could just find a way to select all of my several hundred passwords in order to add them to a shared group. I have tried the usual control keys and clicked passwords a few entries apart, but nothing thus far has selected all passwords between the first and last selected. It would be a major pain to have to select a few hundred passwords one at a time to add to the group. Anyone know of a way to do a “select all” in the password app on a Mac?
@@macmost Interesting. I am running an older iMac running Sequoia 15.0.1. If I am in “All” in the password app, I can select a range using the shift key. However, when I go into Shared Groups and hit continue and then name a group and hit create to bring up the Move passwords window, I now have a list with check boxes to the left. If I click on the first password and then hold shift and click on say the 5th password, only the boxes for the 1st and 5th are checked, none in between get selected. I have tried shift and command and even control and option and nothing causes the entire range to be selected, just the two entries I click on. Seems like there has to be a way, but I have yet to find it when in the group creation and move windows.
@@macmost I also tried selecting a range in All and then right clicking, but the option to move a password to the group only appears if a single password is selected. If more than one is selected, there is no option to move to group, only options are to open in separate windows or delete.
@@LTVoyager OK, so just use the drag and drop method. You have created the shared group already, so now just drag and drop into it. Problem solved. Also, be careful when sharing accounts. I can't think of why you would need to share that many accounts with another person. A few, yes, like for a work project or maybe some accounts with close family where they don't have individual logins (like for streaming services). But most of the time people have individual accounts for things and this shouldn't be used in place of that.
@macmost there are the ones that are big that I can list and the ones that you just have to use. Types of item: passports, licenses, notes, even password files you can add fields (security questions, pins, addresses for that password etc). You can also upload images or files to securely store or associate with a password. Travel mode. Let's my phone stay logged into 1password but only keeps certain passwords and hides my sensitive ones. I don't use it. But have friends that do for when they travel to middle east. Sharing passwords with other 1pass users and non 1pass users. Even guest users. Portability. I don't want my passwords, my most important data, to be apple locked. If I have and android I need my passwords.

Unfortunately the Apple solution is not available cross platforms (IOS, Mac, Windows and Android), not gonna use multiple pw managers so I’ll stick with 1password.
Email is typically a server-based service. For instance, iCloud email is in iCloud, Google email is on Google's servers, etc. So if you have become disconnected with your email provider, simply log back in.
That's the password for your Mac account. So are you thinking you may forget that? If so, you'd lose access to your Mac, not just Passwords. If you think that could happen to you, make sure you have it written down and put in a secure place. But there are also ways to recover using your Apple ID if you have that set up. But then the same is true for that password.

I was hoping you would be doing one for the Password App. Would love to see a follow up with details on how to import passwords using a CSV file from another password app. Specifically, what fields get imported, and what text needs to be in the CSV file header fields? I want to do this but I have 100 plus passwords to import, many with notes I want to import
It is going to vary depending on the app you are exporting from. So not possible to do a video unless I want to dedicate a huge amount of time to using the other apps to test exporting and importing with all of them. Just try it with what you have. If you want to try a sample, it is easy to open and edit a csv file since it is just text.
Most password managers will have the option to export your data in CSV format; however not all will export the correct format. As mentioned in another comment, I had been using Roboform password manager almost since its release, however its CSV was not formatted in a way that the Passwords app could read. My workaround was to export my Roboform data to CSV, import that data to NordPass (which I had tried last year); then export from NordPass to CSV, and import that to the Passwords app.
Great, informative video! I really wish you could have more control over the auto-generated passwords, like increase the length, or have it use additional special characters, like !@#$%^&*, etc. Every password is 6 characters, a dash, six characters, a dash, and 6 characters, with only ONE of those 18 non-dash characters being a number. Granted they're still very strong, but they could be stronger! The other limitation is sharing. Unless I'm missing something, you have to create shared groups for any passwords you want to share, and the password moves to that group, and becomes unavailable to any other shared group(s) you create. If I want to share a single password with one family member, and a different, single password with another family member, I have to have two separate share groups with one family member in each. If I want to share a third password with BOTH family members, it doesn't look like I can copy it into both share groups, because it only lets you put a password in one shared group at a time. I think that means I have to create a third share group and put those same family members both in it!
is very insecure the main password of your computer is the same as the password app. If somebody access your phone, you are lost! they get all your passwords.
Someone would need physical access to your phone, and your password. Never let anyone have both of those things. Even if your Passwords app had a separate password, that wouldn't matter as they could access your Messages and Mail apps, allowing them to reset critical passwords and gain access.
@@macmost There's many more personal data in a password manager than just passwords, also I use 2FAs in Yubikeys, etc. is better have a separate password for your password manager, just wait and you will see that how many people will be hacked by using the Apple password manager, they need a secondary password for.
Why? Create the groups you need. For instance, if you have a group for just you and your spouse, and another group for you and your spouse and your kids, then why would it need to be in both groups? It is just a matter of creating the right groups. Otherwise, if you had a password item in multiple groups, then it could be changed by someone in one group and the people in the other group wouldn't know who changed it.
@@macmost Yes that works if I'm only sharing with my immediate family. But it doesn't scale if I need to share with other external parties (eg friends, colleagues)
@@timjasper Why not? Like let's say you want to share with both family and friends. You would have groups: Family, Friends, and Friends and Family. Put the password in the right group. Otherwise, if you were allowed to have a password in two groups (Family, Friends) then someone in one group could change the password and the people in the other group would be affected. Not sure you'd ever want to share passwords with that many people though. What a real world use case for sharing a password with a group of friends?
@@macmost Actually what would be best is if you could share with a group and/or individual/s. My thoughts are more from a commercial angle, so yes apple passwords are more likely to suit a family situation. However the lack of granualar permissions is the very reason we could never use 1password either in a corporate situation . In relation to sharing passwords, ideally changes should be able to be locked to prevent people changing them.

About Apple built-in password manager. As far as I know, macOS Sequoia does not offer a way to set a separate password for the Password Manager, which, in my opinion, makes it insecure. I use a relatively strong password to log into my MacBook, but it wouldn't be too difficult to crack, and setting a very strong, long password is not practical for someone who puts the computer to sleep after a few minutes of inactivity.
Thus, unfortunately, I still have to use a third-party password manager.
One password+second factor is what stands between you and the bad guys online (iCloud, email servers, banks, etc). It is the same on your Mac, where the second factor is physical access. Long passwords should not be a problem if you use Touch ID with your Mac, which you should.

Apple has long had password management but it was a rather technical data approach including info only IT needed access to. This has been a long time coming and I applaud it. I would love to. But it has been proving impossible as each site and service seems to handle them differently. So a tutorial on how to do it for one site wouldn't help you do it on others. Frustrating. If you want to use a passkey for a site, you just have to follow the instructions at the site.
@@macmost I have many "red exclamation point" warnings in Passwords telling me I need to change my passkey for that site because it has been "previously shared with other people" - but I can't figure out what Passwords wants me to do exactly. When I click "change passkey" it just takes me to the website with no explanation of what I'm supposed to do. It's very confusing. I would love to know "what is a passkey" and how do I change it? How did it get "previously shared with other people"? I know I didn't share it. Does having a "shared passkey" compromise my security at that site, even if I have two-factor logon? What is going on Apple?????

Just don’t load the app on iPhone or watch.
No. And it would be a bad idea to do so. You want your passwords available to you on your iPhone, don't you? A Password manager is the best way to have access to them. Otherwise you'll be using simple and repeated passwords that are weak, and you'd be vulnerable to phishing. Remember your passcode on your iPhone protects everything. Find My too (for remote erase). If you are concerned about security then make your passcode on your iPhone stronger. I use a long alphanumeric password for mine (plus Face ID to make it easy).

Thank Gary. I am confused. Is my understanding correct that after upgrading to Sequoia that the Keychain is eliminated? Why else would the new Password Manager simply not look into the Keychain to see what password to use for sites that you previously created a password for? If you are not already using a 3rd party app (like 1Password) how are you supposed to know what the previous password is? If Keychains is still available, my does Password Manager look at it to determine what password to use.
"Keychain" is the storage technology. It is still used for passwords and many other things. The "Passwords" app is just your interface for working with those passwords.
Apple did a fine job with the Password app. Hopefully in the next version they can implement some of Steve Gibbons Squirrel to make them more standard adoption.

I have one worry with this app. I have upgradable iPad and Mac, but my iPhone X stays with iOS16. If I upgrade on my other devices, will I still have access to passwords on my phone via settings app or will I lose access?
I think so. You'd just need to access them in Settings like before.

Very informative video. I've used Keychain for years. Other than the ability to see the sections (all, passkeys, codes, WIFI, Security) what is the advantage of using the Passwords app? If I do activate the Passwords app what happens to Keychain?
You don't "activate" anything. You just use it. Passwords is the user-friendly way to deal with your passwords. "Keychain" is the storage location for that and more. Maybe you are thinking of "Keychain Access," an existing app that lets you access everything in Keychain. The vast majority of users would use Passwords. Only devs and IT pros may use Keychain Access to get to things like certificates.

I just purchased a new iPad Air Nov 2024 and i am having issues with passwords. The iPad is of course on iOS 18 but my cell phone is older and is not up to 18 and doesn’t have the new password app. I can log into facebook on the phone and then when I try on the iPad it says password incorrect. I click forgot password on the iPad and change it and then when I try again it doesn’t work on either device. How Can I get the two iOS to work together? One with new password app and one with old password app. Pulling my hair out here! Thanks for your help
There is no "old" Password app. On iOS 17 you access your passwords through the Settings app, Passwords. Not sure why you are having trouble with that site. You can look in Settings, Passwords on your iPhone and compare the passwords between your devices.
If you have more than one gmail account on your mac, can you set a password to move from one account to another?
Yes, just create two Gmail (or any other site) entries in the passwords app and the Passwords pop-up will give you both to choose from when logging in.

I'm still using Sonoma 14.6.1 on my Mac Mini, but have a password related question. Right after I upgraded to 14.6.1, several sites I visited in Safari didn't recognize my Touch ID (Magic Keyboard). I received a prompt to type in my user ID to activate AutoFill, and after I did that, I was logged in. Sometimes after logging out and returning hours later, I'd get the same prompt to activate AutoFill - but not always. I've cleaned the TouchID key on the keyboard but that doesn't seem to have helped any. Any suggestions? Do you think upgrading to the new OS will help?
It is hard to say why you needed to enter your code at those particular times. In general, Touch ID is a shortcut for entering your password. A variety of things can trigger macOS to make you enter your passcode again, all security-related. The idea is not to be able to use Touch ID 100% of the time, but a large percent of the time.

Till 15.1 will arrive I stay with Sonoma and I loved the apple keychain app, even stored some password secured notes there. What happens with all secure informations in that app, are they all gone, will the keychain app disappear, when I take my machine to the next macOS?
Keychain Access hasn't changed. If you use that for something, it is still there and works the same.

Keychain has been removed from the app launcher, but can be opened using Spotlight. I also use secure notes to store passwords that can be problematic, e.g, when using apps that are not supported by Keychain or Apple Password. I also use it for some apps that provide a list of one-off backup passwords. I hope that moving keychain from the app launcher, and presumably the Applications folder, isn’t the first stage of deprecating keychain.
@@chrisheath5233 Note that you can use Passwords to store any text in a note there. Just create ay entry you need. Put the backup passwords there too. You can use the app or the Menu Bar item to access these easier than you can with the Keychain Access app. But they won't be getting rid of Keychain Access as it is critical for developers and IT pros to have access to certificates and other items there.

I can see the passwords app in Finder-> Applications. But in Launchpad, It is no where. I have checked all pages of launchpad and even tried to use search in launchpad. I can access passwords app through spotlight. Same is the case with iphone mirroring app. I have tried restart and also safe mode. Can you help?

we need to be able to edit the website url sometimes. The url saved is not always the one we need to login from. I've got one entry that the url leads to something for employees only when it should be leading to patrons, and there's no way to change it
You can. Edit the entry and click the website. Then add the new one. Leave both there, but you can also delete the other one if you want.
Still waiting on them to adopt a password generator utility outside of the account creation step. I use this heavily in bitwarden so I can't switch over until that's figured out. Also, need to see how this works on mobile apps because that's always been a big miss.
You can certainly do that in the new Passwords app. File, New Password or the + button.

Hi Gary. Have a different question on Numbers that I can't seem to find the answer to and I've been searching for over an hour. I use numbered lists often. When I hit enter to create a new row how do I get Numbers to auto generate the next sequential number? I put 1 in the cell A2. In cell A3 I entered formula A2+1 and I get 2. But when I hit enter to create a new row, A4 is blank. What am I doing wrong? Thanks!
If A2 is 1, and A3 is A2+1, then you've got two different things in that column: a number and formula. So it doesn't know what to do in A4. You could put A1+1 in A2 instead. Since A1 is a header column, it isn't considered part of the sequence. So A2 is A1+1 and A3 is A2+1, so then inserting another row gives you A3+1. Or just use ROW()-1 in all of them.

Over time I’ve updated passwords and used other password managers, which this app won’t necessarily know. Is there a good way of managing that, finding the most recent and deleting duplicates etc., please?
Lots of ways to handle it. For instance, if you can export from it as a CSV, then you have everything in a file. Even open it in Numbers if you like. Now you have a backup for entries you haven't moved over to Passwords yet. You can just access that file for passwords you missed as time goes on. Or, keep the old password manager around and use both for a while.

Sorry, if I'm not wording my query very well, in technical terms. I really want to get my passwords sorted, as I spend so long resetting them.
@@ianb4916 If you like. There are so many things you can do it is hard for me to know which would be best for you. If you export from your other password manager then you have a CSV file (hopefully). Then you can use that as reference to get to passwords not yet added to Apple Passwords. Or, you could copy lines from that CSV file to make a new CSV file with only entries you want to import into Apple Passwords. Or, you could just keep the other password managers around and use them to access old passwords until everything is in Apple Passwords too. So many possibilities.

No. You'd need to at least be using some device that is logged into all of your stuff. Like your iPhone.

I think the new password manager Is nice. But I would like them to add the functionality to ajust length/letters in the suggested password, as I run into site where they are to long or don't meet requirements. In my old password manager I could change this in settings.
I'd rather have those sites get complaints about that and change their forms. Having a length limit like that is very bad for security. But in the meantime, just delete a few characters off the end of the suggested password.
@@macmost Yes I also did that 👍But some sites require, for example, a certain number of numbers and a special character, or capital letters, so you need to a just for them.
I noticed that most websites that have a box below the password field, where a green check mark appears for each line if you meet the criteria for the password.
It is not many, but have run in to 3-4 when I changed passwords for my bookmarks.
@@mikkeljensen6347 Hopefully you don't run into any more. Every "rule" that a site adds for passwords weakens security as it reduces the number of possibilities for a brute-force attack by quite a bit.
I never save my 2FA into my password manager. Bad security practice. Always use separate app for 2FA. If somebody ever gets access to your password manager they have everything they need to get in if you combine them.
How so? How does using a separate app help? If someone has your passcode to get on your Mac (and physical access) then they can get to both places. Just having it in a separate app does not make it more secure. But it does make it much harder to enter in those codes (not automatic) so people will be less likely to opt for 2FA, which is a worse problem.
@@macmost Yes they might have access to both but depends how your 2FA is. For example you can use Authy and set a PIN code so even if they get your phone or Mac they will be stopped getting 2FA codes unless they also have your PIN. 📍. It’s another layer of security. Maybe edge case yes but paranoia in the realm of security is always my go to.

I am using the latest version of MacOS Sequoia. Why is the Passwords app not listed inside Launchpad? It is available via Spotlight search and also listed under the Applications folder. Please help me get it inside the Launchpad.

Is there a way for Passwords to generate a password for 3rd party apps where the screen for password generation doesn’t appear automatically? I find that if I’m on a website I always get a prompt to pick a strong password. But some 3rd party apps don’t have that prompt coming up and I’m on my own to come up with a password. Yes. Go into the Passwords app and create a new password with File, New Password or by clicking +.

Is it possible to transfer passwords from firefox/chrome to the app?
Yes. I talk about importing in the video.
My problem is that the same site can have multiple passwords depending on which page I am inside that site and Safari would not know which password to autofill if they are all different. It presents one of them (independent of the subpage) and I have to remember which one is assigned to which subpage. It will not deduce it from the subpage.
You get a menu in those cases. So you can choose. For instance, if you have 3 passwords for a social media site as you manage different accounts, you can simply choose which to fill in.
Gary, it all sound like and an important and crucial improvement. Except.
Except like in this scenario. I'm trying to log in to a site which is already registered in Password Manager and it does have a strong password.
When I click the user name field Safari suggests the right user name but does not fill the password field.
When I click the password field it does not enter the existing password stored in PM. Instead it asks me to click either New Strong Password or New Strong Password (without special characters). So I go to Password Manager instead, select the right site and..... there is no option to click to enter the password on the site. Instead, I must copy password and then paste it manually into the site.
That's how it's supposed to work?
But wait, there's more. On subsequent log-in attempt, the password is not remembered and I have to go through the SAME procedure
again. That is, I'm asked again to click New Strong Password or New Strong Password (without special characters). And again I must go to Password Manager, copy password and manually paste it into the site.
And what if you actually got hooked on the idea of clicking New Strong Password? Well, I tried it.....and I screwed the site as Password Manager did not replaced the old password on the site. Fortunately, me the old hand at this game, I did copy the old password before I tried that "strong password feature".
Tried different ideas to go around those problems and none works. I hate this and now I wonder how to skip this Password Manager "improvement"???
The the site is asking for a "New Strong Password" then you are using their "sign up" form and not their "log in" form. Look carefully at the page and how things are labeled.

First of all, I do appreciate you answering really ASAP. But it doesn't really work the way you describe it.
First of all, there's a difference depending on which browser you use (in my case either Safari or Firefox).
I use the log-in form in both cases.
In Safari, when I click the password field, the form responds with prompt
New Strong Password (highlited in blue) or Open Passwords. However, to the right inside the field
there's also the Passwords icon (looks like a key) and if I click it I get four choices:
1) Finger touch for the named site
2) Recently generated passwords for the site
3) Other passwords
4) Suggest new password for the site
Option 1) with finger touch inserts the right password from the Password Manager
Option 3) opens the Password Manager and lets you look for the password then inserts
it into the log-in password field.
Except for option 1), it's not intuitive at all so I'm scared to even try 2) and 4)
As for Firefox, I don't get the Password Manager icon in the password field to click and consequently
the only way to log in is to go into Password Manager, copy the password and manually paste it into
the required field. And of course, Firefox is maintaining it's own and separate password database
to which you're directed if the password entered doesn't work.
All in all, it's not intuitive at all and as there's no sandbox to try and use it, I feel there's a real risk of
inadvertently screwing passwords (which did already happen to me as described above).

@@MrAstygmatyk Sounds like issues with that particular site then. Each site is a little different as to how the code in them works. And each password manager has its own code to figure out which field is what.

I don't think so. I've not played with any system that allowed that, but I think the site would need to support something special, like at least passkeys, to do that.

@@macmost - My CPU isn’t on the ‘supported’ list allow me to upgrade to windows 11, and as they serve their function and have proprietary software installed… they work for now under windows 10 pro. I’ve spent literally weeks trying to get it to work, Apple says it’s a Microsoft problem, Microsoft says it’s an Apple problem. I will check out that article you suggested later.

Notes, yes, I show that in the video. No way to save files though. On a Mac you have other ways to do that anyway.
@@macmost Yes notes as part of the website you are saving passwords too but i want stand-alone secure notes that i can note down other things that doesn't need URL or passwords just stored behind a master password. Hopefully they will add this facility in the future.
@@perrysrc Not sure what website you mean. The Notes app allows you to lock notes. But also any file you create (Pages, Word, TextEdit, etc) would work. Some apps let you encrypt the document. But even if not encrypted they are still protected as part of your whole user account.
@@macmost I don’t mean the notes app. Lastpass saves websites like Apple passwords but LP also lets you save secure notes which you can attach pdf’s or photos too. What I needed to know was does Apple passwords have the secure notes function or just password saving with just a note you can add like you showed in video.
@@perrysrc Yes, I understand. I'm just suggesting that you can use the Notes app to save things like that. As of now, Passwords doesn't let you have anything but text in notes. But you can use the Notes app (and many other methods) to save secure notes with attachments.

Sorry not sure where to ask this question but wondering for YEARS… What the heck is the Photobooth app good for? I feel like it was Steve Job’s kid who thought of such a thing and they’re just honoring it by leaving it as part of the apps included with apple products! What am I missing?
It is good for using your Mac's webcam to take a photo. Don't know of any other easy built-in way to do that. Some site asks for a quick headshot, or a document you are working on needs a pic of you on the author page, or you want to post a pic of something while you are working on your Mac, not your iPhone, then Photo Booth comes in handy.

There are no third-party browsers yet, I think. I'm gonna guess that they will all just wait for Apple to make extensions instead. There is already one for Chrome.
@@macmost Oh that’s right. I tried the extension for Chrome, and it was irritating. You have to put a PIN in each time rather than Touch ID. I find 1Password a lot smoother either Touch ID.
I hate that they do awesome things like these and then come short at things that are so basic that it baffles me they didn’t have the time nor the budget to add. Such as secure notes, or just more secure fields associated to each item. Or a history of all the changes you have made of a password. Simple things that almost all passwords managers have had for years, and yet is missing here.

Gary, why doesn't Apple Id or Apple Account allow you to save your password or create a password to protect your account.
Not sure what you mean. You can't have an Apple Account without a password. Where is it saying you are not allowed?

I have always had to make up my own password for apple id
@@paulschwarz6917 Where? Were you signing up for a fresh new Apple Account? In System Settings? Not sure how that would work as you'd need to be signed out of iCloud to do that, which means Passwords wouldn't work. Very unusual situation.
@@macmost I tried to change it before signing out and it still did not provide a suggested password. Sorry for the confusion. I have locked my self out now, so I will give apple a call. Thanks for your help.
Now if I could just find a way to select all of my several hundred passwords in order to add them to a shared group. I have tried the usual control keys and clicked passwords a few entries apart, but nothing thus far has selected all passwords between the first and last selected. It would be a major pain to have to select a few hundred passwords one at a time to add to the group. Anyone know of a way to do a “select all” in the password app on a Mac?
I tried Shift and Command both work as expected to select multiple items. Maybe try a restart?
@@macmost Interesting. I am running an older iMac running Sequoia 15.0.1. If I am in “All” in the password app, I can select a range using the shift key. However, when I go into Shared Groups and hit continue and then name a group and hit create to bring up the Move passwords window, I now have a list with check boxes to the left. If I click on the first password and then hold shift and click on say the 5th password, only the boxes for the 1st and 5th are checked, none in between get selected. I have tried shift and command and even control and option and nothing causes the entire range to be selected, just the two entries I click on. Seems like there has to be a way, but I have yet to find it when in the group creation and move windows.
@@macmost I also tried putting * in the search box thinking that might select them all, but that doesn’t work either.
@@macmost I also tried selecting a range in All and then right clicking, but the option to move a password to the group only appears if a single password is selected. If more than one is selected, there is no option to move to group, only options are to open in separate windows or delete.
@@LTVoyager OK, so just use the drag and drop method. You have created the shared group already, so now just drag and drop into it. Problem solved.
Also, be careful when sharing accounts. I can't think of why you would need to share that many accounts with another person. A few, yes, like for a work project or maybe some accounts with close family where they don't have individual logins (like for streaming services). But most of the time people have individual accounts for things and this shouldn't be used in place of that.
where is the certificate and keys in the new password manager
The Passwords app doesn't handle those. If you work with those you would use Keychain Access like always.
Does it mean I get rid of my Roboform subscription?
I plan to keep Roboform for its ability to fill on-line forms. The Passwords app doesn't appear to do that.

There are features of 1Password that go beyond what the macOS Passwords app does, sure. But what do you mean specifically?
@macmost there are the ones that are big that I can list and the ones that you just have to use.
Types of item: passports, licenses, notes, even password files you can add fields (security questions, pins, addresses for that password etc). You can also upload images or files to securely store or associate with a password.
Travel mode. Let's my phone stay logged into 1password but only keeps certain passwords and hides my sensitive ones. I don't use it. But have friends that do for when they travel to middle east.
Sharing passwords with other 1pass users and non 1pass users. Even guest users.
Portability. I don't want my passwords, my most important data, to be apple locked. If I have and android I need my passwords.
@@macmost the 1Password feature I'd like included is for storing bank card info. If Passwords had that, I'd ditch 1Password altogether.

Unfortunately the Apple solution is not available cross platforms (IOS, Mac, Windows and Android), not gonna use multiple pw managers so I’ll stick with 1password.

I have used 1Password cross-platform on iOS, macOS and Windows for several years. It is seamless and works quite well. Can’t say about android.
How about showing us how to use time machine to get a email back in Sequoia. I had no luck in doing that.
Email is typically a server-based service. For instance, iCloud email is in iCloud, Google email is on Google's servers, etc. So if you have become disconnected with your email provider, simply log back in.
What if you forget the password for your passwords?
That's the password for your Mac account. So are you thinking you may forget that? If so, you'd lose access to your Mac, not just Passwords. If you think that could happen to you, make sure you have it written down and put in a secure place. But there are also ways to recover using your Apple ID if you have that set up. But then the same is true for that password.

I was hoping you would be doing one for the Password App. Would love to see a follow up with details on how to import passwords using a CSV file from another password app. Specifically, what fields get imported, and what text needs to be in the CSV file header fields? I want to do this but I have 100 plus passwords to import, many with notes I want to import
It is going to vary depending on the app you are exporting from. So not possible to do a video unless I want to dedicate a huge amount of time to using the other apps to test exporting and importing with all of them. Just try it with what you have. If you want to try a sample, it is easy to open and edit a csv file since it is just text.
Most password managers will have the option to export your data in CSV format; however not all will export the correct format.
As mentioned in another comment, I had been using Roboform password manager almost since its release, however its CSV was not formatted in a way that the Passwords app could read. My workaround was to export my Roboform data to CSV, import that data to NordPass (which I had tried last year); then export from NordPass to CSV, and import that to the Passwords app.
I HATE that you cannot edit Wi-Fi entries.

Great, informative video! I really wish you could have more control over the auto-generated passwords, like increase the length, or have it use additional special characters, like !@#$%^&*, etc. Every password is 6 characters, a dash, six characters, a dash, and 6 characters, with only ONE of those 18 non-dash characters being a number. Granted they're still very strong, but they could be stronger!
The other limitation is sharing. Unless I'm missing something, you have to create shared groups for any passwords you want to share, and the password moves to that group, and becomes unavailable to any other shared group(s) you create. If I want to share a single password with one family member, and a different, single password with another family member, I have to have two separate share groups with one family member in each. If I want to share a third password with BOTH family members, it doesn't look like I can copy it into both share groups, because it only lets you put a password in one shared group at a time. I think that means I have to create a third share group and put those same family members both in it!
is very insecure the main password of your computer is the same as the password app. If somebody access your phone, you are lost! they get all your passwords.
Someone would need physical access to your phone, and your password. Never let anyone have both of those things. Even if your Passwords app had a separate password, that wouldn't matter as they could access your Messages and Mail apps, allowing them to reset critical passwords and gain access.
@@macmost There's many more personal data in a password manager than just passwords, also I use 2FAs in Yubikeys, etc. is better have a separate password for your password manager, just wait and you will see that how many people will be hacked by using the Apple password manager, they need a secondary password for.

Its a shame passwords can't belong to multiple groups.
Why? Create the groups you need. For instance, if you have a group for just you and your spouse, and another group for you and your spouse and your kids, then why would it need to be in both groups? It is just a matter of creating the right groups. Otherwise, if you had a password item in multiple groups, then it could be changed by someone in one group and the people in the other group wouldn't know who changed it.
@@macmost Yes that works if I'm only sharing with my immediate family. But it doesn't scale if I need to share with other external parties (eg friends, colleagues)
@@timjasper Why not? Like let's say you want to share with both family and friends. You would have groups: Family, Friends, and Friends and Family. Put the password in the right group. Otherwise, if you were allowed to have a password in two groups (Family, Friends) then someone in one group could change the password and the people in the other group would be affected.
Not sure you'd ever want to share passwords with that many people though. What a real world use case for sharing a password with a group of friends?
@@macmost Actually what would be best is if you could share with a group and/or individual/s. My thoughts are more from a commercial angle, so yes apple passwords are more likely to suit a family situation. However the lack of granualar permissions is the very reason we could never use 1password either in a corporate situation . In relation to sharing passwords, ideally changes should be able to be locked to prevent people changing them.
