One r important limitation to call out on the "Export underlying data": The dataset gets flattened, meaning duplicate rows are not displayed, so you will notice the fields that had numbers don't add up unless you have a measure somewhere that is summing them up.
This helped me a lot! Sometimes a customer needs to export the data and sometimes I need it myself as a developer to check the figures I get from a Power BI Report against expected results.

#2 is my favorite tip!
1) Export to Excel seems dangerous, but also empowering for the analyst.
2) Power Query is the way to go because the data compression does not take place in Power Pivot.
Yes, for #1 it's all about the balance. Too much "Export to Excel" => chaos. You shut it down (silly move!) - you're not empowering your users.
When my users ask me about Exporting, I usually try to find out why they want to do it.
#2 Hmmm...Power Query does not hold any data itself. It can send it to Excel or Power Pivot. If sent to Power Pivot - Power Pivot is actually a crazy beast at compressing data (Power Pivot is the same engine that runs inside Power BI as well). For one it uses "Columnar Storage" (stores by columns instead of row by row like regular DB systems) - which makes it really good at compression. It's got other tricks up it's sleeve too.

PowerPivot is where compression takes place, and should compress the data above as it is imported. Where compression doesn't work as well is with Calculated Columns, which isn't used in these scenarios.
But I agree Power Query is the best way to do this *because* you can further transform your data before bringing it in to Power Pivot. Get rid of unneeded columns, filter data by date ranges, etc.

I like to use the Data tab in Power BI desktop to do basic troubleshooting or use the copy table feature in the tab if absolutely needed to do in Excel. It's another potential way to "export".

Thanks for sharing the video. One question - I am unable to download the 'totals' while exporting the summarized data from the visual. Is there any way to download the totals as well along with the summarized data?
Great information. I wish Excel could connect to a PowerBI Dataset the same way PowerBI Desktop can. It would eliminate the hassle of configuring the Analyze in Excel installations needed to use the "Analyze in Excel" option.
It actually can, but using the Excel Power BI Add-In. I know...an install is still needed. But once installed, you can reach out from within Excel and connect to any Power BI Data set.
I realize, I should have at least mentioned this in the video :-P

@@PowerBIPro I have users that want to export all columns in the data model from visuals when using powerbi.com. I notice the underlying data is not including every column in the data model, especially if I have a related table in the data model connected to my main data model table. Any advice??

Hi Avi, great tutorial, thanks. My favorite is #3 connecting with Excel. But if I do this, in Excel all Fields have character datatypes, so I can not use it in pivot. Where is my mistake? #1 and #2 running without problems.
One thing I actually discovered was you can copy a table by right clicking on the cells and just copy it over to excel. Worked great when I started publishing BI reports but there will always be people who prefer excel instead

Powerpivot is for unlimited rows export for the power users. I am OK with the lite Analysis service approach to extract.

Hmmm...I'm not sure if that's possible directly. May be indirectly
Power BI Service => Excel => SQL
And you can likely automate the whole thing using a 3rd party tool like Power Update.

I have a small problem. 1st I would like to explain what I did.
So I am managing my teamwork via using Trello board but it is sometimes tricky to see new entries. So what I did.
I export/print Trello data in JSON file and link it with BI ( of course I cleaned all unnecessary columns ). after clean-up the report, I made a table with my required columns.
But when I am exporting that data in excel, I am getting only 20% data over there. will you please help me out with this issue?
Very interesting video, thank you for posting it. I have a related question - I have 2 groups of users in my organisation. Operational staff and commissioners. I want the operational staff to be able to export the underlying data but the commissioners only to be able to export the summarised data. What is the most efficient way of doing this from the point of view of managing groups, and only having one version of the report, data set and workspaces?
Hi Ross. That is an excellent question. My understanding is that the Export Options are controlled at the Report Level.
So what you are looking for would not be possible with just one version of Report, Data Set and Workspace.
If you allow Export Sumerized and Underlying data in one report, it would be allowed for everyone (who has access to the report).
But there may be other creative solutions. My gut feel is you definitely need Two reports, but I don't think you can keep them in the same Workspace. Because if you let 2 groups into the Workspace they would have access to both reports.
So I am thinking, One Dataset, Two Workspaces with Two reports.

@@PowerBIPro thanks for the quick response. I managed to come to the same conclusion. I created 2 workspaces and published the same report from desk top to each, both with export underlying data enabled. I then went into the service and changed the report settings in one of the workspaces so that only summarised data can be exported. Apologies for my ignorance but does that count as 2 workspaces and 2 reports or is that 2 workspaces with 1 report?
How do you let the "Export Data" in BI online appear? It is missing in my report even though I already configured the Export Data in the settings.
So the question is: like in a power bi page there are 2-3 charts and 2-3 filters. If we select any filter all the other charts and filters show different values. So when the filter is selected, I wanted to export that data in an excel file which will tell all the values from charts and filters. Is it possible?
To be more clear - let's take the example of Adventure works in the video. So if we select the single month and then I want to export the whole data present on the page in one click, is it possible?

Hello. I was trying to download the "pivot" table from excel from you step #3. When I download that excel in a machine that doesn't connect to the power desktop server directly, it shows an error that cannot connect to tha pbiazure://api.powerbi.com....

i've been struggling with something related to saving to excel and was hoping you could help please. Every month i need to save a copy of a dataset to excel and timestamp it. Obviously i can go into the service each month, open the report, export the underlying data to excel and save the dataset with the appropriate month, year name. Is there any way I can automate this process so every month end, after the dataset has refreshed, the dataset is saved to my onedrive folder with the appropriate time stamp?

There might be a few different ways to solve this.
One option that comes to mind is
1) Publish PowerBI Report to PowerBI.com
2) Use "Analyze in Excel" to create a PivotTable with the complete dataset that is connected to the PowerBI.com model
3) Try VBA Automation that opens the file each month, refreshes the PivotTable and then saves the file in a specific folder after renaming it as needed
Even if you can't do step 3), doing Step 1 & 2) would make the process much faster for you perhaps.

Mislav, love that. Hey, tell me. bit more. What is the business scenario in which it would make sense to export data using Python/R from Power Query? One scenario that I had heard was to also take a snapshot of data as it's refreshed. Would love to hear what specific scenario you have in mind.
@@PowerBIPro Like doing ETL in PowerQuery and them exporting the results to csv via Python script (3 lines of code).
@@mjosic you can do it in PQ but then you're only seeing the source data. If you want to export the output of DAX measure or calculated columns/tables, then you can run your python or R script in a visual instead.
